Overview

What the AccuLynx Zapier integration actually does

It plugs AccuLynx, the cloud CRM that roofing contractors run their contacts, jobs and leads in, into Zapier. You pick an AccuLynx event, Zapier reacts to it, and another step writes, sends or looks something up for you. Fifteen of the sixteen triggers are instant, and that matters most on a free plan, where nothing waits for a timer.

A job file that fills itself in. The moment a sales rep opens a job, Job Created fires and Update Job Custom Field stamps the custom fields your office relies on. Nobody has to remember to do it after the inspection.

Leads that land without retyping. A web form or a call-tracking tool can feed Create Lead, with Find Lead Source picking the right source by name so the report at the end of the month still adds up.

A crew that knows when the inspection moved. Job Initial Appointment Updated fires as soon as someone changes the appointment in AccuLynx, so a text or a chat message can go out to whoever is on the roof that day.

Now the honest part. The list has no delete action and no way to change a contact's name or phone once it exists: the two update actions only touch custom fields. Nothing here creates or edits a milestone either, you can only watch it move. And a Zap ignores every job that existed before you switched it on. If those gaps matter, the n8n vs Zapier comparison is worth reading before you commit.

Vocabulary

Zapier words you will meet on this page

Eight terms, plain English, then the page uses them without explaining them again.

Zap
The automation you build on Zapier: one trigger, then one or more actions that run every time that trigger event happens.
Trigger
The event in an app that starts the Zap. Once the Zap is on, Zapier simply waits for it to happen.
Action
What the Zap does after it starts: the step that writes, sends or moves something so you do not have to.
Task
The unit Zapier bills you on: one action your Zap completes successfully. Your plan's allowance is a count of those.
Polling vs instant
A polling trigger is checked on a timer for new items. An instant trigger is reported by the app the moment the event happens.
Filter
A step that lets the Zap continue only when the incoming item meets the condition you set, and stops it otherwise.
Search step
A step that looks up something already in an app, so the steps after it can use what it found.
Connection
Your AccuLynx account linked to Zapier once, then reused by every step in every Zap that touches AccuLynx.
Cost

What an AccuLynx Zap really costs

AccuLynx is not a premium app, so it works from the free plan. What you pay for is tasks, and only successful actions count.

  • Free plan100 tasks a month, unlimited Zaps
  • Free plan Zap sizeTwo steps: one trigger, one action
  • Premium appNo, AccuLynx works on every plan
  • Instant triggers15 of 16, no interval applies

The trigger never costs a task, and neither does Zapier checking for new data. Each action that goes through is one task, so a Zap with three actions burns three times as fast as one with a single action. A failed action is not counted. The free plan stops at two steps, which surprises most people: add a filter, a search or a second action and you need a paid plan. The Zapier review covers how the plans compare.

Connect

Connect your AccuLynx account to Zapier

  1. 01

    Open your connections

In Zapier, go to the Apps page of your account and click + Add connection. You need an AccuLynx account first, plus read or write access to any records you do not own but want the Zap to touch.

  2. 02

    Find AccuLynx and start

Type AccuLynx in the search box of the dialog, pick it from the results, then click Add connection. A new browser tab opens on the AccuLynx side, ready for your login.

  3. 03

    Sign in and allow access

Log in to AccuLynx in that tab and grant Zapier access to the account. The connection then shows up on the Apps page and every AccuLynx step you build can reuse it.

First Zap

Your first AccuLynx Zap, step by step

GoalWhen a canvasser adds a homeowner as a new contact, open a job for them and book the first inspection.

  1. 01

    Pick the trigger

Create a Zap, choose AccuLynx as the app and Contact Added as the event, then select your connection. This one is instant, so no timer is involved.

  2. 02

Test it on a real contact

Run the trigger test. Zapier brings back the three most recent contacts from your account, so pick one that looks like a real homeowner for the mapping.

  3. 03

    Add Create Job

Add an AccuLynx action, choose Create Job, and fill the Contact field with the contact the trigger just delivered. That field is required.

  4. 04

    Book the inspection

Add Set Initial Appointment on the new job. Start and end dates are required and must be in UTC, so check the time zone before you test.

  5. 05

    Test, then publish

Test each step and read what came back. When it looks right, click Publish. Two actions make this a multi-step Zap, so it needs a paid plan.

Triggers

AccuLynx triggers on Zapier

16 events start a Zap when something happens in AccuLynx, and 15 of them are instant: the app calls Zapier straight away, whatever your plan.

1

Contact Added

Instant trigger

In Zapier“Triggers when a new Contact is added. This action registers a webhook listener for the contact_added event.”

Starts your Zap whenever someone creates a contact in AccuLynx, whether a homeowner, an adjuster or a supplier. It is the natural entry point for anything that should follow a first conversation.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan.
When to use it
push every new homeowner into your email tool or your call list before the rep has even left the driveway.
Watch out
it only sees contacts created after the Zap goes live, so older ones need a separate import.
2

Contact Changed

Instant trigger

In Zapier“Triggers when contact details have changed. This action registers a webhook listener for the contact_changed event.”

Reacts when the details of an existing contact are edited in AccuLynx. Use it to keep a second copy of your customer list in step with the CRM instead of fixing it by hand.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan.
When to use it
sync a corrected phone number or address to the tool your schedulers dial from.
Watch out
if your Zap writes back to the same contact, it can set itself off again and loop through your tasks.
3

Contact Custom Field Value Changed

Instant trigger

In Zapier“Triggers when a contact custom field value has changed. This action registers a webhook listener for the contact_custom_field_value_changed event.”

Narrower than the previous one: it wakes up only when a value in one of the contact's custom fields changes. That makes it the right choice when your team tracks its own flags on a contact.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan.
When to use it
tell marketing when a custom field marks a homeowner as interested in a gutter quote.
Watch out
pairing it with Update Contact Custom Field on the same contact is the classic loop.
4

List of Jobs by Milestone

Polling trigger

In Zapier“Triggers when you get a list of current jobs by Milestone.”

The only trigger here that Zapier has to go and fetch. You choose a milestone, and the Zap starts for jobs that Zapier finds sitting at that milestone and has not seen before.

How it fires
Zapier goes and looks at regular intervals, and how often depends on your plan: every 15 minutes on the free one.
When to use it
build a running list of jobs at one milestone when a slight delay does not matter.
Watch out
the Standard Milestones field is required, and when speed counts, Job Milestone Current Changed is instant.
5

Job Category Changed

Instant trigger

In Zapier“Triggers when a job Category from a job is changed. This action registers a webhook listener for the job_category_changed event.”

Fires when someone moves a job into a different category in AccuLynx. If your categories separate, say, residential from commercial work, this is how another tool learns about the switch.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan.
When to use it
route a job to the right estimator's channel once its category is corrected.
Watch out
pair it with Find Job Category if a later step needs the category looked up by name.
6

Job Company Representative Assigned

Instant trigger

In Zapier“Triggers when the representative for a job company is assigned. This action registers a webhook listener for the job_company_representative_assigned event.”

Goes live the first time a company representative gets put on a job. It is the moment ownership of the job becomes clear, which makes it a good hand-off point.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan.
When to use it
send the assigned rep a heads-up with the job details so they can call the homeowner the same day.
Watch out
a later reassignment is a different event, handled by the next trigger.
7

Job Company Representative Changed

Instant trigger

In Zapier“Triggers when the representative for a job company is modified. This action registers a webhook listener for the job_company_representative_changed event.”

Covers the case the previous trigger leaves out: the representative on a job is swapped for someone else. Handy when territories shift or a rep leaves.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan.
When to use it
update the owner in your commission spreadsheet so the right person gets credit for the job.
Watch out
run both representative triggers if you want every assignment, first or not, in one place.
8

Job Primary Contact Changed

Instant trigger

In Zapier“Triggers when a Job changed its primary Contact. This action registers a webhook listener for the job_contacts_primary_changed event.”

Watches the link between a job and its main contact, and starts when that main contact becomes a different person. Think of a sale where the spouse takes over the paperwork.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan.
When to use it
make sure invoices and signature requests in your other tools go to the new primary contact.
Watch out
it reports the change on the job, not edits to the contact itself, which is Contact Changed.
9

Job Created

Instant trigger

In Zapier“Triggers when a new job is created. This action registers a webhook listener for the job_created event.”

The broadest job trigger: every new job opened in AccuLynx starts the Zap, whichever milestone or category it begins in. If you only watch one job event, this is the widest net.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan.
When to use it
create a project folder or a board card for each new roof the moment the job exists.
Watch out
a bulk import of jobs can arrive as one huge batch, and Zapier may hold it back.
10

Job Custom Field Value Changed

Instant trigger

In Zapier“Triggers when job custom field value has changed. This action registers a webhook listener for the job_custom_field_value_changed event.”

Starts when a value in one of a job's custom fields changes. If your office keeps material colors, permit status or similar notes in custom fields, this turns each edit into an event.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan.
When to use it
alert purchasing once the shingle color field is finally filled in.
Watch out
a Zap that ends with Update Job Custom Field on the same job can trigger itself again.
11

Job Initial Appointment Created

Instant trigger

In Zapier“Triggers when a initial appointment is created for a job. This action registers a webhook listener for the job_initial_appointment_created event.”

Goes off the first time an initial appointment is booked on a job. For a roofer that is usually the inspection, the step that turns a lead into a real visit.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan.
When to use it
drop the visit into the inspector's calendar and send the homeowner a confirmation.
Watch out
moving that appointment later is not a creation, so pair it with the update trigger below.
12

Job Initial Appointment Updated

Instant trigger

In Zapier“Triggers when an initial appointment is updated for a job. This action registers a webhook listener for the job.appointments.initial_updated event.”

Picks up any edit to a job's initial appointment once it exists, typically a new date or time. It keeps every downstream copy of the schedule honest.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan.
When to use it
notify the crew lead by chat when the homeowner pushes the inspection back.
Watch out
if another Zap uses Set Initial Appointment on the same job, you can end up in a loop.
13

Job Milestone Current Changed

Instant trigger

In Zapier“Triggers when the current milestone of a job is changed. This action registers a webhook listener for the job_milestone_current_changed event.”

Fires when a job moves from one milestone to another, the big stages of the job's life in AccuLynx. It is the instant way to follow a pipeline.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan.
When to use it
send a review request to the homeowner as soon as a job reaches its final milestone.
Watch out
status moves inside the same milestone do not count; that is the next trigger's job.
14

Job Milestone Status Current Changed

Instant trigger

In Zapier“Triggers when the current status within a milestone of a job changes to another status in the same milestone.”

Reports the smaller moves: a job changing status while staying inside the same milestone. It gives you a finer view than the milestone trigger alone.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan.
When to use it
ping production when a job's status changes inside its current milestone, before it moves on.
Watch out
run it together with Job Milestone Current Changed if you need every move, big or small.
15

Job Trade Type Changed

Instant trigger

In Zapier“Triggers when a trade type from a job is changed. This action registers a webhook listener for the job_trade_type_changed event.”

Notices when the trade type on a job is changed, for example when a roofing job turns out to need siding too. Another tool can then adjust the crew or the order.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan.
When to use it
loop in the subcontractor for the added trade without waiting for someone to pass the news along.
Watch out
Find Trade-Types helps if a later step needs the trade type matched by name.
16

Job Work Type Changed

Instant trigger

In Zapier“Triggers when a work type from a job is changed. This action registers a webhook listener for the job_work_type_changed event.”

Kicks in once a job's work type changes, such as a repair being reclassified as a full replacement. That shift often changes who quotes it and how.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan.
When to use it
move the job to the right estimating queue the moment its work type is updated.
Watch out
work type and trade type are separate triggers, so watch the one your office actually edits.
Actions

AccuLynx actions on Zapier

AccuLynx gives you 6 actions. For each one: what it does for you, when to reach for it, and what to watch out for.

1

Create Contact

Action

In Zapier“Creates a new contact with the provided data.”

Adds a person to AccuLynx from data another app hands over, with phones and emails attached and the option to mark one of each as primary.

When to use it
turn each booking from your website scheduler into a contact without retyping it.
Watch out
contact type, first name and last name are all required, so a form that only asks for a full name needs splitting first.
2

Update Contact Custom Field

Action

In Zapier“Updates the values of a custom field within a specific contact record”

Writes new values into one custom field on one contact. It is the only way here to change something on a contact after creation.

When to use it
record which campaign a homeowner answered, straight on their record.
Watch out
Contact ID, Custom Field ID, Field Type and Field Values are required, and the type must match how the field is set up in AccuLynx.
3

Set Initial Appointment

Action

In Zapier“Set an initial appointment to an existing job with the provided data.”

Books the initial appointment on a job that already exists, with a start and an end.

When to use it
when the homeowner picks a slot in your booking page, put it on the job so the inspector sees it in AccuLynx.
Watch out
both dates are required in UTC; a local time pasted as is will put the visit at the wrong hour.
4

Create Job

Action

In Zapier“Creates a new job with the provided data.”

Creates a job in AccuLynx and ties it to a contact you already have. It is how a Zap turns a known person into work on the board.

When to use it
open the job automatically once a contact is added, as in the Zap above.
Watch out
the Contact field is required and must point to an existing contact, so create or find that person in an earlier step.
5

Update Job Custom Field

Action

In Zapier“Updates the values of a custom field within a specific job record”

The job-side twin: it sets the values of one custom field on one job, one or several values depending on the field.

When to use it
stamp a permit number or a supplier reference on the job as soon as another tool produces it.
Watch out
you need the Job ID and the Custom Field ID, the latter from your custom field settings, plus a Field Type matching the field.
6

Create Lead

Action

In Zapier“Creates a new lead.”

Opens a new lead in AccuLynx, the earliest stage before a homeowner becomes a job.

When to use it
feed paid-ad sign-ups straight into the sales queue so reps call them while they are still warm.
Watch out
the first name of the primary contact is required; empty form submissions will fail and not count as a task.
Searches

AccuLynx searches on Zapier

8 search steps look for data that already exists in AccuLynx, so a later step can use it.

Searches sit at the bottom of the Action event list, under SEARCH. They fetch something that already exists so a later step can use it. Adding one makes the Zap multi-step. AccuLynx offers no find-or-create option on any of them.

1

Search Contact

Search

In Zapier“Find a specific contact by search term.”

Looks up a contact in AccuLynx from a search term, so a later step can work on the right person.

When to use it
before Create Job, find the homeowner who called so the job lands on their record.
Watch out
how loosely the term is matched is decided by AccuLynx, so test with a few real names.
2

Get Contact Custom Fields

Search

In Zapier“Returns a list of custom fields associated with the specified contact. Fields containing multiple values are returned as comma-separated strings.”

Pulls back the custom fields stored on one contact, given its Contact Id.

When to use it
read a contact's flags before deciding which email sequence they should get.
Watch out
fields with several values come back as one comma-separated string, so split them if a later step needs them apart.
3

Find Job

Search

In Zapier“Retrieve the full details of a job at any milestone using the jobId”

Hands a later step everything AccuLynx holds on one job, even if the trigger only passed its reference, whatever stage the job has reached.

When to use it
when a trigger only hands you the job reference, fetch the rest before writing a summary elsewhere.
Watch out
it needs the job ID, not a name or an address.
4

Find Job Category

Search

In Zapier“Finds a job Category based on name.”

Resolves a job category from its name, so you can use the category AccuLynx knows instead of typing it.

When to use it
translate a category picked in a form into the one your AccuLynx account uses.
Watch out
a spelling that differs from the category's name in AccuLynx may return nothing.
5

Get Job Custom Fields

Search

In Zapier“Returns a list of custom fields associated with the specified job. Fields containing multiple values are returned as comma-separated strings”

Reads every custom field attached to one job, given its Job Id.

When to use it
collect the job's custom details before building a work order in another tool.
Watch out
as on contacts, multi-value fields arrive joined by commas in a single string.
6

Find Lead Source

Search

In Zapier“Finds a lead source based on name.”

Finds a lead source in AccuLynx by its name, the label that says where a lead came from.

When to use it
pair it with Create Lead so every lead from a given ad campaign carries the right source.
Watch out
the name has to match a source that already exists in your account.
7

Find Trade-Types

Search

In Zapier“Finds a list of trade-types based on name.”

Returns the trade types whose name matches what you pass in, roofing, siding, gutters or whatever your account lists.

When to use it
match the trade a homeowner ticked on a web form to the one AccuLynx expects.
Watch out
several trade types can match one term; check the multiple-results setting.
8

Find Work-Types

Search

In Zapier“Finds a work-types based on name.”

Matches a work type by its name, the label that says whether a job is a repair, a replacement or another kind of work.

When to use it
turn the free text of an intake form into a work type your estimators already sort by.
Watch out
an unmatched name stops the Zap unless you allow empty results.

The three settings every search exposes

  1. Successful if no search results are found?
Left on its default, an empty search stops the Zap and skips the steps that needed it. Switch it on and the Zap carries on with nothing.
  2. Create X if it doesn't exist yet?
This box turns a search into a find-or-create elsewhere on Zapier. No AccuLynx search offers it, so a missing contact has to be created by its own action.
  3. If multiple search results are found?
Three choices when several items match: keep the first one, which is the default, stop the Zap, or pass all of them on at once.
When it breaks

When an AccuLynx Zap breaks

Zapier has no help article tied to AccuLynx, so the risks below are the general ones, the ones that hit a busy CRM hardest.

AccuLynx fires a lot of instant events, and that cuts both ways: speed, but also loops and floods if you are not careful. If a Zap starts misbehaving, the Zapier troubleshooting guide walks through the usual fixes.

  • Old jobs are never picked up

A Zap only reacts to what happens after you switch it on. The jobs and contacts already in AccuLynx stay where they are; moving them is a separate import.
  • A custom field loop eats your tasks

A Zap that updates the custom field its own trigger watches starts itself again, over and over, and burns through your monthly tasks fast.
  • A bulk import gets held back

After a mass import or a migration, a trigger can return a huge batch at once. Zapier's flood protection may hold it back instead of running every item.
  • No duplicates from the polling trigger

On List of Jobs by Milestone, Zapier remembers the jobs it has already seen, so a job sitting at the same milestone does not start the Zap twice.

FAQ

AccuLynx and Zapier: frequent questions

01Is the AccuLynx Zapier integration free?
Yes, you can use it on the free Zapier plan, because AccuLynx is not a premium app. The free plan gives you 100 tasks a month and unlimited Zaps, but each Zap is capped at two steps: one trigger and one action. As soon as you add a second action, a filter or a search step, the Zap becomes multi-step and needs a paid plan. That limit matters here, since many useful AccuLynx Zaps chain a search before an action.
02How many tasks does an AccuLynx Zap use?
One task per action that completes successfully, and nothing else. The trigger is free, and so are the checks Zapier makes for new data, however often they happen. A Zap that creates a job and then sets its initial appointment uses two tasks each time a contact is added. An action that fails is not counted. With 100 tasks a month on the free plan, a busy sales team adding contacts all day can reach the limit, so count your volume before you pick a plan.
03Do AccuLynx triggers run in real time?
Fifteen of the sixteen do. They are instant triggers: AccuLynx tells Zapier the moment the event happens, on every plan, including the free one. The exception is List of Jobs by Milestone, a polling trigger that Zapier checks on a timer: every 15 minutes on Free, every 2 minutes on Professional and every minute on Team and Enterprise. If you need to react to a milestone fast, use Job Milestone Current Changed instead, which is instant.
04What does it take to connect AccuLynx to Zapier?
An AccuLynx account, and read or write access to any records you do not own but want the Zap to touch. The connection itself takes three moves: open the Apps page in Zapier and click + Add connection, search for AccuLynx and click Add connection, then sign in to AccuLynx in the tab that opens and allow access. Once linked, that connection is reused by every AccuLynx step in every Zap.
05Why does Update Job Custom Field fail?
Most of the time the Field Type does not match how the field is set up in AccuLynx, or one of the required IDs is missing. The action needs the Job ID, the Custom Field ID, the Field Type and the Field Values. The Custom Field ID comes from your AccuLynx custom field settings. For a multi-select field, several values can be passed; for a single-value field, pass only one. The same rules apply to Update Contact Custom Field.
06What if the AccuLynx action you need is not on Zapier?
Then Zapier cannot do it with this integration. The list has six actions: creating contacts, leads and jobs, setting the initial appointment, and updating custom fields on contacts and jobs. There is no delete action, no way to edit a contact's name or phone after creation and no action that moves a milestone. If one of those is the core of your process, look at other tools before building around a gap.
07Zapier, Make or n8n for AccuLynx?
It depends on what you weigh most. Zapier gives you a ready-made AccuLynx integration with 30 visible operations and instant triggers that work from the free plan, which suits a team that wants to start without technical help. Make and n8n can be worth a look if task-based pricing worries you at high volume, or if you need operations the Zapier list does not cover. Compare on volume, missing operations and who will maintain the workflows.
