What the Dubb Zapier integration does for your video outreach
Dubb lets you record and share screen or camera videos whose viewing you can track. Connecting it to Zapier puts a robot in charge of moving what happens around those videos: who filled in a form, which contact just appeared, which video is ready, which tracking event just came in.
Start with the signal, because that is where outreach wins or loses. Get Track fires on each new tracking event of the types you pick, so a follow-up can start from what your videos actually record. Next, clean records: Create or Update Contact adds the person or updates them if the email or mobile already exists. Last, content: Create a New Video builds a Dubb video from a video file URL, with no manual upload.
What Zapier does not do here: react on the spot. All four Dubb triggers poll, which means Zapier checks on a timer, every 15 minutes on the free plan. On the writing side, the menu is short: two actions, focused on contacts and videos. To find a person, there is a single search, and it can also create them if they are missing. Keep those limits in mind before you promise a workflow to your sales team, because no option widens them.
Comparing platforms? The same app also has a Make page: Dubb Make integration.
Zapier terms, minus the jargon
Eight words and the rest of the page is easy going.
- Zap
- The automation you build in Zapier: one trigger, then one or more actions that run every time the trigger event happens.
- Trigger
- The event that starts the Zap, such as a new tracking event in Dubb. Once the Zap is on, Zapier waits for it.
- Action
- What the Zap does once it starts: the step that writes, sends or moves something for you, like updating a contact.
- Task
- The unit Zapier bills: one action your Zap completes successfully. Your plan allowance is a count of those.
- Polling trigger
- A trigger Zapier checks on a timer, keeping only what it has not seen before. All four Dubb triggers work this way.
- Instant trigger
- A trigger the app reports to Zapier itself, the moment the event happens. Dubb does not offer one.
- Filter
- A step that lets the Zap continue only when the incoming data meets your condition. If not, the run stops there.
- Search step
- A step that looks up something that already exists in an app, so the steps that follow can use what it found.
What it really costs
The trigger is free. Every successful action counts.
- Free plan100 tasks a month, two steps per Zap
- Dubb triggersPolling, free of charge
- Failed actionNot counted
- DubbAvailable on the free plan
Zapier never bills the trigger, nor the checks it runs on Dubb to see whether anything is new. Each successful action is one task, and a failed one is not counted. The free plan includes 100 tasks a month and polls Dubb every 15 minutes, but caps each Zap at two steps. A Find Contact search, a filter or a second action makes it a multi-step Zap, and that needs a paid plan before you can publish it.
Connect your Dubb account
- 01
Open Apps
In your Zapier account, go to Apps and click + Add connection. That page is where you manage every connection, one for each account you link to Zapier.
- 02
Pick Dubb
Search for Dubb by name in the dialog, select it and click Add connection. You need an existing Dubb account, because Zapier only links one that is already there.
- 03
Sign in and allow access
Log in to Dubb in the tab that opens and grant Zapier access. For anything you do not own yourself, you need read or write rights before the Zap can touch it.
Your first Zap: keep contacts current from form responses
GoalEach response to the Dubb form you choose goes through a filter, then creates or updates the matching person in your Dubb contacts.
- 01
Set the trigger
In Build, pick Dubb, Form Submission, then the form. When you test, Zapier brings back the three most recent responses, so you set the rest up on a real one.
- 02
Add the filter
Click the plus icon and add Filter. Pick the field, the rule and the value, then Configure & test. Mind the rule type: a text rule only works on text.
- 03
Add the action
Plug in Create or Update Contact and map the response's answers into the contact fields, the email or mobile first if your form asks for one. If the email or mobile already exists, Dubb updates that record instead of adding a second one.
- 04
Test every step
In Test, run each step once and read what came back. If this is your first Zap, see our Zapier training. Check that each field holds what you expected.
- 05
Publish
Click Publish to switch it on. The filter makes this a three-step Zap, which needs a paid plan. Without the filter, it fits the free plan.
The 4 Dubb triggers
4 events start a Zap when something happens in Dubb. Zapier checks for them at the interval your plan allows.
New Contact
Polling triggerIn Zapier“Lists the contacts.”
Catches each contact that shows up in your Dubb account and starts the Zap with that person. It is the obvious starting point for copying contacts out to another tool without exporting anything.
Form Submission
Polling triggerIn Zapier“Triggers on a new form submission.”
Fires on each new response to a Dubb form. You choose the form to watch in a required field, and every response that comes in becomes one run of the Zap.
Get Track
Polling triggerIn Zapier“Triggers on a new track.”
Starts the Zap on each new tracking event Dubb records. You list the event types you care about in a required field, and only those set the Zap off.
New Video
Polling triggerIn Zapier“Triggers when a video is available.”
Kicks off the Zap once a video becomes available in your Dubb account. Availability is the signal here, and that is what gets things moving.
The 2 Dubb actions
Dubb gives you 2 actions. For each one: what it does for you, when to reach for it, and what to watch out for.
Operations index
Create or Update Contact
ActionIn Zapier“Creates a new contact or update if email/mobile already exists.”
Adds a contact to Dubb, or updates the existing record when the email or mobile is already known. No duplicates to clean up later.
Create a New Video
ActionIn Zapier“Creates a new video given a video file URL.”
Builds a video in Dubb from a video file URL. You supply the address of the file and the video appears in your account.
The Dubb search
1 search step looks for data that already exists in Dubb, so a later step can use it.
A search step looks up data Dubb already holds. In the editor, searches sit at the bottom of the Action event list, under SEARCH. Some action fields also offer + Add search step, which inserts the search right before and wires its result into the field. Three settings decide what happens next.
Find Contact
SearchFind or createIn Zapier“Finds a contact give.”
Looks up a contact already in Dubb and hands the record to the steps that follow. The editor also shows a Find or Create Contact line: it is this same search, with the create box ticked.
The three settings every search exposes
- Successful if no search results are found?Left on its default, a search that finds nothing stops the Zap and the steps relying on it are skipped. Switched on, the Zap carries on empty-handed.
- Create X if it doesn't exist yet?Ticking this box turns Find Contact into Find or Create Contact: the setting above goes away and the editor asks for the fields needed to create the contact.
- If multiple search results are found?Three ways out when several contacts match: keep the first one (the default), stop the Zap, or pass all of them along at once.
When it breaks
Zapier documents no limit specific to Dubb. The general rules are enough to cause surprises.
Four general Zapier rules apply to Dubb as to any app. To work through them one at a time, see the Zapier troubleshooting page.
History never comes through
A Zap only sees what happens after you publish it. Contacts, videos and responses already in Dubb are not picked up, and backfilling is a separate job.The contact or video loop
New Contact into Create or Update Contact, or New Video into Create a New Video: the Zap writes where it watches and keeps setting itself off.A bulk import gets held
After a contact import into Dubb, the trigger may return a huge batch at once. Zapier's flood protection can hold it back. Each item runs once
On a polling trigger, Zapier keeps track of what it has already seen. The same contact never starts the Zap a second time.
