What the AgentLocator Zapier integration really does for you
AgentLocator is a CRM that puts real estate agents in touch with people who want to buy or sell. Zapier plugs it into the rest of your tools. You build a Zap (one starting event, then one or more steps that run each time it happens) and AgentLocator either starts it or receives a lead from it.
Picture a brokerage team lead with several agents. Three results come up again and again. First, a shared lead log that fills itself: New Lead starts the Zap and a row lands in the team spreadsheet, with no copy and paste. Second, a ping to whoever is on duty: when a prospect hits a contact button, New Incoming Email fires and a chat message goes out, so nobody waits for the morning inbox check. Third, a mailing list that stays clean: Update Lead Email Validity tells you when an address turns bad, and you can drop it from your newsletter tool before the next send.
Now the limits. There is no search step for AgentLocator, so a Zap cannot look up a lead that already exists and reuse its details. There is a single action, Create or Update Lead, which means Zapier can add a lead or refresh the one that already has that email, and nothing more. Deleting a lead, for one, stays a job you do inside AgentLocator, and the triggers only tell you what changed there.

The Zapier words you will meet on this page
Seven terms cover everything below. Each one in plain words.
- Zap
- Your automation on Zapier: one trigger, then one or more actions that run each time the trigger event happens.
- Trigger
- The event in an app that starts the Zap. Once the Zap is switched on, Zapier waits for that event and nothing else.
- Action
- What the Zap does after it starts: the step that writes, sends or moves something for you in another app.
- Task
- The unit Zapier bills. One task is one action your Zap finished successfully, and your plan counts those.
- Instant vs polling trigger
- An instant trigger is reported by the app the second it happens. A polling one is checked by Zapier on a timer. All AgentLocator triggers are instant.
- Filter
- A step that lets the Zap carry on only when what arrived matches a condition you set, and stops it otherwise.
- Multi-step Zap
- Any Zap with more than one trigger and one action. A second action or a filter makes it one, and it then needs a paid plan.
What an AgentLocator Zap costs you
The trigger is free. Every action that succeeds is one task, and that is the only thing billed.
- TriggerFree, never counted
- Each successful action1 task
- Free plan100 tasks a month, two-step Zaps only
- Premium appNo, works on the free plan
A failed action is not counted. A Zap with three actions uses three tasks per run, so the shape of the Zap matters more than the trigger. AgentLocator is not a premium app: it works on the free plan, which gives 100 tasks a month and unlimited Zaps, but only two steps per Zap. Add a filter or a second action and you need a paid plan.
Polling speed by plan does not matter here: every AgentLocator trigger is instant, so the grid below only matters for the other apps in your Zaps.
Connect AgentLocator to Zapier in three steps
- 01
Open your Zapier apps
In your Zapier account, go to the Apps page and click + Add connection. A connection is your AgentLocator account linked once, then reused by every Zap that touches it.
- 02
Pick AgentLocator
Type AgentLocator in the search box of the dialog, select it, then click Add connection. A new browser tab opens on the AgentLocator side for the sign-in.
- 03
Sign in and allow access
Log in to AgentLocator in that tab and grant Zapier access to the account. You need your own AgentLocator account, plus read or write rights on any lead you do not own but want the Zap to touch.
Your first Zap: new lead to team sheet and project board
GoalEvery new AgentLocator lead lands as a row in the team sheet and as a follow-up task for the agent in charge.
- 01
Build: pick the trigger
Create a Zap, choose AgentLocator as the app and New Lead as the event, then select the connection you added earlier in this guide.
- 02
Test the trigger
Run the test. Zapier brings back the three most recent leads of your account, so you map fields on a real record rather than a blank one.
- 03
Add the two actions
Add the spreadsheet step, then the task step, and map the lead details into each. Two actions make this a multi-step Zap, so it needs a paid plan and uses two tasks per lead.
- 04
Test each step, then publish
Test the actions one by one and read what came back. Then click Publish to switch the Zap on. Want a guided walk through this? The Zapier training covers it.
The 10 AgentLocator triggers
10 events start a Zap when something happens in AgentLocator, and 10 of them are instant: the app calls Zapier straight away, whatever your plan.
New Incoming Email
Instant triggerIn Zapier“Triggers when a lead sends an inquiry email, such as 'Ask a question', 'Get in touch' or 'Request a tour'.”
Starts the Zap when a prospect writes to you through one of the inquiry buttons, such as a question, a contact request or a tour request. This is the closest thing to a hot lead the app sends out.
New Lead
Instant triggerIn Zapier“Triggers when a new lead is created.”
Fires each time a lead record appears in your AgentLocator account, whatever brought it in. It is the broadest entry point the app offers.
Update Lead Email Validity
Instant triggerIn Zapier“Triggers when lead's email address validity is changed.”
Reacts when AgentLocator changes its verdict on whether a lead's email address is valid. The address itself may stay the same: only its status moved.
Update Lead Email
Instant triggerIn Zapier“Triggers when lead's email address is changed.”
Kicks in when someone edits the email address stored on a lead. Useful when a buyer switches from a personal to a work inbox halfway through a search.
Update Lead Name
Instant triggerIn Zapier“Triggers when lead's name is changed.”
Goes off when the name on a lead record is corrected or completed. Handy when an agent adds a surname or fixes a typo after a first call.
Update Lead Phone Validity
Instant triggerIn Zapier“Triggers when lead's phone number validity is changed.”
Signals that AgentLocator now rates a lead's phone number differently, valid or not. It tells you about the status, not about a new number.
Update Lead Phone
Instant triggerIn Zapier“Triggers when lead's phone number is changed.”
Runs when the phone number saved on a lead is replaced or edited. For agents who live on the phone, it is the change that matters most.
Update Lead Pipeline
Instant triggerIn Zapier“Triggers when lead's pipeline is changed.”
Triggers when a lead is moved into a different pipeline in AgentLocator. That move is usually a business decision, which makes it a good moment to tell someone.
Update Lead Tags
Instant triggerIn Zapier“Triggers when new tags are added to the lead.”
Fires when new tags land on a lead. Tags are often how agents mark intent, budget band or neighborhood, so this trigger carries sorting work done by humans.
Update Lead
Instant triggerIn Zapier“Triggers when a lead's first name, last name, email, phone or description are updated.”
The catch-all edit trigger: it goes off when the first name, last name, email, phone or description of a lead changes. One Zap here replaces several narrower ones.
The AgentLocator action
AgentLocator gives you 1 action. For each one: what it does for you, when to reach for it, and what to watch out for.
Operations index
Create or Update Lead
ActionIn Zapier“Creates a new lead. If a lead with a matching email already exists, it will be updated with the new information.”
Adds a lead to AgentLocator from another app, or refreshes the existing one when the email address already belongs to a lead. You get one record per person instead of duplicates.
When an AgentLocator Zap breaks
Zapier lists no help article and no rate limit specific to AgentLocator. What breaks is the general stuff, and it bites CRM Zaps harder than most.
Four cases cover nearly every surprise. If a Zap still misbehaves after these, the Zapier troubleshooting page goes step by step.
Old leads never show up
A Zap reacts only to what happens after you switch it on. Leads and inquiries already in AgentLocator are ignored, and moving that backlog is a separate job.The Zap keeps firing itself
An update trigger plus Create or Update Lead on the same account loops: the action edits the lead, the edit fires the trigger, and your task count drains fast.A bulk import gets held back
Importing a big list of leads can send a huge batch at once. Zapier's flood protection may hold it back instead of running every lead through. No email, no lead
Create or Update Lead needs an email. When the incoming record has none, the action fails. The good news: a failed action is not billed as a task.
