What the Air Zapier integration actually does for you

The Air Zapier integration links your Air workspace to Zapier, an automation service. You pick an event in Air (a new asset, a new board, a tag, a custom field changing value) and Zapier runs the steps you chose right after, so asset admin stops eating your afternoon.

Three results people actually get out of it. First, an inbox that sorts itself: New Asset fires, Add Assets to a Board drops the file where the team expects it. Second, a review loop that hands off by itself: when Asset Custom Field Updated sees a status move to the value you set, the asset leaves one board and joins the next. Third, files that arrive from elsewhere: Import a File From a URL pulls a public file into Air, and Status of an Import tells you how that import went.

What Zapier does not do for Air matters just as much. None of the five triggers is instant: Zapier checks Air on a timer, so a campaign team waiting on a fresh upload waits for the next check. Several operations want raw IDs (board, asset, version, custom field), which means a search step often has to come first. And a Zap never goes back in time: assets uploaded before you switched it on stay where they are.

Each action that succeeds is one task; one that fails is not counted. Checking Air for new items costs nothing, however often Zapier looks. The free plan gives 100 tasks a month and Zaps of two steps only, one trigger plus one action. Add a second action, a filter or a search step and you have a multi-step Zap, which needs a paid plan. With Air that happens fast, because so many actions want an ID that a search has to find first.

    Open the Apps page

    In your Zapier account, go to Apps and click + Add connection. You need an Air account first, plus read or write access to any board you do not own and want the Zap to touch.

    Find Air and start the link

    In the dialog, type Air, pick it from the results, then click Add connection. A new browser tab then opens on Air's side, where the actual sign-in happens.

    Sign in and grant access

    Log in to Air in that tab and allow Zapier to reach the account. From then on, every Air step of every Zap reuses this connection, so you do it once, not once per Zap.

First Zap

Your first Air Zap: approved assets go to the delivery board

    Build: pick the trigger

    Start a new Zap, choose Air, then Tag Added to Asset. Pick your Air connection and type the tag name your team uses for sign-off.

    Run the test. Zapier brings back the three most recent tagged assets of the account, so you map the next steps on a real one instead of guessing.

    Add the board step

    Add Add Assets to a Board, choose the client delivery board in Board ID, and map the asset coming from the trigger into the Asset IDs field.

    Set the status field

    Add Apply a Custom Field to an Asset with the same asset and your status field. Two actions make this a multi-step Zap, so it needs a paid plan.

Watches the custom fields set on your boards and starts the Zap once one of them takes the exact value you pointed it at. Good for projects tracked at board level, where the board status says more than any single file.

How it fires
Zapier goes and looks at regular intervals, and how often depends on your plan: every 15 minutes on the free one.
When to use it
a campaign board flips to "Ready for launch" and the account manager should be told, or a guest should be added for the client.
Watch out
the Custom Field UID must carry both IDs, field then value, joined by a colon. A plain field name will not work.

Same idea one level down: it follows a custom field on individual assets and kicks off the Zap when that field reaches the value you chose. Pick it when the status you care about is set on the file, not on the board.

When to use it
a product shot moves to "Approved" and should leave the review board for the e-commerce board.
Watch out
the Include Nested Assets option only takes effect together with a parent board.

Reacts to each board created in the workspace. Since a new board usually means a new project or a new client, this trigger is where setup routines begin: fields, guests, structure.

How it fires

When to use it
a producer opens a board for a new brand, and the standard custom fields should be applied to it without anyone remembering to.
Watch out

When to use it

When to use it

When to use it

The three settings every search exposes

  1. Successful if no search results are found?
    Left on default, a search that finds nothing stops the Zap and skips the steps that relied on it. Switched on, the Zap carries on with nothing found.
  2. Create X if it doesn't exist yet?
    Tick it and the search becomes find-or-create: it drops the setting above and asks for what it needs to create the missing item.
  3. If multiple search results are found?
    Keep the first match (the default), stop the Zap, or hand all matches on at once.
When it breaks

When an Air Zap breaks

Zapier ties no help article to Air, so the risks below are Zapier's general ones, applied to an asset library.

The cases below are the ones to keep in mind when building on Air. If something looks stuck, our Zapier troubleshooting page is the next stop.

  • No backlog

    A Zap only reacts to what happens after you publish it. Assets, boards and tags that already existed are never picked up; moving them is a separate job.
  • The Zap that feeds itself

    A Zap on New Asset that uploads or imports into the same workspace starts itself again and again, and burns through your tasks fast.
  • Bulk uploads held back

    After a big import or a migration, a trigger can return a huge batch at once, and Zapier's flood protection may hold it back.
  • No double starts

    Zapier remembers what it already saw on a polling trigger, so the same asset does not start the Zap twice, even across several checks.

Air Zapier integration: frequent questions

01Is the Air Zapier integration free?
Yes, Air is not a premium app, so it works on the free Zapier plan. That plan gives 100 tasks a month and Zaps of two steps: one trigger and one action. As soon as you add a second action, a filter or a search step, the Zap becomes multi-step and needs a paid plan. With Air this comes up quickly, because many actions ask for IDs that a search step usually has to find first.
02How many tasks does an Air Zap use?
One task per action that succeeds, and nothing else. The trigger itself is free, and so is every check Zapier makes on Air, however often it looks. An action that fails is not counted. So a Zap that files an asset on a board and then sets a custom field uses two tasks for each asset that goes through. Actions that only read, like Get Asset Parent Boards, still count when they complete.
03Does Air trigger Zaps in real time?
No. All five Air triggers are polling triggers: Zapier checks Air at regular intervals and picks up what is new. The interval depends on the plan, every 15 minutes on Free, 2 on Professional, 1 on Team and Enterprise. Paid plans can also adjust that timing and run a check by hand from the editor. The type comes from Air's own API, so it cannot be switched to instant from Zapier.
04What does it take to connect Air to Zapier?
An Air account, and read or write access to any board you do not own but want the Zap to touch. The connection itself happens from the Apps page of Zapier: add a connection, pick Air, sign in to Air in the tab that opens and grant access. It is done once, then every Air step in every Zap reuses it. Nothing else is needed on the Zapier side. If a board belongs to someone else, ask for access first.
05Why would a custom field trigger never fire?
Usually because of the Custom Field UID. Both Board Custom Field Updated and Asset Custom Field Updated expect two IDs joined by a colon: the custom field ID first, then the ID of the value to listen for. A field name, or a field ID alone, will not match anything. The field and the value must also exist in your workspace before the trigger is set. Check both IDs in Air before blaming Zapier. The connection tip above shows the exact format.
06What if the Air operation you need is not on the list?
Then Zapier cannot do it with Air as things stand: the 5 triggers, 19 actions and 8 searches on this page are the full visible set. Often the goal can be reached by chaining steps, for example a search to find an ID, then an action that uses it. That makes the Zap multi-step, so it needs a paid plan. If no combination fits, the gap is on the integration side, not in your setup.

Decide by criteria, not by brand.
