What the Airwallex Zapier integration actually does for you

The Airwallex Zapier integration lets Airwallex talk to your other tools without anyone copying data by hand. An event in Airwallex, like a failed card payment, a new subscription or a low balance, starts an automation, and that automation creates or updates something in Airwallex or elsewhere. Airwallex is not a premium app on Zapier, so it works on the free plan.

Three results come up again and again. A finance team that hears about problems first: Card Transaction Failed (Instant), Failed Payment (Instant) and Low Account Balance Alert turn silent failures into alerts that reach the right person. Invoices that build themselves: Create Invoice, Add Invoice Line Items and Finalize Invoice take a project marked done in another tool and turn it into a payable invoice. Subscriptions kept in step: New Subscription (Instant), Cancelled Subscription (Instant) and Update Subscription keep your product, your CRM and your billing telling the same story.

The detail that matters most on a free plan: 13 of the 36 triggers have an (Instant) version, and those start the Zap the moment Airwallex reports the event, whatever your plan. The plain versions wait for Zapier's next check. When both exist, pick the Instant one unless you have a reason not to.

What Zapier does not do here. There is no way to change the amount of an existing price: Update Price only touches the description, the active status and metadata. A finalized invoice cannot be edited or deleted, only voided. And nothing here reaches back in time, so invoices or cards created before your Zap goes live stay where they are.

A failed action is not counted. The catch on the free plan: Zaps of two steps only, one trigger and one action. Add a second action, a filter or a search and the Zap becomes multi-step, which needs a paid plan.

Connect your Airwallex account to Zapier

    Open the Apps page

    In your Zapier account, go to Apps, then click + Add connection. A connection is your Airwallex account linked to Zapier once, then reused by every step that touches Airwallex.

  1. Successful if no search results are found?
    Left on its default, a search that finds nothing stops the Zap there, and the steps that depended on it are skipped. Switched on, the Zap carries on empty-handed.
  2. Create X if it doesn't exist yet?
    Ticking this box turns a search into a find-or-create. No Airwallex search offers this variant, so a missing item has to be created by a separate action.
  3. If multiple search results are found?
    Three ways out when several items match: keep the first one, which is the default, stop the Zap, or hand all of them on at once.
When it breaks

When an Airwallex Zap breaks

Zapier attaches no help article to Airwallex, so what follows are the general limits that hit this app hardest.

Often the surprise is a Zap doing exactly what it was told. If a run fails and the reason is not obvious, our Zapier troubleshooting service exists for that, and the Zapier training covers these patterns in depth.

  • Nothing from before the Zap

    A Zap only reacts to what happens after you publish it. Invoices, cards or subscriptions that already existed are never picked up; moving them is a separate job.
  • The Zap that feeds itself

    A Zap watching New Invoice that also runs Create Invoice sets itself off again and again, and the task count drains fast. Keep watchers and creators apart.
  • A sudden flood held back

    After a bulk import, a trigger can return a huge batch at once. Zapier's flood protection may hold it back rather than run everything.
  • No double starts on polling

    On a polling trigger, Zapier remembers what it has already seen, so the same invoice or payment never starts the Zap twice.

Airwallex Zapier integration: frequent questions

01Is the Airwallex Zapier integration free?
Yes, Airwallex is not a premium app on Zapier, so it runs on the free plan. That plan gives you 100 tasks a month, an unlimited number of Zaps and a check every 15 minutes on polling triggers. The real limit is length: on the free plan a Zap holds one trigger and one action, nothing more. As soon as you add a second action, a filter or a search, the Zap becomes multi-step and needs a paid plan. Prices are not quoted here because they change too often.
02How many tasks does an Airwallex Zap use?
One task per action that completes successfully, nothing for the trigger. A Zap where a failed card payment creates one alert costs one task per failure. A Zap that creates a billing customer and then an invoice costs two tasks per new customer. Checking Airwallex for new data is free however often it happens, and an action that fails is not counted. Watch the triggers that fire often, like New Card Transaction set to ALL cards: each charge is a run, and every action in that run counts.
03Is Airwallex on Zapier real time?
It depends on the trigger. Thirteen of the 36 Airwallex triggers carry the (Instant) label: Airwallex reports the event to Zapier as it happens and the Zap starts right away, on any plan. The other 23 are polling triggers: Zapier checks at an interval set by your plan, 15 minutes on Free, 2 on Professional, 1 on Team and Enterprise. When an event exists in both versions, like Failed Payment, pick the Instant one if speed matters.
04What does it take to connect Airwallex to Zapier?
An Airwallex account, and access to the cards, invoices or customers you want the Zap to handle if they are not yours. In Zapier, open Apps, click + Add connection, search for Airwallex, then confirm with Add connection. Sign in to Airwallex in the tab that opens and grant Zapier access. The connection is then reused by every Airwallex step in all your Zaps, so you only do this once per account.
05Why does Finalize Invoice fail on a draft that looks fine?
Because Airwallex refuses to finalize an invoice that has no due date set. The invoice must carry either a number of days until due or a fixed due date before Finalize Invoice runs. A Zap that goes straight from Create Invoice to Finalize Invoice without setting one will stop at that step. The same family of rules applies elsewhere: lines can only be added, edited or deleted while the invoice is a draft, and a finalized invoice can be voided but not deleted.
06What if the Airwallex operation you need is not on Zapier?
Then the Zapier integration cannot do it, and no setting will change that. The 91 operations listed on this page are everything Zapier currently exposes for Airwallex. For example, there is no action to change a price's amount: Update Price only edits the description, the active status and metadata, so a new amount means creating a new price. When a missing piece blocks a whole process, it is worth comparing with other automation tools before building around the gap.
07Zapier, Make or n8n for Airwallex?
It depends on your criteria rather than on a single winner. Zapier suits a team that wants to start from a ready list of 91 Airwallex operations, with no code and a free plan that already runs simple Zaps. If your flows need many steps per event, or you care most about running costs at high volume, compare how each tool counts its usage.
