What the Bolna Zapier integration actually does for your calls

Bolna runs voice AI agents that place and handle phone calls for you, trained on the data you already keep in a CRM or a CMS. Plugged into Zapier, it works in two directions: a call that ends can push its report to another app, and another app can tell a Bolna agent to call someone. That is the whole surface.

Three outcomes cover most of what teams build with it.

A call log nobody has to type. Call Completion Report hands over the entire report once a call is done, so a sheet, a CRM note or a team channel fills itself after every conversation.

A lead called back while it is still warm. A form submission or a new CRM contact starts the Zap, and Make a Phone Call asks your agent to dial the number right away.

A loop from call to follow-up. Chain the two in separate Zaps: one launches the call, the other picks up the report when it ends and routes it to whoever handles the next step.

Now the limits, because the list is short. Zapier cannot create, train or edit a Bolna agent: you build the agent in Bolna, then point the Zap at its ID. There is no search step either, so a Zap cannot look up a past call or an agent by name. And nothing here lets you hang up, retry or reschedule a call from Zapier.

The Call Completion Report trigger never costs a task, however many calls end. Each successful Make a Phone Call, or each successful action in another app, counts as one. An action that fails is not counted. The free plan gives you 100 tasks a month and Zaps of exactly two steps: one trigger, one action. Add a filter and the Zap becomes multi-step, which needs a paid plan. Polling intervals (15 minutes on Free, 2 on Professional, 1 on Team and Enterprise) do not touch Bolna's trigger: it is instant.

    Open the connections page

    In your Zapier account, go to Apps, then click + Add connection. You need a Bolna account first, plus access to any agent you did not create yourself but want the Zap to use.

    Pick Bolna and confirm

    Search for Bolna in the dialog, select it and confirm with Add connection. Bolna's sign-in then opens in a separate tab, with your Zapier tab waiting behind it.

    A Zap only reacts to what happens after it goes live. Reports from calls that ended before you published are not picked up; moving that history is a separate job.
  • A loop that eats your tasks

    If a call report starts a Zap that launches a new call, and that call's report starts the same Zap again, it keeps going and burns through the task count fast.
  • A big batch held back

    After a bulk calling campaign, a sudden flood of reports can be slowed down by Zapier's flood protection instead of running all at once.
  • The call never starts

    Make a Phone Call needs a valid Agent ID and a number in E.164 format. A missing plus or country code is the first thing to check in the step.

01Is the Bolna Zapier integration free?
Yes, on the Zapier side. Bolna is not a premium app, so it runs on the free plan, which gives 100 tasks a month. The catch is the step limit: the free plan only builds Zaps of one trigger and one action. A Zap that adds a filter, a second action or a search becomes multi-step and needs a paid plan. 02How many tasks does a Bolna Zap use?
One per successful action, and nothing for the trigger. A call report arriving in Zapier costs zero tasks. If the Zap then writes a row in a sheet, that row costs one. If it also posts a message to a team channel, that is a second task. A failed action is not counted against your plan. So a Zap with two actions that runs after every call eats twice what a one-action Zap does.
03Does the Bolna trigger work in real time?
Yes. Call Completion Report is an instant trigger: Bolna itself tells Zapier the moment a call ends, and the Zap starts straight away. The plan interval grid, where Free checks every 15 minutes, applies to polling triggers only, so it does not slow this one down. 04What does it take to connect Bolna to Zapier?
A Bolna account and a Zapier account. You add the connection from the Apps page with + Add connection, sign in to Bolna in the tab that opens, and allow access. If the Zap will use an agent someone else built, make sure your own account can actually reach it. For outbound calls, have the Agent ID ready, since the action cannot run without it, whatever the trigger in front of it.
05Why does Make a Phone Call fail even though the Zap is on?
Usually because of the phone number format. The action requires the recipient number in E.164 format, meaning a plus sign, the country code, then the number with no spaces. Numbers typed into forms rarely look like that. The other required field is the Agent ID: if it is wrong or empty, the call cannot start. Check both in the action step, then run a test before trusting the Zap again.
06What if the Bolna operation you need is not in Zapier?
Then it does not exist on this integration for now. Bolna offers one trigger and one action on Zapier, and no search, so tasks like editing an agent, finding a past call or rescheduling cannot be done from a Zap. The practical route is to handle those in Bolna directly, or to check whether another automation platform exposes what is missing for this app, and compare the options before you build anything.
