What the Capsule CRM Zapier integration does for you
It connects your Capsule CRM account to Zapier, so a change in Capsule can start an automation, and other tools can write into Capsule without anyone copying data across. The 18 operations cover the four objects a sales team lives in: contacts, opportunities, projects and tasks.
Start with the strongest point. All four triggers are instant: Capsule tells Zapier itself when a contact, opportunity, project or task changes, so your Zap runs straight away. The plan's polling interval simply does not apply, which means the free plan reacts as fast as Enterprise.
Three results teams build with it. A pipeline that fills itself: Create Opportunity opens a deal from a web form, in the pipeline you pick, and Find Milestone later hands the right step to Update Opportunity. Context on every record: Add Note to Entity and Add Tag to Entity stamp what happened elsewhere onto the contact or project. No forgotten follow-up: Create Task gives someone a due date the moment a contact moves.
What Zapier does not do here: none of the visible operations deletes anything, and only contacts and opportunities have an update action, so projects and tasks have no dedicated update action. Zapier vocabulary in one minute
Eight terms, each in one line. They are reused without explanation further down.
- Zap
- The automation you build on Zapier: one trigger, then one or more actions that run every time the trigger event happens.
- Trigger
- The event in an app that starts the Zap. Once the Zap is switched on, Zapier waits for that event to happen.
- Action
- What the Zap does once it has started: the step that creates, writes or sends something in an app for you.
- Task
- The unit Zapier bills. One task equals one action your Zap completes successfully, and your plan counts those.
- Instant vs polling
- An instant trigger is reported by the app the moment the event happens. A polling trigger is checked by Zapier on a timer.
- Filter
- A step that lets the Zap continue only when the data that arrived meets your condition, and stops the run otherwise.
- Search step
- A step that looks up a record that already exists in an app, so the following steps can reuse what it found.
- Connection
- Your Capsule CRM account linked to Zapier once, then reused by every Capsule step in every Zap you build.

Capsule notifying Zapier costs nothing. Each action that succeeds counts as one task, and one that fails is not counted. A Zap that adds a note and a tag uses two tasks per run. The free plan includes 100 tasks a month and unlimited Zaps, but each Zap is limited to two steps: one trigger, one action. A search, a filter or a second action makes it multi-step, which needs a paid plan. The polling grid below applies to polling triggers only, and Capsule has none.
Connect your Capsule CRM account in three steps

Go to Apps
In your Zapier account, open Apps and click + Add connection. You need a Capsule CRM account, plus read or write rights on any record you do not own and want the Zap to change.

Find Capsule CRM
Type Capsule CRM into the search box of the dialog, select it and click Add connection. A new tab opens where you sign in to Capsule. That sign-in is the last step.

Sign in and allow access
Log in with the Capsule account the Zaps should act as, then grant Zapier access. Every Capsule step in your Zaps will reuse this one connection. One connection covers all your Zaps.
Your first Zap: a review task each time an opportunity moves
GoalWhen an opportunity is created or changed in Capsule CRM, look up its contact and give the account owner a dated task to review it.

Build: set the trigger
Create a Zap, choose Capsule CRM and the event New or Updated Opportunity, then pick the connection you just added. The editor shows a lightning bolt: this trigger is instant.

Test the trigger
Run the test. Zapier brings back the three most recent opportunities of your account; choose a real one so the next steps are mapped on actual data.

Add the search
Add Find Contact and set Search using to the field you will match on. This search step makes the Zap multi-step, so it needs a paid plan.

Add the action
Add Create Task. Fill the two required fields, Description and Due Date, and mention the contact found one step above in the description. Edits fire the trigger too, so each change brings its own review task.

Test, then Publish
Test each step once and check the task in Capsule. When it looks right, click Publish to switch the Zap on. From then on, every new or changed opportunity runs it.

Create Project

Creates a project in Capsule, tied to a Contact and given a Name, both required. It is the place to track delivery once the sale is done.
Add Note to Entity

Writes a note on a Capsule record. You choose the Entity Type, then type or map the Note text; both fields are required.
Add Tag to Entity

Labels a Capsule record with a tag. The Entity Type is the one required field, and the tag then lets you sort and segment the records later.
Create Opportunity

Opens a new deal in a pipeline. Three fields are required: the Contact it belongs to, the Pipeline and a Name.
Create Contact

Adds a person or an organisation to your Capsule address book, so a lead captured somewhere else becomes a record your team can work.
Create Task

Puts a dated to-do in Capsule. A Description and a Due Date are both required, so map a real date from an earlier step.
API Request (Beta)

An advanced action for what the other eight do not cover: it sends a request to Capsule using your existing connection. HTTP Method, URL and Stop on error are required.
Update Contact

Update Opportunity

Changes an existing opportunity. You pick it from a drop-down list and choose in the editor which fields to update, the milestone name among them.
Capsule CRM searches
5 search steps look for data that already exists in Capsule CRM, so a later step can use it.
Searches sit at the bottom of the action-event list, under the SEARCH heading. Each finds a record that already exists and hands it to the following steps, and any Zap containing one is multi-step. Three of them also come as find-or-create entries, which are the same search with one box ticked. Three settings decide what happens when the result is not a single clean match.

Find Milestone

Returns a stage from one of your Capsule boards. The Board and the stage Name are both required.
The three settings every search exposes
- Successful if no search results are found?Left on its default, a search that finds nothing stops the Zap and skips the steps that depended on it. Switched on, the Zap carries on empty-handed.
- Create X if it doesn't exist yet?Ticking it turns the search into a find-or-create: it drops the setting above and asks for the fields needed to create the missing record.
- If multiple search results are found?Three ways out when several records match: keep the first one, which is the default, stop the Zap, or pass all of them on at once.
When your Capsule CRM Zap breaks
Zapier links no help article to Capsule CRM, so these cases come from Zapier's general limits, applied to how this app behaves.
Instant triggers make mistakes show up fast: a loop starts spending tasks right away. If a run behaves oddly, the Zapier troubleshooting page is the next stop.
The Zap keeps restarting itself
New or Updated Contact followed by Update Contact on the same person fires the trigger again with every update. The loop burns through your task count fast.Existing records are ignored
A Zap only reacts to what happens after it is published. Contacts and deals already in Capsule stay where they are; moving them is a separate job.A bulk import is held back
Importing a large list into Capsule can send Zapier a huge batch at once. Its flood protection may hold that batch back rather than run it.API Request (Beta) is refused
