What the Caspio Zapier integration does with your tables
Caspio lets you build database apps in the cloud without writing code. Wired to Zapier, a table can start an automation the moment a record is added, changed or deleted, and other steps can create, update, delete or look up records for you.
Every trigger here is instant, which matters on a free plan.
Tables that keep each other in sync. A new application lands in your intake table and New Record fires at once. Update Record then sets the matching row in your tracking table, with no admin copying values across.
A clean-up that follows the user. When an operations manager deletes a client in one table, Deleted Record reacts, and Delete Record removes what belonged to that client in another table or view.
Lookups before writes. Find Record fetches one or more records with a filter, so the next step works on the right row instead of guessing.

- Zapier checks a polling trigger on a timer. An instant trigger is reported by the app itself as soon as the event happens.

- A step that lets the Zap go on only when what arrived meets your condition, and stops it otherwise.

The trigger never costs a task, however many records change. Each action that succeeds counts once, so a Zap with three actions uses three times what a one-action Zap uses. A failed action is not counted. The free plan gives you 100 tasks a month and unlimited Zaps, but each Zap stops at two steps: one trigger, one action. Add a filter, a Find Record search or a second action, and you have a multi-step Zap, which needs a paid plan. A few apps and actions take more than one task, so check your usage after the first runs.
Connect Caspio to Zapier in three steps

Open the Apps page
In your Zapier account, open Apps and click + Add connection. In the dialog, type Caspio in the search box and select it from the results that show up.

Sign in to Caspio
Click Add connection. A new tab opens on Caspio: sign in with the account your Zaps should act as. It needs read or write access on every table and view you want to automate, including the ones a colleague owns.

Grant access
Allow Zapier to use the account. From then on, every Caspio step in every Zap reuses this connection, so you set it up once and simply pick it while building.
Your first Zap: an intake table that updates a tracker
GoalWhen a new record arrives in your intake table, Caspio updates the matching record in your tracking table, but only for the records that carry the value you choose.

Build: pick the trigger
Start a new Zap, choose Caspio and the New Record event, then your connection. Pick the intake table and its event sources. A lightning bolt shows the trigger is instant.

Test the trigger
Run the test. Zapier brings back the three most recent records of that table, so you map the next steps on real data rather than on an empty sample.

Add the filter
Click the plus icon and add Filter. Set the field of your own table to look at, a text rule and the value entered when the record is created. A number rule on a text field never passes.

Add the action
Choose Update Record, set the data source type to a table and pick your tracking table, then the filter field and operator that point to the one row to change. Map the new values.

Test, then publish
Test the action and check the tracker in Caspio. Click Publish. With a filter, this is a multi-step Zap, so it needs a paid plan.

Caspio has one search. It sits at the bottom of the action event list, under the SEARCH heading, and hands the records it finds to the steps that follow.

The three settings every search exposes
- Successful if no search results are found?Left on its default, a search that finds nothing stops the Zap there. Switch it on and the Zap goes on without a record.
- Create X if it doesn't exist yet?This box turns a search into find-or-create. Find Record does not offer it on Caspio, so create the row with Create Record.
- If multiple search results are found?Three ways out: keep the first match, which is the default, stop the Zap, or pass all matches on.
When a Caspio Zap breaks
Zapier attaches no help article to Caspio, so the cases below come from how Zaps behave in general and from what the Caspio steps require.
