What the Chatforma Zapier integration actually does
Chatforma builds messenger chatbots. Zapier links it to other apps without code. The integration listens for answers people leave in a chatbot form, and it can send broadcasts on your behalf. It covers three operations in total, so the scope is small and easy to map before you build anything.
Three outcomes come up again and again with this setup.
An answer that never sits unread. New User Input fires as soon as someone fills a form inside one of your bots, and the next step can copy that answer anywhere Zapier reaches.
A follow-up for one person. Create Broadcast for Specific User sends a message to a single subscriber, picked by user id. Pair it with the trigger and every answer gets its own reply.
A push to a whole segment. Create Broadcast targets a segment you already defined in Chatforma, which suits an announcement started from another app.
Now the part the app page skips. Zapier cannot look anything up in Chatforma here: there is no search step, so you cannot fetch a user or a segment mid-Zap. It cannot build a bot, edit a form or create a segment either. Those stay in Chatforma, and the Zap only reuses what already exists.

- Zap
- A Zapier automation: one event sets it off, then one or more actions follow, every single time that event comes back.
- Trigger
- The event that sets the Zap off. Chatforma has one: a person submitting input in a form of one of your chatbots.
- Action
- A step that does the work once the Zap runs. Both Chatforma actions send a broadcast, to a segment or to one user.
- Task
- What Zapier bills: one action that finished without error. Each broadcast that goes out is one task off your monthly count.
- Polling vs instant
- Polling: Zapier checks the app on a timer. Instant: the app calls Zapier itself when the event happens. New User Input is instant.
- Filter
- A gate between two steps. An answer moves on to the broadcast only if it meets your rule; otherwise that run ends there.
- Connection
- Your Chatforma login, saved once in Zapier. Every Chatforma step in any Zap picks it from a list instead of asking you to sign in.

An answer reaching New User Input costs nothing, however many arrive. The broadcast that follows takes one task if it goes out, and a failed one is not billed. The free plan gives 100 tasks a month, but every Zap stops at two steps: the trigger plus one broadcast fits, nothing more. Screen answers with a filter, or chain a second action, and the Zap becomes multi-step, which needs a paid plan. The polling grid (15 minutes on Free) is listed for reference only, since this trigger is instant.
Connect Chatforma to Zapier in three steps

Open the Apps page
In your Zapier account, go to Apps and click + Add connection. A dialog opens with a search box: type Chatforma and pick it from the list. Nothing is linked yet at this point.

Sign in to Chatforma
Click Add connection. A new tab opens on Chatforma, where you log in with the account that owns your bots. You need an account there before anything else.

Grant access
Allow Zapier to reach the account. The connection then shows up under Apps and every Chatforma step reuses it. Bots you do not own need read or write rights first.
Your first Zap: reply to each new chatbot answer

Pick the trigger
Create a Zap, choose Chatforma, then the event
New User Input. Select the connection you added and set the Chatbot and Form to watch. - 02
Test with a real answer
Run the test. Zapier brings back the three most recent answers from that form, so you map fields from a real submission, not an empty sample.

Add the filter
Click the plus icon, choose Filter, then set the field, the rule and the value. Use a text rule on a text answer, or the filter never passes. This step needs a paid plan.

Add the broadcast
Pick
Create Broadcast for Specific User. Choose the same Chatbot, then fill User with the user id from the trigger result, if the test shows one. - 05
Test, then publish
Run the action test once and check the message landed in Chatforma. Then hit Publish: the Zap is on and reacts to the next answer.

When a Chatforma Zap breaks
Zapier attaches no help article to Chatforma and publishes no limit of its own for it, so the failures below are general Zapier behaviour, seen through chatbot answers and broadcasts.
None of these show up as a clear error. The Zap just does nothing, or does too much. Spot the pattern, and the fix is usually one setting. For deeper cases, the Zapier troubleshooting page goes step by step.
Answers from before the Zap never come through
