Demio Zapier integrationAutomate Demio with Zapier.

The Demio Zapier integration gives you 4 triggers and 1 action. All four triggers are instant, so registrations, attendance and no-shows reach your CRM or email tool as they happen, and the only action signs people up to a webinar from anywhere.

Overview

What the Demio Zapier integration does for your webinar funnel

The Demio Zapier integration links your Demio webinar account to Zapier, a no-code tool that moves data between apps. A Zap (one automation on Zapier) listens for something in Demio, such as a new registration or a no-show, and then acts in another app, or registers someone in Demio from a form you already run.

Three results justify the setup. A no-show follow-up that sends itself: Does Not Attend Webinar fires once the session ends for everyone who registered and stayed away, and the next step sends them a follow-up email. A CRM that knows who showed up: Joins Webinar tags the contact as an attendee, not just a registrant. A registration form that lives anywhere: Create Registration for Webinar signs people up from your landing page, a lead form or a paid checkout.

Good news for a free plan: the four Demio triggers are instant. Demio tells Zapier itself, so nobody waits for a timed check.

Now what Zapier does not do here. It cannot create, edit or cancel a webinar, and it cannot remove a registrant. There is no search step either, so a Zap cannot look up a past attendee. Each trigger also watches one webinar at a time. To see what the same app offers elsewhere, look at the Demio n8n integration and the Demio Make integration.

Vocabulary

Zapier vocabulary in one minute

Seven words cover everything you will meet in the editor while building a Demio Zap.

Zap
An automation you build on Zapier: one trigger, followed by one or more actions that run each time that event happens.
Trigger
The event that starts the Zap, like someone joining a Demio webinar. Once the Zap is on, Zapier waits for it.
Action
The step that does the work after the trigger: it creates, sends or updates something in an app for you.
Task
What Zapier bills: one action that completes successfully. The allowance of your plan is counted in tasks.
Polling vs instant
Zapier checks a polling trigger on a timer. An instant trigger is pushed by the app as soon as the event occurs. All Demio triggers are instant.
Filter
A step that lets the Zap go on only when the incoming data meets your condition, and stops it there otherwise.
Connection
Your Demio account linked to Zapier once, then reused by every Zap and every step that works with Demio.
Cost

What a Demio Zap really costs

Demio is not a premium app: it works on the free plan. You pay in tasks, and only actions consume them.

  • Premium appNo, works on the free plan
  • Free plan100 tasks a month, unlimited Zaps
  • Free plan limitTwo steps: one trigger, one action
  • Demio triggers4 out of 4 instant

The trigger never costs anything, and a failed action is not counted. Every successful action counts on its own, so a Zap with three actions uses three times more than a Zap with one. The free plan includes 100 tasks a month but caps each Zap at two steps, one trigger and one action. Add a filter, say to skip internal test registrations, or a second action, and it becomes a multi-step Zap on a paid plan. The interval grid only matters for polling triggers, and Demio has none.

Connect

Connect your Demio account to Zapier

  1. 01

    Open the Apps page

In your Zapier account, open Apps and click + Add connection. You need a Demio account first, with access to the webinars the Zap will watch or register people to.

  2. 02

    Find Demio

Type Demio in the search box of the dialog, pick it from the list, then click Add connection. A new tab opens so you can sign in to Demio from there.

  3. 03

    Sign in and allow access

Log in to Demio in that tab and grant Zapier access to the account. The connection then shows up in your list, and every Demio step in every Zap reuses it.

First Zap

Your first Demio Zap: follow up with every no-show

GoalWhen a webinar ends, email each registrant who did not attend, while the session is still fresh in their mind.

  1. 01

    Create the Zap

Start a new Zap, choose Demio as the app that starts it, and pick Does Not Attend Webinar as the event. Then select your Demio connection.

  2. 02

    Choose the webinar

In the Event field, pick the webinar to watch. Test the trigger: Zapier brings back the three most recent no-shows, so map fields from a real one.

  3. 03

    Skip your own team

Add a filter so colleagues who registered to check the room do not get the email. A filter makes this a multi-step Zap, so it needs a paid plan.

  4. 04

    Write the email

Add the email step and map into it the registrant details that came from Demio. On the free plan, drop the filter and keep a two-step Zap.

  5. 05

    Test, then publish

Test each step once and check the message in a test inbox. Click Publish: from the next session, no-shows get their mail as soon as the webinar ends.

Triggers

Demio triggers: 4 webinar events, all instant

4 events start a Zap when something happens in Demio, and 4 of them are instant: the app calls Zapier straight away, whatever your plan.

1

Does Not Attend Webinar

Instant trigger

In Zapier“Triggers when a webinar ends and we detect a registrant did not attended.”

Waits for a webinar to finish, then reports each registrant who never showed up. It is the trigger for following up with people who signed up and stayed away.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan
When to use it
you want a follow-up in a no-show's inbox while they still remember signing up.
Watch out
it watches the one webinar picked in the Event field, so a new webinar needs its own Zap or a changed setting.
2

Joins Webinar

Instant trigger

In Zapier“Triggers when a registrant joins a running webinar.”

Fires each time a registrant enters a webinar that is running. That makes it the cleanest signal of real interest Demio gives you: showing up, not just signing up.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan
When to use it
your sales team wants attendees flagged in the CRM so they call warm leads first.
Watch out
like the others, it watches only the webinar picked in its Event field.
3

New Webinar Registration

Instant trigger

In Zapier“Triggers when there is a new registration for a webinar.”

Starts as soon as somebody registers for the chosen webinar. It is the entry point of most webinar funnels.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan
When to use it
new registrants should land in your newsletter tool with a tag naming the webinar.
Watch out
a Zap that registers people with Create Registration for Webinar on the webinar this trigger watches sets itself off again and again.
4

Webinar Update

Instant trigger

In Zapier“Triggers after a webinar has ended. If using a series webinar, we provide the date of the next schedule series.”

Fires after a webinar has ended. For a webinar run as a series, it also hands over the date of the next session, which is handy for anything that has to announce what comes next.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan
When to use it
the team channel gets a recap message with the next session date as soon as one session closes.
Watch out
it reports the webinar itself, not the people, so use the other triggers for anything per attendee.
Actions

The Demio action: register someone from any app

Demio gives you 1 action. For each one: what it does for you, when to reach for it, and what to watch out for.

1

Create Registration for Webinar

Action

In Zapier“Creates a new registration for a webinar.”

Signs a person up to a Demio webinar from data captured in another app, with the webinar, the name and the email it asks for.

When to use it
your sign-up form lives on your own site or in a checkout, and you do not want to send people to a second page.
Watch out
the webinar, the name and the email are all required, so a form without a name field will fail.
When it breaks

When a Demio Zap breaks

Zapier attaches no help article to Demio, and no Demio-specific rate limit is documented. What breaks is general Zapier behaviour, which shows up in webinar flows in recognisable ways.

Four cases come up most. None of them throws a red error: the Zap simply sends less, or far more, than you planned. For the fixes, the Zapier troubleshooting page goes through them step by step.

  • Past registrants are ignored

A Zap only reacts to what happens after it is published. People who registered or attended before that stay out, and importing them is a separate job.
  • A registration loop

A Zap that registers people while New Webinar Registration watches the same webinar keeps starting itself again, and burns the monthly task count fast.
  • A big import gets held

Registering a whole list at once, after a migration for example, can send a huge batch. Zapier's flood protection may hold that batch back instead of running it.
  • The wrong webinar is watched

Each trigger is tied to the Event picked in setup. A Zap built for last month's webinar keeps watching it, and the new one gets no follow-up.

FAQ

Demio Zapier integration: frequently asked questions

01Is the Demio Zapier integration free?
Yes. Demio is not a premium app, so it works on the free Zapier plan, which gives 100 tasks a month and unlimited Zaps. The catch is the step limit: on the free plan a Zap has one trigger and one action, nothing more. A no-show email with a filter on internal addresses, or a Zap that writes to the CRM and sends a message, is multi-step and needs a paid plan. A simple registration sync fits in the free plan.
02How many tasks does a Demio Zap use?
One task per successful action, and none for the trigger. If a webinar has many registrants and your Zap sends one email to each no-show, every email is a task. A Zap that also updates the CRM doubles that count. Failed actions are not counted. Webinars create bursts: one session can produce many joins and no-shows at once, so estimate your monthly registrations before you pick a plan rather than counting webinars.
03Are Demio triggers real time in Zapier?
Yes. All four Demio triggers are instant: Demio informs Zapier as soon as someone registers, joins, misses a session or when a webinar ends, and the Zap starts at once. The 15-minute interval of polling triggers on the free plan does not apply. In the editor these Zaps carry a lightning bolt. That timing matters for webinars, where a follow-up that arrives while the session is still fresh simply makes more sense to the reader.
04What does it take to connect Demio to Zapier?
A Demio account with access to the webinars you want to automate. In Zapier you open Apps, click + Add connection, search for Demio, sign in on the tab that opens and grant access. The connection is then shared by all your Zaps. The point people miss is the Event field: every trigger and the action ask for a specific webinar, so that webinar has to exist in Demio before you can finish the setup.
05Why does a Demio Zap stop working for the next webinar?
Because every Demio trigger is tied to the webinar chosen in its Event field. When you launch a new webinar, the old Zap keeps watching the previous one and stays silent. You either edit the Event field of the existing Zap, or duplicate the Zap for the new webinar, so each webinar has its own Zap watching it. Check this before launch day, since a missed registration flow only shows up once leads start complaining.
06What if the Demio action you need is not in Zapier?
Then it is not available through Zapier today. The integration exposes one action, Create Registration for Webinar, and no search, so updating a registrant, cancelling a registration or creating a webinar has to happen in Demio itself. Build around what exists: the four triggers cover registration, attendance, no-shows and the end of a session, so everything after registration can be automated while webinar setup stays manual. If that gap blocks you, compare the same app on other automation tools before committing.
07Zapier, Make or n8n for Demio?
It depends on your criteria, not on a ranking. On Zapier, Demio offers four triggers, all instant, and one action, Create Registration for Webinar, with no search, and it runs on the free plan. Check whether that covers what you need, how many actions each registration or session will set off, and which tool your team already maintains. Then run the same check on what the other platforms expose for Demio before you decide.
