What the Evolio Zapier integration does for a law firm
Evolio is case management software for law firms, with a free licence for small practices. Zapier is the service that connects apps so they work without you copying data between them. Together they let a new task, an intake form or another system feed your cases and client records in Evolio directly.
Three results firms set up. A case opened from the first contact: Create Law Case and Subject creates the matter and the client in one go, and can create the first task at the same time. Records that match another system: Find Law Case by SysSourceId locates a case by the identifier your other tool gave it, and Update Law Case changes it. Tasks that report back: New Task and Updated Task start a Zap the instant someone creates or edits a task in Evolio.
What Zapier does not do here: there is no trigger for a new case or a new client, only for tasks. And many of the field labels you see in the editor are in Czech, such as Jméno or Předmět, so set aside time to map them carefully the first time. The operation names, on the other hand, stay in English.
One naming trap too: Zapier counts usage in tasks, and Evolio also has tasks. They are unrelated, and this page says which one it means each time.

- An instant trigger is reported by the app as it happens; a polling trigger is checked by Zapier on a timer.

- A step that lets the Zap continue only when the incoming data meets a condition you set, and stops it otherwise.
- Connection
- Your Evolio account linked to Zapier once, then reused by every Evolio step in all your Zaps.

The trigger is free: a task created or modified in Evolio never uses a Zapier task. Each action that succeeds uses one, and an action that fails is not counted. Finding a case and then updating it costs two tasks per run, since Find Law Case by SysSourceId is an action here. The free plan includes 100 tasks a month and unlimited Zaps, but every Zap is limited to two steps: one trigger, one action. A second action or a filter makes it a multi-step Zap, which requires a paid plan. Both Evolio triggers are instant, so the polling grid below never delays them.
Connect Evolio to Zapier

Go to Apps
In your Zapier account, open Apps and click + Add connection. You need an Evolio account already; Zapier links the account you have, it does not create one.

Choose Evolio
Search for Evolio in the dialog, select it, then click Add connection. A new tab opens on the Evolio side so you can finish the connection there with your usual login.

Sign in and authorise
Log in to Evolio in that tab and grant Zapier access. If the cases or clients you want to change belong to a colleague, make sure your user can read and edit them.
Your first Zap: put each new task in the calendar, then tag it
GoalWhen a task is created in Evolio, your calendar gets an event for it, and the task then carries that event's reference.

Build: set the trigger
Create a Zap, choose Evolio and the New Task event. It is instant, so the Zap starts as soon as a task exists, on any plan, and each new task starts it once.

Test with a real task
Run the test. Zapier brings back the three most recent items from your Evolio account; pick one so the next steps are mapped on real values.

Create the calendar event
Add your calendar's create-event action and map the task's details into it. Test the step and check the event appears where your team will see it.

Write the reference back
Add Modify Task New, map the trigger's task into IdUkol and the new event's reference into the source ID. This second action makes the Zap multi-step: paid plan.

Publish
Test each step, then click Publish. Tasks that existed before you publish are not picked up; only tasks created afterwards start the Zap.

Find Law Case by SysSourceId

Looks up a law case using the identifier an external system assigned to it, SysSourceId, and returns that case for the next steps. On Zapier it is listed as an action, not a search.
Update Law Case

Changes an existing law case. The only required field is the case ID, labelled Id případ, so the Zap must already know which case it is touching.
Modify Natural Person

Edits a natural person record in Evolio, that is an individual. It needs the subject ID (Id subjektu); the VAT payer box, Je plátce DPH, is optional.
Modify Task New

Writes the source-system identifier onto an existing Evolio task, so another tool can recognise it later. Its required field is the task ID, IdUkol.
Create Law Case and Subject

Opens a new law case and the client attached to it in one action, and can add a first task if you tick Vytvořit úkol?. Many fields are required: kind and type, name, email, plus the assignee, start, subject and priority of the task.
When an Evolio Zap goes wrong
Zapier attaches no help article to Evolio, so these cases come from Zapier's general limits and from how the two task triggers behave.
Two patterns cause most of the cases below: an action whose required ID was never carried over from an earlier step, and a Zap that writes back into the tasks it is watching. Test each step on a real task before publishing. If you are stuck, the Zapier troubleshooting team can review the Zap with you.
A task loop
A Zap that starts on Updated Task and then runs Modify Task New on the same task edits it, which fires the trigger again and burns tasks fast.Duplicate cases
