Overview

What the Hirevire Zapier integration actually does

It links Hirevire, the screening tool where applicants answer with video, audio, text or files, to the other apps your hiring runs on. Zapier watches for new applications and can push candidates into Hirevire, so nobody copies names and emails by hand between tabs.

Three results people usually build first. A review link that goes out on its own: when New Application picks up an applicant, Create a Shareable Application Link produces a link a hiring manager can open to review the application. An invitation that leaves the moment someone qualifies: a form, a spreadsheet row or a CRM record feeds Invite a Candidate, which mails that person a personal link to apply. And a trace of each application in another tool, since the trigger can start any action of any app Zapier connects.

Now the honest part. The list is short: one trigger, two actions, no search step. Zapier cannot look up an existing application in Hirevire, cannot change a candidate's status, and cannot react to anything other than a new application. The trigger is not instant either, so applications arrive on the timer of your plan (more on that below).

A Zap is one Hirevire automation from start to finish: a single starting event, then one or more steps that run again every time that event comes back.
Trigger
The only starting event this app offers: an applicant's answers reaching one of your Hirevire jobs. With the Zap on, Zapier waits for it.
Action
Each step after the trigger that does something for you, such as building a review link, inviting a candidate or filing the applicant in another tool.
Task
Zapier's billing unit, one per action that goes through. Your plan's monthly allowance is counted in these, and a trigger check never uses one.
Polling vs instant
Polling: Zapier checks Hirevire on a timer for fresh applications. Instant: the app reports them itself straight away. New Application is the first kind.
Filter
An optional step that lets the Zap go on only when what came in matches your rule, for example one job title, and halts it otherwise.
Connection

The trigger never costs a task, however often Zapier checks for applications. Each action that succeeds counts once, and one that fails counts nothing. The free plan gives 100 tasks a month and unlimited Zaps, but each Zap stops at two steps: one trigger, one action. Add a filter or a second action and it becomes a multi-step Zap, which needs a paid plan. In practice: New Application followed by one action costs one task per applicant, and the review-link Zap below, with two actions, costs two.

    Open your connections

    In your Zapier account, go to the Apps page and click + Add connection. You only need a Hirevire account, plus access to any job you did not create yourself and want the Zap to touch.

    Pick Hirevire

    In the dialog, look up Hirevire by name and click it, then confirm with Add connection. Zapier hands you over to a fresh tab where Hirevire asks you to log in.

    Grant access

    Sign in to Hirevire and allow Zapier to reach the account. The connection now shows on the Apps page, and every Zap that uses Hirevire will offer it in a dropdown instead of asking again.

    Create the Zap and test it

    Start a new Zap with Hirevire's New Application event and pick the servers job in Job title. Run the test: Zapier brings back the three latest applications, so map the next steps on a real one.

    Add Hirevire again with Create a Shareable Application Link, and fill Application id with the id that came back from the trigger test.

Hirevire comes with no help article of its own on Zapier, so what follows are the platform-wide traps, seen through a hiring pipeline.

None of these show up as a loud error. They show up as an applicant who never reached the Zap, or a task count that moves faster than expected.

  • Old applications are ignored

    Switching the Zap on does not reach back in time. Applicants who answered last week stay where they are in Hirevire, and bringing them over is its own project.
  • A sudden batch can be held back

    If a large wave of applications appears at once, after an import for instance, Zapier's flood protection can hold the trigger back instead of firing for each one.
  • Each application fires once

    On a polling trigger Zapier remembers what it has already seen, so the same application never starts the Zap twice, even across many checks.
  • Missing name or email

    Invite a Candidate fails when the source step leaves the name or the email empty. A failed action costs no task, but the candidate never gets the invite.

01Is the Hirevire Zapier integration free?
Yes, Hirevire is not a premium app, so it works on the free Zapier plan. That plan gives 100 tasks a month and unlimited Zaps, with one limit people discover late: each Zap stops at two steps, one trigger and one action. A Zap that pairs New Application with Create a Shareable Application Link fits. One that adds a filter, or a second action such as a message to a team chat, becomes a multi-step Zap and needs a paid plan. The Hirevire account itself is a separate matter between you and Hirevire.
02How many tasks does a Hirevire Zap use?
One task per action that succeeds, and nothing for the trigger. Zapier can check Hirevire for new applications as often as your plan allows without spending a single task. So a Zap made of New Application plus one action costs one task per applicant. Add a second action and each applicant costs two. An action that fails, say an invite sent without an email address, is not counted. A few apps take more than one task per action, so check the other apps in your Zap too.
03Does Hirevire send applications to Zapier in real time?
No. New Application is a polling trigger, which means Zapier asks Hirevire for new applications on a timer instead of being told the second one arrives. On the free plan that check runs every 15 minutes, on Professional every 2, and on Team and Enterprise every minute. Paid plans can also run a check by hand from the editor. The type comes from the app's own API, so it cannot be switched to instant from Zapier. For screening, a delay of a few minutes rarely matters.
04What do you need to connect Hirevire to Zapier?
A Hirevire account you can sign in to, plus access to any job you did not create yourself and want the Zap to read. The connection takes three moves: open the Apps page in Zapier, click + Add connection and pick Hirevire, then sign in and grant access in the tab that opens. After that, the same connection is offered in every Zap that uses Hirevire. Also create at least one job in Hirevire first, because the trigger asks you to pick one.
05Why is the Job title list empty in the New Application trigger?
Because that field only lists jobs that already exist in your Hirevire account, and it is required. If no job has been created yet, or if the connected account cannot see the job you have in mind, there is nothing to pick and the trigger cannot be saved. Create or open the job in Hirevire, then come back to the field and reload the list. If the job belongs to a colleague, make sure the account behind the connection has access to it.
06What if the Hirevire operation you want is not on Zapier?
Then Zapier cannot do it through this app, because the list is fixed by Hirevire's integration: one trigger, two actions and no search. There is no way to update a candidate, move an application between stages or look up an existing applicant from a Zap. The workaround is to build around what exists, for instance start from New Application and send the data to a tool that can handle the rest. Another option is to check whether another automation platform offers the missing step for Hirevire.
07Zapier, Make or n8n for Hirevire?
Decide on criteria rather than on a ranking. On Zapier, Hirevire gives one polling trigger and two actions, works on the free plan, and needs no code: a fit if your need is to catch new applications or send invites. Ask yourself three questions. Do you need an operation outside those three? Does a check every 15 minutes on the free plan suit your hiring pace? Will your Zaps need filters or several actions, which means a paid plan? Then compare what each platform lists for Hirevire against those answers.
