What the innoChat Zapier integration actually does for you

innoChat lets you build an AI chatbot trained on your own content and drop it on a website or inside an app. The Zapier side does two jobs. It tells your other tools when someone fills a form in that chat, and it lets any automation put a question to one of your bots and get the answer back.

Three results you can expect, each tied to a real operation:

Leads that file themselves. New Form Submission starts a workflow the second a visitor completes a form in the chat. Point it at your CRM, a spreadsheet or a team channel and nobody exports anything by hand.

Answers written by your own bot. Send Message hands a question to a chatbot you pick and brings its reply into the next step. A support inbox, a ticket or a shared sheet can feed it, and the reply goes wherever you route it.

A chat that talks to the rest of the business. Chain both and the form a prospect fills can trigger a follow-up that is drafted by the same knowledge base the chatbot uses.

Now the honest part. Zapier offers nothing else for innoChat: no way to list past conversations, no search for an older submission, no step that edits or trains a bot. Anything collected before your automation goes live stays where it is. A form landing in your chatbot is free: triggers never consume tasks. Every action that completes costs one, and a failed one costs nothing, so a run with three actions bills three. On the free plan you get 100 tasks a month and as many Zaps as you want, yet each Zap is capped at a trigger plus one action. Asking the bot with Send Message and then pushing its answer somewhere is already two actions, so that Zap, like any Zap with a filter, is multi-step and needs a paid plan. The interval grid below only concerns polling triggers; innoChat's trigger is instant, so it skips it.

Connect your innoChat account in three steps

    Open the Apps page

    Log in to Zapier and open the Apps page from the left menu. The button you want sits at the top: + Add connection. Do this once and every innoChat Zap you build later can reuse it.

    Pick innoChat

    A dialog opens with a search field. Start typing innoChat, pick it in the results and confirm with Add connection. No innoChat account yet? Create one first, Zapier cannot do it for you.

    Sign in and grant access

    Log in to innoChat in the tab Zapier opens, then allow Zapier to reach the account. If the bots belong to someone else, make sure your login has access to them first.

    Start a new Zap, choose innoChat as the app and New Form Submission as the event, then select the connection you set up earlier.

    Paste the Chatbot UUID of the bot that sits on your site. Then fill the form in that chat once yourself, so there is a real submission to work with.

    Test the trigger

    Run the test. Zapier brings back the three most recent submissions of the connected account. Pick yours and note the answer you want to filter on.

    Add the filter

    Click the plus icon, choose Filter, then set the field, the rule and the value in Configure & test. This step makes the Zap multi-step, so it needs a paid plan.

    Add the action and publish

    Add HubSpot with Create Contact, map the form answers into its fields, test it once, then click Publish to switch the Zap on.

Zapier lists no help article for innoChat and no limit of its own. What follows are the general rules that catch people out on any Zap, applied to this one.

Most surprises here come from timing and plan limits, not from innoChat itself. If a Zap still misbehaves after these checks, the Zapier troubleshooting page is the next stop.

  • Old submissions never show up

    Forms that visitors completed before you hit Publish are never picked up. They stay in innoChat, and bringing that backlog over is a separate project.
  • The trigger test finds nothing

    The test pulls the three most recent submissions of the account. On a brand new chatbot, fill the form once yourself before you click test.
  • A sudden wave gets held back

    When a trigger suddenly sends a huge batch, after an import or a migration for example, Zapier's flood protection can hold those runs back.
  • The filter step is greyed out

    The free plan stops at two steps. A filter, or a second action after Send Message, turns the Zap multi-step, and that needs a paid plan.

01Is the innoChat Zapier integration free?
Yes, on Zapier's side. innoChat is not a premium app, so both its operations run on the free plan, which gives you 100 tasks a month and as many Zaps as you like. The catch is size: a free Zap holds one trigger and one action. A filter or a second action makes it multi-step, and that requires a paid plan. You still need your own innoChat account, and its pricing is set by innoChat, not by Zapier.
02How many tasks does an innoChat Zap use?
One per successful action, per run. The New Form Submission trigger costs nothing, however many forms come in. A Zap that sends a message to a bot and then creates a contact uses two tasks every time a form arrives. An action that fails is not counted. So the math is simple: count your actions, multiply by the number of forms your chatbot collects in a month, and compare that with your plan.
03Does innoChat trigger Zaps in real time?
Yes. New Form Submission is an instant trigger: innoChat tells Zapier as soon as a form is filled, and the Zap starts right away. The plan interval, 15 minutes on Free and down to 1 minute on Team or Enterprise, only applies to polling triggers, so it does not slow this one down. In the editor, a Zap built on an instant trigger shows a lightning bolt, which is a quick way to check.
04What does it take to connect innoChat to Zapier?
An innoChat account, plus access to the chatbots you plan to use. The connection itself goes through the Apps page of Zapier: add a connection, pick innoChat, sign in, and grant access. After that, each step asks for a Chatbot UUID, so keep the identifier of the right bot at hand. If a colleague owns the chatbot, ask for access on their side before you start building. It saves a failed test later.
05Why does a Zap ignore submissions from the other chatbots?
Because the trigger listens to a single bot. New Form Submission requires a Chatbot UUID, and only forms filled in that chatbot start the Zap. If you run separate bots for sales and support, build one Zap per bot, each with its own UUID. The same goes for Send Message: it asks one specific chatbot, so pick the one trained on the content that should answer the question. Name each Zap after its bot to keep things readable.
06What if the innoChat operation you need is not available?
Then it is not offered on Zapier today. The integration exposes exactly two operations: New Form Submission and Send Message. There is no search, no step to update a bot, and no trigger for a new conversation. A workaround sometimes exists inside innoChat itself, for example collecting what you need through a form so the trigger can catch it. If no such workaround fits, the step simply cannot be automated through Zapier for now.
07Zapier, Make or n8n for innoChat?
There is no single winner; look at your criteria. On Zapier, innoChat brings one instant trigger and one action, and both work on the free plan, with no extra fee on the Zapier side. If those two operations cover your need and your volume fits in your task count, Zapier is enough. If you need something they do not cover, compare what the other tools offer for innoChat before you choose, operation by operation.
