What the Instantly Zapier integration is good for

Instantly runs outbound email campaigns at volume. Zapier is the layer that reacts to what happens in those campaigns and acts on it. What you build there is a Zap: one event that starts it, then one or more steps that run every time that event comes back.

On Instantly the balance is the reverse of most apps: one trigger, nine actions, one search. The single trigger, New Event, covers everything from a sent email to a reply, a bounce, an open or an unsubscribe. Three outcomes come out of that.

Replies that move the pipeline. New Event plus Update Lead Status turns a reply into a new status on the lead, so an SDR team works the hot conversations first.

A list that cleans itself. Add to Blocklist and Remove Lead From Campaign stop sending to people who bounced or asked to be left alone, without anyone combing the list by hand.

Leads fed from elsewhere. Add Lead to Campaign drops a contact into the right sequence the moment another part of your process qualifies them.

What Zapier does not do for Instantly: there is no action to send a one-off email or to create a campaign; campaigns have to exist before the Zap can use them. Zap
The automation you build on Zapier: one event that starts it, then the steps that run every time that event happens.
Trigger
The event in an app that starts the Zap. Once the Zap is switched on, Zapier waits for that event and nothing else.
Action
What the Zap does once it has started: the step that writes, sends or moves something on your behalf.
Task
The unit Zapier bills. One task is one action your Zap completes successfully, and your plan counts those.
Polling trigger
A trigger Zapier checks on a timer. It asks the app for new items at a fixed interval and keeps only the ones it has not seen.
Instant trigger
A trigger the app reports itself, calling Zapier the moment the event happens. Instantly's New Event works this way.
Filter
A step that lets the Zap carry on only when what arrived meets the condition you set. Otherwise the run stops right there.
Search step
A step that looks up something that already exists in an app, so the steps after it can use what it found. Find Lead is one.

The trigger never costs a task, even when thousands of emails go out. Each action that succeeds counts once: a Zap with three actions uses three times more than one with a single action, and a failed action is not counted. The free plan gives you 100 tasks a month and unlimited Zaps, but only two steps per Zap, one trigger and one action. Since New Event fires on every kind of activity, you will usually want a filter, and a filter, like the Find Lead search, makes the Zap multi-step, which needs a paid plan. Instantly is not a premium app. The polling grid below does not apply to its instant trigger.

Connect your Instantly account

    Open the Apps page

    In your Zapier account, go to Apps and click + Add connection. A connection is your Instantly account linked to Zapier once, then reused by every Instantly step.

    Pick Instantly

    Search for Instantly in the dialog, select it and click Add connection. You need an existing Instantly account for this; Zapier does not create one for you.

    Sign in and grant access

    Sign in to Instantly in the tab that opens, then allow Zapier to use the account. Every one of the campaigns and sending accounts the Zap will touch must be reachable from that account.

    Build: pick the trigger

    Start a new Zap, choose Instantly and the New Event trigger, then pick your connection. The lightning bolt shows it is instant.

    Test the trigger

    Run the test. Zapier brings back the three most recent events of your workspace; pick a real reply if one is there, so the mapping matches a real case.

    Add the filter

    Click the plus icon, choose Filter, then in Configure & test set the field, the rule and the value so only replies pass. Use a text rule on a text value.

    Add Update Lead Status

    Add an Instantly action, Update Lead Status. Choose the Campaign, map the Email address from the tested event and pick the New Status your team uses for replies.

    Test, then Publish

    Test each step and check the lead in Instantly. Then click Publish to switch the Zap on. With the filter, this Zap needs a paid plan.

When to use it
before adding someone to a sequence, check whether Instantly already has them as a lead.
Watch out
Lead Email is required; whether it must match exactly is up to Instantly.

The three settings every search exposes

  1. Successful if no search results are found?
    Left on its default, a search that finds nothing stops the Zap there and skips the steps that relied on it. Switch it on and the Zap carries on empty-handed.
  2. Create X if it doesn't exist yet?
    This box turns a search into a find-or-create. Instantly offers no such variant on Find Lead, so you will not see it here.
  3. If multiple search results are found?
    Three ways out when several items match: keep the first one, which is the default, stop the Zap, or pass all of them on.
When it breaks

When an Instantly Zap breaks

  • Past replies never arrive

    A Zap only reacts to what happens after you publish it. Replies and bounces from last week stay where they are; moving that history is a separate job.
  • The Zap keeps setting itself off

    If a step writes back into the very place its own trigger watches, each run starts another, and that loop burns through your task count fast.
  • A big send gets held back

    When a trigger suddenly returns a huge batch, after an import or a large launch, Zapier's flood protection can hold those runs back.
  • The task count drains fast

    New Event fires on sends and opens as well as replies. Without a filter, every one of those runs its actions and each successful action is a task.

Instantly Zapier integration: common questions

01Is the Instantly Zapier integration free?
Yes, within the free plan's limits. Instantly is not a premium app, so it works on Zapier's free plan, which gives 100 tasks a month and unlimited Zaps. The limit is size: one trigger and one action per Zap. Because New Event fires on every kind of activity, most useful Instantly Zaps need a filter, and a filter makes the Zap multi-step, which requires a paid plan. A plain New Event to Add to Blocklist Zap would be free, but with no filter it would blocklist every address involved in any event, sends and opens included, so in practice that Zap needs the paid filter.
02How many tasks does an Instantly Zap use?
One per successful action and none for the trigger. That sounds cheap until you remember that New Event fires on sent emails and opens as well as replies. A Zap with no filter runs its actions on all of them, and each one that succeeds is a task. In a Zap with three actions, a single run can cost three. An action that fails is not counted, and watching Instantly for new events never costs anything.
03Is Instantly on Zapier real time?
Yes. New Event is an instant trigger: Instantly tells Zapier the moment an email is sent, a reply or bounce is detected, or a lead opens or unsubscribes, and the Zap starts right away. The polling intervals of the plans, 15 minutes on Free down to 1 minute on Team and Enterprise, do not apply. In the editor you will see a lightning bolt on the trigger, which is how Zapier marks an instant one.
04What does it take to connect Instantly to Zapier?
An Instantly account, plus the campaigns and tags the Zap will use. You add the connection from the Apps page with + Add connection, search for Instantly, sign in in the tab that opens and grant access. Several actions ask you to select a Campaign, so the campaign has to exist in your workspace first. For tags, Create a New Tag can add a missing one before the tagging step runs.
05Why does an Instantly Zap run on every email sent?
Because New Event is a single trigger for all workspace activity. It fires when an email is sent, when a reply or bounce is detected, and when a lead opens or unsubscribes. If you only care about replies, add a filter right after the trigger so the other events stop there. Without it, your actions run on every send, your task count drops quickly, and you may update leads that never answered.
06What if the Instantly operation you need does not exist?
Check first whether it is an action or a trigger you are missing. Zapier offers nine actions on leads, tags, campaigns and the blocklist, one search to find a lead, and one trigger for workspace activity. There is no action to send a single email or to create a campaign. If your process depends on one of those, the Zap alone will not cover it, so look at how other automation tools handle Instantly before you build around the gap.

Decide on criteria, not on brand. Look at which Instantly events and actions each tool exposes, how each one bills a run, and who on your team will maintain the flows.
