LaunchBay is a platform that automates client onboarding. Plugging it into Zapier means two things: what happens in LaunchBay (a client fills a form, opens a ticket, writes in a project chat) can start work in other apps, and other apps can create projects, tasks, notes and meetings in LaunchBay without anyone copying data by hand.

Three results come up again and again. First, a project that sets itself up: Create Project opens it, optionally from one of your templates, and Create Task fills it, so the onboarding starts the moment the client is in. Second, a client conversation that reaches your team: Client Chat Message, Ticket Message and Helpdesk Ticket Submission push every new word from a client to wherever your team actually reads. Third, a meeting history that stays complete: Schedule Meeting logs the call when it is booked, and Save Meeting Recap attaches the transcript or summary afterwards to the same record.

The trigger never costs a task, and an action that fails is not counted. Each action that succeeds is billed on its own: a Zap that creates a project and then a task uses two tasks per run.     In your Zapier account, go to Apps and click + Add connection. You need a LaunchBay account, plus access to any project you do not own and want the Zap to touch.

Schedule Meeting

When it breaks

When a LaunchBay Zap breaks

Zapier lists no help article and no rate limit specific to LaunchBay. What breaks is what breaks on every Zap, plus one trap in the task fields.

  • Nothing from before the Zap

    A Zap only reacts to what happens after it is switched on. Forms, tickets and files that already existed are never picked up; moving that backlog is a separate job.
  • The status loop

    A Zap started by Task Status Change that runs Edit Task on the same task triggers itself again and again, and eats through the task count of your plan.
  • Bulk changes held back

    A trigger that suddenly sends a huge batch, after a bulk import or a migration, can be held back by Zapier's flood protection.
  • Project name not found

    Create Task and Edit Task look up the project by its exact, case sensitive name. A capital letter out of place and the step fails.

01Is the LaunchBay Zapier integration free?
Yes, as long as each Zap has two steps. LaunchBay is not a premium app, so the free plan can use it, with 100 tasks a month and as many Zaps as you like. The limit is the length of the Zap: one trigger and one action. A second action, a filter or a search step turns it into a multi-step Zap, and that requires a paid plan. No price is quoted here because Zapier changes its grids often; check its pricing page before you pick a plan.
02How many tasks does a LaunchBay Zap use?
One per successful action, per run. The trigger costs nothing, and an action that fails is not counted. A Zap that only creates a task in LaunchBay uses one task each time a form arrives. A Zap that creates a project and then its first task uses two. A Zap built on Task Status Change that edits the same task can loop on itself, and that is the fastest way to empty a monthly allowance. Count your actions before you publish.
03Do LaunchBay triggers work in real time?
Yes. All eight LaunchBay triggers are instant: LaunchBay tells Zapier the moment the event happens, so the Zap starts right away. The plan interval, 15 minutes on Free down to 1 minute on Team and Enterprise, only applies to polling triggers, and LaunchBay has none. In practice the free plan reacts as fast as the paid ones on this app. In the editor, a Zap built on an instant trigger shows a lightning bolt.
04What does it take to connect LaunchBay to Zapier?
A LaunchBay account, and access to any project you do not own but want the Zap to touch. On the Zapier side you open Apps, click + Add connection, pick LaunchBay, sign in in the tab that opens and grant access. The connection is saved once and reused by every Zap. Some actions also expect things to exist already: Create Task needs an existing project, and Form Submission needs at least one form to watch.
05Why does Create Task fail to find the project?
Because it looks for the project by name, and that name is case sensitive. If the project is called Client Onboarding and the Zap sends client onboarding, LaunchBay finds nothing and the step fails. The safest fix is to map the name from an earlier step, such as Create Project in the same Zap, instead of typing it. Edit Task follows the same rule, for the project name and for the task title.
06What if the LaunchBay operation you want is not on Zapier?
Then it is simply not available through this integration. LaunchBay offers 8 triggers and 7 actions on Zapier, with no delete action, no search step and no trigger for a brand new project. Sometimes a combination does the job: Find Project followed by Create Note, or Task Status Change in place of a missing completion trigger. If no combination works, the operation is simply missing from Zapier for now. A filter can still narrow a broad trigger such as Client Added or Updated, but it makes the Zap multi-step.
07Zapier, Make or n8n for LaunchBay?
It depends on criteria, not on a winner. Zapier is ready today with 8 instant triggers and 7 actions, and its free plan covers two-step Zaps. The question for Make or n8n is first whether they offer a LaunchBay integration at all, and with which operations; then how they bill each run.
