Overview

What the LeadSquared Zapier integration is for

LeadSquared is a CRM and marketing automation tool that lines up sales and marketing work for small and mid-sized businesses. Connected to Zapier, it can start an automation when a lead appears, changes or moves stage, and it can receive leads, tasks and activities from your other apps without retyping.

Three outcomes people build first. A follow-up that never gets forgotten: New Lead fires, Create Task on Lead hands someone a task with a subject on that lead. Leads that arrive from everywhere else: a form, a sheet or a signup in another tool feeds Create or Update Lead, which matches on email address so you do not stack duplicates. A pipeline that talks to the rest of the team: Lead Stage Changed pushes each move from one stage to another into whatever tool your team reads.

Now, what the integration does not do. There is no delete action, and no way to send an email campaign from a Zap: the actions create or update leads, tasks and activities, nothing more. The four searches read existing data so a later step can use it; they do not change anything. And a Zap never catches up on leads created before you switched it on.

Zap
The automation you build on Zapier: one trigger, then one or more actions that run each time the trigger event happens.
Trigger
The event in an app that starts the Zap. Once the Zap is on, Zapier waits for that event and reacts to nothing else.
Action
What the Zap does once it has started: the step that creates, updates or sends something for you in an app.
Task
The unit Zapier bills: one action that completes successfully. Your plan's allowance is simply a count of those.
Polling vs instant
Polling: Zapier asks the app for news on a timer. Instant: the app calls Zapier itself the moment the event happens.
Filter
A step that lets the Zap continue only when the incoming data meets a condition you set, and halts it otherwise.
Search step
A step that looks up something already in an app, such as a lead, so the steps after it can use what it found.
Multi-step Zap
Any Zap beyond one trigger and one action. A second action, a filter or a search turns it into one, and it needs a paid plan.

The trigger itself never costs a task, and neither does Zapier waiting for LeadSquared to call. Each action that succeeds counts as one task; an action that fails is not counted. The free plan gives 100 tasks a month and unlimited Zaps, but each Zap holds two steps: one trigger, one action. Add a filter, a search such as Find Lead or a second action, and the Zap becomes multi-step, which needs a paid plan. The interval grid below only concerns polling triggers; LeadSquared has none.

Connect LeadSquared to Zapier in three steps

    Go to Apps

    In Zapier, open Apps and click + Add connection. That connection is your LeadSquared account linked once, then reused by every Zap that touches LeadSquared.

    Pick LeadSquared

    Search for LeadSquared in the dialog, select it and click Add connection. A new browser tab then opens, where LeadSquared asks you to identify yourself.

    Sign in and grant access

    Log in to LeadSquared in that tab and allow Zapier into the account. You need your own LeadSquared account, plus access to any leads or records owned by others that the Zap should touch.

    Build: set the trigger

    Create a Zap, choose LeadSquared as the app and Landing Page Submission as the event, then pick the LeadSquared connection you just added.

    Test it on a real entry

    Run the test. Zapier fetches the three most recent submissions from your account, so you map fields on a real lead instead of an empty template.

    Add a filter

    Click the plus icon, choose Filter and fill the three boxes: field, rule, value. Use a text rule on text and a number rule on numbers, or the filter never passes.

    Add the task

    Add Create Task on Lead. Map the lead ID from the trigger, choose the owner and write a subject: all three are required.

    Test, then publish

    Test the action once and check the task in LeadSquared. Then click Publish. With the filter, this is a multi-step Zap and needs a paid plan.

When to use it
leads come from forms or sheets outside LeadSquared and you want one clean record per person.
Watch out
the match runs on email address, so a lead sent without one cannot be matched to an existing contact.

Adds a task on a lead and assigns it to a user, so the next move on that lead lands on someone's list.

When to use it
a new lead or a stage change calls for a follow-up by a named person.
Watch out
owner, lead ID and subject are required; when the trigger does not carry the lead ID, put a Find Lead step before it.

4 search steps look for data that already exists in LeadSquared, so a later step can use it.

A search step reads something already in LeadSquared and hands it to the next steps. In the editor, the four searches sit at the bottom of the Action event list, under SEARCH. LeadSquared exposes no find-or-create variant: none of its searches can create the missing item for you.

Pulls the full details of one activity from its activity ID, so a later step can use fields the trigger did not carry.

When to use it
a Zap started by New Activity for Lead needs more about that activity before writing it elsewhere.
Watch out
the activity ID is required, so an earlier step has to supply it.

Looks up a LeadSquared user, either by email or by user ID, and returns who that person is in the account.

When to use it
a task must go to a given salesperson and you only have their email address from another tool.
Watch out
you set both the search key and the value, and both are required.

Find Lead

Search

In Zapier“Find an existing lead using email address or lead ID.”

Finds an existing lead from an email address or a lead ID, and hands back the record so the following steps can act on it.

When to use it
before Create Task on Lead, when the trigger only gives you an email and the task needs the lead ID.
Watch out
with the default setting, a lead that is not found stops the Zap at this step.

Find Lead (New)

Search

In Zapier“Find Lead in LeadSquared by Schema Names.”

Searches leads on any field you name by its schema name, then compares it with the value you give, which reaches further than email or ID.

When to use it
your other tool knows a lead by another field than its email or its lead ID.
Watch out
the schema name and the value are both required, and the schema name is LeadSquared's internal field name.

The three settings every search exposes

  1. Successful if no search results are found?
    Left on its default, a search that finds nothing stops the Zap there and the dependent steps are skipped. Switch it on and the Zap carries on empty-handed.
  2. Create X if it doesn't exist yet?
    This box turns a search into a find-or-create. None of the LeadSquared searches offers it, so a missing lead has to be created by a separate action.
  3. If multiple search results are found?
    Three ways out when several items match: keep the first one, which is the default, stop the Zap, or pass all of them on at once.
When it breaks

When a LeadSquared Zap breaks

Zapier links no help article to LeadSquared, so the cases below are the general ones that hit any Zap. With five instant triggers and required fields everywhere, they come up quickly.

Most of these failures are silent: no red banner, just a Zap that does less, or more, than you expected. If a Zap still misbehaves, see our Zapier troubleshooting guide.

  • Old leads never come through

    A Zap only reacts to what happens after you switch it on. Leads, stage changes and submissions from before stay where they are; moving them is a separate job.
  • The update loop

    An Updated Lead Zap that writes back to the same lead sets itself off again and again, and burns through your task count fast.
  • A bulk import gets held back

    When a trigger suddenly returns a huge batch, after a bulk import or a migration, Zapier's flood protection can hold it back before anything runs.
  • A required field is left empty

    Owner, lead ID, product, stages: many LeadSquared steps refuse to run without them. Map each required field from an earlier step or a search.

LeadSquared Zapier integration: questions people ask

01Is the LeadSquared Zapier integration free?
Yes. LeadSquared is not a premium app, so it works on Zapier's free plan, which gives 100 tasks a month and unlimited Zaps. The catch is the two-step limit: on the free plan a Zap holds one trigger and one action, nothing more. New Lead followed by Create Task on Lead fits. Add a Find Lead search, a filter or a second action and the Zap turns multi-step, which needs a paid plan. Prices are not quoted here because they change too often.
02How many tasks does a LeadSquared Zap use?
One task for each action that succeeds, and nothing for the trigger. A Zap that creates a task on every new lead costs one task per lead. A Zap that also posts an activity costs two. Actions that fail are not counted, and Zapier waiting for LeadSquared to report a new lead costs nothing at all. Keep an eye on the Updated Lead trigger: it fires on any field change, so the count can climb faster than the number of new leads.
03Is LeadSquared real time on Zapier?
Yes, for all five triggers. LeadSquared tells Zapier the moment a lead is created, updated, changes stage, gets an activity or comes in through a landing page, so the Zap starts right away. The polling interval grid of the plans does not apply, which means a free plan gets the same speed as Enterprise here. The type is set by LeadSquared's own setup and cannot be switched in the editor. In the Zap editor, these Zaps show a lightning bolt.
04What does it take to connect LeadSquared to Zapier?
A LeadSquared account of your own, and access to any records owned by others that the Zap should touch. In Zapier, open Apps, click + Add connection, search for LeadSquared and confirm with Add connection, then sign in to LeadSquared in the new tab and grant access. The connection is then reused by every LeadSquared Zap. Before building, check that the products, users, stages and activity types your steps will need already exist in the account.
05Why does Lead Stage Changed not fire for every stage move?
Because the trigger asks for two required settings, From Stage and To Stage, and fires only on that exact transition. A Zap set to watch one move ignores every other move. To react to several transitions, you build one Zap per move you care about. The Updated Lead trigger is the alternative when any change should count, but it also fires on edits that have nothing to do with stages, so a filter usually follows it.
06What if the LeadSquared action you need is not available?
Then this integration does not cover it as it stands. Zapier offers four LeadSquared actions, all about creating or updating leads, tasks and activities, plus four searches that only read. There is no delete action, for instance. A filter or a search can reshape what reaches those actions, but it cannot add a new one. For anything beyond that list, the request has to go to LeadSquared, or the job has to run through another automation route.
07Zapier, Make or n8n for LeadSquared?
It depends on your criteria rather than on any ranking. Zapier is quick to learn, and the instant triggers mean even the free plan reacts straight away, as long as each Zap stays at two steps. Once you chain searches, filters and several actions, the task count and the paid plan become the main cost. Make and n8n bill and structure multi-step work differently, so weigh them on your volume, the steps you need and who will maintain the workflows.
