What the LearnDash Zapier integration actually does

LearnDash is a learning management plugin for WordPress: courses, lessons, quizzes and groups of learners on your own site. With Zapier, it reports progress the moment it happens and accepts changes to who can access what. A learner's progress can start an automation, and an automation can enroll or remove a learner by email.

Three results worth building first. A learning path that moves on its own: when Course Completed fires, Add to Group puts the learner in the group for the next stage, with nobody watching the dashboard. Access that follows the sale: a purchase or sign-up recorded in another app enrolls the buyer with Enroll Into Course, and a cancellation can run Remove From Course just as fast. Progress where your team reads it: Quiz Taken or Lesson Completed sends each event to a spreadsheet or a message, so whoever follows the learners sees it without logging in to WordPress.

What Zapier does not do for LearnDash is worth knowing upfront. There is no search, so a Zap cannot look up a learner, a course or a group before acting; every action identifies the learner by email only. There is no action to create a course, a lesson or a user. And the triggers only cover progress and enrollment events, not changes to course content.

The eight LearnDash triggers never cost a task. Each action that succeeds counts once: a learner added to a group, enrolled, or removed. A failed action is not counted. The interval grid below only concerns polling triggers, which LearnDash does not have, so a free-plan Zap starts as fast as a paid one. The real free-plan limit is size: two steps, one trigger and one action. A filter or a second action makes the Zap multi-step, which needs a paid plan.

    Add LearnDash from your apps

    In your Zapier account, open Apps and click + Add connection. Search for LearnDash in the dialog and select it. You do this once; every LearnDash step in every Zap reuses the connection.

First Zap

Your first Zap: send learners to the next group when they finish a course

    Pick the trigger

    Start a new Zap from your Zapier account. Choose LearnDash as the app, Course Completed as the event, and select your LearnDash connection.

    Test with real completions

    Run the test. Zapier brings back the three most recent completions of the connected site, so you map the next steps on a real learner, email included.

    Add the filter

When it breaks

When a LearnDash Zap breaks

Zapier publishes no help article and no rate limit specific to LearnDash. The failures below are the general ones, sharpened by an app whose triggers fire instantly and whose actions rely on one email.

Four cases come back most. They rarely show while you build; they appear once real learners go through. If a run fails and the cause is unclear, start from our Zapier troubleshooting page.

  • The Zap feeds itself

    Enrolled Into a Course plus Enroll Into Course, or Enrolled Into a Group plus Add to Group, on the same site: each run creates the event the trigger listens for, and tasks burn fast.
  • The email does not match

    Every action finds the learner by User Email only. An address typed differently in the source app leaves the action with no one to enroll or remove.
  • Past learners never arrive

    A Zap only reacts to what happens after it is switched on. Courses completed or enrollments made before stay out; moving that history is a separate job.
  • A bulk change gets held back

    If a large batch of events arrives at once, after a bulk enrollment or a migration, Zapier's flood protection can hold those items back instead of running the Zap for each.

01Is the LearnDash Zapier integration free?
Yes, on Zapier's side. LearnDash is not a premium app, so its eight triggers and four actions work on the free plan, with 100 tasks per month and unlimited Zaps. The limit is the Zap's size: two steps only, one trigger and one action. Moving a learner to a group when a course is completed fits. Adding a filter to target one course, or a second action, makes the Zap multi-step, which needs a paid plan.
02How many tasks does a LearnDash Zap use?
One per successful action. The eight triggers are free, whatever their volume. Each learner enrolled, added to a group or removed counts once, and an action that fails is not counted. Watch the busy triggers: Lesson Completed, Topic Completed and Quiz Taken fire far more often than Course Completed, so an action after them consumes tasks at the same pace. A filter in front keeps the count down, since stopped runs cost nothing.
03Is LearnDash real time with Zapier?
Yes. All eight LearnDash triggers are instant triggers: your LearnDash site tells Zapier the moment a course is completed, a quiz is taken or a learner is enrolled, and the Zap starts straight away. That holds on every plan, including Free, because the interval grid only applies to polling triggers. A Zap built on an instant trigger shows a lightning bolt in the editor. The type is set on LearnDash's side and cannot be changed.
04What does connecting LearnDash to Zapier require?
A LearnDash site and an account on it, with the rights to manage course and group access if you plan to use the actions. The connection is made once: Apps page of your Zapier account, + Add connection, search for LearnDash, sign in in the tab that opens, then grant access. Every LearnDash step afterwards can pick it from its account menu. Triggers only need to see the progress they report.
05Why does Enroll Into Course not find the learner?
Because the email does not match. Enroll Into Course, like every LearnDash action on Zapier, identifies the learner by User Email and nothing else. If the source app carries a different address, or a typo, the action has no one to enroll. Note also the New User Email field: filling it replaces the learner's address with the new one, which is useful on purpose and painful by accident. Check the mapping before you publish.
06What if the LearnDash operation you are after is not in Zapier?
Then it is not available on Zapier for now. LearnDash offers eight triggers on progress and enrollment, and four actions that enroll or remove learners from courses and groups. There is no search, no course or user creation, no trigger on content changes. Asking LearnDash whether it plans to extend its Zapier app is the cleanest route. Meanwhile, those tasks stay in WordPress, or go through another automation tool if LearnDash exposes them there.
07Zapier, Make or n8n for LearnDash?
