What the Legito Zapier integration does for you

Legito builds documents without code, for teams such as legal, HR, sales or procurement. The integration plugs that document base into your other tools: Zapier spots new documents, versions, templates and users, and can create records, attach files, share documents or set permissions in Legito in return.

Three outcomes people build. Automatic sharing: when Get Document Records spots a new record, Share Document to User gives the right colleague access, with a filter so only the records you care about go out. Accounts set up once: a new hire added in another tool goes through Create User, then Set Permission to Template Suite Category opens the templates that person needs. Final versions filed away: Get Document Versions watches one document, and the Download Document Version search fetches each new version in the format you choose for your storage.

What Zapier does not do here: all eight triggers are polling ones, so nothing is instant, and on the free plan Zapier checks every 15 minutes. Several names exist twice, once as a trigger and once as a search, which is easy to mix up. Nothing created before a Zap was switched on is picked up. A trigger never costs a task, and Zapier checking Legito for new items costs nothing however often it looks. Each action that succeeds counts once; a failed one does not. The free plan gives you 100 tasks a month and Zaps of two steps. Legito is not a premium app, so it works there. Many useful Legito flows need a search before an action, though, and a search makes the Zap multi-step, which means a paid plan. The grid below sets how fast the eight triggers notice something new.

    In your Zapier account, go to the Apps page and click + Add connection. A dialog opens with a search box: type Legito and pick it from the list that appears.

    Sign in to Legito

    Click Add connection. A new tab opens on Legito. Sign in with an account that can see the documents, templates and users your Zaps will need to touch.

    Grant Zapier access

    Approve the access Zapier asks for. The connection then appears under Apps, and all 33 Legito operations reuse it. Documents you do not own yourself need read or write access on your account.

First Zap

Your first Zap: share each new document

GoalWhen a new document record appears in Legito, share it with a chosen colleague, but only when the record passes a filter you define.

    Pick the trigger

    Start a new Zap, choose Legito as the app that starts it and Get Document Records as the event, the trigger, not the search of the same name.

    Test it on real records

    Run the test. Zapier brings back the three most recent document records of your account, so you map the next steps on a real one instead of a guess.

    Add the filter

    Click the plus icon, add Filter and fill its three boxes: the field to look at, the rule, the value to compare. Use a text rule on text and a number rule on numbers.

    Add the share step

    Pick Legito and Share Document to User, map the document record from the trigger, type the user email and choose the permission. Test it once on your own address.

When to use it
when an account must be opened in Legito each time someone joins a team listed in another tool.

to clear an attachment that was replaced, once the new one is safely uploaded with Create File.

Legito searches

10 search steps look for data that already exists in Legito, so a later step can use it.

A search step looks up something that already exists in Legito and hands it to the next steps. In the editor, Legito searches sit at the bottom of the Action event list, under the SEARCH heading. Each one makes the Zap multi-step. Three settings decide what happens when a search does not find exactly one thing. Left on its default, a search that finds nothing stops the Zap there; switch on Successful if no search results are found? and the Zap carries on empty-handed. If multiple search results are found? keeps the first match by default, or can stop the Zap, or hand all matches on. The third box, Create X if it doesn't exist yet?, turns a search into a find-or-create, but Legito offers no such variant, so you will not see it here.

Fetches the file of a document version in the format you ask for, so the next step can store or send it.

When to use it
after Get Document Versions, to file every new version of a contract in your storage.
Watch out
Document version code and Format are both mandatory.

The three settings every search exposes

  1. Successful if no search results are found?
    Left on its default, a search that finds nothing stops the Zap there and skips the steps that needed it. Switched on, the Zap carries on empty-handed.
  2. Create X if it doesn't exist yet?
    On apps that offer it, this box turns the search into a find-or-create. Legito offers no such variant, so you will not see it on these searches.
  3. If multiple search results are found?
    Three ways out when several items match: keep the first one, which is the default, stop the Zap, or hand all of them on at once.
When it breaks

When a Legito Zap breaks

Four failures to know before your document flow depends on Zapier.

Zapier attaches no help article to Legito and no limit specific to the app is documented, so the cases below come from how Zapier itself works and from the fields Legito requires. When one of them bites, start with the Zapier troubleshooting page.

  • A Zap that triggers itself

    Create Document Record under Get Document Records, or Create User under Get Users, writes where the trigger watches. The Zap restarts again and again and burns tasks.
  • Empty dropdowns, step impossible to set

    Document record, User, Object and the like are mandatory. If the connected account cannot see them, the step cannot be filled in.
  • Older documents are not picked up

    A Zap only reacts to what happens after it is switched on. Records and versions created before stay out; moving them is a separate job.
  • A bulk import gets held back

    If a trigger suddenly returns a huge batch, after a migration for instance, Zapier's flood protection can hold it back. Each item still starts the Zap only once.

01Is the Legito Zapier integration free?
Yes, within the free plan. Legito is not a premium app, so its 33 operations are available without paying. The free plan gives you 100 tasks a month, Zaps of two steps and a check every 15 minutes on polling triggers. One trigger plus one action, such as sharing each new document record, fits. Many Legito flows need a search or a filter, though, and either one makes the Zap multi-step, which needs a paid plan. No price is quoted here, because plan grids change too often.
02How many tasks does a Legito Zap use?
One per successful action, and nothing for the trigger. Zapier checking Legito for new records or users costs nothing, however often it looks. A Zap that shares every new document spends one task per document. An onboarding Zap that creates a user, then sets basic permissions, then opens a template category, spends three per newcomer. A failed action is not billed. To estimate a month, count the events that pass your triggers and multiply by the actions behind each one.
03Does Legito reach Zapier in real time?
No. All eight Legito triggers are polling triggers: Zapier asks Legito for new items at a fixed interval and keeps only what it has not seen before. On Free that check happens every 15 minutes, on Professional every 2 minutes, and every minute on Team and Enterprise. Paid plans can also run a check by hand from the editor. Actions and searches, on the other hand, run as soon as the trigger hands them something, so only the start of the Zap waits.
04What does connecting Legito to Zapier require?
A Legito account and a Zapier account. From the Apps page of Zapier, you add a connection, pick Legito, sign in on the tab that opens and grant Zapier access. The account matters more than usual: most actions ask you to pick a document record, a user or an object, and they are mandatory. If the connected account cannot see them, or lacks read or write access on what it does not own, the dropdowns stay empty. Connect with an account that has the access your Zaps need.
05Why do some Legito operations appear twice?
Because Get Document Records, Get Document Versions, Get Objects and Get Users exist both as a trigger and as a search. The trigger reacts to something new and starts a Zap; the search looks up what already exists in the middle of one. In the editor, triggers are offered when you choose the event that starts the Zap, while searches sit at the bottom of the action list, under the SEARCH heading. Picking the wrong one is a common reason a Zap never starts or never finds anything.
06What if the Legito operation you need is not there?
Then this integration cannot do it directly. On Zapier, Legito offers 33 operations, but only one removes anything, Delete External File, and there is no find-or-create variant. A gap can sometimes be filled by chaining a search and an action, for example Get Document Records followed by Update Document Record. Anything outside that list stays manual. Check the Legito page on Zapier again later, since this page reflects what it listed when it was read.
07Zapier, Make or n8n for Legito?
It comes down to criteria, not to a winner. On Zapier, Legito has a large set of 33 operations on the free plan, but every trigger is polled and most real flows need several steps, which means a paid plan. Legito also exists on Make, which has its own page on this site, and comparing the two on the operations you need and on what each step costs is the sound way to decide. Whether n8n carries Legito is not covered here.
