Overview

What the Loanstack Zapier integration really does

Loanstack is where a lender keeps the day-to-day of its book: who borrows, what was lent, what came back, the paperwork and the chasing of late payers. The Zapier integration, still in beta, links it to the rest of your tools in both directions. Loanstack can start a Zap when a lifecycle event you pick occurs, and other apps can create records in Loanstack or look them up, without anyone retyping figures.

Payments booked once. A payment noted in your spreadsheet goes through Find Loan to locate the loan by its reference, then Record Payment books and allocates it. No second entry in Loanstack.

New borrowers ready for a draft. Create Borrower followed by Create Draft Loan turns an application gathered elsewhere into a borrower plus a draft loan, while approval and activation stay in Loanstack's hands.

Events your team hears about. New Loanstack Event is instant, so the event you selected reaches your inbox or chat as soon as Loanstack reports it, even on the free plan.

What Zapier doesn't do here: it can't update or delete a borrower or a loan, since no action does that. It has no step for documents, even though Loanstack manages them. And Create Draft Loan stops at the draft: approving it is done in Loanstack. Before you build, compare tools in our n8n vs Zapier breakdown, or get help from our Zapier agency.

Vocabulary

Zapier words in one minute

Eight terms you'll meet in the editor, in plain English.

Zap
The automation you build: one trigger, then one or more actions that run every time the trigger event happens.
Trigger
The event in an app that starts the Zap. Loanstack offers one, which fires on the lifecycle event you choose.
Action
What the Zap does once started: the step that writes something for you, such as recording a payment in Loanstack.
Task
The unit Zapier bills: one action your Zap completes successfully. Your plan's monthly count is a count of those.
Instant vs polling
Instant: the app calls Zapier the moment the event happens. Polling: Zapier checks the app on a timer. Loanstack's trigger is instant.
Filter
A step that lets the Zap carry on only when the incoming data meets your condition, and stops it otherwise.
Search step
A step that looks up something already in an app, like a loan or a borrower, so the next steps can use what it found.
Multi-step Zap
Any Zap beyond one trigger and one action. A search, a filter or a second action makes it one, and it needs a paid plan.
Cost

What it really costs

Loanstack isn't a premium app, so it works on the free plan. Zapier bills tasks, and a trigger is never one.

  • Premium appNo
  • Free plan100 tasks a month
  • Free plan Zap size2 steps
  • Cost of the trigger0 tasks

New Loanstack Event costs nothing. Each Loanstack action that succeeds counts as one task, and one that fails isn't counted. The free plan gives you 100 tasks a month and Zaps of two steps. A search such as Find Loan, a filter or a second action makes the Zap multi-step, which needs a paid plan. The interval grid below is for polling triggers; it doesn't apply to Loanstack's only trigger, which is instant.

Connect

Connect Loanstack to Zapier

  1. 01

    Open the Apps page

In your Zapier account, open the Apps page and click + Add connection. Have your Loanstack access ready, plus rights on any borrowers and loans you don't own but want the Zap to touch.

  2. 02

    Pick Loanstack

Type Loanstack in the search box of the dialog, select it and click Add connection. A new tab opens on the Loanstack side, which is where you actually sign in.

  3. 03

    Sign in and grant access

Sign in to Loanstack in that tab and allow Zapier to use the account. The connection then appears in your list, reused by every Loanstack step in every Zap.

First Zap

Your first Zap: a running log of the Loanstack events that matter

GoalEach time the Loanstack event you select happens and meets your condition, a row lands in your spreadsheet, ready to sort and count.

  1. 01

    Build: start with Loanstack

Start a new Zap, pick Loanstack and New Loanstack Event, then fill the required Event field with the lifecycle moment you want to track.

  2. 02

    Test the trigger

Run the test. Zapier brings back the three most recent items of the connected account, so pick a real one to map the next steps from.

  3. 03

    Add the filter

Add a Filter step from the plus icon and set its three boxes: the field to look at, the rule, the value. A number rule only works on numbers. This makes the Zap multi-step, so a paid plan is needed.

  4. 04

    Add the spreadsheet step

Choose your spreadsheet app and its create-row action, then map the event's values into the columns you want to keep. Test the step once and read what came back.

  5. 05

    Publish

Click Publish to switch the Zap on. From then on, every matching event adds a row as soon as Loanstack reports it. Earlier events are not replayed.

Triggers

Loanstack trigger

1 event starts a Zap when something happens in Loanstack, and one of them is instant: the app calls Zapier straight away, whatever your plan.

1

New Loanstack Event

Instant trigger

In Zapier“Triggers when the selected Loanstack lifecycle event occurs.”

Starts your Zap when the Loanstack lifecycle event you selected takes place, and hands its details to the steps after it. One trigger covers the whole lifecycle: you choose which moment matters when you set it up, and build a separate Zap for each moment you care about.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan.
When to use it
your team should hear about a given step in a loan's life without keeping Loanstack open all day.
Watch out
the Event field is required, so the trigger does nothing until you pick one.
Actions

Loanstack actions

Loanstack gives you 6 actions. For each one: what it does for you, when to reach for it, and what to watch out for.

1

Activate Loan

Action

In Zapier“Activates a draft loan, locks its terms, posts its opening ledger entries and generates its repayment schedule.”

Turns a draft loan into a live one: its terms are locked, the opening ledger entries are posted and the repayment schedule is generated.

When to use it
a draft has been approved and you want activation triggered from your own process.
Watch out
this is a financial operation you must confirm explicitly, and the missing-agreement override is reserved to an owner or administrator.
2

Create Borrower

Action

In Zapier“Creates a tenant-owned borrower in Loanstack.”

Adds a borrower to your Loanstack organisation from details another app collected, so the person exists before any loan is drafted.

When to use it
an application lands in another tool and the borrower should appear in Loanstack without manual entry.
Watch out
besides the display name, the country code is mandatory and must be the two-letter ISO code, not a country name.
3

Create Collection Case

Action

In Zapier“Opens an auditable collection case for an active Loanstack loan.”

Opens a collection case on an active loan, with an audit trail from the first line. The reason you give is stored in the case's opening activity.

When to use it
a decision to start recovery is taken elsewhere and the case should exist in Loanstack straight after.
Watch out
the loan must be active, and priority and reason are both required.
4

Create Draft Loan

Action

In Zapier“Creates a draft loan; approval and activation remain controlled in Loanstack.”

Prepares a loan in draft for an existing borrower, with its amount, rate and repayment plan; approval and activation stay in Loanstack.

When to use it
right after Create Borrower, to have the draft waiting for review.
Watch out
amounts are in minor units and the rate in basis points: for GBP, £100.00 is 10000, and 7.5% is 750.
5

Log Collection Activity

Action

In Zapier“Adds an auditable activity to a Loanstack collection case.”

Adds an entry to an existing collection case, so every contact or step taken on that case leaves an auditable trace in Loanstack.

When to use it
follow-up happens in another tool and the case history in Loanstack should stay complete.
Watch out
the case itself is required, so it has to exist before you log anything on it.
6

Record Payment

Action

In Zapier“Records and allocates an idempotent payment against a Loanstack loan.”

Books a payment against a Loanstack loan and allocates it. It is built so that the same payment sent twice is only booked once.

When to use it
payments are noted in another tool and should reach the right loan without retyping.
Watch out
the amount is in minor units, and the loan must be given by its 26-character ID or its exact reference.
Searches

Loanstack searches

2 search steps look for data that already exists in Loanstack, so a later step can use it.

A search step looks up a borrower or a loan that already exists, so the next steps act on the right record. Loanstack's searches sit at the bottom of the action-event list, under the SEARCH heading. Three settings decide what happens when the result isn't a clean single match.

1

Find Borrower

Search

In Zapier“Finds a tenant-owned borrower by Loanstack ID, name or email.”

Locates a borrower in your organisation by Loanstack ID, email address or name, and hands that borrower to the following steps.

When to use it
before Create Draft Loan, to attach the loan to a borrower who is already on file.
Watch out
a name search can match several people; check what the multiple-results setting does.
2

Find Loan

Search

In Zapier“Finds a tenant-owned loan by its Loanstack ID or exact reference.”

Retrieves one loan from its 26-character Loanstack ID or its exact reference, such as LS-2608-ABC12345, so a payment or a case lands on it.

When to use it
ahead of Record Payment, when your source only knows the loan's reference.
Watch out
it takes the exact reference; a near match finds nothing.

The three settings every search exposes

  1. Successful if no search results are found?
Left on its default, a search that finds nothing stops the Zap there and the steps that depend on it are skipped. Switched on, the Zap carries on empty-handed.
  2. Create X if it doesn't exist yet?
Ticking it turns a search into a find-or-create. Loanstack offers no such variant, so with this app a missing record simply isn't created.
  3. If multiple search results are found?
Three ways out when several records match: keep the first one, which is the default, stop the Zap, or pass all of them on at once.
When it breaks

When it breaks

Zapier attaches no help article to Loanstack, so the cases below come from how Zapier itself behaves.

Four situations explain most surprises. None of them shows while you build; they appear once the Zap runs on its own. For a step-by-step method, see our Zapier troubleshooting guide.

  • Past events never come through

A Zap only reacts to what happens after you switch it on. Loans and payments already in Loanstack aren't replayed; moving that history is a separate job.
  • A Zap that keeps setting itself off

If a Zap started by a Loanstack event writes back into Loanstack and causes that same event, it fires again and again and eats your task count.
  • Bulk imports held back

When a trigger suddenly returns a huge batch, after an import or a migration, Zapier's flood protection can hold those items back instead of running each one.
  • Nothing found, nothing done

If Find Loan or Find Borrower comes back empty with the default setting, the Zap stops there and the payment or loan after it is never recorded.

FAQ

Loanstack Zapier integration: FAQ

01Is the Loanstack Zapier integration free?
Yes, Loanstack isn't a premium app, so it works on Zapier's free plan. That plan gives you 100 tasks a month and Zaps of two steps, one trigger and one action. The catch: put a search in front of an action, such as Find Loan before Record Payment, and the Zap becomes multi-step, which needs a paid plan. A plain two-step Zap, like a Loanstack event sending an email, stays free.
02How many tasks does a Loanstack Zap use?
One per Loanstack action that succeeds. New Loanstack Event costs nothing, and a failed action isn't counted against your plan. In a Zap with several actions, each one that succeeds counts on its own: Create Borrower followed by Create Draft Loan uses two tasks per application. Searches like Find Loan sit in the same Zap, but the billed unit stays the completed action. Plan your volume on the number of actions per run, not on the number of Zaps.
03Does Loanstack trigger Zaps in real time?
Yes. New Loanstack Event is an instant trigger: Loanstack tells Zapier the moment the selected event happens, so the Zap starts right away, whatever your plan. The interval grid that slows polling triggers on the free plan doesn't apply. Loanstack itself decides this, and it can't be changed in the editor; you'll see a lightning bolt on the trigger step. Actions and searches run as soon as the trigger has fired.
04What do you need to connect Loanstack?
A Loanstack account you can sign in to, with rights on the borrowers and loans the Zap will read or write. From the Apps page, click + Add connection, search for Loanstack, click Add connection, sign in in the tab that opens and grant access. If you plan to use the missing-agreement override on Activate Loan, the credentials must belong to an organisation owner or administrator. The connection is then reused by every Loanstack step.
05Why are Loanstack amounts wrong after a Zap runs?
Check the units first. Create Draft Loan and Record Payment take amounts in minor units, so for GBP, 100.00 pounds is entered as 10000. Create Draft Loan also takes the interest rate in basis points: 7.5% becomes 750. If your source app sends pounds or percentages as they are, the figures land a hundred times too small. Convert the value in your source app before mapping it into Loanstack, then test the step once.
06What if the Loanstack operation you want isn't there?
Then this integration can't do it. Zapier lists one trigger, six actions and two searches for Loanstack. There is no action to update or delete a borrower or a loan, none for documents, and Create Draft Loan never approves the draft. Check the Loanstack page on Zapier before designing a workflow around a missing step: its list is the one the editor shows. The app is still in beta, so that list is worth checking again before each new build.
07Zapier, Make or n8n for Loanstack?
Judge it by criteria, not by brand. On Zapier the integration is ready-made, starts free and covers the core lending steps: borrowers, draft loans, activation, payments and collections. Make or n8n make sense if you need what it lacks, such as updating records, but check first whether they connect to Loanstack at all. Then compare how each tool bills runs, especially once a search or a second action makes a Zap multi-step, and who will maintain the automation over time.
