What the Mailcastr Zapier integration does

Mailcastr is an email tool that also runs a bot on your website to capture leads. In Zapier it offers one trigger, New Bot Response, which starts a Zap (an automation with one starting event and one or more steps after it) when a bot visitor reaches the goal you assigned. What happens next is up to the other apps in the Zap.

Three results people build with it. Leads that reach sales without copy and paste: each bot conversation that hits its goal becomes a lead in your CRM, so nobody exports the bot's answers by hand.

A ping the moment the goal is reached: since the trigger is instant, the Zap can post a message in your team chat as soon as the goal is reached, and someone can follow up while the interest is fresh. A running log of bot results: every completed goal adds a row to a shared spreadsheet, which gives marketing a simple record to sort and count.

What Zapier does not do here. Mailcastr has no action and no search in Zapier: a Zap cannot send a Mailcastr email, add a contact to it or look anything up in it. New Bot Response costs nothing on its own. Each action that succeeds after it counts as one task, and a failed action is not counted: one bot goal sent to a CRM costs one task, sent to a CRM and a chat it costs two. The free plan stops at two steps, one trigger and one action, so a second action or a filter needs a paid plan. The interval grid below is how often Zapier checks polling triggers on each plan; it does not apply to this Mailcastr trigger, which is instant.

    Run the test. Zapier brings back the three most recent bot responses from your account. Pick one of them, so you map the next steps on a real visitor.

    Add the CRM action

    Add your CRM as the action and map the values the bot collected into the lead fields. Test the step and check that the lead appears in the CRM.

When it breaks

When a Mailcastr Zap breaks

Zapier attaches no help article to Mailcastr and lists no limit of its own for it. The problems come from how Zaps behave in general.

  • Earlier bot leads are never sent

    A Zap only reacts to what happens after you switch it on. Goals reached before that stay in Mailcastr; moving them is a separate job.
  • A traffic spike gets held back

    If a campaign suddenly sends a huge batch of bot responses, Zapier's flood protection can hold that batch back instead of running it.
  • Each extra action doubles the bill

    Every action that succeeds is billed on its own: send each bot goal to a CRM and a chat, and every visitor costs two tasks instead of one.
  • A filter stops the free Zap

    Adding a filter, for example to keep only some bot answers, makes the Zap multi-step. On the free plan you cannot publish it.

01Is the Mailcastr Zapier integration free?
Yes, on the free plan, because Mailcastr is not a premium app. The free plan gives 100 tasks per month and unlimited Zaps, each limited to two steps: one trigger and one action. A Zap that sends each New Bot Response to your CRM fits inside that. Adding a second action, such as a team message, or a filter on the bot's answers makes the Zap multi-step, and that needs a paid plan.
02How many tasks does a Mailcastr Zap use?
Nothing for the trigger and one task for each action that succeeds after it. A Zap that creates a CRM lead from each bot goal uses one task per visitor who reaches the goal. If it also posts in your team chat, that is two tasks per visitor. Actions that fail are not counted. Over a month, your task count follows the number of visitors who complete the bot, not the number who open it.
03Does the Mailcastr trigger fire instantly?
Yes. New Bot Response is an instant trigger: Mailcastr tells Zapier as soon as a visitor reaches the bot goal, and the Zap starts right away. The plan intervals of 15 minutes on Free, 2 minutes on Professional and every minute on Team and Enterprise only concern polling triggers, so they do not slow this one down. Even on the free plan, your Zap reacts straight away. The type comes from the app and cannot be changed from the editor.
04What does it take to connect Mailcastr to Zapier?
A Mailcastr account and a Zapier account. Open the Apps page in Zapier, click + Add connection, search for Mailcastr, click Add connection, then sign in in the tab that opens and grant access. If the bot belongs to someone else on your team, you also need access to it. Testing the trigger brings back the three most recent bot responses, so you map the next steps on a real one.
05Why does a Mailcastr Zap ignore some bot conversations?
Because the trigger only fires when a visitor reaches the goal assigned to the bot. Conversations that stop before that point never reach Zapier, so they do not start the Zap and do not cost a task. Responses from before the Zap was switched on are not picked up either. If a goal you expected is missing, check that the visitor really completed it and that the Zap was published at that point.
06What if the Mailcastr operation you want is not there?
Zapier offers a single Mailcastr operation, the New Bot Response trigger, with no action and no search. A Zap therefore cannot send a Mailcastr email, add a subscriber or look up a contact inside Mailcastr. Everything it does happens in the other apps of the Zap. The useful question is where each bot lead should land: a CRM, a sheet or a team chat each take one action after New Bot Response, and that one-action Zap stays on the free plan. Since the trigger is instant, it starts right away on every plan.
07Zapier, Make or n8n for Mailcastr?
Choose by criteria rather than by a ranking. First, is there a ready-made Mailcastr step on the platform? On Zapier there is one, an instant trigger. Second, how is usage counted? Zapier bills each successful action as a task, so every bot goal sent on costs at least one. Third, in which direction must the data flow? On Zapier it only flows out of Mailcastr. On the free plan, one bot goal sent to one app fits the two-step limit.
