What the mailXpert Zapier integration actually does for you
Connecting mailXpert to Zapier means your newsletter tool stops being an island. A contact event in mailXpert (a new signup, an update, an unsubscribe, an open, a click) can start work in another app, and something that happens elsewhere can create, subscribe or unsubscribe a contact in mailXpert without anyone copying an address by hand.
A clean list fed from outside. Every time another app hands Zapier an email address, Create (Double-Opt-In)/Update a Contact files it in the contact list you chose and lets mailXpert send the confirmation request. If the address is already there, the contact gets updated instead of duplicated.
Follow-ups started by behaviour. Email Link Opened notices a click, and Add Contact to an Automation Flow puts that reader into a flow you built in mailXpert. The person who showed interest gets the next message; the rest of the list is left alone.
Opt-outs that travel. Contact Unsubscribed picks up every person who leaves, so the other tools that hold their address can be told too. The reverse also works: Unsubscribe a Contact takes someone off mailXpert when they ask somewhere else.
What Zapier does not do here: none of the triggers is instant, so every one of them waits for Zapier's next check. No operation sends or schedules a campaign, and none deletes a contact; those stay inside mailXpert. - Zap
- The automation you build: one trigger, then one or more actions that run each time the trigger event happens.
- Trigger
- The event in an app that starts your Zap. Once the Zap is on, Zapier waits for that event and nothing else.
- Action
- What the Zap does after it starts: the step that writes, sends or moves something in an app on your behalf.
- Task
- The unit Zapier bills. One action your Zap finishes successfully is one task; your plan counts those.
- Polling vs instant
- Polling: Zapier checks the app on a timer for new items. Instant: the app reports the event itself. mailXpert only polls.
- Filter
- A step that lets the Zap carry on only when what arrived matches the condition you set, and stops it otherwise.
- Search step
- A step that looks up something that already exists in an app, so the steps after it can use what it found.
- Connection
- Your mailXpert account linked to Zapier once, then reused by every step of every Zap that talks to mailXpert.
What it really costs to run mailXpert through Zapier
mailXpert is not a premium app, so it works from the free plan. The bill is counted in tasks, and only finished actions count.

The trigger never costs a task, and neither do Zapier's checks for new contacts or opens, however often they run. Each action that succeeds counts once, so a Zap with three actions uses three times more than a Zap with one. An action that fails is not billed. The free plan stops at two steps: add a filter, a search or a second action and you need a paid plan. All four mailXpert triggers poll, so the interval grid below applies to every one of them.
Connect your mailXpert account to Zapier

Open the Apps page
In your Zapier account, go to Apps and click + Add connection. You need an existing mailXpert account, plus access to any list you do not own yourself but want the Zap to touch.

Pick mailXpert
Type mailXpert in the search box of the dialog, select it, then click Add connection. A new browser tab opens on the mailXpert side, where the rest of the connection happens.

Sign in and grant access
Log in to mailXpert in that tab and allow Zapier to reach the account. The connection is saved once, and every later Zap that uses mailXpert picks it from a menu.
Your first mailXpert Zap, step by step
GoalWhen a subscriber clicks a link in one of your mailXpert emails, add that person to an automation flow you already built for warm readers.

Create the Zap
Start a new Zap and choose mailXpert as the app that starts it, with Email Link Opened as the event. Pick the connection you saved earlier.

Test the trigger
Run the trigger test. Zapier brings back the three most recent clicks from your account, so you map the next steps on a real one rather than a blank.

Narrow it with a filter
Add a Filter from the plus icon and fill its three boxes: the field to look at, the rule, the value. Only matching clicks go on. This makes the Zap multi-step, so it needs a paid plan.

Add the flow action
Add mailXpert again, pick Add Contact to an Automation Flow, choose the flow and map the email address from the trigger into the E-Mail field.

Test, then publish
Test the action once and check the contact landed in the flow inside mailXpert. Then click Publish to switch the Zap on; it only reacts to clicks that happen from now on.

4 events start a Zap when something happens in mailXpert. Zapier checks for them at the interval your plan allows.
Contact Unsubscribed

Each person who leaves one of your mailXpert lists starts the Zap, carrying that contact's details into the next step. It is the event to watch when other tools also store the address and should stop writing to it.
Contact Created/Updated

This one starts on two kinds of change: a brand new contact in mailXpert, or an existing one whose record was edited. Your Zap receives the contact as it now stands.
Email Link Opened

A click on a link inside one of your mailXpert emails is what starts this Zap. It is the event to watch when a click, not just an open, should start the follow-up.
Email Opened

Here the Zap starts whenever a recipient opens one of your mailXpert emails. You get the contact behind the open, ready to pass to whatever step comes next.

Add Contact to an Automation Flow

Puts a contact, identified by email address, into one of your mailXpert automation flows, so a sequence you built starts for that person.
Subscribe a Contact

Starts the double opt-in process for a contact, following the rules set on the contact list in mailXpert. The person receives the confirmation request that list is configured to send.
Unsubscribe a Contact

Takes a contact off your mailXpert mailings, identified by their email address. Use it to honour an opt-out that reached you through another channel.
Create (And Subscribe)/Update a Contact

Writes a contact into the list you pick, subscribed straight away with no confirmation email. When the address already exists, the record is updated instead.
Create (Double-Opt-In)/Update a Contact

Adds the person to your chosen list without subscribing them yet: double opt-in is on, so they have to confirm first. An existing address is updated rather than copied.
Create/Update a Contact and Add It to a Flow

Two jobs in one step: the contact is created or updated in the selected list, then dropped into the automation flow you pick. You set it up once instead of chaining two steps.
The mailXpert search
1 search step looks for data that already exists in mailXpert, so a later step can use it.
A search step looks something up before the next steps run. mailXpert has one, and three settings decide what happens when the lookup goes differently than planned.
Find a Contact

Looks up a contact by email address inside the contact list you select, and hands the record to the steps that follow.
The three settings every search exposes
- Successful if no search results are found?Left on its default, a search that finds nobody stops the Zap there and the dependent steps are skipped. Switch it on and the Zap carries on empty-handed.
- Create X if it doesn't exist yet?This box turns a search into a find-or-create. mailXpert does not offer that variant, so you will not see it on this search.
- If multiple search results are found?Three ways out when several items match: keep the first one (the default), stop the Zap, or pass all of them on at once.
When a mailXpert Zap breaks
Zapier lists no help article and no app-specific limit for mailXpert. What goes wrong comes from how Zapier itself works.
Four situations account for most surprises with this integration. None of them throws a dramatic error; they show up as missing contacts or a task count that climbs too fast. If one of them has you stuck, the Zapier troubleshooting page is the place to start.
Old contacts are never picked up
A Zap only reacts to what happens after you publish it. Subscribers, opens and clicks from before that moment stay where they are; moving the backlog is a separate job.The Zap keeps restarting itself
If the action writes back into what the trigger watches, such as updating a contact behind Contact Created/Updated, each write can set the Zap off again and eat tasks.A big batch is held back
