Overview

Why connect Maximizer CRM to Zapier

The Maximizer CRM Zapier integration lets your CRM talk to the other apps you use, through Zapier and without code. Maximizer CRM bundles sales, marketing and customer service in one place; Zapier lets events in it start work elsewhere, and lets other apps write leads, notes, tasks and opportunities back into it.

Three results people build first. Fresh leads that do not sit idle: a form or ad tool sends a person, Find Address Book Entry checks whether they already exist, and Create Lead Entry or Create Opportunity Entry files them. A follow-up nobody forgets: Date Notification for Opportunity fires when an opportunity reaches its notification date, and the Zap posts a reminder in your team chat. A support trail kept in one place: a ticket from your help desk becomes a case through Create Case, with the context added by Create Note.

What Zapier does not do here. None of the 20 actions deletes anything, so clean-ups stay manual in Maximizer CRM. The four instant triggers, the ones marked Via Webhook plus Opportunity Stage Changed, work only with Maximizer Cloud; on another edition you are left with the 14 polling triggers. And no trigger reaches back to records that existed before your Zap was published.

Zap
An automation you build in Zapier: one trigger, then one or more actions that run each time that trigger event happens.
Trigger
The event in an app that starts the Zap, like a new lead in Maximizer CRM. Once the Zap is on, Zapier waits for it.
Action
What the Zap does after it starts: the step that creates, updates or sends something for you in an app.
Task
Zapier's billing unit: one action your Zap completes successfully. Your plan's allowance is counted in tasks.
Polling vs instant trigger
A polling trigger is checked on a timer set by your plan. An instant trigger is reported by the app the moment the event happens.
Filter
A step that lets the Zap continue only when what arrived meets the condition you set, and stops it otherwise.
Search step
A step that looks up a record that already exists, so the steps after it can use what it found.
Multi-step Zap
Any Zap beyond one trigger and one action. A second action, a filter or a search makes one, and it needs a paid plan.

The trigger costs nothing, and neither do Zapier's checks for new items. Each action that succeeds counts one task; a Zap with three actions uses three times what a one-action Zap uses, and a failed action is not counted. The free plan gives 100 tasks a month and unlimited Zaps, but each Zap stops at one trigger and one action. Add a filter or a search step such as Find Lead and the Zap turns multi-step, which takes a paid plan. The grid below is how often Zapier checks the 14 polling triggers on each plan; it does not apply to the four instant ones.

Connect your Maximizer CRM account

    Start from the Apps page

    In Zapier, open Apps and click + Add connection. You need your own Maximizer CRM account, plus read or write access on any records owned by colleagues that your Zaps will touch.

  2. 02

    Find Maximizer CRM

    Type Maximizer CRM in the search box of the dialog, select it, then click Add connection. A new tab opens on the Maximizer CRM side so you can sign in there.

  3. 03

    Sign in and allow access

    Log in to Maximizer CRM in that tab and grant Zapier access to the account. The connection then appears on the Apps page, and every Maximizer CRM step in every Zap can reuse it.

First Zap

Your first Maximizer CRM Zap: a follow-up task at each stage move

    Create the Zap

    Start a new Zap, pick Maximizer CRM as the app that starts it and choose Opportunity Stage Changed. Select your connection. This trigger needs Maximizer Cloud.

    Test the trigger

    Run the test. Zapier brings back the three most recent items from your account, so you map the next steps on a real opportunity instead of guessing.

    Add the filter

    Click the plus icon, add Filter and fill its three boxes: the field to look at, the rule, and the value to compare with. Pick a text rule for text and a number rule for numbers.

    Add the Hotlist Task

    Add a Maximizer CRM step with Create Hotlist Task and map the opportunity from the trigger into it, so the task sits on the deal that moved.

    Test and publish

    Test the action and open Maximizer CRM to read the task it created. Then click Publish. The filter makes this a multi-step Zap, so it needs a paid plan.

Find Maximizer User

Search

In Zapier“Searches for existing Maximizer User”

Finds a user of your Maximizer CRM account, the colleague rather than the customer.

When to use it
when a task or an appointment created by the Zap should be assigned to a named member of the team.
Watch out
its Restrict single record field is set to Yes by default; check at the test how it behaves with your criteria.

The three settings every search exposes

  1. Successful if no search results are found?
    Left on its default, a search that finds nothing stops the Zap there and the steps that depend on it are skipped. Switched on, the Zap carries on empty-handed.
  2. Create X if it doesn't exist yet?
    Ticking it turns the search into a find-or-create: the setting above disappears and the step asks for the fields needed to create the missing record. Only Find Lead and Find Address Book Entry offer it here.
  3. If multiple search results are found?
    Three ways out when several records match: keep the first one, which is the default, stop the Zap, or pass all of them on at once.
When it breaks

When a Maximizer CRM Zap breaks

Zapier attaches no help article to Maximizer CRM, so these are the general Zapier limits that apply to it, plus the Cloud-only catch that comes from the app page.

Some cases here are not errors on screen but Zaps that never start, or start too often. When something looks wrong, our Zapier troubleshooting guide is the place to begin.

  • Instant triggers that need Maximizer Cloud

    The three Via Webhook triggers and Opportunity Stage Changed are supported only for Maximizer Cloud. On another edition, use the polling version of the same event.
  • Records from before the Zap are ignored

    A Zap reacts only to what happens after it is switched on. Existing leads, cases and dates already passed are not picked up; moving them is a separate job.
  • A Zap that keeps restarting

    As a precaution, a Zap that writes into the very place its trigger watches can set itself off again and burn tasks.
  • A bulk import held back

    When a trigger suddenly returns a huge batch, after a mass import or a migration, Zapier's flood protection can hold it back.
  • The same record twice

Maximizer CRM and Zapier: common questions

01Is the Maximizer CRM Zapier integration free?
Yes, you can use it on Zapier's free plan, because Maximizer CRM is not a premium app. The free plan gives 100 tasks a month and an unlimited number of Zaps. The catch is the shape of those Zaps: each one is limited to one trigger and one action. A typical CRM flow, such as finding the contact before creating a lead, already needs a search step, and that makes the Zap multi-step, which requires a paid plan.
02How many Zapier tasks does a Maximizer CRM Zap use?
One per action that succeeds, and nothing for the trigger. A Zap that creates a lead for each form submission costs one task per submission. Add Create Note and a Hotlist Task after it and every submission costs three. Zapier's checks of the 14 polling triggers are free however often they run, and an action that fails is not counted. Keep in mind that a few apps and actions take more than one task.
03Does Maximizer CRM trigger Zaps in real time?
Four triggers do: the three marked Via Webhook, for Address Book entries, appointments and leads, plus Opportunity Stage Changed. They start the Zap right away whatever your plan, but only on Maximizer Cloud. The other 14 triggers are polling ones: Zapier checks every 15 minutes on the free plan, every 2 minutes on Professional, and every minute on Team and Enterprise. A lightning bolt in the editor shows a Zap built on an instant trigger.
04What do you need to connect Maximizer CRM to Zapier?
An account on Maximizer CRM, and read or write access to any records owned by colleagues that your Zaps will touch. In Zapier, open Apps, click + Add connection, pick Maximizer CRM, sign in on the tab that opens and grant access. The connection is then reused by every Maximizer CRM step. Some polling triggers also have required fields, such as Criteria or Entry type, to fill in when you set them up.
05Which Maximizer CRM edition do the Via Webhook triggers need?
Because they are supported only for Maximizer Cloud. That applies to New or Updated Address Book Entry (Via Webhook), New or Updated Appointment (Via Webhook), New or Updated Lead Entry (Via Webhook) and Opportunity Stage Changed. On another edition, the same events are covered by polling triggers such as New or Updated Lead Entry: they work, but Zapier picks up changes on its own schedule, every 15 minutes on the free plan, rather than straight away.
06What if the Maximizer CRM operation you need is not there?
First check the full list: 18 triggers, 20 actions and 9 searches cover leads, Address Book entries, opportunities, cases, appointments, tasks, notes, campaigns and Favourite Lists. What you will not find is a delete action or a search for interactions. If a record has to be removed, that stays a manual step in Maximizer CRM. If a value is missing, a search step placed earlier in the Zap can fetch it.
