What the MobiCRM Zapier integration actually does

Zapier links MobiCRM, the smartphone-first CRM built for sales teams on the road, to the other apps your team already uses. A Zap (the automation you build on Zapier) starts on something that happens in one app and writes the result in another, without anyone copying data by hand.

Three results stand out with this app. First, a contact list that stays in sync: Contact Created sends every new MobiCRM contact to a spreadsheet or a mailing tool, so the office sees what the rep entered on the phone. Second, leads that land in MobiCRM on their own: a form submission becomes a lead through Create Lead, ready for the rep to pick up. Third, meeting notes and reminders filed where they belong: Create Minutes stores a write-up, and Create Todo adds the follow-up task next to it.

Now what Zapier does not do here. There is no search step, so a Zap cannot look up an existing account or contact before writing. There is no update or delete action either: every action creates something new. And only two events start a Zap, a new account and a new contact; a new lead, a new to-do or new minutes in MobiCRM start nothing.

Task
The unit Zapier bills. One task is one action your Zap completes successfully, and your plan counts those.
Instant trigger
A trigger the app reports itself: it calls Zapier the moment the event happens, so nothing waits for a scheduled check.
Polling trigger
A trigger Zapier checks on a timer, asking the app for new items at a fixed interval. MobiCRM has none of these.
Filter
A step that lets the Zap carry on only when the incoming data meets your condition, and stops it everywhere else.
Multi-step Zap
Any Zap beyond one trigger and one action. A second action or a filter makes one, and it then needs a paid plan.

MobiCRM is not a premium app (an app Zapier keeps for paid plans and free trials), so it runs on the free plan. The bill is counted in tasks, and only actions produce them.

The trigger never costs a task. Each action that succeeds costs one, so a Zap with three actions uses three times what a one-action Zap uses. An action that fails is not counted. The free plan gives you 100 tasks a month and unlimited Zaps, but each one stops at two steps: add a filter or a second action and you need a paid plan. The interval grid below is how often Zapier checks a polling trigger; it does not apply to the two MobiCRM triggers, which are instant.

Connect

Connect MobiCRM to Zapier in three steps

    Open the Apps page

    In your Zapier account, open Apps and click + Add connection. A connection is your MobiCRM account linked to Zapier once, then reused by every step that touches MobiCRM.

    Pick MobiCRM

    Type MobiCRM in the search box of the dialog, select it, then click Add connection. You need a MobiCRM account, plus read or write access on anything you do not own yourself and want the Zap to touch.

    Sign in and grant access

    A new tab opens on MobiCRM. Sign in with the account the Zaps should act for, then grant Zapier access to it. Back in the editor, that account can be picked in any MobiCRM step.

    Create the Zap

    From your Zapier dashboard, start a new Zap. Pick MobiCRM as the app that starts it, then Contact Created as the event, and choose the MobiCRM connection you just added.

    Test the trigger

    Run the trigger test. Zapier brings back the three most recent contacts of the connected account, so you map the next step on a real one instead of on a blank example.

    Add the spreadsheet step

    Add the action: your spreadsheet app and its event for a new row. Map each column to a value from the MobiCRM contact, such as the last name from the trigger test.

    Test the action

    Run the action test once and open the spreadsheet to read what came back. Check every column before going further, since a wrong mapping repeats on every contact.

    Publish

When a MobiCRM Zap breaks

Zapier ties no help article to MobiCRM, so the limits below are the general ones that apply to every Zap built on it.

  • Old records never come through

    A Zap reacts only to what happens after you switch it on. Accounts and contacts already in MobiCRM are not picked up; moving them is a separate job.
  • A Zap that keeps restarting

    A Zap that writes into the very place its own trigger watches can set itself off again and again, and the task count goes down fast. Check at test.
  • A bulk import held back

    When a trigger suddenly returns a huge batch, for example after a bulk import or a migration, Zapier's flood protection can hold those items back.
  • A filter on the free plan

    The free plan builds two-step Zaps only. Adding a filter or a second action makes the Zap multi-step, and it then needs a paid plan.

01Is the MobiCRM Zapier integration free?
Yes, as long as each Zap stays at two steps. MobiCRM is not a premium app, so the free Zapier plan accepts it. That plan gives you 100 tasks a month and an unlimited number of Zaps, each made of one trigger and one action. The moment a Zap needs a filter or a second action, for example creating an account and then a to-do from the same form reply, it becomes a multi-step Zap and needs a paid plan. Nothing about MobiCRM itself changes that rule.
02How many tasks does a MobiCRM Zap use?
One task per action that succeeds, and nothing for the trigger. A Zap that turns each new MobiCRM contact into a spreadsheet row costs one task per contact. A Zap that creates an account and a to-do from the same event costs two. An action that fails is not counted against your plan. Waiting for new accounts or contacts is free too, however many events arrive. On the free plan, that means 100 successful actions a month across all your Zaps.
03Does MobiCRM trigger Zaps in real time?
Yes. Both MobiCRM triggers, Account Created and Contact Created, are instant: MobiCRM tells Zapier when the event happens, and the Zap starts right away whatever your plan. The polling interval of the plans, 15 minutes on Free, does not apply to them. In the editor, a Zap built on an instant trigger shows a lightning bolt. The trigger type comes from the app itself and cannot be changed from the editor, so there is no setting to look for. Nothing else is needed: a new account or contact is enough to start the Zap.
04What does connecting MobiCRM to Zapier require?
A MobiCRM account, plus read or write access on anything you do not own yourself and want the Zap to touch. The connection starts from the Apps page of your Zapier account with + Add connection; you search MobiCRM, click Add connection, sign in to MobiCRM in the tab that opens, then grant Zapier access. Once saved, that connection is reused by every MobiCRM step in every Zap, so you sign in only once.
05Can a Zap update an existing MobiCRM contact?
No. All five MobiCRM actions create something new: an account, a contact, a lead, minutes or a to-do. There is no update action and no search step, so a Zap cannot find an existing record and change it. If the same person reaches your Zap twice, Create Contact adds them twice. One workaround is to send each person through the Zap only once, for example from a form that each prospect fills once, and check at test what comes through.
06What if the MobiCRM operation you need is missing?
Then this connection cannot do it today. The MobiCRM page on Zapier shows the current list of triggers and actions, and that list is what the editor offers. If what you need is not there, rework the Zap around what exists: a new lead cannot start a Zap, but the form that created it can, and Create Todo can stand in for a reminder that no trigger would send. If the gap is a blocking one, compare what other automation platforms offer for MobiCRM before building.
