Overview

What the MoreApp Zapier integration does for you

The MoreApp Zapier integration links your MoreApp account to Zapier, so a filled-in form or a completed task can start work in another tool, and an event elsewhere can hand out a MoreApp task. MoreApp describes itself as a tool for digital work orders, inspections and reports: the integration moves those out of the app without copy and paste.

An inspection that leaves the app on its own. With New Submission, every form someone fills in starts a Zap, and the next step copies it into a spreadsheet, a database or a message. Nobody exports anything by hand.

A work order handed out from another tool. Create Task assigns a MoreApp form to recipients. Put it after a trigger from another app, and a new row or a new record turns into a task waiting in MoreApp.

A report that follows the submission. Download Report fetches the report of a given submission, so a later step can file it or send it on. Download File, for its part, fetches a file kept in MoreApp.

What Zapier does not do here: there is no action to edit or delete a task or a submission, only to create a task, and nothing that existed before your Zap was switched on gets picked up. The two triggers are instant, which matters more than it sounds, since the interval of your plan never slows them down. If you are still weighing Zapier against an open-source tool, see our n8n vs Zapier guide.

Vocabulary

Zapier vocabulary in one minute

Eight words come back on every line of this page. Here they are in ordinary English, once.

Zap
The automation you build on Zapier: one trigger, then one or more actions that run each time the trigger event happens.
Trigger
The event in an app that starts the Zap. Once the Zap is on, Zapier waits for it, here a new submission or a fulfilled task.
Action
What the Zap does after it starts: the step that writes, sends or moves something for you, like creating a MoreApp task.
Task
The unit Zapier bills: one action that completes successfully. The number on your plan counts those, and nothing else.
Polling vs instant
A polling trigger is checked on a timer. An instant trigger is reported by the app itself the moment the event happens. Both MoreApp triggers are instant.
Filter
A step that lets the Zap go on only when what arrived meets the condition you set, and stops it there otherwise.
Search step
A step that looks up something that already exists in an app, so the steps after it can use what it found.
Multi-step Zap
Any Zap beyond one trigger and one action. A second action, a filter or a search makes one, and it needs a paid plan.
Cost

What a MoreApp Zap really costs

Zapier counts tasks, not Zaps. The trigger never costs anything, and an action that fails is not counted. Each action that succeeds is one task, so a Zap with three actions uses three times what a one-action Zap uses.

  • Free plan100 tasks a month, unlimited Zaps of two steps
  • Premium appNo, MoreApp works on every plan
  • Trigger costNever counted as a task
  • Filter or searchMakes the Zap multi-step, paid plan

MoreApp is not a premium app, so it works on the free plan, with no upgrade needed for the app itself. That plan gives 100 tasks a month and unlimited Zaps, but each Zap stops at two steps. The two searches, Download File and Download Report, always sit between two other steps, so any Zap that uses them needs a paid plan. The interval grid below concerns polling triggers only: it does not apply to the two instant triggers of MoreApp.

Connect

Connect MoreApp to Zapier in three steps

  1. 01

    Open your connections

In Zapier, open the Apps page of your account and click + Add connection. A connection is your MoreApp account linked to Zapier once, then reused by every step that calls MoreApp.

  2. 02

    Find MoreApp

Type MoreApp in the search box of the dialog, pick it from the results, then click Add connection. A new tab opens on the MoreApp side to sign you in.

  3. 03

    Sign in and grant access

Sign in to MoreApp in that tab and grant Zapier access to the account. You need an account on the app, plus read or write access on anything you do not own yourself and want the Zap to touch.

First Zap

Your first MoreApp Zap

GoalCopy each new MoreApp submission into your spreadsheet, but only the ones that match a value you choose.

  1. 01

Create the Zap and pick the trigger

Create a new Zap, choose MoreApp as the app that starts it and New Submission as the event. Select your MoreApp connection, or add it if this is your first time.

  2. 02

Test the trigger on real data

Run the trigger test. Zapier brings back the three most recent items of the connected account, so you map the next steps on a real submission rather than a blank one.

  3. 03

    Add the filter

Add a Filter step from the plus icon, then fill its three boxes: the field to look at, the rule, and the value to compare with. A filter makes the Zap multi-step, so it needs a paid plan.

  4. 04

    Add the spreadsheet action

Add the action of your spreadsheet tool that adds a row, and map each column to a value from the submission. Pick a text rule for text and a number rule for numbers in the filter.

  5. 05

    Test, then publish

Test each step once and read what came back before going further. When the row lands where you expect it, click Publish to switch the Zap on.

Triggers

MoreApp triggers

2 events start a Zap when something happens in MoreApp, and 2 of them are instant: the app calls Zapier straight away, whatever your plan.

1

New Submission

Instant trigger

In Zapier“Triggers when a new submission has been filled in.”

Starts the Zap each time someone fills in a MoreApp form and submits it. The submission becomes the starting point for whatever comes next: a row, a message, a record in another tool, or a task back in MoreApp.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan
When to use it
you want every completed inspection or report to leave MoreApp without anyone exporting it.
Watch out
only submissions made after the Zap is published start it, so older ones stay where they are.
2

Task Fulfilled

Instant trigger

In Zapier“Triggers when a task has been fulfilled.”

Fires when a MoreApp task has been fulfilled, which closes the loop on a task you handed out. Pair it with Create Task to know when an assignment is done, without opening the app to check.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan
When to use it
a work order is marked as done and the person who requested it should hear about it in their usual tool.
Watch out
run the trigger test on a task that has really been fulfilled, so the mapping relies on real values.
Actions

MoreApp actions

MoreApp gives you 1 action. For each one: what it does for you, when to reach for it, and what to watch out for.

1

Create Task

Action

In Zapier“Creates a new task.”

Hands out a new MoreApp task: you choose the form to fill in and who receives it. An event in another app becomes an assignment in MoreApp.

When to use it
a request lands in your spreadsheet or your form tool and should turn into a work order.
Watch out
Form and Recipients are both required, so map or pick a value for each before testing.
Searches

MoreApp searches

2 search steps look for data that already exists in MoreApp, so a later step can use it.

A search step looks up something that already exists in MoreApp and hands it to the steps after it. In the editor, searches sit at the bottom of the Action event list, under SEARCH. Three settings decide what happens when the result is not the one you expected.

1

Download File

Search

In Zapier“Downloads a file”

Fetches a file from MoreApp so a later step can store it or attach it somewhere else. It is a search, so it brings back something that already exists rather than creating it.

When to use it
a file kept in MoreApp should end up in your document storage.
Watch out
check at test what the step asks for and what it brings back before mapping it.
2

Download Report

Search

In Zapier“Downloads a report”

Retrieves the report of one submission, identified by its Submission ID, which is required. The next step can then file the report or send it to whoever needs it.

When to use it
you want the report of a given submission filed or sent in another tool.
Watch out
map the Submission ID from an earlier step and check at test that it carries a value.

The three settings every search exposes

  1. Successful if no search results are found?
Left on its default, a search that finds nothing stops the Zap there, and the steps that depend on it are skipped. Switched on, the Zap carries on empty-handed.
  2. Create X if it doesn't exist yet?
This box turns a search into a find-or-create. Neither of the two MoreApp searches offers that variant, so you will not see it on this app.
  3. If multiple search results are found?
Three ways out when several items match: keep the first one, which is the default, stop the Zap, or hand all of them on at once.
When it breaks

When a MoreApp Zap breaks

Zapier attaches no help article to MoreApp and documents no limit of its own for this app. What breaks is what breaks on every Zap.

Three general limits apply to MoreApp as to any other app, and each one gets its own card below. For help with a Zap that misbehaves, see our Zapier troubleshooting guide.

  • Older submissions are ignored

A Zap only reacts to what happens after it is switched on. Submissions made before that are never picked up, and moving the backlog is a separate job.
  • A Zap that sets itself off again

A Zap that writes into the very place its own trigger watches can start itself again and again, and burn through your task count fast. Keep that general precaution in mind on every setup.
  • A sudden batch held back

When a trigger suddenly returns a huge batch, after a bulk import for instance, Zapier's flood protection can hold those runs back instead of firing them all.

FAQ

MoreApp Zapier integration: frequent questions

01Is the MoreApp Zapier integration free?
Yes. MoreApp is not a premium app, so it works on Zapier's free plan. That plan gives 100 tasks a month and an unlimited number of Zaps, each limited to two steps: one trigger and one action. New Submission followed by Create Task fits. As soon as you add a filter, a second action or one of the two download searches, the Zap becomes multi-step and needs a paid plan. The free plan also excludes premium apps, which does not affect MoreApp itself but may affect the other app in your Zap.
02How many tasks does a MoreApp Zap use?
One task per action that completes successfully, and nothing for the trigger. A Zap that turns each new submission into one spreadsheet row uses one task per submission. Add a second action and each run uses two. Waiting for new submissions costs nothing, and an action that fails is not counted against your plan. A few apps and a few actions take more than one task when they complete, so check what your first runs really used before scaling up.
03Does MoreApp send data to Zapier in real time?
Both MoreApp triggers are instant. New Submission and Task Fulfilled are reported by MoreApp itself the moment the event happens, so the Zap starts right away, whatever your plan. The interval grid of the plans, 15 minutes on Free down to 1 minute on Team and Enterprise, concerns polling triggers only and does not apply to them. In the editor, a Zap built on an instant trigger shows a lightning bolt. The type comes from the app and cannot be changed from the editor.
04What does connecting MoreApp to Zapier require?
An account on MoreApp, plus read or write access on anything you do not own yourself and want the Zap to touch. The connection is made once from the Apps page of your Zapier account: click + Add connection, search for MoreApp, click Add connection, sign in to MoreApp in the tab that opens and grant Zapier access. Every MoreApp step of every Zap then reuses that same connection, so there is nothing to repeat when you build a second Zap.
05Why does a Download Report step stop the Zap?
Download Report is a search, and it needs a Submission ID to know which report to fetch. Map that ID from an earlier step and check at test that it carries a value. If the search finds nothing, the default setting stops the Zap at that step and skips what depends on it. Switch on Successful if no search results are found? to let the Zap carry on empty-handed instead. Keep in mind that a search makes the Zap multi-step, so this setup needs a paid plan.
06What if the MoreApp operation you want is not listed?
Open the MoreApp page on Zapier: it shows the current list of triggers, actions and searches, the same one the editor offers. If the event you have in mind is not there, look at what the available ones already give you. New Submission and Task Fulfilled cover the two moments MoreApp reports, and a filter can narrow them down on a paid plan. On the writing side, Create Task is the only action, so editing or deleting a task stays a job for the MoreApp interface.
07Zapier, Make or n8n for MoreApp?
Decide by criterion rather than by brand. First, coverage: Zapier offers 2 triggers, 1 action and 2 searches for MoreApp, so check that the job fits inside them. Second, step count: a two-step Zap runs on the free plan, while anything with a search or a filter needs a paid one. Third, reaction time: both MoreApp triggers are instant on Zapier, which removes the interval question entirely. If one of those criteria blocks you, compare the other tools on that same point.
