What the Ownest Zapier integration does for a home sales team
Ownest handles the financing side of a home sale: buyers apply through it, and the developers and agents selling the homes follow each file from their side. Linked to Zapier, it tells your other tools when an application, a lead, a contact or a timeline event appears, and it accepts new applications sent from elsewhere.
Three outcomes worth building. First, a sales team that hears about every file: New Application starts the Zap and a row lands in your pipeline sheet or a message in the team channel, with no one refreshing Ownest. Second, leads that reach your CRM straight away: New Lead and New Contact copy each new person into the tool your agents already use. Third, applications that start on your own site: a form you run elsewhere collects the buyer's details, and Submit Application files them into Ownest against the right questionnaire.
What Zapier does not do here: there is no action to update or withdraw an application, nothing to create a lead or a contact, and the only search finds an application by its unique ID, never by name or email. New Timeline Event tells you something was logged on a file, but the decision itself still happens in Ownest. The four triggers are instant, which is the strong point.

Zapier words, in plain English
Eight words carry this page. Here they are once, so the rest reads without a dictionary.
- Zap
- The automation you build in Zapier: one trigger, then one or more actions that run each time the trigger event happens.
- Trigger
- The event in an app that starts the Zap. Once the Zap is switched on, Zapier waits for that event and nothing else.
- Action
- What the Zap does after it starts: the step that writes, sends or moves something in an app on your behalf.
- Task
- The unit Zapier bills. One task is one action your Zap completes successfully; your plan counts those and only those.
- Instant vs polling
- An instant trigger is reported by the app itself, the moment it happens. A polling trigger is checked on a timer, keeping only what is new.
- Filter
- A step that lets the Zap continue only when what arrived meets a condition you set, and quietly stops it otherwise.
- Search step
- A step that looks up something that already exists in an app, so the steps after it can use what it found.
- Connection
- Your Ownest account linked to Zapier once, then reused by every step in every Zap that touches Ownest.
What a Zap with Ownest really costs
Ownest is not reserved for paid plans, so the free plan can run it. You pay in tasks, and only successful actions spend them.
- Application, lead, contact or event0 tasks
- Each successful action1 task
- Free plan100 tasks a month, 2 steps per Zap
- Ownest on the free planYes
The four triggers cost nothing, and because they are instant, the check interval of your plan does not apply to them. Each action that goes through is one task, whether it is Submit Application or a row in another app; a failed one is not counted. The free plan gives 100 tasks a month and Zaps of two steps, one trigger and one action. Add Find Application, a filter or a second action and the Zap becomes multi-step, which needs a paid plan. A few apps and actions take more than one task, though nothing here marks Submit Application as one.
Connect your Ownest account in three steps
- 01
Open the Apps page
In your Zapier account, go to Apps and click + Add connection. You need an Ownest account, plus access to any file or questionnaire you do not own yourself but want the Zap to touch.
- 02
Find Ownest and add it
Type Ownest in the search box of the dialog, pick it from the results, then click Add connection. Zapier then opens a new tab on the Ownest side for the sign-in.
- 03
Sign in and allow access
Log in to Ownest in that tab and grant Zapier access to the account. The connection is saved once, and every Ownest trigger, action and search reuses it afterwards.
Your first Zap: log every new application in your sales sheet
GoalEach application created in Ownest is looked up in full and added as a row to the sheet your sales team works from.
- 01
Pick the trigger
Start building: choose Ownest as the app that starts the Zap and New Application as the event, then select your Ownest connection.
- 02
Test the trigger
Run the test. Zapier brings back the three most recent applications of the account, so you map the next steps on a real file rather than a guess.
- 03
Add Find Application (paid plan)
Add Ownest again with Find Application and map the application's unique ID from the trigger into Application Uuid. This search makes the Zap multi-step.
- 04
Add the sheet row
Choose your spreadsheet app and the action that adds a row, then map what the search found into the columns your team reads. Test the step once.
- 05
Publish
When every step returns what you expect, click Publish to switch the Zap on. Need help with mapping? The Zapier training covers it.
Ownest triggers
4 events start a Zap when something happens in Ownest, and 4 of them are instant: the app calls Zapier straight away, whatever your plan.
New Application
Instant triggerIn Zapier“Trigger when a new application is created”
Starts the Zap each time a financing application is created in Ownest, whoever filed it. It is the event most sales teams care about first.
New Contact
Instant triggerIn Zapier“Triggers when a new contact is created.”
Reacts to every contact added to Ownest, so a person's record can travel to your other tools as soon as it exists there. It does not wait for an application.
New Lead
Instant triggerIn Zapier“Triggers when a new lead is created.”
Fires when Ownest records a new lead, which lets your follow-up start while the buyer's interest is warm. Leads and contacts are separate triggers, so pick the one that matches how your team works.
New Timeline Event
Instant triggerIn Zapier“Triggers when a new timeline event is created.”
Picks up each new event added to a file's timeline in Ownest, which makes it the trigger for following a file over time rather than at creation.
Ownest action
Ownest gives you 1 action. For each one: what it does for you, when to reach for it, and what to watch out for.
Operations index
Submit Application
ActionIn Zapier“Submit a new application once the required inputs are filled”
Files a new financing application in Ownest from details gathered elsewhere. It only goes through once every required box is filled: the Questionnaire, the buyer's first and last name, email, phone, date of birth and total income.
Ownest search
1 search step looks for data that already exists in Ownest, so a later step can use it.
A search step finds something that already exists in Ownest and passes it on. In the editor, searches sit at the bottom of the Action event list, under SEARCH. Adding one makes the Zap multi-step.
Find Application
SearchIn Zapier“Find an Application”
Retrieves one application from its unique ID, the required Application Uuid box, and hands it to the steps that follow.
The three settings every search exposes
- Successful if no search results are found?Left on its default, a search that finds nothing stops the Zap there and skips the steps that needed it. Switched on, the Zap carries on empty-handed.
- Create X if it doesn't exist yet?On apps that offer it, this turns a search into find-or-create. Ownest exposes no such variant, so Find Application only finds, it never creates.
- If multiple search results are found?Three ways out when several items match: keep the first one, which is the default, stop the Zap, or pass all of them on at once.
When the Ownest Zap breaks
Zapier links no help article to Ownest, and no limit specific to the app is documented. What breaks is what breaks on any Zap, plus what the required boxes of Submit Application imply.
Six cases cover nearly every surprise. If none fits, go to Zapier troubleshooting.
Applications that file themselves
New Application followed by Submit Application in the same Zap sets it off again with every run, and burns through your task count fast.Submit Application has nothing to send
Seven boxes are required, Total Income and Date Of Birth among them. A source form that skips one of them leaves the step unable to go through.Older files never arrive
A Zap only reacts to what happens after you switch it on. Applications, leads and contacts created before are not picked up; moving them is a separate job.An import floods the Zap
After a bulk import of leads or a migration, a trigger that suddenly sends a huge batch can be held back by Zapier's flood protection.Find Application stops the Zap
A search that finds nothing stops the Zap by default. Check that the Application Uuid really comes from an earlier step, or switch on the setting to go on.Too many timeline messages
New Timeline Event fires on every new event. Without a filter, which needs a paid plan, each one becomes a message or a row, and a task.
