Overview

What the MyHR Zapier integration actually does for you

Linking MyHR to Zapier means two things. MyHR can tell your other tools when something changes in your people records (a signed agreement, an approved or cancelled leave, someone switched on or off). And other tools can create records in MyHR, from draft people to leave types, without anyone typing them in twice.

A calendar that stays honest. Leave Has Been Approved fires when a leave is approved, and Leave Has Been Cancelled fires when one is cancelled. Pair the two and your shared calendar or team chat reflects who is away, without copy-paste.

Onboarding that starts on a signature. Person Signed Their Employment Agreement is the cleanest starting gun for everything that follows a hire: a welcome email, a row in your staff file, a message in your team chat.

New hires that arrive pre-filled. Create AU Draft Person and Create NZ Draft Person take a name and an email from another tool and park the person as a draft in MyHR. Someone still signs in to MyHR to move drafts into People.

What Zapier does not do here: there is no search step for MyHR, so a Zap cannot look up an existing person before acting. There is no action that edits or removes a person either, and no trigger for a leave request that is only submitted. Every action creates something.

Vocabulary

Zapier words, in one minute

Seven terms come back on this page. Here they are in plain English, once.

Zap
The automation you build in Zapier: one trigger, then one or more actions that run each time that trigger event happens.
Trigger
The event in an app that starts your Zap. Once the Zap is switched on, Zapier waits for that event and nothing else.
Action
What the Zap does once it has started: the step that writes, sends or creates something for you in an app.
Task
The unit Zapier bills you for: one action your Zap completes successfully. Your plan allowance is a count of those.
Instant vs polling
An instant trigger is reported by the app itself the moment the event happens. A polling trigger is checked by Zapier on a timer.
Filter
A step that lets the Zap carry on only when what arrived meets the condition you set, and stops it otherwise.
Connection
Your MyHR account linked to Zapier once, then reused by every step of every Zap that touches MyHR.
Cost

What a MyHR Zap really costs

MyHR is not a premium app, so it works from the free plan. The bill is counted in tasks, and only completed actions count.

  • TriggerFree, never counted
  • Each successful action1 task
  • Free plan100 tasks a month, unlimited two-step Zaps
  • Filter or second actionMulti-step Zap, paid plan

The trigger never costs a task, however many leaves get approved. Each action that goes through is one task, so a Zap that posts a chat message and adds a calendar event uses two per approved leave. An action that fails is not counted. The free plan gives you 100 tasks a month and as many Zaps as you like, but each Zap stops at two steps: one trigger, one action. Add a second action or a filter and it becomes a multi-step Zap, which needs a paid plan.

The grid below is how often Zapier checks a polling trigger on each plan. All five MyHR triggers are instant, so it does not apply to them.

Connect

Connect your MyHR account to Zapier

  1. 01

Open Apps and add a connection

In your Zapier account, open the Apps page and click + Add connection. You need a MyHR account first, plus read or write access on anything you do not own yourself and want the Zap to touch.

  2. 02

    Find MyHR and confirm

Type MyHR in the search box of the dialog, pick it from the results, then click Add connection. A new browser tab opens on the MyHR side, where the rest of the setup happens.

  3. 03

    Sign in and grant access

Sign in to MyHR in that tab and grant Zapier access to the account. From then on, every Zap step that uses MyHR reuses this one connection, in this Zap and in every later one.

First Zap

Your first MyHR Zap: approved leave to chat and calendar

GoalWhen a leave is approved in MyHR, post a note in your team chat and block the dates in the shared calendar.

  1. 01

Create the Zap and pick the trigger

Create a new Zap, choose MyHR as the app and Leave Has Been Approved as the event. Select the MyHR connection you added earlier.

  2. 02

    Test the trigger

Run the test: Zapier brings back the three most recent items from your MyHR account, so you map fields from a real approved leave, not a blank sample.

  3. 03

    Add the chat message

Add an action, pick your team chat tool and its send message event. Drop in the fields from the MyHR step that you want your colleagues to see.

  4. 04

    Add the calendar event

Add a second action for your calendar. This makes it a multi-step Zap, so it needs a paid plan. On the free plan, keep only one of the two actions.

  5. 05

    Test each step, then publish

Run each action once and read what came back in the chat and the calendar. When both look right, click Publish to switch the Zap on.

Triggers

MyHR triggers: five events, all instant

5 events start a Zap when something happens in MyHR, and 5 of them are instant: the app calls Zapier straight away, whatever your plan.

1

Person Signed Their Employment Agreement

Instant trigger

In Zapier“Triggers when an employment agreement is signed by a person.”

Starts your Zap when someone signs their employment agreement in MyHR. It turns the moment a hire becomes official into a signal the rest of your tools can act on.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan.
When to use it
kick off onboarding chores, such as a welcome email or a row in your staff file, only once the agreement is signed.
Watch out
a Zap only reacts to signatures made after it is switched on, so agreements signed before that will not come through.
2

Leave Has Been Approved

Instant trigger

In Zapier“Triggers when leave is made approved.”

Fires when a leave is marked approved in MyHR. It is the signal to share who will be out.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan.
When to use it
block the dates in a shared calendar or tell the team channel who will be out, so nobody books a meeting with an empty chair.
Watch out
pair it with Leave Has Been Cancelled, otherwise a withdrawn leave stays in the calendar.
3

Leave Has Been Cancelled

Instant trigger

In Zapier“Triggers when leave is made cancelled.”

Wakes up your Zap when a leave in MyHR switches to cancelled. It is the mirror of the approval trigger and keeps your other tools from showing absences that no longer exist.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan.
When to use it
post a correction in the team chat, or add a line to the sheet where you log changes to the holiday plan.
Watch out
there is no MyHR action that edits or removes a calendar entry for you, so the clean-up happens in the other tool.
4

Person Has Been Activated

Instant trigger

In Zapier“Triggers when person is made active.”

Triggers when a person is made active in MyHR. Zapier highlights it on the app page, and it is the natural cue for anything that should exist once someone is officially on the team.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan.
When to use it
add the new colleague to your staff directory spreadsheet, or post in your team chat that the record is live.
Watch out
the Zap only sees people activated after it is switched on, not the team already in place.
5

Person Has Been Deactivated

Instant trigger

In Zapier“Triggers when person is made inactive.”

Runs your Zap when a person is made inactive in MyHR. It gives your offboarding a single, reliable starting point instead of a reminder buried in someone's inbox.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan.
When to use it
post a message in your team chat, with the fields the test brings back for that person.
Watch out
the Zap only tells other tools; it cannot undo anything inside MyHR, because every MyHR action creates rather than edits.
Actions

MyHR actions: what a Zap can create

MyHR gives you 6 actions. For each one: what it does for you, when to reach for it, and what to watch out for.

1

Create AU Draft Person

Action

In Zapier“Creates an Australian Draft Person in your MyHR account. You can then sign in to your MyHR account and transfer your Draft People to your People.”

Adds an Australian draft person to MyHR from data held in another tool. You then sign in to MyHR and move the draft into People yourself.

When to use it
a signed offer in your recruiting tool should become a MyHR draft without retyping.
Watch out
besides first name, last name and email, Employment state is required (full name or abbreviation, such as NSW).
2

Create NZ Draft Person

Action

In Zapier“Creates a New Zealand Draft Person in your MyHR account. You can then sign in to your MyHR account and transfer your Draft People to your People.”

The New Zealand twin of the draft action: it creates a draft person in MyHR with a first name, a last name and an email, all three required.

When to use it
your hiring form collects New Zealand staff and you want their MyHR record waiting for review.
Watch out
Leave enabled defaults to no, so set it if the person should be able to request leave.
3

Create Leave Balance

Action

In Zapier“Creates a Leave Balance for a person in your MyHR account.”

Sets up a leave balance for one person in MyHR. The person is identified by the unique ID they carry in your payroll system.

When to use it
balances live in payroll and you want MyHR to start from the same figures.
Watch out
Person Unique Id is required, so the payroll ID must reach the Zap from an earlier step.
4

Create Leave Balance Type

Action

In Zapier“Creates a Leave Balance Type in your MyHR account. Leave Balances will be maintained in your MyHR account for these types.”

Creates a new kind of leave balance in MyHR, defined by a unique ID and a name. MyHR then keeps balances for that type.

When to use it
a new leave category is added in another tool and MyHR should track it too.
Watch out
both fields are required, and the unique ID is what later balances refer to.
5

Create Leave Request Type

Action

In Zapier“Creates a Leave Request Type in your MyHR account. Leave Requests can then be made for these Leave Request Types in your MyHR account”

Adds a leave request type in MyHR, so people can start asking for leave of that kind. It takes a unique ID, a name and units, all required.

When to use it
your policy introduces a new reason for leave and requests should be possible in MyHR right after.
Watch out
check the units value at the test step before publishing.
6

Create Person Integration

Action

In Zapier“Creates a Person Integration record in your MyHR account. You can then sign in to your MyHR account and link this record to your People.”

Writes a person integration record in MyHR, with a unique ID, first name, last name and email. You link that record to a person in MyHR afterwards.

When to use it
each employee already carries an ID in another system and you want MyHR to hold the same reference.
Watch out
the link to the actual person is a manual step inside MyHR, not part of the Zap.
When it breaks

When a MyHR Zap breaks

Zapier attaches no help article to MyHR and lists no limit of its own for it. What can go wrong comes from how Zaps work in general, plus one MyHR habit.

  • Past events never arrive

A Zap only reacts to what happens after it is switched on. Leaves approved before that stay where they are; moving that history is a separate job.
  • A Zap that sets itself off

As a general precaution: a Zap that writes into the very place its own trigger watches can start itself again and again, and burn through tasks fast.
  • Bulk changes held back

If a trigger suddenly sends a huge batch, after a bulk import or a migration, Zapier's flood protection can hold those runs back.
  • Drafts that never reach People

The two draft person actions stop at a draft. Until someone signs in to MyHR and transfers it, the person is not in People.

FAQ

MyHR Zapier integration: your questions

01Is the MyHR Zapier integration free?
Yes, it works on the free plan, because Zapier does not class MyHR as a premium app. The free plan gives you 100 tasks a month and an unlimited number of Zaps, with one catch: each Zap is limited to two steps, one trigger and one action. So an approved leave that creates a calendar event is fine for free. The same Zap that also posts in your team chat has a second action, which makes it a multi-step Zap and puts it on a paid plan.
02How many tasks does a MyHR Zap use?
One per action that completes, and nothing for the trigger. If your Zap reacts to Leave Has Been Approved and adds one calendar event, ten approved leaves cost ten tasks. Add a second action and the same ten leaves cost twenty, because each successful action is counted on its own. An action that fails is not counted against your plan. Some apps and some actions take more than one task when they complete, so the test step is the place to check what a run really costs before you publish.
03Does MyHR trigger Zaps in real time?
Yes. All five MyHR triggers are instant: MyHR tells Zapier the moment the event happens, so the Zap starts right away on any plan, free included. The interval grid that decides how often Zapier checks an app only applies to polling triggers, and MyHR has none. In the editor, a Zap built on an instant trigger shows a lightning bolt. So on speed, a paid plan adds nothing for MyHR: the plan only changes how many tasks and steps you get.
04What does it take to connect MyHR to Zapier?
A MyHR account, plus read or write access on anything you do not own yourself and want the Zap to touch. Then open Apps in Zapier, click + Add connection, search for MyHR, click Add connection, sign in to MyHR in the tab that opens and grant Zapier access. The connection is made once and every later step that uses MyHR picks it up. If you plan to turn on self service for drafts, prepare a unique email address per employee.
05Why does a person created by Zapier not show in MyHR People?
Because Create AU Draft Person and Create NZ Draft Person create a draft, not a finished employee. The draft waits in MyHR until someone signs in and transfers it to People. Plan that manual transfer into your own hiring routine, and run one test so you know what the draft looks like in MyHR before you publish. If you turn on Self service, each employee needs a unique email address.
06What if the MyHR operation you want is not available?
Then the Zap cannot do it directly. Today MyHR offers five triggers and six actions on Zapier, all actions create something, and there is no search step to find an existing person first. The MyHR page on zapier.com shows the current list of operations, so check it before building a workaround. Often the job can be split: let MyHR send the event to a tool that can edit or look things up, and do the rest of the work there.
07Zapier, Make or n8n for MyHR?
It depends on the job, not on a ranking. Start with coverage: if the five instant triggers and six create actions listed here match what you need, Zapier can cover them. Then count steps: anything beyond one trigger and one action needs a paid Zapier plan, so a long onboarding chain changes the budget. Finally, think about who maintains it. A tool your team already knows and can fix alone is worth more than a cleverer setup nobody touches.
