What the Notta Zapier integration does for your meetings
Notta records meetings, turns the audio into text and writes AI notes from it. Plugged into Zapier through a Zap (an automation you set up once and that then runs on its own), it can hand those transcripts and notes to your other tools, and it can be told to record or transcribe something without you opening Notta.
Three results worth building.
Meeting notes filed without copy-paste. New AI Notes fires once Notta has written the notes, and the Zap drops them into your CRM, your project tool or a shared doc. The sales call summary sits on the deal before the next call.
A bot that shows up for you. Attend Meeting sends the Notta bot into a Zoom, Google Meet, Microsoft Teams or Webex call. Start it from a calendar event and every booked call gets recorded and transcribed.
Recordings turned into summaries. A file lands in your storage, Transcribes an Audio or Video turns it into text, Generate AI Summary writes the notes and Get AI Summary brings them back for the next step. Handy for interviews, podcasts or voice memos.
What Zapier can't do with Notta: there's no search step, so a Zap can't look up an older recording. The three triggers only fire for new transcripts, new notes and new public shares. And all three are instant, so the plan's polling interval never slows them down.

The Zapier words behind this page
Seven terms are enough to follow every section. One plain line each.
- Zap
- The automation you build on Zapier: one trigger, followed by one or more actions that run each time the trigger happens.
- Trigger
- The event in an app that starts the Zap, like new AI notes in Notta. Once the Zap is on, Zapier waits for it to happen.
- Action
- What the Zap does once started: the step that writes, sends or moves something for you, such as transcribing a file.
- Task
- The unit Zapier charges: one action your Zap completes successfully. The monthly allowance of your plan is counted in tasks.
- Instant vs polling
- An instant trigger is pushed by the app as soon as the event happens. A polling trigger is checked by Zapier on a timer.
- Filter
- A step that lets the Zap go on only when the incoming data meets your condition, and stops it otherwise.
- Connection
- Your Notta account linked to Zapier once, then reused by every Zap and every step that reads from or writes to Notta.
What Notta Zaps cost in tasks
Notta isn't a premium app, so it runs on Zapier's free plan. The bill is in tasks, and only actions that succeed are counted.
- Free plan100 tasks a month, unlimited Zaps
- Zap size on Free2 steps: one trigger, one action
- Transcribe + summarize chain3 actions, so 3 tasks per file
- Premium appNo, Notta works on Free
The Notta trigger is free: new notes arriving cost nothing. Each action that completes costs one task. The catch is the transcription chain: transcribe, generate the summary, then fetch it is three actions, so three tasks per file, plus whatever you do with the result. Failed actions aren't billed. The free plan only builds two-step Zaps, one trigger and one action, so that chain, or any filter, needs a paid plan. All three Notta triggers are instant, so the polling grid below never delays them.
Connect Notta to Zapier in three steps
- 01
Open the Apps page
In Zapier, go to Apps and click + Add connection. Have your Notta login ready, with access to the workspace where recordings and transcripts should be saved.
- 02
Select Notta
Type Notta in the dialog's search box, pick it, then click Add connection. A new tab opens on Notta's side so you can sign in with your account and approve.
- 03
Sign in and allow access
Log in to Notta in that tab and grant Zapier access. The connection is saved in your list, and every Zap that uses Notta picks it up without asking again.
Your first Zap: client call notes straight to your CRM
GoalWhen Notta finishes the AI notes of a meeting, keep only client calls and add the notes to your CRM.
- 01
Build: start from Notta
Create a Zap, pick Notta and the New AI Notes event, then your connection. Set the AI Summary option to true so only recordings that actually have notes start the Zap.
- 02
Test the trigger
Run the test. Zapier pulls the three most recent recordings with notes from your account. Choose a real meeting so the next steps map real text, not a blank sample.
- 03
Add the filter
Click the plus icon, choose Filter, then set the field, a text rule and the word your client meetings share. A text rule on a text field, or it never passes. This makes the Zap multi-step: paid plan.
- 04
Send the notes to the CRM
Add your CRM as the action and map the AI notes into a note on the right contact or deal. Keep the meeting title in the note so people know where it came from.
- 05
Test, then publish
Test the action and check the note in your CRM. Then click Publish. Each client call that passes the filter costs one task; the rest cost nothing.
Notta triggers in Zapier
3 events start a Zap when something happens in Notta, and 3 of them are instant: the app calls Zapier straight away, whatever your plan.
New AI Notes
Instant triggerIn Zapier“Triggers when AI notes for a new transcript have been generated.”
Fires once Notta has written the AI notes for a fresh transcript, so your Zap receives the summary rather than the raw text. Pick it when the gist matters more than every word.
New Transcript
Instant triggerIn Zapier“Triggers when a new recording has been transcribed.”
Starts the Zap the moment a recording has been turned into text in Notta, before any AI notes exist. You get the full transcript to work with.
Public Notes
Instant triggerIn Zapier“Triggers when a new recording has been shared publicly.”
Goes off when someone shares a recording publicly from Notta, which is a clear signal that it's meant to be seen outside the team.
Notta actions in Zapier
Notta gives you 4 actions. For each one: what it does for you, when to reach for it, and what to watch out for.
Operations index
Attend Meeting
ActionIn Zapier“To enable the Notta Bot to record and transcribe online meetings on platforms such as Zoom, Google Meet, Microsoft Teams, and Webex.”
Sends the Notta bot into an online meeting on Zoom, Google Meet, Microsoft Teams or Webex to record and transcribe it, with the screen too if you ask.
Transcribes an Audio or Video
ActionIn Zapier“Transcribes an audio or video”
Hands Notta an audio or video file and gets the text back, in the language you choose, with speakers told apart if you switch that on.
Get AI Summary
ActionIn Zapier“Get AI summary after it’s completed.”
Collects the finished summary so the steps after it can use the text, whether that's an email, a document or a CRM note.
Generate AI Summary
ActionIn Zapier“Generate an AI summary once the Notta transcription step is completed.”
Asks Notta to write a summary of a transcription made earlier in the same Zap, using the AI template and the summary language you pick.
When it breaks
Zapier ties no help article to Notta, and no Notta-specific limit is documented. What follows are the general failure modes of any Zap, applied to recordings.
Three situations account for most surprises. If a run goes wrong, the Zapier troubleshooting guide shows how to read the Zap's history and find the failing step.
Old meetings stay put
A Zap only reacts to what happens after it's published. Transcripts and notes created earlier are never sent; moving that archive is a separate job.The transcription loop
A Zap that starts on New Transcript and then transcribes a file in Notta creates another transcript, which fires the Zap again and burns tasks each round.A big upload held back
When a huge batch arrives at once, after a bulk import or a migration, Zapier's flood protection can hold the runs back instead of processing them all.
