Overview

What the OCCS Zapier integration does

OCCS is a marketing and CRM platform: social posts, email and SMS campaigns, plus contacts, deals and tasks in one place. Zapier connects it to the rest of your tools. When something happens in OCCS, a Zap reacts; and when something happens elsewhere, a Zap can add a lead, log a call or move a contact down the pipeline in OCCS.

Three results teams build first. No lead left waiting: Contact Became Hot starts a Zap that runs Create Task or Log Call, so a follow-up lands on someone's list the moment a contact heats up. Every form feeds the CRM: a sign-up elsewhere runs Create or Update Lead, which adds or refreshes the contact and can drop them into a list or a sequence right away. Wins reach the people who need them: Opportunity Won tells billing or onboarding about the deal without anyone forwarding an email.

Bookings and posts count too. New Booking pushes each appointment to a calendar or a sheet, and Post Published can let the team know a social post went out.

Now what Zapier does not do here. There is no search step for OCCS, so a Zap cannot look up a contact before acting. It cannot launch a campaign, publish a post or close a deal: those stay in OCCS.

Vocabulary

Zapier words, in one minute

Eight words come back all over this page. Here they are, no jargon.

Zap
The automation you build on Zapier: one trigger, then one or more actions that run each time that trigger happens.
Trigger
The event in an app that starts the Zap, like a deal won in OCCS. Once the Zap is on, Zapier waits for it.
Action
What the Zap does once it has started: the step that creates, updates or logs something on your behalf.
Task
What Zapier bills. One task is one action that completed successfully, and your plan counts those every month.
Instant vs polling
An instant trigger is reported by the app the moment it happens. A polling trigger is checked by Zapier on a timer.
Filter
A step that lets the Zap carry on only when the incoming data meets your condition, and stops it otherwise.
Search step
A step that looks up something already stored in an app so later steps can use it. OCCS offers none on Zapier.
Connection
Your OCCS account linked to Zapier once, then reused by every step of every Zap that touches OCCS.
Cost

What an OCCS Zap really costs

Triggers are free, and watching OCCS costs nothing. You pay for each action that does its job.

  • TriggerNever costs a task
  • Successful action1 task each
  • Free plan100 tasks a month, two-step Zaps
  • Premium appNo, OCCS works on the free plan

One successful action is one task; a failed one is not counted. A Zap that creates a task and then assigns an owner is two actions, so two tasks per hot contact. The free plan gives you 100 tasks a month and unlimited Zaps, but only two steps per Zap: one trigger, one action. A filter or a second action makes it a multi-step Zap, which needs a paid plan. The grid below is for polling triggers: all five OCCS triggers are instant, so none of them waits for it.

Connect

Connect your OCCS account in three steps

  1. 01

    Open the Apps page

In your Zapier account, go to Apps and click + Add connection. You need an OCCS account, plus write access to any contacts or pipelines you do not own but want the Zap to change.

  2. 02

    Find OCCS

Type OCCS in the search box of the dialog, pick it from the list, then click Add connection. A new browser tab opens on the OCCS side, ready for your login.

  3. 03

    Sign in and grant access

Log in to OCCS in that tab and allow Zapier to reach the account. The connection then shows in your Apps list, and every OCCS step of every Zap reuses it.

First Zap

Your first Zap: hand hot contacts to a salesperson

GoalWhen a contact turns hot in OCCS, create a follow-up task and assign the contact to the right owner, in one go.

  1. 01

    Create the Zap

Start a new Zap. Pick OCCS as the trigger app and Contact Became Hot as the event, then choose the connection you made earlier.

  2. 02

    Test the trigger

Run the test. Zapier brings back the three most recent items of the account, so you map the next steps on a real contact rather than a guess.

  3. 03

    Add the follow-up

Add OCCS with Create Task or Log Call. Write a clear Subject, such as call this hot lead, and map the contact from the trigger.

  4. 04

    Assign the owner

Add OCCS again with Update Contact Stage or Owner. Map the email from the trigger so it matches the same contact, then pick the owner and stage.

  5. 05

    Publish

Test each step, then click Publish. With two actions, this Zap is multi-step and runs on a paid plan. On free, keep only the task step.

Triggers

The 5 OCCS triggers

5 events start a Zap when something happens in OCCS, and 5 of them are instant: the app calls Zapier straight away, whatever your plan.

1

New Booking

Instant trigger

In Zapier“Triggers when new booking in OCCS.”

Starts the Zap whenever someone books a slot through OCCS. You get the appointment while it is fresh, ready to share with the person who will take the meeting.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan
When to use it
post each new booking in the sales channel, or copy it to a shared calendar so nobody double-books the room.
Watch out
only bookings made after you switch the Zap on come through, so turn it on before you share the booking link.
2

Contact Became Hot

Instant trigger

In Zapier“Triggers when contact became hot in OCCS.”

Fires when OCCS marks a contact as hot. This is the signal sales teams wait for, and Zapier turns it into a concrete next step instead of a badge nobody notices.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan
When to use it
create a call task for the account owner, or ping them in chat while the lead is still paying attention.
Watch out
what makes a contact hot is decided in OCCS, not in Zapier, so check that rule before you count on the alerts.
3

New Contact

Instant trigger

In Zapier“Triggers when new contact in OCCS.”

Runs each time a contact is added to OCCS, whether by an import, a form, a teammate or another Zap. It is the widest net of the five.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan
When to use it
copy every new contact to your accounting or support tool so the record exists everywhere from day one.
Watch out
a Zap that uses Create or Update Lead also creates contacts, and each one starts this trigger again, so make sure the two do not feed each other.
4

Opportunity Won

Instant trigger

In Zapier“Triggers when opportunity won in OCCS.”

Kicks off the moment a deal is marked won in OCCS. Closing the sale becomes the start of delivery, not the end of someone's to-do list. Billing, onboarding and the team channel all hear about it without a single forwarded email.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan
When to use it
open an onboarding project, warn billing to send the first invoice, or celebrate the win in the team channel.
5

Post Published

Instant trigger

In Zapier“Triggers when post published in OCCS.”

Triggers when a social post scheduled in OCCS actually goes live. You hear about it when it is out, not when it was planned.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan
When to use it
keep a running log of everything published, or let the community manager know a post is live and needs replies.
Watch out
posts that went out before the Zap was published never appear, so the log starts on the day you switch it on.
Actions

The 3 OCCS actions

OCCS gives you 3 actions. For each one: what it does for you, when to reach for it, and what to watch out for.

1

Create or Update Lead

Action

In Zapier“Adds or updates a contact in OCCS, optionally adding it to a list (a live campaign audience) and/or enrolling it in a sequence.”

Adds a contact to OCCS, or refreshes it if it already exists, and can place it in a list, which is a live campaign audience, or enrol it in a sequence.

When to use it
a webinar or newsletter sign-up elsewhere puts the person straight into the matching nurture sequence.
Watch out
a new contact it creates starts New Contact too.
2

Create Task or Log Call

Action

In Zapier“Creates a follow-up task, or logs a completed call/email on a contact (status = done).”

Either creates a follow-up task on a contact, or records a call or email that already happened, marked as done.

When to use it
a call made in your phone tool shows up on the contact's history without anyone typing it in again.
Watch out
Subject is mandatory; a step that maps an empty value fails.
3

Update Contact Stage or Owner

Action

In Zapier“Upserts a contact (match on email/phone), then moves its pipeline stage and/or assigns its owner.”

Finds a contact by email or phone, creating it if needed, then moves it to another pipeline stage, gives it an owner, or both.

When to use it
a signed quote in another tool moves the contact to the next stage and assigns the account manager.
Watch out
a typo in the email creates a new contact instead of updating the old one.
When it breaks

When an OCCS Zap breaks

Zapier lists no OCCS help article and no rate limit for this app. What goes wrong is Zapier's general behaviour, and with contact data it shows fast.

Four cases come up again and again. If the symptom is not here, the Zapier troubleshooting page goes through the usual suspects.

  • Old contacts and deals never show up

A Zap only reacts to what happens after you switch it on. Contacts, deals and posts from before are not picked up; moving that backlog is a separate job.
  • A loop through New Contact

A Zap that creates contacts with Create or Update Lead while another listens on New Contact sets itself off again and again, and burns your tasks.
  • A bulk import gets held back

Importing a large contact list at once can hand New Contact a huge batch. Zapier's flood protection may hold it back instead of running every item.
  • The Zap will not publish on free

A filter or a second action makes the Zap multi-step. The free plan stops at one trigger and one action, so publishing asks for a paid plan.

FAQ

OCCS and Zapier, the questions people ask

01Is the OCCS Zapier integration free?
Yes, on Zapier's free plan. OCCS is not a premium app, so you can connect it without paying Zapier. The free plan gives you 100 tasks a month and unlimited Zaps, but each Zap stops at two steps: one trigger and one action. Creating a task and assigning an owner in the same Zap is two actions, so it needs a paid plan, as does any filter. Your OCCS subscription is a separate matter that this page does not cover.
02How many tasks does an OCCS Zap use?
One task per action that succeeds, nothing for the trigger. A Zap that logs a task for each hot contact costs one task per contact. Add an owner assignment and it is two. A failed action is not counted. Watching OCCS for bookings, contacts, deals or posts costs nothing. The thing to watch is New Contact after an import: a hundred new contacts in a single import can use the whole free monthly allowance.
03Do OCCS triggers run in real time?
Yes, all five. New Booking, Contact Became Hot, New Contact, Opportunity Won and Post Published are instant triggers: OCCS tells Zapier the moment the event happens, and the Zap starts right away. The polling interval of your plan, 15 minutes on the free plan, does not apply to any of them. In the editor, a Zap built on an instant trigger shows a lightning bolt, which is an easy way to confirm it.
04What does it take to connect OCCS to Zapier?
An OCCS account, and write access to the contacts and pipelines you want to change if someone else owns them. In Zapier, open Apps, click + Add connection, search OCCS, click Add connection, sign in on the OCCS tab and grant access. The connection is reused by every Zap. For the actions, Create Task or Log Call needs a Subject, and Update Contact Stage or Owner matches contacts by email or phone.
05Can Create or Update Lead set off another OCCS Zap?
Yes, and it is the first thing to check. When the action creates a contact, OCCS reports it like any other new contact, so a Zap listening on New Contact starts too. If that second Zap writes back into OCCS with Create or Update Lead, you get a loop that keeps running and eats your tasks. Keep those two apart, or add a filter that skips contacts your own Zap created.
06What if the OCCS operation a job needs does not exist?
Then that part stays in OCCS. The integration has eight operations you can pick: five triggers and three actions, with no search. There is no Zapier action to launch a campaign, publish a post or close a deal, and no way to look up a contact before acting. When an operation is missing, do that step by hand in OCCS, or ask the OCCS team whether they plan to add it to their Zapier app.
07Zapier, Make or n8n for OCCS?
It depends on your criteria, not on a winner. If you want a ready OCCS connection with instant triggers and nothing to set up beyond a login, Zapier covers it with eight operations. If your CRM Zaps grow into many steps, compare how each tool counts usage, since Zapier bills every successful action. If you need an OCCS operation that Zapier lacks, check what the other tools offer for this app before you choose.
