Overview

What the OpSemble Zapier integration covers

OpSemble is an all-in-one business suite for small and mid-sized companies: CRM, invoicing, projects, HR and health and safety under one roof. On Zapier, it can both start automations and receive them: five events in, four records out, plus one lookup.

Three results you can build without code:

A project that opens itself when a deal is won. Deal Stage Changed fires as an opportunity moves in the pipeline; a filter keeps only the stage you care about, and Create Project Task puts the kickoff task in the right project.

Accounting that hears about money in. Payment Recorded and New Invoice can feed your accounting tool or notify the finance team, so nobody re-types figures from one screen to another.

Leads that land in OpSemble from anywhere. A web form or an ad platform starts the Zap, and Create Lead files the prospect directly in the CRM. Find Contact can check first whether the person already exists.

What Zapier does not do for OpSemble: there is no action to update or delete a record, no invoice creation and no HR operation. The only search looks up contacts. The app is flagged beta on Zapier, so its operations may still change. And like any Zap, nothing that existed before you switched it on is replayed. If you would rather learn with a guide, see the Zapier training.

Vocabulary

Zapier words you will meet here

Eight terms, explained once in plain words.

Zap
An automation on Zapier: one trigger, then one or more actions that run every time the trigger event happens again.
Trigger
The event that starts a Zap, such as a new lead or a payment recorded in OpSemble. Once the Zap is on, Zapier waits for it.
Action
What the Zap does once started: the step that writes, sends or moves something, like creating a lead in OpSemble.
Task
The unit Zapier bills: one action your Zap completes successfully. Your plan is a monthly count of those.
Instant vs polling
An instant trigger is reported by the app the moment it happens; a polling one is checked by Zapier on a timer. All five OpSemble triggers are instant.
Filter
A step that lets the Zap continue only when the incoming data meets your condition, and stops it otherwise.
Search step
A step that looks up something that already exists, so later steps can reuse it. Find Contact is OpSemble's only one.
Multi-step Zap
Any Zap beyond one trigger and one action. A filter, a search or a second action makes one, and it then needs a paid plan.
Cost

What OpSemble Zaps really cost

OpSemble is not reserved for paid Zapier plans, so a basic Zap runs on the free plan.

  • Per OpSemble event0 task
  • Per action that succeeds1 task
  • Free plan100 tasks a month, two-step Zaps
  • Paid plan needed forFilters, Find Contact, extra actions

A trigger never costs a task, whatever OpSemble reports. Each action that succeeds counts as one task, and a failed one does not count. The free plan gives 100 tasks a month and two-step Zaps only: one trigger and one action. The deal-to-project example above needs a filter, so it becomes a multi-step Zap and requires a paid plan; adding Find Contact before Create Lead has the same effect. The interval grid below does not apply here, because all five OpSemble triggers are instant.

Connect

Connect OpSemble to Zapier

  1. 01

    Open the Apps page

In Zapier, open the Apps page, where every account you have already linked is listed. Click + Add connection to bring up the dialog where you choose an app.

  2. 02

    Pick OpSemble

Search for OpSemble, select it and click Add connection. You need an existing OpSemble account; the connection links it to Zapier and does not create one.

  3. 03

    Sign in and grant access

Sign in to OpSemble in the tab that opens, then grant Zapier access. Use an account allowed to see and edit the modules you plan to automate: CRM, projects or health and safety.

First Zap

Your first Zap: a won deal opens the project task

GoalCreate a kickoff task in an OpSemble project each time a deal reaches the stage you pick.

  1. 01

    Pick the trigger

Create a Zap, choose OpSemble and the Deal Stage Changed event, then select your connection. Every stage move of every deal will reach the Zap, which is why a filter follows.

  2. 02

    Test the trigger

Run the test. Zapier brings back the three most recent stage changes from your account, so the next steps are mapped on a real deal rather than on a blank example.

  3. 03

    Add the filter

From the plus icon, add a Filter on the stage information the trigger returned, with a text rule and the stage name as the value. The filter makes the Zap multi-step: paid plan.

  4. 04

    Add Create Project Task

Add OpSemble with Create Project Task. Pick the Project and write a Title, both required, mapping what the trigger returned so the task points to the right deal.

  5. 05

    Test and publish

Test the action once and check the task appears in the project. Then click Publish. Deals that changed stage before this moment are not picked up.

Triggers

OpSemble triggers on Zapier

5 events start a Zap when something happens in OpSemble, and 5 of them are instant: the app calls Zapier straight away, whatever your plan.

1

Deal Stage Changed

Instant trigger

In Zapier“Triggers when an opportunity moves to a different pipeline stage.”

Starts the Zap each time an opportunity moves to another stage of your OpSemble pipeline and passes the deal to the following steps.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan
When to use it
a deal marked as won should open delivery work or alert the account manager.
Watch out
every stage move fires it, so add a filter if only one stage matters, which makes the Zap multi-step.
2

New Contact

Instant trigger

In Zapier“Triggers when a new contact is created.”

Fires whenever someone creates a contact in OpSemble and hands that contact on to the next steps.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan
When to use it
new contacts should join your newsletter tool or a shared address book without a manual export.
Watch out
a Zap that also creates contacts in OpSemble with Create Contact will set this trigger off again and loop.
3

New Invoice

Instant trigger

In Zapier“Triggers when a new invoice is created.”

Reacts to each invoice created in OpSemble and makes it available to the rest of the Zap, for example to copy it into another tool.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan
When to use it
your accountant works in a separate tool and needs each invoice there without re-typing.
Watch out
it reacts to creation only, not to later changes; a payment on that invoice is a separate trigger, Payment Recorded.
4

New Lead

Instant trigger

In Zapier“Triggers when a new lead is created.”

Kicks off your Zap each time a new lead is created in OpSemble and shares it with the steps that follow.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan
When to use it
a salesperson should get a chat message about each fresh lead while it is still warm.
Watch out
leads created by a Zap with Create Lead also fire it, so keep those two in separate flows.
5

Payment Recorded

Instant trigger

In Zapier“Triggers when a payment is recorded against an invoice.”

Runs when a payment is logged against an invoice in OpSemble, which makes it the cleanest signal that money has actually come in.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan
When to use it
a thank-you email or the start of a service should wait for payment, not for the invoice.
Watch out
it follows what is recorded in OpSemble; a payment received but not logged there will not start anything.
Actions

OpSemble actions on Zapier

OpSemble gives you 4 actions. For each one: what it does for you, when to reach for it, and what to watch out for.

1

Create Contact

Action

In Zapier“Creates a contact. Needs the crm.add scope.”

Adds a contact to the OpSemble CRM from data another app has just sent, so the person exists in one place for the whole team.

When to use it
event attendees or customers from your shop tool should appear in the CRM.
Watch out
Name is required, and the connection needs the crm.add permission.
2

Report H&S Incident

Action

In Zapier“Reports a health & safety incident. Needs the hs.add scope.”

Logs a health and safety incident in OpSemble, so reports sent through a form or a chat tool end up in the official register.

When to use it
site staff report incidents from a phone form instead of filling paperwork later.
Watch out
Title is required, and the connection needs the hs.add permission, which is separate from the CRM ones.
3

Create Lead

Action

In Zapier“Creates a lead. Needs the crm.add scope.”

Files a new lead in the OpSemble CRM from what another app just sent, ready for a salesperson to qualify.

When to use it
quote requests from your website form should reach sales inside the CRM, not in an inbox.
Watch out
Name is required and the permission is crm.add; run Find Contact first if duplicates worry you.
4

Create Project Task

Action

In Zapier“Adds a task to a project. Needs the projects.add scope.”

Adds a task to an existing OpSemble project, so work triggered elsewhere shows up in the team's project view.

When to use it
a signed deal or a support ticket should become a to-do in the right project.
Watch out
Project and Title are both required, the project must already exist, and the permission is projects.add.
Searches

OpSemble search on Zapier

1 search step looks for data that already exists in OpSemble, so a later step can use it.

A search step looks up something that already exists and hands it to the next steps. OpSemble's single search sits at the bottom of the Action event list, under SEARCH.

1

Find Contact

Search

In Zapier“Finds a contact by name or email. Needs the crm.view scope.”

Looks up an OpSemble contact by name or email and passes what it finds to the next steps of the Zap.

When to use it
before Create Contact or Create Lead, to avoid creating the same person twice.
Watch out
the Name or email box is required, and the connection needs the crm.view permission to read the CRM.

The three settings every search exposes

  1. Successful if no search results are found?
Left on its default, a search that finds nothing stops the Zap there and skips the steps that depend on it. Switched on, the Zap carries on empty-handed.
  2. Create X if it doesn't exist yet?
This box turns a search into a find-or-create. OpSemble offers no find-or-create variant on Zapier, so Find Contact only ever looks up.
  3. If multiple search results are found?
Three ways out when several contacts match: keep the first one, which is the default, stop the Zap, or hand all of them on at once.
When it breaks

When an OpSemble Zap breaks

Zapier attaches no help article to OpSemble, so the failures below are the ones every Zap can meet, applied to this app.

Most of them do not show at setup. They surface later, as a task count that jumps, a missing record or a step that stops for no visible reason. For a deeper look, see Zapier troubleshooting.

  • Older records are not replayed

A Zap only reacts to what happens after you publish it. Deals, invoices and payments that already existed stay untouched, and syncing them is a separate job.
  • New Contact plus Create Contact loops

A Zap that writes into the very place its trigger watches sets itself off again and again. Creating contacts from a New Contact Zap is the classic case.
  • A bulk import gets held back

When a trigger suddenly returns a huge batch, after a bulk import or a migration into OpSemble, Zapier's flood protection can hold it instead of running it all.
  • Find Contact stops the Zap

By default, a search that finds no match stops the Zap. If a missing contact is normal, switch on the setting that lets the Zap carry on.

FAQ

OpSemble Zapier integration: common questions

01Is the OpSemble Zapier integration free?
Yes, for simple Zaps. OpSemble is not reserved for paid plans, so one trigger and one action run on the free Zapier plan, which includes 100 tasks a month and Zaps of two steps. Add a filter, the Find Contact search or a second action, and the Zap becomes multi-step, which requires a paid plan. You also need your own OpSemble account, with the permissions each action asks for, to connect it.
02How many tasks do OpSemble Zaps use?
Triggers are free: a new lead, a stage change or a recorded payment never costs a task. Each action that succeeds counts as one task, whether it runs in OpSemble or in another app, and a failed action is not counted. A Zap with three actions uses three tasks per run. A few apps and actions take more than one task when they complete, so check the other apps in your Zap before you publish it.
03Do OpSemble triggers fire in real time?
Yes. All five OpSemble triggers are instant: the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan. The 15-minute check of the free plan only concerns polling triggers, and OpSemble has none on Zapier. In the editor, a Zap built on an instant trigger shows a lightning bolt. The type is set by the app itself and cannot be changed from the editor.
04What does it take to connect OpSemble to Zapier?
An OpSemble account, plus access to any record you do not own. In Zapier, open the Apps page, click + Add connection, search for OpSemble and click Add connection. Sign in to OpSemble in the tab that opens and grant access. Each action needs a specific permission, so make sure the connection covers the ones you plan to use: creating in the CRM, in projects or in health and safety, or viewing the CRM.
05Why does an OpSemble action fail with a permission problem?
Because each OpSemble operation needs its own permission. Create Contact and Create Lead need crm.add, Create Project Task needs projects.add, Report H&S Incident needs hs.add, and Find Contact needs crm.view. If the connection was granted only part of them, the other steps fail. Reconnect and grant what is missing. Check the required fields too: Name for contacts and leads, Title for incidents, Project and Title for tasks. Then test each step once.
06What if the OpSemble operation you want is not there?
On Zapier, OpSemble offers five triggers, four actions and one search. There is no action to update or delete a record, no way to create an invoice and nothing on the HR side. The app is still flagged beta on Zapier. For now, the practical route is to keep those steps in OpSemble itself. If a missing operation blocks your process, another automation tool or a specialist can assess other options.
07Zapier, Make or n8n for OpSemble?
Decide on criteria, not on a ranking. Zapier gives OpSemble five instant triggers, four create actions and a contact search, and a two-step Zap runs on the free plan. If your flows need filters, searches or several actions, plan for a paid Zapier plan. If you need to update records or handle invoices and HR from automations, Zapier does not offer that for OpSemble, so check that point in each alternative.
