OptiValue.ai Zapier integrationAutomate OptiValue.ai with Zapier.

The OptiValue.ai Zapier integration gives you 12 actions, with no trigger and no search. Every action reads something from your account: projects, requirements, documents, directories, users. A Zap therefore starts in another app, then pulls what it needs from OptiValue.ai.

Overview

What the OptiValue.ai Zapier integration actually does

The OptiValue.ai Zapier integration connects your OptiValue.ai account, the AI tool built for RFP, audit and compliance questionnaires, to Zapier. Through it, a Zap can read your projects, their requirements, your documents and your directories, and hand that data to the other tools your team works in.

Three results you can build with it. A project lookup: a row arrives in a sheet with a project UUID, Get Project by UUID fetches the project, and the next step writes its details where your team reads them. A requirements digest: Get Project Requirements pulls every requirement of one project, ready for a report or a message. A document check: Get Document by UUID retrieves one document when another tool refers to it.

What Zapier does not do here: nothing writes into OptiValue.ai. No action creates a project, answers a questionnaire or edits a document, so the work itself stays in the app. There is no trigger either, so OptiValue.ai never starts a Zap on its own: something else has to, and no search step exists to look an item up by name. Twelve read actions, and that is the whole list: anything you want changed in OptiValue.ai is changed by hand.

Vocabulary

Zapier vocabulary in one minute

Eight words you will meet in the editor. Read them once, the rest of the page uses them as is.

Zap
The automation you build on Zapier: one trigger, then one or more actions that run each time that trigger event happens.
Trigger
The event in an app that starts the Zap. Once the Zap is on, Zapier waits for it. OptiValue.ai offers none, so it comes from another app.
Action
What the Zap does once started: the step that writes, sends or moves something. Here, every action reads data from OptiValue.ai.
Task
The unit Zapier bills. One task is one action your Zap completes successfully, and your plan counts those.
Polling vs instant
A polling trigger is checked on a timer, an instant one is reported by the app the moment it happens. It depends on the app that starts your Zap.
Filter
A step that lets the Zap carry on only when what arrived meets the condition you set, and stops it otherwise.
Multi-step Zap
Any Zap beyond one trigger and one action. A second action or a filter makes one, and it needs a paid plan.
Connection
Your OptiValue.ai account linked to Zapier once, then reused by every OptiValue.ai step of every Zap you build.
Cost

What it really costs

OptiValue.ai is not reserved for paid plans: it works from the free plan. The trigger never costs a task. Every OptiValue.ai action that succeeds costs one, even though it only reads data, and an action that fails is not counted.

  • Triggernever costs a task
  • Each read actionone task when it succeeds
  • Free plan100 tasks a month, two-step Zaps
  • Paid plans onlysecond action, filter

The free plan gives you 100 tasks a month and Zaps of two steps: one trigger from another app, one OptiValue.ai action. Chain Get Project by UUID and Get Project Requirements, or send the result somewhere else, and the Zap becomes multi-step, which needs a paid plan. How fast it starts depends on the trigger app: a polling trigger follows the grid below.

In practice: one lookup per new row costs one task per row; add a write-back step and each row costs two.

Connect

Connect your OptiValue.ai account

  1. 01

    Open the Apps page

In your Zapier account, go to Apps and click + Add connection. You need an OptiValue.ai account, plus read access on any project or document you do not own and want the Zap to read.

  2. 02

    Pick OptiValue.ai

Search for OptiValue.ai by name in the dialog, select it, then click Add connection. A new tab opens on the OptiValue.ai side, where the rest happens.

  3. 03

    Sign in and grant access

Sign in to OptiValue.ai in that tab and grant Zapier access to the account. The connection is saved, and every OptiValue.ai step of your Zaps reuses it from then on.

First Zap

Your first OptiValue.ai Zap: turn a project UUID into a requirements list

GoalA row added to a sheet with a project UUID fetches that project and its requirements, then writes them back next to the UUID.

  1. 01

    Start in another app

Create a Zap and pick the app and event that start it, here a new row in a sheet that carries a project UUID. OptiValue.ai cannot start a Zap itself.

  2. 02

    Test the trigger

Run the test and pick one of the items that comes back, so every later step is mapped on a real row rather than on empty sample data.

  3. 03

    Fetch the project

Add Get Project by UUID, choose your OptiValue.ai connection, and map the UUID from the row into the Project field instead of picking from the list.

  4. 04

    Pull its requirements

Add Get Project Requirements and map the same UUID. With two OptiValue.ai actions and a write-back step, this is a multi-step Zap that needs a paid plan.

  5. 05

    Write back, test, publish

Add the step that updates the row, test each action once and read what came back, then publish the Zap. A guided version is part of our Zapier training.

Actions

OptiValue.ai actions

OptiValue.ai gives you 12 actions. For each one: what it does for you, when to reach for it, and what to watch out for.

1

Get Account

Action

In Zapier“Retrieve the list of organizations for the user's account.”

Returns the organizations attached to the connected account. It takes no input, so it is the simplest way to see what the connection actually reaches.

When to use it
a Zap needs to know which organization it is working in before passing data on.
Watch out
it reads the account behind the connection, so a different login gives a different answer.
2

Get Account Users

Action

In Zapier“Retrieve all users in the account (owner only).”

Lists every user in the OptiValue.ai account. Useful for keeping a roster in another tool in step with who has access to your questionnaires.

When to use it
you sync team members to a sheet or an internal directory.
Watch out
this one is reserved to the account owner, so connect with the owner's login.
3

Get Directories

Action

In Zapier“Retrieve all directories associated with the user's account.”

Pulls all the directories tied to your account in one go, with no field to fill. The result can feed a list, a report or a later step.

When to use it
you want an overview of how your content is organized, outside OptiValue.ai.
4

Get Directory by UUID

Action

In Zapier“Retrieve a specific directory by UUID.”

Fetches one specific directory. In the Directory field you either pick it from the list or paste its UUID, which is what you map when the UUID arrives from an earlier step.

When to use it
another tool refers to a directory and the Zap needs its details.
Watch out
the field is required, so the Zap stops if no UUID comes through.
5

Get Document by UUID

Action

In Zapier“Retrieve a specific document by UUID.”

Retrieves a single document from OptiValue.ai. The required Document field takes a pick from the list, or a pasted UUID mapped from the trigger.

When to use it
a request in your ticketing tool names a document and the reply should carry its details.
Watch out
a fixed pick from the list always returns the same document, so map the UUID for anything dynamic.
6

Get Documents

Action

In Zapier“Retrieve all documents for the authenticated user’s account.”

Brings back every document of the authenticated account, without any input. It is the broad counterpart of Get Document by UUID.

When to use it
you build a document inventory in a sheet or a knowledge base.
Watch out
it returns the whole set each time it runs, so pair it with a filter if only part of it matters.
7

Get Project by UUID

Action

In Zapier“Retrieve a specific project by UUID.”

Looks up one project. Choose it from the list while you test, then map a UUID coming from the trigger so each run fetches the right project.

When to use it
a deal moves forward in your CRM and the matching questionnaire project should be read alongside it.
Watch out
without a project UUID the required field stays empty and the step fails.
8

Get Projects

Action

In Zapier“Retrieve all projects for the authenticated user.”

Returns all the projects of the authenticated user. No field to fill: one run, the full list.

When to use it
a status report should show every RFP or audit project in progress, wherever your team reads reports.
Watch out
it only sees the projects that the connected user can access.
9

Get Requirement by UUID

Action

In Zapier“Get a specific requirement by UUID in a project.”

Reads one requirement inside a project. It needs two things: the Project, then the Requirement, whose list is filtered by the project you chose.

When to use it
a reviewer flags one requirement elsewhere and the Zap fetches its content for them.
Watch out
set the project first, or the requirement list has nothing to show.
10

Get Project Requirements

Action

In Zapier“Get all requirements for a specific project.”

Collects every requirement of a given project. Only the Project field is required, picked from the list or mapped as a UUID.

When to use it
you want the full checklist of an RFP copied into a sheet or a project tool.
Watch out
one run covers one project, so several projects mean several runs and several tasks.
11

Get Subscription (Me)

Action

In Zapier“Retrieve the current user's subscription details.”

Shows the subscription details of the connected user. Nothing to configure, it reads straight from the account behind the connection.

When to use it
an admin dashboard elsewhere should display the current OptiValue.ai subscription.
Watch out
it reports on the connected user only, so a shared connection shows one person's plan.
12

Get Authenticated User (Me)

Action

In Zapier“Retrieve the authenticated user's profile information.”

Returns the profile of the user whose login powers the connection. Handy to confirm which person Zapier is acting as.

When to use it
several people build Zaps and you want each run to record whose account it used.
Watch out
it always answers for the connected user, never for anyone else in the account.
When it breaks

When an OptiValue.ai Zap breaks

Zapier links no help article to OptiValue.ai and lists no limit specific to it. What goes wrong comes from how Zaps work in general, and from the required fields of a few actions.

  • Nothing happens for old items

A Zap only reacts to what happens after it is switched on. Rows or records that existed before are never picked up by the trigger app; handling them is a separate job.
  • A bulk import is held back

If the trigger app suddenly sends a huge batch after an import or a migration, Zapier's flood protection can hold it back instead of running every OptiValue.ai lookup.
  • Get Account Users needs the owner

Get Account Users is reserved to the account owner. Connected with a team member's login instead, the action is out of reach, so keep a separate owner connection for it.
  • The step fails on a missing UUID

Directory, Document, Project and Requirement fields are required. When the trigger brings no UUID to map, the step cannot run and the Zap stops there.

FAQ

OptiValue.ai and Zapier: frequent questions

01Is the OptiValue.ai Zapier integration free?
Yes, within the free plan's limits. OptiValue.ai is not reserved for paid plans, so a Zap with a trigger from another app and one OptiValue.ai action runs on the free plan, which gives 100 tasks a month. Chain a second action, for instance a lookup followed by a write elsewhere, and the Zap becomes multi-step and needs a paid plan. No price is quoted here, because plan grids change too often to stay accurate.
02How many tasks does an OptiValue.ai Zap use?
One task per action that succeeds, even though OptiValue.ai actions only read data. The trigger from the other app costs nothing. A Zap that runs Get Project by UUID, then Get Project Requirements, then writes the result to a sheet costs three tasks per run. An action that fails is not counted. A few apps and actions take more than one task when they complete, so treat one per action as the floor.
03Does OptiValue.ai work in real time with Zapier?
It depends on the other app, because OptiValue.ai has no trigger. The Zap starts on an event in another tool, and its speed is that trigger's speed: instant if that app reports events itself, or on a timer if Zapier has to check, every 15 minutes on the free plan and faster on paid plans. Once the Zap starts, the OptiValue.ai actions run straight after the trigger, one step after the other.
04What does connecting an OptiValue.ai account take?
An OptiValue.ai account, plus read access on any project or document you do not own and want the Zap to read. The connection goes through the Apps page of Zapier and the + Add connection button, then a sign-in on the OptiValue.ai side where you grant Zapier access. Once saved, it is reused by every OptiValue.ai step of every Zap. If you need Get Account Users, connect with the owner's login.
05Who can run Get Account Users?
Only the account owner. Zapier runs it with the login behind the connection, so if that login belongs to a team member rather than the owner, the action is not available to that Zap. The fix is on the connection side: add a connection with the owner's OptiValue.ai account and pick it in that step. The other eleven actions do not carry this restriction in the information Zapier publishes. Check this before you share a Zap.
06What if the OptiValue.ai operation you need is not in the list?
Then this integration cannot do it. Zapier offers 12 OptiValue.ai actions, all of them reads, and no trigger or search. Creating a project, answering a requirement or uploading a document is not possible through Zapier, so that work stays inside OptiValue.ai. What a Zap can do is carry the data out: read a project, a requirement or a document and send it to the tools your team already uses. Check the list before you build.
07Zapier, Make or n8n for OptiValue.ai?
Decide on criteria rather than a ranking. First, check that the operations your flow needs exist in each tool. On Zapier, OptiValue.ai offers 12 read actions and no trigger, so it suits flows that pull project or document data out on demand. Second, look at how each tool counts usage: on Zapier, every successful read is a task, and anything past one trigger and one action needs a paid plan. Third, weigh who will maintain the flows.
