OwlStat Zapier integrationAutomate OwlStat with Zapier.
The OwlStat Zapier integration gives you 0 triggers, 6 actions and 0 searches. Another app starts the Zap; OwlStat then adds or drops Instagram and TikTok profiles from tracking, and sets up or cancels email reports. It all runs on the free plan.

What the OwlStat Zapier integration does for you
OwlStat follows the numbers of the Instagram profiles you pick, and of TikTok accounts too. Connected to Zapier, it becomes a list you can manage from elsewhere: another app tells Zapier something happened, and OwlStat adds a profile, removes one, or starts or stops an email report. Nothing on the OwlStat side starts a Zap.
Three outcomes that save real clicks. First, onboarding without copy-paste: a new client lands in your CRM or a sheet, Add Account puts their Instagram profile under tracking, and Add TikTok Account does the same for TikTok. Second, reports that set themselves up: right after, Add Email Report schedules a report for that profile to the address you choose, at the frequency you pick. Third, a clean offboarding: when a contract ends, Remove Account, Remove TikTok Account and Remove Email Report take the client out, so nobody keeps receiving reports they no longer pay for.
What Zapier does not do for OwlStat matters as much. There is no trigger, so OwlStat can never start a Zap: no alert when a profile's figures move, no new report pushed into another app. There is no search step either, so a Zap cannot read OwlStat's statistics. The integration manages who is tracked and who receives reports; the numbers themselves stay in OwlStat.

Zapier words, in plain English
Seven words keep coming back below. Here they are once, so the rest reads without a dictionary.
- Zap
- The automation you build in Zapier: one trigger, then one or more actions that run each time the trigger event happens.
- Trigger
- The event in an app that starts the Zap. OwlStat has none, so with it the trigger always comes from another app.
- Action
- What the Zap does after it starts: the step that writes, sends or moves something in an app on your behalf.
- Task
- The unit Zapier bills. One task is one action your Zap completes successfully; your plan counts those and only those.
- Polling vs instant
- A polling trigger is checked on a timer and Zapier keeps what is new. An instant trigger is reported by its app the moment it happens.
- Filter
- A step that lets the Zap continue only when what arrived meets a condition you set, and quietly stops it otherwise.
- Multi-step Zap
- Any Zap beyond one trigger and one action. A second action or a filter makes it one, and it then needs a paid plan.
What a Zap with OwlStat really costs
OwlStat is not reserved for paid plans, so the free plan can run it. You pay in tasks, and here every OwlStat step is an action.
- Trigger from another app0 tasks
- Each successful OwlStat action1 task
- Free plan100 tasks a month, 2 steps per Zap
- OwlStat on the free planYes
The trigger from the other app costs nothing. Each OwlStat action that goes through is one task; a failed one is not counted. The free plan gives 100 tasks a month and Zaps of two steps, one trigger and one action. Tracking a profile and scheduling its report in the same Zap is two actions, so that Zap needs a paid plan and spends two tasks per run. A few apps and actions take more than one task, though nothing here marks an OwlStat action as one. How fast the Zap starts depends on the other app's trigger and on the grid below.
Connect your OwlStat account in three steps
- 01
Open the Apps page
In your Zapier account, go to Apps and click + Add connection. You need an OwlStat account first, plus access to anything in it you did not set up yourself but want the Zap to change.
- 02
Find OwlStat and add it
Type OwlStat in the search box of the dialog, pick it from the results, then click Add connection. Zapier then opens a new tab on the OwlStat side for the sign-in.
- 03
Sign in and allow access
Log in to OwlStat in that tab and grant Zapier access to the account. The connection is saved once, and all six OwlStat actions reuse it in every Zap you build.
Your first Zap: track a new client and send the report
GoalA new client's Instagram handle typed in a sheet ends up tracked in OwlStat, with an email report scheduled for it.
- 01
Pick the trigger in the sheet
Start building with the app that holds your client list, here a spreadsheet, and the event of a new row. Test it: Zapier brings back the three most recent rows to map from.
- 02
Add a filter (paid plan)
Pick the column with the handle, a rule and the value to compare it with, so only the rows you mean go on to OwlStat and the others stop here.
- 03
Add Add Account
Choose OwlStat with Add Account and map the handle column into Instagram username. Test the step once and read what OwlStat sends back.
- 04
Add Add Email Report
Add OwlStat again with Add Email Report. Map the same handle, pick a Frequency and map or type the Receiver email. Test it before moving on.
- 05
Publish
When both actions return what you expect, click Publish to switch the Zap on. Need a hand with mapping? The Zapier training covers it.
OwlStat actions
OwlStat gives you 6 actions. For each one: what it does for you, when to reach for it, and what to watch out for.
Operations index
Add Account
ActionIn Zapier“Add an IG profile to your OwlStat account”
Puts an Instagram profile under tracking in your OwlStat account, from a handle that came in through an earlier step. Instagram username is the one required box.
Add Email Report
ActionIn Zapier“Add an Email report for a profile in your OwlStat account”
Schedules an email report on one tracked Instagram profile. Three boxes are required: the Instagram username, the Frequency of the report, and the Receiver email that gets it.
Add TikTok Account
ActionIn Zapier“Adds a TikTok account to the user's tracked list.”
Adds a TikTok account to the list OwlStat tracks for you. The TikTok username box takes the name with or without the @, or the full profile link, so a pasted link from a form works as is.
Remove Account
ActionIn Zapier“Remove an Instagram profile from your OwlStat account's list”
Takes an Instagram profile off your OwlStat list, using its username, the only required box. The profile simply stops being tracked from that point.
Remove Email Report
ActionIn Zapier“Remove an Email report for a profile in your OwlStat account”
Cancels one email report. OwlStat finds it from three required boxes: the Instagram username, the Frequency and the Receiver email of that report.
Remove TikTok Account
ActionIn Zapier“Removes a TikTok account from the user's tracked list.”
Drops a TikTok account from the list OwlStat tracks. Like its twin, the TikTok username box accepts the name, the name with an @, or the full profile link.
When the OwlStat Zap breaks
Zapier links no help article to OwlStat, and no limit specific to the app is documented. What breaks is what breaks on any Zap, plus the matching rules of the report actions.
Four cases cover most of the surprises. If none of them fits, go to Zapier troubleshooting.
Clients added before the Zap are ignored
A Zap only reacts to what happens after you switch it on. Rows already in the sheet are not picked up; adding them is a separate, one-off job.A bulk import stalls
Pasting a whole client list at once can make the trigger return a huge batch, and Zapier's flood protection can then hold the Zap back. The report is never cancelled
Remove Email Report needs the username, the Frequency and the Receiver email of an existing report. One value that differs, and nothing matches. The two-action Zap will not run on free
Add Account followed by Add Email Report is a multi-step Zap. The free plan allows one trigger and one action, so split it or move to a paid plan.
