Parsematic Zapier integrationAutomate Parsematic with Zapier.
The Parsematic Zapier integration gives you 2 triggers, 0 actions and 0 searches. Once Parsematic has turned an email into structured data, Zapier can pick that result up and pass it to another app. Nothing goes back into Parsematic.

What the Parsematic Zapier integration actually does
Parsematic reads the emails you send or forward to it and turns them into structured data. On Zapier, each new parsed result can start a Zap (an automation that waits for one event, then runs steps in other apps). You get two ways to listen: every parsed item, or only those matching one email pattern.
Three outcomes worth building. A clean table of incoming requests: New Custom Item follows a single pattern, say the order confirmations from one supplier, and writes each one as a row. A CRM that fills itself: New Parsed Item catches everything Parsematic parses, so each lead email forwarded by sales becomes a contact without retyping. A team alert: the same triggers can post a message for whoever has to act on the email.
Where Zapier stops. Parsematic offers no action and no search on Zapier, so a Zap cannot send an email to Parsematic, create a pattern or look up an item that was parsed earlier. The flow always runs from Parsematic to your other tools; feeding emails in happens on the Parsematic side.
Both triggers poll, which means a delay that depends on your Zapier plan. If you are still choosing a platform, the Make vs Zapier comparison and the Zapier review sit next to this page.
Zapier vocabulary in one minute
Seven words you will meet on every Zapier screen, in plain English.
- Zap
- Your automation on Zapier: one trigger, then one or more actions. Here, each Zap opens on an email Parsematic has parsed.
- Trigger
- The event in an app that starts the Zap; Zapier waits for it once the Zap is on. Parsematic gives you two.
- Action
- The work the Zap performs once triggered, such as writing a row or sending a message. Parsematic has none, so it happens in other apps.
- Task
- The unit Zapier bills: one action your Zap completes successfully. One row per parsed email is one task per email.
- Polling vs instant
- Polling means Zapier checks for new items on a schedule; instant means the app reports them itself. Both Parsematic triggers are polling.
- Filter
- A step that lets the Zap go on only when what arrived meets your condition, for instance one sender among all parsed emails.
- Connection
- Your Parsematic account linked to Zapier once, then reused by every step and every Zap that uses Parsematic.
What it really costs
Zapier keeps Parsematic off its premium list, so a parsed-email Zap can run on the free plan, as long as it stays at one trigger and one action.
- Premium appNo, free plan works
- Cost of a Parsematic triggerZero tasks
- Tasks on the free plan100 per month
- Zap size on the free planTwo steps: one trigger, one action
Watching Parsematic is free: the trigger never uses a task, however often Zapier checks for new items. What counts is each action that succeeds in the next app, and a failed action is not billed. The free plan gives 100 tasks a month and two-step Zaps only, so one Parsematic trigger and one action. A second action, a filter or a search makes the Zap multi-step and needs a paid plan. The grid below sets how often Zapier checks Parsematic on each plan.
Connect Parsematic to Zapier in three steps
- 01
Go to Apps
In your Zapier account, open Apps and click + Add connection. You need a Parsematic account already set up before you can link it, with access to the emails and patterns the Zap should use.
- 02
Select Parsematic
Look up Parsematic in the dialog's search box, click it, then press Add connection. Parsematic then asks you to sign in from a browser tab of its own.
- 03
Sign in and grant access
Sign in with the Parsematic account that receives your forwarded emails, then allow Zapier in. That link is what fills the Pattern list you will meet in the trigger.
Your first Parsematic Zap
GoalTurn every supplier order email that Parsematic parses into a spreadsheet row, then alert purchasing in Slack.
- 01
Pick the trigger
Begin the Zap with Parsematic and choose New Custom Item, the event that follows a single email pattern. Select your Parsematic connection so the next field can load.
- 02
Choose the pattern
In the required Pattern field, pick the email pattern to follow, by its name or by sender plus subject. Only items parsed with that pattern will start the Zap.
- 03
Test the trigger
Run the test. Zapier brings back the three most recent items of the account for that pattern, so the next steps get mapped on a real parsed email.
- 04
Add the actions
Next comes a Google Sheets row, with the parsed values spread over its columns, followed by a Slack message for purchasing. Two actions mean a multi-step, paid Zap; on Free, keep only the row.
- 05
Test and publish
Test each action, check the row and the message, then click Publish to switch the Zap on for every new email that matches the pattern.
Parsematic triggers
2 events start a Zap when something happens in Parsematic. Zapier checks for them at the interval your plan allows.
New Custom Item
Polling triggerIn Zapier“Triggers when Parsematic creates a new parsed custom item from an email.”
This trigger starts a Zap only when Parsematic parses an email that matches the pattern you chose. It keeps one type of email, from one source, in its own Zap.
New Parsed Item
Polling triggerIn Zapier“Triggers when Parsematic creates a new parsed item from an email.”
Here every email Parsematic parses starts the Zap, whatever pattern produced it. It is the wide net, useful when one destination should receive everything.
When it breaks
Parsematic comes with no Zapier help article. The cases below apply Zapier's general rules to an inbox that keeps forwarding emails to be parsed.
With polling triggers, what goes wrong is usually timing or history rather than the connection. Go through these before you count on the Zap, and keep Zapier troubleshooting at hand.
Emails parsed earlier are skipped
Emails parsed before the Zap went live never travel. Only what Parsematic parses after publishing reaches your sheet; the backlog is a separate job.The pattern list is empty
The Pattern field on New Custom Item reads from the connected account. Linked the wrong account, or no pattern built yet? The list has nothing to offer.A burst of emails gets held back
If a large batch of parsed items appears at once, after forwarding an old mailbox for example, Zapier's flood protection can hold the trigger back.An item never runs twice
On a polling trigger, Zapier remembers what it has already seen, so the same parsed item does not start the Zap a second time. No duplicates, but no replay either.
