Pass Studio Zapier integrationAutomate Pass Studio with Zapier.

The Pass Studio Zapier integration gives you 5 triggers, 16 actions and 7 searches. Orders, scans and loyalty points in your other tools turn into Apple and Google Wallet passes that update themselves, and every pass event can set off a step elsewhere.

Beta app Zapier still marks this integration as beta.

Overview

What the Pass Studio Zapier integration is for

Pass Studio builds digital passes for Apple and Google Wallet: coupons, membership cards, event tickets, loyalty cards. Connected to Zapier, it works both ways. Your shop, your till or your CRM can issue, update and revoke passes, and whatever happens to a pass can feed back into those tools.

Three results justify the setup. First, a pass that leaves on its own: an order lands in your till system, Process Order for Pass matches the buyer, adds the points and issues a pass when it fits, and sending the same order twice changes nothing. Second, a loyalty scheme run from your own software: Award or Adjust Points moves a balance, and crossing the threshold kicks off the full reward flow, with a new code, a new card face and a push notification. Third, a clean customer file: Pass Redeemed logs every scan in your CRM, and Holder Merged tells it when two people turn out to be the same one.

Around those, there is the whole design side (Create Pass, Update Pass, Draft Translation), campaigns with Notify All Holders, and seven searches to read passes, holders and programs. All five triggers are instant, which matters a lot on the free plan.

What Zapier does not do here: there is no operation to delete a pass design or a loyalty program, only to archive a pass through Update Pass or pause a program through Update Loyalty Program. Nothing reports a new holder profile as such either; you read them with a search. And Zapier marks the app as beta.

If you are weighing other platforms for wallet passes, the comparisons are here: n8n vs Zapier and Make vs Zapier.

Vocabulary

Zapier vocabulary in one minute

Eight words carry the rest of the page. Each gets a plain definition here, then the page uses it without coming back to it.

Zap
The automation you build on Zapier: one trigger, followed by one or more actions that run every time the trigger event happens.
Trigger
The event in an app that starts the Zap, such as a pass being redeemed. Once the Zap is on, Zapier waits for it.
Action
What the Zap does after it starts: the step that writes, sends or moves something for you, like issuing a pass.
Task
The unit Zapier bills. One task is one action your Zap completes successfully, and your plan counts those.
Polling vs instant
A polling trigger is checked by Zapier on a timer. An instant trigger is reported by the app itself, the moment the event happens.
Filter
A step that lets the Zap carry on only when what arrived meets the condition you set, and stops it there otherwise.
Search step
A step that looks up something that already exists in an app, so the steps after it can reuse what it found.
Connection
Your Pass Studio account linked to Zapier once, then reused by every step of every Zap that talks to Pass Studio.
Cost

What a Pass Studio Zap really costs

Pass Studio is not one of the apps Zapier keeps for paid plans: it works on the free plan. Two meters run side by side, though: Zapier tasks and Pass Studio credits.

  • Free plan100 tasks a month, unlimited Zaps
  • Free plan stepsOne trigger and one action, nothing more
  • Pass Studio triggers5 instant, so no waiting on any plan
  • Billed by ZapierEach successful action, never the trigger

On the Zapier side, only a successful action costs a task. The trigger never does, and an action that fails is not counted. Each successful action counts on its own, so a Zap that issues a pass and then awards points uses two tasks per run. The free plan stops at two steps, one trigger and one action. A filter, a search or a second action makes the Zap multi-step, and that needs a paid plan. The interval grid below concerns polling triggers only: the five Pass Studio triggers are instant, so they fire straight away on every plan. Pass Studio credits are a separate count, covered in the action notes.

Connect

Connect your Pass Studio account to Zapier

  1. 01

    Open the Apps page

In your Zapier account, go to the Apps page and click + Add connection. You need a Pass Studio account, plus access to any pass or program you did not create yourself and want the Zap to touch.

  2. 02

    Pick Pass Studio

Type Pass Studio into the search box of the dialog, select it, then confirm with Add connection. A new tab opens on the Pass Studio side so you can show the account is yours.

  3. 03

    Sign in and grant access

Sign in to Pass Studio in that tab and let Zapier use the account. The connection then appears on the Apps page, and each Zap picks it from a list instead of asking you again.

First Zap

Your first Pass Studio Zap, step by step

GoalEvery pass issued without the invite email reaches the customer by text message, with the add-to-wallet link inside.

  1. 01

    Pick the trigger

Create a Zap, choose Pass Studio, then Pass Issued. It fires before the holder adds the pass to a wallet, and it carries the add-to-wallet link the rest of the Zap needs.

  2. 02

    Test the trigger

Run the test. Zapier brings back the three most recent items of the connected account, so you map the next steps on a real pass rather than an empty template.

  3. 03

    Add the filter

Click the plus icon, pick Filter, then set the field, the rule and the value. Use a text rule on text: the wrong rule type is why a filter never lets anything through.

  4. 04

    Add the text message

Add a Twilio step and map the add-to-wallet link from the trigger into the message. Switch the pass's Send the Invite Email setting off first, or the customer gets the link twice.

  5. 05

    Test, then publish

Test each step and read what came back. Then click Publish to switch the Zap on. With the filter it is a multi-step Zap, so it runs on a paid plan.

Triggers

The 5 Pass Studio triggers

5 events start a Zap when something happens in Pass Studio, and 5 of them are instant: the app calls Zapier straight away, whatever your plan.

1

Holder Merged

Instant trigger

In Zapier“Triggers when Pass Studio identity resolution merges two holder records — re-key your CRM to the surviving holder ID.”

Fires when Pass Studio works out that two holder records belong to the same person and merges them into one. Your other tools can then switch to the holder ID that survives.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan
When to use it
your CRM keys customers on the Pass Studio holder ID and should switch to the surviving ID before duplicates pile up.
Watch out
the merge is Pass Studio's decision, not yours, so plan the CRM side to accept an ID that changes.
2

Pass Issued

Instant trigger

In Zapier“Triggers when a pass is issued (share link, form, order, or API), before the holder adds it to a wallet. Carries the add-to-wallet link for a text or email step.”

Fires when a pass is handed out, whether through a share link, a form or an order, and before the customer has added it to a wallet. It carries the add-to-wallet link.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan
When to use it
you want to send that link yourself, by text message, WhatsApp or your own email tool, rather than rely on the Pass Studio invite email.
Watch out
if the invite email is still on for that pass, the customer receives two messages, so switch it off with Update Pass first.
3

Pass Redeemed

Instant trigger

In Zapier“Triggers when a pass is redeemed — at the counter, on an order, or via the API.”

Fires each time a pass gets used: scanned at the counter, applied to an order, or redeemed from another system. Redeem Pass Code and Redeem Reward set it off as well.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan
When to use it
every redemption should land as a line in a spreadsheet or as an activity on the customer record, so the sales team sees who actually comes back.
Watch out
a Zap on this trigger that runs Redeem Pass Code starts itself again, so never chain the two.
4

Pass Removed

Instant trigger

In Zapier“Triggers when a holder removes a pass from their wallet or it is revoked.”

Covers two exits: a holder deletes a pass from their wallet, or the pass gets revoked. Both cases end the same way: the pass no longer lives on the phone.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan
When to use it
a member drops the card and you want to flag them in your CRM, or open a follow-up task for your retention team.
Watch out
a revocation you triggered yourself also lands here, so a filter helps if only voluntary removals should count.
5

Pass Updated

Instant trigger

In Zapier“Triggers when a pass is updated and pushed to holders.”

Goes off when a pass changes and the update is pushed to the people holding it. It is the signal that what sits in the wallets is no longer what it was.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan
When to use it
a change of venue or terms on an event ticket should also go out as a post in your team chat, so staff on site know before the guests do.
Watch out
a Zap on this trigger that runs Update Pass or Update Pass for ALL Holders loops on itself and burns tasks.
Actions

The 16 Pass Studio actions

Pass Studio gives you 16 actions. For each one: what it does for you, when to reach for it, and what to watch out for.

1

Award or Adjust Points

Action

In Zapier“Adds (or deducts, with a negative number) loyalty points for one holder. Crossing the reward threshold triggers the full reward flow — new code, face change, push notification.”

Adds loyalty points to one holder, or takes some away with a negative number. The balance never drops below zero.

When to use it
your booking tool marks a class as attended and the member should earn points for it.
Watch out
crossing the reward threshold launches the full reward flow, with a new code, a new card face and a push notification.
2

Create Pass

Action

In Zapier“Creates a pass design headlessly — the same object the Studio builds, images by URL. Drafts are free; publishing costs the same credits as in the Studio.”

Builds a pass design without opening the Studio, the same object the Studio would produce, with images supplied by link.

When to use it
each new event in your ticketing calendar needs its own ticket design, and you would rather not build them one by one.
Watch out
drafts are free, but publishing costs the same Pass Studio credits as a publish done in the Studio.
3

Create Loyalty Program

Action

In Zapier“Creates a loyalty program on one of your passes — the same rules and credits as the Studio wizard. On a coupon pass it builds the three-stage loop; on a membership card it runs in single-card mode (stages on the back, optional tiers). The program starts as a draft; launch it with Update Loyalty Program.”

Sets up a loyalty program on a pass that does not have one yet. On a coupon it builds a three-stage loop; on a membership card it runs in single-card mode, with optional tiers.

When to use it
every new shop you open gets its own program from a template row.
Watch out
the program starts as a draft and does nothing until Update Loyalty Program launches it.
4

Draft Translation

Action

In Zapier“Drafts the translation of a pass into one language. Nothing is saved: review the rows, then send them with Update Pass (Added Languages + Translations).”

Prepares the translation of a pass into one other language and hands back the translated rows. Nothing is saved at this stage.

When to use it
a tourist season is coming and the Spanish version of your coupon should be ready for review.
Watch out
the translation only goes live when you send those rows through Update Pass, with the language added to the pass.
5

Invite Shopify Customers

Action

In Zapier“Invites a connected Shopify store's existing customers to a membership pass by email, with claim links that link each card to the Shopify customer. Nothing is charged until a customer adds their card. Runs a sweep now and can leave the hourly sweep on for new customers.”

Emails the existing customers of a connected Shopify store an invitation to a membership pass, with a claim link tying each card to the right customer.

When to use it
you launch a membership card and want the existing customer base invited without exporting a list.
Watch out
each run sends up to 200 invites, and by default only customers who accepted marketing email are invited.
6

Issue Pass

Action

In Zapier“Issues a pass to a customer by email or phone. With an email, Pass Studio sends the Apple & Google Wallet buttons unless Send Wallet Email or the pass's invite email is off. Deduplicates per email, phone, or barcode when you supply one — re-running for the same customer returns the existing pass.”

Gives a pass to one customer, identified by email or phone. With an email, Pass Studio sends the Apple and Google Wallet buttons itself unless that email is switched off.

When to use it
someone signs up through your website form and should leave with a welcome coupon.
Watch out
running it twice for the same customer returns the existing pass instead of a second one.
7

Notify All Holders

Action

In Zapier“Sends a message to everyone holding a pass, now or at a date and time: a campaign. iPhone shows it on the lock screen and as the latest update on the back of the pass; Android as a Google Wallet notification. Costs 2 credits per notified device, charged at the start.”

Sends a message to everyone holding a pass, now or at a set date: a campaign. iPhones show it on the lock screen, Android phones as a Google Wallet notification.

When to use it
a weekend sale starts in your shop and every card holder should hear about it.
Watch out
each notified device costs 2 credits, charged at the start, and the message is capped at 200 characters.
8

Process Order for Pass

Action

In Zapier“Feeds an order into the Pass Studio engine: detects Pass Studio codes, matches the customer to a holder, accrues or redeems loyalty points, and issues a pass when appropriate. Idempotent — re-sending the same order is safe.”

Feeds an order from your till or online shop into Pass Studio, which spots its codes, finds the matching holder, moves the points and issues a pass when it should.

When to use it
a WooCommerce or Square sale should count toward loyalty without anyone typing it in.
Watch out
Shopify is not accepted as the source system here, since it has its own native link.
9

Redeem Pass Code

Action

In Zapier“Redeems a pass code the way the staff app does: validates the code, decrements uses, pushes the updated pass to the holder's wallet, fires Pass Redeemed, and advances a loop when the pass is spent. An event ticket is never refused for a second scan: the answer says when and where it was scanned before. Add an Order ID to record an online order instead of a counter scan.”

Redeems a code the way the staff app does: checks it, takes off one use, pushes the updated pass to the wallet and moves the loop forward when the pass is spent.

When to use it
your online checkout accepts pass codes and the redemption should be recorded against the order.
Watch out
an event ticket is never refused on a second scan; the answer says when and where it was scanned before.
10

Redeem Reward

Action

In Zapier“Redeems a reward on a membership card in one call: deducts the reward's cost from the member's points, clears or rewrites the Reward lines on the back of the card, pushes the card with an optional notification, and fires Pass Redeemed. For merchants whose own software decides when a reward is earned.”

Cashes in a reward on a membership card in one go: deducts its cost from the points, clears or rewrites the reward lines on the back, and pushes the card.

When to use it
your own till software decides when a reward is earned and Pass Studio should simply follow.
Watch out
if the balance is below the cost, the step is refused and nothing changes on the card.
11

Revoke ALL Passes by Barcode

Action

In Zapier“⚠️ Deliberately revokes EVERY pass sharing a barcode (leaked shared code, cancelled event ticket batch). Dry Run is ON by default — it reports how many passes WOULD be revoked without touching them. Turn it off to execute.”

Kills every pass sharing the same barcode at once, for a leaked shared code or a cancelled batch of event tickets. A reason is required and recorded on each revocation.

When to use it
a concert date is cancelled and every ticket in that batch must stop working.
Watch out
Dry Run is on by default and only reports how many passes would go; turn it off to actually revoke.
12

Revoke Pass

Action

In Zapier“Revokes ONE holder's pass — it visibly dies in their wallet. If several live passes share the barcode, the action fails safely; use Revoke ALL by Barcode for deliberate mass revocation.”

Revokes the pass of a single holder, and it visibly dies in their wallet. You point to the pass with an identifier.

When to use it
a membership is cancelled in your billing tool and the card should stop working too.
Watch out
if several live passes share the barcode, the step fails on purpose; mass revocation belongs to Revoke ALL Passes by Barcode.
13

Update Pass for ALL Holders

Action

In Zapier“Updates template fields — and optionally the venue location — and pushes the change to EVERY active holder of the pass. Use for event changes, moving pop-ups, or template-owned fields (title, details, terms, expiry).”

Changes the fields shared by every copy of a pass, and optionally the venue location, then pushes the change to every active holder.

When to use it
a pop-up store moves across town and every card should show the new address.
Watch out
every active holder gets the change at once, so a mistake lands in every wallet. Values that belong to one person go through Update One Holder's Pass.
14

Update One Holder's Pass

Action

In Zapier“Updates fields on a single holder's pass and pushes it to their wallet. Template-owned keys (title, details, terms, expiry) are rejected — use Update Pass for ALL Holders for those.”

Edits the fields of a single holder's pass, the values that belong to that person, and pushes it to their wallet only.

When to use it
a guest swaps seats in your ticketing tool and only their ticket should change.
Watch out
fields owned by the template, like title, details, terms or expiry, are refused here and go through Update Pass for ALL Holders.
15

Update Pass

Action

In Zapier“Updates a pass design — name, status (publish or archive), distribution, colors, texts, images by URL — and pushes it to every holder like a Studio save. Per-holder values live in Update One Holder's Pass.”

Edits a pass design: name, status for publishing or archiving, distribution, colours, texts and images. It then pushes the result to every holder, like a save in the Studio.

When to use it
a new season starts and the card artwork changes.
Watch out
pushing costs credits like a Studio push; set Push to Holders to false to save without sending.
16

Update Loyalty Program

Action

In Zapier“Launches, pauses, or edits one loyalty program: status, name, earning rules, offers, notifications, single-card back lines, tiers. Send only what changes.”

Launches, pauses or edits a loyalty program: status, name, earning rules, offers, notifications, tiers. Only the fields you send change.

When to use it
a program built with Create Loyalty Program is approved and should go live.
Watch out
Remove Tiers switches tiers off, though members keep the points they already earned.
Searches

The 7 Pass Studio searches

7 search steps look for data that already exists in Pass Studio, so a later step can use it.

A search step fetches something that already exists so the next steps can use it. In the editor, searches sit at the bottom of the Action event list, under the SEARCH heading, and some fields offer + Add search step to insert one just before. Three settings decide what happens when the result is not clean.

1

Find Holder

Search

In Zapier“Finds a pass holder by email, phone (any format), or barcode content. Returns identity, pass instances, and loyalty state.”

Finds one pass holder from an email, a phone number in any format, or the content of a barcode. It hands back their identity, their passes and their loyalty state.

When to use it
a support ticket arrives by email and you want to know which cards that customer holds before answering.
Watch out
you pick the search criterion first, so an email typed into a phone search finds nothing.
2

Get Pass

Search

In Zapier“Returns one pass — design (colors, texts, image URLs, fields), status, distribution, share URL, editable field keys and labels, and the active-holder count.”

Reads one pass in full: design, status, distribution, share link, the keys of its editable fields and how many people hold it right now.

When to use it
before editing one holder's pass, you need the exact field keys to map.
Watch out
it reads the design, not a given holder's copy; for that, Find Holder is the right step.
3

Get Loyalty Program

Search

In Zapier“Returns one loyalty program: status, earning rules, offers, single-card back lines, tiers, and the passes it runs on.”

Reads one loyalty program: its status, earning rules, offers, tiers and the passes it runs on.

When to use it
a status sheet in your spreadsheet should show whether each program is live or paused.
Watch out
the Loyalty Program field is mandatory, so this is a read of a known program, not a hunt by name.
4

List Holders of a Pass

Search

In Zapier“Lists the holders (pass instances) of one pass, newest activity first, as line items — feed them to Looping by Zapier. Paginated: pass the returned Next Cursor to get the next page.”

Lists everyone holding one pass, most recent activity first, as line items ready to feed to Looping by Zapier.

When to use it
you want to copy the holders of an event ticket into your mailing tool, one row per person.
Watch out
results come in pages; pass the returned Next Cursor back to fetch the following page.
5

List Holder Profiles

Search

In Zapier“Lists the account's holder profiles — one row per person, with every email, phone, and member id seen on their passes — as line items. Paginated. Not available on team API keys.”

Lists the holder profiles of the account, one row per person, with every email, phone and member number seen on their passes.

When to use it
you rebuild a clean customer file in your CRM and want one line per real person, not per pass.
Watch out
results come in pages. And a connection made with a team key cannot use this search at all.
6

List Loyalty Programs

Search

In Zapier“Lists the account's loyalty programs with their rules, status, and the pass ids each one runs on, as line items.”

Lists every loyalty program on the account, with its rules, its status and the passes each one runs on.

When to use it
a chain with one program per shop wants an overview copied into a shared sheet.
Watch out
it returns line items, so the step that follows has to handle several rows rather than one.
7

List Loyalty Program Members

Search

In Zapier“Lists a program's members with points balance, loop state, active code, tier, and identity, as line items. Paginated.”

Lists the members of one program with their points balance, loop state, active code, tier and identity.

When to use it
members close to a reward deserve a nudge from your email tool.
Watch out
it is paginated too, and it needs the Loyalty Program field to know which program to read.

The three settings every search exposes

  1. Successful if no search results are found?
Left on its default, a search that finds nothing stops the Zap, and the steps that depended on it are skipped. Switched on, the Zap carries on empty-handed.
  2. Create X if it doesn't exist yet?
This box turns a search into find-or-create. Pass Studio exposes no find-or-create variant, so a missing holder or pass is never created this way.
  3. If multiple search results are found?
Three ways out when several items match: keep the first one, which is the default, stop the Zap, or pass all of them on at once.
When it breaks

When a Pass Studio Zap breaks

Zapier attaches no help article to Pass Studio. What breaks comes from Zapier's general behaviour and from a few safety rails that Pass Studio sets on purpose.

Six cases are worth knowing before you publish. When one of them shows up, start with the Zapier troubleshooting page.

  • Past orders never get a pass

A Zap only reacts to what happens after it is switched on. Customers who bought before that stay without a pass until you move that backlog separately.
  • A Zap that sets itself off

A Zap on Pass Redeemed that runs Redeem Pass Code, or on Pass Updated that runs Update Pass, triggers itself again and again and drains the task count.
  • A bulk import gets held back

When a trigger suddenly returns a huge batch, after an import or a migration, Zapier's flood protection can hold that batch back.
  • Reward refused for low balance

Redeem Reward refuses the step when the member's balance is below the reward cost, and nothing changes on the card.
  • Revoke Pass fails on a shared code

When several live passes share a barcode, Revoke Pass stops on purpose instead of guessing; Revoke ALL Passes by Barcode handles that case.
  • Mass revocation that does nothing

Revoke ALL Passes by Barcode runs in Dry Run by default: it only reports the count. Switch Dry Run off for the passes to actually die.

FAQ

Pass Studio Zapier integration: frequent questions

01Is the Pass Studio Zapier integration free?
Yes on the Zapier side: Pass Studio works on the free plan, because Zapier does not keep it for paid plans. The free plan gives 100 tasks a month and unlimited Zaps, each limited to two steps, one trigger and one action. That covers Pass Redeemed feeding a spreadsheet. Add a filter, a search or a second action and the Zap becomes multi-step, which needs a paid plan. Pass Studio has its own credits on top, for publishing a pass, pushing updates and sending campaigns. Zapier marks the app as beta.
02How many tasks does a Pass Studio Zap use?
One task per successful action, and nothing for the trigger. A Zap that issues a pass on each order uses one task per order. If it also awards points, that is two, because each successful action counts on its own. An action that fails is not counted. Separately, some actions spend Pass Studio credits: Notify All Holders costs 2 credits per notified device, charged at the start, and publishing or pushing a design costs the same as in the Studio. Inviting Shopify customers charges nothing until a customer adds their card.
03Does Pass Studio work in real time with Zapier?
Yes, all five Pass Studio triggers are instant. Pass Studio reports Holder Merged, Pass Issued, Pass Redeemed, Pass Removed and Pass Updated to Zapier the moment they happen, so the Zap starts right away, whatever the plan. The interval grid of 15 minutes on Free, 2 on Professional and one on Team and Enterprise does not apply to them. The editor shows a lightning bolt on Zaps built on an instant trigger, so you can check it before you publish.
04What does it take to connect Pass Studio to Zapier?
A Pass Studio account, and access to any pass or program you did not create yourself but want the Zap to change. The connection takes three moves: open the Apps page of Zapier and click + Add connection, search for Pass Studio and confirm with Add connection, then sign in to Pass Studio in the tab that opens and grant access. Every Zap then reuses that connection from a list. For Invite Shopify Customers, a Shopify store must also be connected on the Pass Studio side.
05Why did Revoke ALL Passes by Barcode not revoke anything?
Because Dry Run is on by default. In that mode the action only reports how many passes would be revoked, without touching any of them. Set Dry Run to false to actually revoke, and fill in the Reason field, which is required and recorded on each revocation. The single-pass version, Revoke Pass, works the other way round: if several live passes share the barcode, it fails on purpose rather than picking one, so mass cases always go through the ALL action.
06What if the Pass Studio operation you want is not in Zapier?
Then it is not available through Zapier today. The editor offers five triggers, sixteen actions and seven searches for Pass Studio, and nothing outside that list. There is no delete for a pass design or a program, for instance: you archive a pass with Update Pass and pause a program with Update Loyalty Program. Often a search plus an action covers the gap, such as Find Holder followed by Update One Holder's Pass. Anything else stays in the Pass Studio interface.
07Zapier, Make or n8n for Pass Studio?
Choose on criteria rather than reputation. On Zapier, Pass Studio brings five instant triggers, sixteen actions and seven searches, works on the free plan for two-step Zaps, and needs a paid plan once a filter, a search or a second action comes in. So check three things: whether your flows need several steps, whether the List searches feeding Looping by Zapier fit your volumes, and whether the other platform offers the same operations, especially the instant triggers. Then compare.
