Why connect Picky Assist 3.0 to Zapier
Picky Assist 3.0 is a bridge between WhatsApp and the rest of your software. Messages that reach your number can be sent on to other tools, and those tools can send WhatsApp messages back. Zapier chains apps together without code. Put the two side by side and a customer's message becomes a starting point for work in any of your apps.
Three things teams usually want. A team alerted on every message: New Message fires on each new WhatsApp or SMS, and the next step posts it in the channel where your support people work. Automatic WhatsApp updates: a status change in your order tool or a new invoice in your accounting app runs Send Message, and the customer hears about it on WhatsApp. Picky Assist flows fed from outside: Send Data to Connector passes data from a form or a CRM into a connector you configured in Picky Assist, so the logic you already built there takes over.
Where it stops. Zapier offers no search for this app, so nothing can look up a past message or a contact. The only trigger is a new message; nothing else that happens in Picky Assist starts a Zap. And a Zap works forward only: messages from before you switched it on are never collected.
To learn the editor itself, there is Zapier training. To weigh Zapier against n8n, see n8n vs Zapier.
Seven Zapier terms you will meet
This page leans on a few Zapier terms. Each one is explained here once, then used as is.
- Zap
- An automation on Zapier: something happens in one app, then one or more steps follow, every time it happens again.
- Trigger
- The event that sets the Zap off. When the Zap is on, Zapier sits waiting for it; for this app, an incoming message.
- Action
- A step the Zap performs once it has started, such as sending a WhatsApp message or passing data along.
- Task
- The billing unit of Zapier: each action that completes counts as one, and your plan caps how many you get.
- Polling vs instant
- Polling means Zapier asks the app for news on a timer. Instant means the app calls Zapier itself when something happens.
- Filter
- A step that only lets the Zap continue when the incoming data matches a rule you set; otherwise the run ends there.
- Multi-step Zap
- A Zap with more than a trigger and one action, because of a filter or extra actions. It requires a paid plan.
How much a Picky Assist 3.0 Zap costs
Zapier does not treat Picky Assist 3.0 as a premium app, so the free plan can use it. What you spend depends on actions completed, not on messages received.
- Free plan100 tasks per month, unlimited Zaps
- Free plan Zap shapeTwo steps: one trigger, one action
- Incoming message triggerNo task used
- Failed actionNot counted
New Message costs no task, whatever your volume, and an action that fails does not count. Every completed action counts separately: alert the team and feed a connector, and each incoming message costs two tasks. On the free plan, a Zap holds two steps, a trigger and one action. A filter that keeps only certain messages, or any second action, turns it into a multi-step Zap, and that requires a paid plan. The interval grid below is for polling triggers; New Message is instant, so it is not affected.

First Zap: hand keyword messages to a Picky Assist connector
GoalWhen a WhatsApp message contains a chosen keyword, pass it to a connector that runs your Picky Assist flow.
- 01
Choose the trigger
Start a Zap with Picky Assist 3.0 and the
New Messageevent. Select the connection and enter a Zap Name, which is required and labels this Zap inside Picky Assist. - 02
Pull in a sample
Test the trigger. Zapier returns the three most recent items of the connected account, so pick a real message to map from instead of an invented one.
- 03
Filter on the keyword
Use the plus icon to add a Filter step, then set the field, a text rule and the keyword. Pick a text rule, since a number rule never passes on text.
- 04
Feed the connector
Add
Send Data to Connector, paste the URL of the connector you built in Picky Assist, and map the message details the flow needs. - 05
Check, then switch on
Test each step once and read the result before moving on. When the connector receives the right data, click Publish to turn the Zap on.
Picky Assist 3.0 trigger
1 event starts a Zap when something happens in Picky Assist 3.0, and one of them is instant: the app calls Zapier straight away, whatever your plan.
New Message
Instant triggerIn Zapier“Triggers when there's a new WhatsApp/ SMS.”
Runs your Zap whenever a fresh WhatsApp message or SMS lands in Picky Assist. With no other trigger on offer, this is where every Zap built on this app begins, whether the goal is to file the conversation, ping the right person or start a flow in another tool. Add a filter after it when only some messages matter.
Picky Assist 3.0 actions
Picky Assist 3.0 gives you 2 actions. For each one: what it does for you, when to reach for it, and what to watch out for.
Operations index
Send Message
ActionIn Zapier“Send A New WhatsApp Message.”

Send Data to Connector
ActionIn Zapier“Trigger a PickyAssist Connector”
Passes data from an earlier step into a Picky Assist connector, which then runs the flow you configured for it.
What breaks a Picky Assist 3.0 Zap
No help article and no app-specific limit are attached to Picky Assist 3.0 on Zapier. The usual failures come from general Zapier behaviour, and these four are the ones to know.
The first three come from general Zapier behaviour, the last from the number format Send Message expects. If a run errors out, Zapier troubleshooting walks through the standard checks.
No backlog
Messages received before the Zap was switched on are never collected. Only new ones from that point start a run; older history needs separate handling.A message loop
If a Zap writes back into what its own trigger watches, it sets itself off again and again and eats through your task count quickly.Flood protection
A sudden mass of new items, after a bulk import or a migration, can make Zapier hold the runs back rather than process them all at once.Rejected number format
Mobile Number expects the country code, with no plus and no leading zero. Numbers stored differently in your source app need cleaning first.
