Overview

What Pingen does at the end of a Zap

Pingen on Zapier is the last mile between a digital document and a paper letter. Another app produces a file, an invoice, a reminder, a contract, and the Zap hands it to Pingen, which creates the letter in your organisation and can send it by post on its own.

Three results people build with it. Paper invoices for clients who still want them: your billing tool drops a PDF in a folder and Upload/Send Letter mails it. Formal reminders: a dunning letter generated elsewhere goes out by post without anyone printing, folding or stamping it. A review queue: with automatic sending switched off, each document lands in Pingen as a letter waiting for a human check before it leaves.

What Zapier does not do here matters as much. Pingen has no trigger on Zapier, so nothing in Pingen can start a Zap: you will not get a Zap that reacts to a letter being delivered or returned. There is no search either, so a Zap cannot find an earlier letter or check its status. The page you are reading cannot tell you what a letter costs at Pingen; that stays between you and Pingen.

If you want help building the flow, see the Zapier agency page. For a broader comparison of tools, there is Zapier alternatives.

Vocabulary

Zapier words, translated for Pingen users

Seven terms, each in one plain line, seen from a Zap that ends with a letter in Pingen.

Zap
The automation you build on Zapier: one trigger, then one or more actions that run every time that trigger event happens.
Trigger
The event that starts a Zap. Pingen has none, so it always comes from another app, such as a new file in a cloud folder.
Action
What the Zap does once started. Here it is Upload/Send Letter, the step that turns a file into a Pingen letter.
Task
The unit Zapier bills: one action your Zap completes successfully. Each letter the Zap creates in Pingen counts as one task.
Polling vs instant
A polling trigger is checked by Zapier on a timer; an instant one is reported by its app. It depends on the app before Pingen.
Filter
A step that lets the Zap go on only when what arrived meets your condition, and stops it there otherwise. Useful to post only some files.
Multi-step Zap
Any Zap beyond one trigger and one action. A filter or a second action turns it into one, and it then needs a paid plan.
Cost

What a Pingen Zap costs on the Zapier side

The trigger in the other app costs nothing. Each Upload/Send Letter that goes through is one Zapier task.

  • Trigger cost0 tasks
  • Each letter created1 task
  • Free plan100 tasks a month, 2 steps per Zap
  • Premium appNo, it works on Free

So one file, one letter: one task. A failed action is not counted against your plan. The free plan gives 100 tasks a month, unlimited Zaps and two steps per Zap, which is exactly a trigger plus Upload/Send Letter. Add a filter to post only certain files and you need a paid plan. Postage is billed by Pingen, not by Zapier, and this page does not quote it. Speed depends on the trigger app: polling ones follow the grid below.

Connect

Connect Pingen to Zapier in three steps

  1. 01

Find Pingen from the Apps page

In your Zapier account, open the Apps page and click + Add connection. A dialog lets you search apps by name: type Pingen and choose it in the results.

  2. 02

    Sign in to Pingen

Click Add connection, then sign in to Pingen in the tab that opens. Use the account that belongs to the organisation your letters should come from, or one with write access to it.

  3. 03

    Grant access

Approve the access Zapier asks for on that account. Every Zap and every step that uses Pingen then reuses this connection, so a second letter Zap needs no new sign-in.

First Zap

Your first Pingen Zap: invoices from a folder to the post

GoalEach PDF invoice saved in a chosen Google Drive folder, if it passes your rule, becomes a Pingen letter.

  1. 01

Pick the trigger app and event

Start building with the app where your documents land, here a cloud drive and its new-file event, then pick the folder. Pingen cannot start a Zap, so this first step always belongs to another app.

  2. 02

    Test the trigger

Run the test. Zapier brings back the three most recent items of the connected account, so you set up the rest of the Zap on a real file rather than a guess.

  3. 03

    Add a filter

Click the plus icon, choose Filter and fill the three boxes: the field to look at, a text rule, the value. A number rule on text never passes. This step makes the Zap multi-step.

  4. 04

    Set Upload/Send Letter

Add the action, choose your Pingen connection, then the Organisation, the File and a Filename. Pick the side where the address sits on the letter. For the test, set Automatically send to no.

  5. 05

    Test, switch sending on, publish

Run the step once and check the letter in Pingen. Once it looks right, set Automatically send as you want it, then click Publish to switch the Zap on.

Actions

The Pingen action

Pingen gives you 1 action. For each one: what it does for you, when to reach for it, and what to watch out for.

1

Upload/Send Letter

Action

In Zapier“Upload and optionally send a letter via pingen”

Takes a file from an earlier step and creates a letter with it in your Pingen organisation, then posts it or keeps it waiting, depending on one setting. Paper leaves your office without a printer.

When to use it
a client still pays only on paper invoices, and your billing tool already produces the PDF.
Watch out
the address side must match your document's layout, and Automatically send decides whether the letter leaves at once.
When it breaks

When a Pingen Zap breaks

Zapier ties no help article to Pingen and records no limit of its own for it. The breakdowns come from general Zapier rules, and with real letters at the end, they cost more than a wasted task.

  • Old documents are never posted

A Zap only reacts to what happens after you switch it on. Files already in the folder stay there; posting that backlog is a separate job.
  • A bulk upload turns into a wave of letters

Drop a big batch of files into the watched folder and the trigger reports them all at once. Zapier's flood protection can hold that batch back.
  • The filter never lets a file through

Filter rules are typed: a text rule works on text, a number rule on numbers. Compare a file name with a number rule and nothing ever passes.
  • The Zap will not publish on Free

The free plan builds two-step Zaps only. A filter or a second action next to Upload/Send Letter makes the Zap multi-step, which needs a paid plan.

FAQ

Pingen Zapier integration: frequent questions

01Is the Pingen Zapier integration free?
On the Zapier side, yes. Pingen is not a premium app, so it runs on the free plan, which gives 100 tasks a month, unlimited Zaps and two steps per Zap. A trigger in another app followed by Upload/Send Letter fits in those two steps. Postage itself is a Pingen matter and is not billed by Zapier. If you add a filter or a second action, the Zap becomes multi-step and needs a paid Zapier plan.
02How many tasks does a Pingen letter use?
One task per letter the action creates successfully. The trigger in the other app never costs anything, however often Zapier checks it. Each time the Zap reaches Upload/Send Letter and the step works, Zapier counts one task, whether the letter is sent at once or kept waiting. If the step fails, nothing is counted. With Pingen as the only action, the 100 free tasks match 100 letters a month at most.
03Does Pingen send letters in real time?
That depends on the app placed before Pingen, since Pingen has no trigger of its own. If the trigger app reports its events instantly, the Zap runs without waiting. If it is a polling trigger, Zapier checks on a timer: every 15 minutes on Free, 2 on Professional, 1 on Team and Enterprise. Once the Zap reaches Pingen, the Automatically send setting decides whether the letter leaves at once or waits in Pingen.
04What does it take to connect Pingen to Zapier?
A Pingen account tied to the organisation your letters should come from, and a Zapier account. On Zapier's Apps page, click + Add connection, search for Pingen, click Add connection, sign in to Pingen in the new tab and grant access. The organisation matters because Upload/Send Letter asks you to choose one. If you do not own it, your account needs write access to it. Sign in once and every Pingen Zap reuses the connection.
05How to avoid posting a test letter by mistake?
Set Automatically send to no while you build. That setting is required on Upload/Send Letter and decides whether the letter is sent right after it is created. With no, the test creates the letter in Pingen without posting it, so you can check the layout and the address side first. Once the result looks right, switch the setting to match how you want the Zap to behave, then publish. One extra test costs one task, not a stamp.
06What if the Pingen action you need does not exist?
Then Zapier cannot do it for Pingen today. The integration has one action, Upload/Send Letter, no trigger and no search. A Zap cannot react to a delivered or returned letter, look up an earlier letter, or cancel one. If your process depends on those steps, handle them in Pingen itself and keep the Zap for what it does well: turning a file from another app into a letter, sent at once or left waiting for a check.
07Zapier, Make or n8n for Pingen?
Choose on criteria, not on a ranking. On Zapier, Pingen brings one action, no trigger and no search, and works on the free plan. So the first question is whether the tool you consider supports Pingen at all, and the app where your documents come from. The second is steps: if you want a filter before posting, Zapier needs a paid plan for it. Weigh both before you commit. Then test on a single file before going live.
