The PitchPrfct Zapier integration gives you 11 triggers, 9 actions and 1 search. All 11 triggers are instant, so a reply, an opt-out or a failed text starts a Zap right away, even on the free plan. Here is what each one does, what it costs and where it breaks.

What the PitchPrfct Zapier integration does for your sales texts
PitchPrfct is an SMS platform built for sales teams: it holds your contacts, sends texts from your registered numbers, runs follow-up sequences and keeps track of who has opted out. Plugging it into Zapier lets your CRM, forms and team chat talk to it, so leads, replies and consent stay in step without anyone copying them over.
Three results justify the setup. First, leads that get texted on arrival: Create Contact, or the find-or-create version of Find Contact, brings a new lead in from your CRM, and Enroll Contact in Workflow starts the right sequence for it. Second, replies that reach a person: New Inbound SMS and New Conversation Reply push each answer into the tool your reps already watch, and Add Tag to Contact marks who has engaged. Third, consent kept in sync: Updated Contact Opt-Out Status passes every opt-out to your CRM, and Opt Out Contact does the reverse when the signal starts elsewhere.
Now what Zapier does not do here. There is no action to delete a contact, create a tag, start or stop a campaign, or build a workflow; those stay in PitchPrfct. Enroll Contact in Workflow only offers workflows that are active. Opt in Contact is not a shortcut either: PitchPrfct asks you to use it only with documented proof of renewed consent, and compliance with the TCPA (the US rules on marketing texts) stays your responsibility. Every trigger is instant, so the plan you pay for never slows these Zaps down.
If you would rather have the setup done for you, a Zapier agency can take it on.
Zapier words, in plain English
Eight terms you will meet in the editor, explained once here and used as is on the rest of the page.
- Zap
- The automation you build: one trigger, then one or more actions that run every time the trigger event happens.
- Trigger
- The event in an app that starts the Zap, such as an inbound text in PitchPrfct. Once the Zap is on, Zapier waits for it.
- Action
- What the Zap does once it has started: the step that writes, sends or moves something for you in an app.
- Task
- The unit Zapier bills. One action completed successfully is one task, and your plan is a count of those.
- Instant vs polling trigger
- An instant trigger is reported by the app itself the moment it happens. A polling trigger is checked by Zapier on a timer.
- Filter
- A step that lets the Zap carry on only when what arrived meets your condition, and stops it there otherwise.
- Search step
- A step that looks up something that already exists in an app, so the steps after it can use what it found.
- Connection
- Your PitchPrfct account linked to Zapier once, then reused by every step of every Zap that touches PitchPrfct.
What PitchPrfct costs you in Zapier tasks
The trigger never costs a task. Only an action that goes through is billed, and an action that fails is not counted.
- Trigger0 tasks
- Each successful action1 task
- Free plan100 tasks a month, 2-step Zaps
- Premium appNo, free plan works
PitchPrfct is not a premium app, so it runs on the free plan: 100 tasks a month and Zaps of two steps, one trigger and one action. New Contact followed by Enroll Contact in Workflow fits that. Put Find Contact in front of Send SMS, add a filter, or chain a tag and a message, and the Zap becomes multi-step, which needs a paid plan. Each extra action that succeeds is one more task per event, so a three-action Zap uses three times the tasks of a one-action Zap.
Connect your PitchPrfct account in three steps
- 01
Open the Apps page
In your Zapier account, go to Apps and click + Add connection. You need a PitchPrfct account first, with read or write access to anything you do not own but want the Zap to touch.
- 02
Pick PitchPrfct
Type PitchPrfct in the search box of the dialog, select it, then click Add connection. Zapier opens a new tab where PitchPrfct asks you to sign in to your account.
- 03
Sign in and grant access
Log in with the PitchPrfct account that owns your sending numbers and workflows, then allow Zapier to reach it. The connection is saved once and every later Zap reuses it.
Your first PitchPrfct Zap: tag a lead who texts back and tell the rep
GoalEach time a contact replies to one of your texts, tag them as engaged in PitchPrfct and post the reply to the sales channel.
- 01
Build: set the trigger
Create a Zap, choose PitchPrfct as the app that starts it and New Inbound SMS as the event, then pick your PitchPrfct connection.
- 02
Test the trigger
Run the test. Zapier brings back the three most recent items of your account, so you map the next steps on a real reply instead of empty fields.
- 03
Tag the contact
Add PitchPrfct with Add Tag to Contact, map the contact from the trigger and choose the tag that marks an engaged lead. Test it and check the contact in PitchPrfct.
- 04
Post to the team
Add Slack as a second action and map the reply into the message. Two actions make this a multi-step Zap, so it needs a paid plan; on the free plan, keep one action.
- 05
Publish
Publish the Zap to switch it on. Each reply then costs two tasks, one per action that goes through, and the trigger itself stays free.
PitchPrfct triggers in Zapier
11 events start a Zap when something happens in PitchPrfct, and 11 of them are instant: the app calls Zapier straight away, whatever your plan.
Updated Campaign Status
Instant triggerIn Zapier“Triggers when a campaign finishes processing all of its contacts. Includes campaign stats so you can log results to a spreadsheet or BI tool.”
Runs when a campaign has finished working through all of its contacts. Despite the generic name, this is the end-of-campaign signal, and it comes with the campaign's statistics attached.
New Contact
Instant triggerIn Zapier“Triggers when a contact is created.”
Starts a Zap each time a contact is added to PitchPrfct, whether someone typed it in or another tool created it. It is the natural entry point for anything that should happen once per lead.
Updated Contact Opt-Out Status
Instant triggerIn Zapier“Triggers when a contact opts out of SMS messaging. Use this to sync DNC (Do Not Contact) status across your CRM and other tools.”
Fires when a contact opts out of your text messages. It is the one trigger that protects you rather than sells for you: it lets the do-not-contact status leave PitchPrfct and reach every other tool.
Updated Contact
Instant triggerIn Zapier“Triggers when an existing contact is updated.”
Reacts when an existing contact changes in PitchPrfct, as opposed to being created. Use it when the details of a lead matter more than its arrival.
New Conversation Reply
Instant triggerIn Zapier“Triggers when a contact sends a conversation reply and includes contact details for routing or follow-up.”
Catches a reply sent by a contact inside a conversation and hands it over with the contact's details, so the next step knows who answered and where to route it.
New Inbound SMS
Instant triggerIn Zapier“Triggers when a contact replies to one of your outbound SMS messages. Use this to route replies to a team chat app, CRM, or shared inbox.”
Picks up the text a contact sends back after one of your outbound messages. It is the trigger to use when the content of the answer is what you need to see.
Updated SMS Delivery Status
Instant triggerIn Zapier“Triggers when an outbound SMS you sent is confirmed as delivered by the carrier.”
Confirms that one of your outgoing texts has been delivered by the carrier. The name says status, but this one only fires on success.
Updated SMS Failure Status
Instant triggerIn Zapier“Triggers when an outbound SMS fails to send (message.failed) or is not delivered by the carrier (message.undelivered). Use this to retry, log errors, or alert your team.”
The mirror of the delivery trigger: it fires when an outgoing text fails to send, or when the carrier does not deliver it. Both cases arrive through this same trigger.
New Contact Tag
Instant triggerIn Zapier“Triggers when one or more tags are applied to a contact.”
Runs when one or more tags are put on a contact. Tags are how PitchPrfct segments people for campaigns and workflows, so this is a segment-entry signal.
New Tag
Instant triggerIn Zapier“Triggers when a tag is created.”
Watches for a tag itself being created in PitchPrfct, before it is put on anyone. It tracks your segmentation scheme, not your contacts.
Updated Contact Tag
Instant triggerIn Zapier“Triggers when a tag is removed from a contact.”
Triggers when a tag is taken off a contact. The name hides the direction, so keep in mind that this is about removal, not about any change.
PitchPrfct actions in Zapier
PitchPrfct gives you 9 actions. For each one: what it does for you, when to reach for it, and what to watch out for.
Operations index
Add Tag to Contact
ActionIn Zapier“Applies one or more tags to an existing contact. Tags are used to segment contacts for campaigns and workflows.”
Puts one or more tags on an existing contact, which is how you drop them into a segment used by campaigns and workflows.
Create Contact
ActionIn Zapier“Creates a contact. If you also want to look up the contact first, pair this with the "Find Contact" search.”
Adds a new person to PitchPrfct. The Phone Number is required, written in international format such as +15551234567, and it must be a mobile able to receive texts.
Enroll Contact in Workflow
ActionIn Zapier“Enrolls a contact in a workflow. The workflow must be active. Use this to start a sequence when a lead enters your CRM or hits a milestone.”
Places a contact into one of your PitchPrfct workflows, which starts that sequence for them. Only active workflows appear in the required Workflow field.
Opt in Contact
ActionIn Zapier“Re-enables SMS messaging for a previously opted-out contact. Only use this when you have documented evidence of the contact's renewed consent — TCPA compliance is your responsibility.”
Turns texting back on for someone who had opted out. PitchPrfct reserves it for cases where you hold documented proof that the person agreed again.
Opt Out Contact
ActionIn Zapier“Marks a contact as opted out so they will no longer receive SMS messages. Use this to sync DNC status from your CRM or any other source of opt-out signals.”
Marks a contact as opted out, so PitchPrfct stops sending them texts. It is the inbound side of the opt-out sync.
Remove Tag From Contact
ActionIn Zapier“Removes a specific tag from a contact.”
Takes one specific tag off a contact. The Tag field is required, and you pick it from the tags already in your account.
Send SMS
ActionIn Zapier“Sends a one-off SMS from one of your registered phone numbers to a contact or any phone number.”
Sends a single text from one of your registered numbers, to a contact or to any phone number. Message Content and From Number are required.
Update Contact
ActionIn Zapier“Updates fields on an existing contact. Only the fields you provide will be changed; blank fields are ignored.”
Changes fields on a contact that already exists. Only the fields you fill in are changed; blank ones are ignored, and the Starred box can mark or unmark the person.
Update Conversation
ActionIn Zapier“Updates a conversation thread. Use this to mark a conversation as read or unread, or to archive/unarchive it. Pair with the "Find Conversation by Contact" search to look up a conversation ID first.”
Changes the state of a conversation thread: read or unread, archived or not. Leaving a box blank keeps its current value.
PitchPrfct search in Zapier
1 search step looks for data that already exists in PitchPrfct, so a later step can use it.
Searches sit at the bottom of the action-event list, under the SEARCH heading. Three settings decide what happens when the result is not the one you expected.
Find Contact
SearchFind or createIn Zapier“Searches for an existing contact by phone number, email, or name. Returns the first match. Pair with "Create Contact" for a Find-or-Create flow.”
Looks up an existing contact by phone number, email or name, and returns the first match. The editor also shows Find or Create Contact: the same search with the creation box ticked, which adds the contact when nobody matches.
The three settings every search exposes
- Successful if no search results are found?Left on its default, a search that finds nothing stops the Zap and the steps that needed its result are skipped. Switched on, the Zap carries on with nothing in hand.
- Create X if it doesn't exist yet?Ticking it turns the search into a find-or-create: the setting above disappears and Zapier asks for what it needs to create the missing contact.
- If multiple search results are found?Three ways out when several contacts match: keep the first one (the default), stop the Zap, or pass all of them on at once.
When a PitchPrfct Zap breaks
Zapier links no help article to PitchPrfct, so the cases below are Zapier's general limits, applied to an SMS tool where a mistake reaches a real phone.
With texting, a broken Zap is rarely silent: it sends twice, loops, or skips people. When a Zap stops and the cause is not obvious, start from the Zapier troubleshooting page.
Old contacts and replies are never picked up
A Zap only reacts to what happens after you switch it on. Contacts and messages that existed before stay where they are; moving that backlog is a separate job.Tag and update loops
New Contact Tag answered by Add Tag to Contact, or Updated Contact answered by Update Contact, makes the Zap start itself again and burn tasks.Bulk imports can be held back
When a trigger suddenly sends a huge batch, after a mass import of contacts or a migration, Zapier's flood protection can hold those runs back.Automatic replies that ping-pong
New Inbound SMS answered by Send SMS to the same person can turn into an exchange nobody planned. A filter in front keeps the reply for the right cases.
