Get Meeting Summary

a ticket already holds the meeting reference and should receive the recap later.
Watch out
the meeting UUID is the one required field, so map it from an earlier Zoom step.

The three settings every search exposes

  1. Successful if no search results are found?
    Left on its default, a search that finds nothing stops the Zap and skips the steps relying on it. Switched on, the Zap continues empty-handed.
  2. Create X if it doesn't exist yet?
    On apps that support it, this box turns a search into find-or-create. None of the Zoom searches offers it, so the box does not appear here.
  3. If multiple search results are found?
    Three ways out when several items match: keep the first one (the default), stop the Zap, or pass all of them on together.
When it breaks

When a Zoom Zap breaks

  • Summaries that never arrive

    The summary and transcript triggers only cover meetings hosted by the connected account. A meeting you merely joined will never start the Zap, however long you wait.
  • Old meetings out of reach

    Participant searches stop at meetings ended within the last year, and recording deletion looks back 6 months. Anything older has to be handled in Zoom directly.
  • Large webinars cut short

    Find Webinar Registrants returns 300 records at most. Past that number, the list the Zap receives is partial, so do not treat it as a full export.
  • Past sessions are not replayed

    A Zap only reacts to what happens after you switch it on. Meetings, registrants and recordings that already existed are never picked up.
  • A Zap that sets itself off

    A Zap that creates meetings while also watching New Meeting can trigger itself again and again. The loop burns through your task count fast.
  • A burst gets held back

    When a trigger suddenly returns a huge batch, after a bulk import or a migration, Zapier's flood protection can hold those items instead of running them.

Zoom Zapier integration: common questions

01Is the Zoom Zapier integration free?
Yes, within the free plan's limits. Zoom is not a premium app, so it works without paying. The free plan gives 100 tasks a month and unlimited Zaps, but every Zap holds two steps only: one trigger and one action. Adding a filter to skip internal registrants, or a search to fetch participants, turns it into a multi-step Zap, and that needs a paid plan. Most simple Zoom flows, such as sending new recordings to a channel, fit in the free plan.
02How many tasks does a Zoom Zap use?
One task per action that succeeds. A Zoom trigger costs nothing, whether it fires once a day or for every participant who joins a session. A failed action is not billed. Watching for Zoom events is free as well. The real risk comes from busy triggers: a participant-joined Zap on a large webinar runs once per person, so the free plan's 100 tasks a month can disappear in a single event.
03Is the Zoom integration real time?
Yes. All 10 Zoom triggers are instant: Zoom tells Zapier the moment the event happens, and the Zap starts right away whatever your plan. The polling interval grid (15 minutes on Free, 2 on Professional, 1 on Team and Enterprise) does not apply to them. In the editor, a Zap built on an instant trigger shows a lightning bolt. Summary, transcript and recording triggers fire when Zoom reports them as ready, not when the meeting ends.
04What do you need to connect Zoom to Zapier?
A Zoom account, ideally the one that hosts the meetings and webinars the Zap will use. In Zapier, open the Apps page, click + Add connection, pick Zoom, sign in in the new tab and grant access. Several steps ask for a Meeting Type, and the summary and transcript triggers only see meetings hosted by the connected account. Connecting a colleague's account instead of the host's is the most common reason a Zoom trigger stays silent.
05Why does the Zoom meeting summary trigger never fire?
Most often because the connected account is not the host. New Meeting Summary only fires for meetings hosted by that account, and New Audio Transcript follows the same rule. A meeting you attended as a guest will not start the Zap. Check who hosts the recurring meeting, then either reconnect with that account or ask the host to own the Zap. Testing the trigger also brings back recent summaries, which shows quickly whether any are visible at all.
06What if the Zoom operation you need is not in the list?
The integration offers 10 triggers, 6 actions and 5 searches, and the editor only shows those. When the event or the change is missing, API Request (Beta) can send a raw request to Zoom with the connection already in place, provided someone on the team is comfortable with the Zoom API. Otherwise, check the same app on another automation platform, or ask an automation specialist whether a different route covers the need.
