What is the best interview scheduling software in 2026?
Five tools scored, three product families explained, and the question most lists skip: does your ATS already do this?
The short answer depends on what you already run. If you hire alone or with one teammate and have no ATS, Calendly solves it in ten minutes, with a free plan and Standard at $10 per seat per month billed yearly. If several recruiters share first-round interviews, Cal.com adds round robin from $12. If candidate data has to stay in the EU, Zeeg, a German vendor, hosts in Europe and includes a GDPR processing agreement. And if you already pay for an applicant tracking system, look there first: Greenhouse and Workable include candidate self-scheduling on every plan.

The 5 interview schedulers compared
Most roundups mix three kinds of products. Booking tools (Calendly, Cal.com, Zeeg) send a link and the candidate picks an open slot. Applicant tracking systems (Greenhouse, Workable) do the same from the candidate profile, with the history in one place. Dedicated schedulers (GoodTime) coordinate four- or five-person panels for large teams, on a quote. The "Family" column tells you which is which.

How we compared and ranked
We started from a scene every recruiter knows: three emails to lock one interview, a hiring manager who goes quiet, and a candidate who accepts another offer in the meantime. For each tool we read the official pricing page, the plan-by-plan feature list and the help docs on integrations, then the critical reviews recruiters leave on review sites. Those reviews surface the broken invite links, the clumsy rescheduling and the integrations that only do half the job.
We also split what other lists blend together: a booking tool, an ATS and a dedicated scheduler solve different problems. Scores for Calendly, Cal.com and Zeeg come from our sales meeting scheduling ranking, scores for Greenhouse and Workable from our ATS ranking. We reuse them unchanged, and each card keeps the criteria of its original page.

Calendly
Calendly is the tool most candidates have already seen. You create an event type called "45-minute interview", connect your calendar and paste the link into your invite. The candidate sees your open slots in their own time zone and books. Its 4.6 for ease of use comes from that: nobody needs training, not you, not the candidate.
The free plan is fine for a trial but runs out fast in hiring: one event type and one connected calendar. If you want a phone screen and a final round with different lengths, you need Standard ($10 per seat per month billed yearly), which connects up to six calendars. Round robin and routing forms sit on Teams, at $16.
The detail few roundups mention: the Greenhouse integration works on every Calendly plan, but Greenhouse builds and maintains it, and it only handles one-on-one interviews. No round robin, no collective events, no multi-stage interviews, and you need Job Admin rights in Greenhouse to connect it.
- Candidates book in two clicks, in their own time zone
- Free plan covers one interview type
- Greenhouse integration on every plan
- ✓Best ease of use in this ranking (4.6)
- ✓Wide integration catalog (4.5)
- ✓Public per-seat pricing
- ✗Free plan limited to 1 event type and 1 calendar
- ✗Round robin only on Teams ($16)
- ✗Greenhouse integration is one-on-one only
The best starting point if one or two people do the hiring. Once you need to spread interviews across a team or run panels, compare Cal.com or your ATS scheduling before buying Teams seats.
Cal.com
Cal.com makes the same promise as Calendly with pricing that holds up better as the team grows. The free plan covers one user. Teams, at $12 per user per month billed yearly, unlocks the hiring essentials: round robin (the first free recruiter takes the slot), routing forms (engineering candidates go to the tech lead, sales candidates to the sales manager) and collective events (everyone must be free). Its 4.6 for value comes from that $4-per-seat gap with Calendly Teams for comparable features.
If your security team asks questions, the Organizations plan ($28) lists SOC 2, HIPAA and ISO 27001. The source code is public on GitHub, which engineering teams like, but the vendor does not sell self-hosting as a plan, so do not count on it to skip the subscription.
Its limit: a slightly steeper learning curve (3.9 for ease of use), and no ATS is named on its pricing page, so syncing with your hiring system will go through an automation.
- Round robin and routing from Teams ($12)
- Collective events for panels
- SOC 2 and ISO 27001 on Organizations
- ✓Best value in this ranking (4.6)
- ✓14-day trial on Teams
- ✓Public source code
- ✗Less instant than Calendly (3.9)
- ✗No ATS named on its pricing page
- ✗USD pricing only
The smart pick for a team that shares interviews and has no ATS scheduling. A solo recruiter will find Calendly simpler; for EU data residency, look at Zeeg.
Zeeg
Zeeg is a German vendor. In hiring that matters: slots, names and contact details are personal data, and Zeeg hosts them in Europe with the GDPR Article 28 processing agreement included by default. You do not have to chase legal for it.
Pricing is listed in euros excluding VAT. Starter is free with two booking pages. Professional is €10 per user per month billed yearly (€12 monthly). Round robin arrives with Business at €16 yearly (€20 monthly), and Scale is €30 (€40).
Its limit: a shorter integration list than Calendly (3.6 for integrations). Check that your calendar and video tool are covered, and plan an automation if you want bookings pushed into your ATS.
- EU hosting and GDPR Article 28 agreement included
- Public pricing in euros
- Round robin from Business
- ✓Easy to pick up (4.2)
- ✓Good value (4.2)
- ✓Free plan with two booking pages
- ✗Fewer integrations (3.6)
- ✗Round robin only from Business
- ✗No native ATS link highlighted
The right call if your privacy lead or your clients ask where candidate data lives. If EU hosting is not a requirement, Cal.com gives you more team features at a similar price.
Greenhouse
Greenhouse is an ATS, not a calendar, and that is the point here. All three plans (Core, Plus, Pro) include scheduling links, candidate self-scheduling, slot suggestions, automation rules and per-interviewer preferences such as allowed hours and daily limits. The booking lands on the candidate profile next to the scorecard for that stage.
Its help center documents two limits. Self-scheduling only covers stages with a single interview, so for a panel day the coordinator schedules with suggestions. Candidates pick within a 30-day window and can change up to 24 hours before. If your managers like next-day interviews, adjust that window on day one.
No price is published: Greenhouse quotes on volume, complexity and features. Its 3.2 for cost reflects that.
- Self-scheduling on all 3 plans
- Per-interviewer preferences
- Booking tied to profile and scorecard
- ✓Whole hiring flow in one place
- ✓Solid reviews and support (3.8)
- ✓Calendly integration and automations available
- ✗Quote-only pricing
- ✗Self-scheduling limited to single-interview stages
- ✗Too heavy for a team that hires rarely
If you already pay for Greenhouse, switch on self-scheduling before buying a separate booking tool. If you do not, you are not choosing a scheduler, you are choosing an ATS.
Workable
Workable includes self-scheduled interviews on every plan and connects to Google Calendar or Microsoft 365. You send the invite from the candidate profile, the candidate picks a slot, and everyone sees the booking in the tool.
Pricing is public, which is rare for an ATS. For the 1 to 20 employee band, Standard starts at $299 per month, Premier at $599 and Enterprise at $719, with Premier and Enterprise billed yearly. Add-ons cost extra: Texting+ $89, Video+ $109, Assessments+ $59 per month.
Its limit: at $299 a month, Workable never makes sense for scheduling alone. It makes sense if you need an ATS and scheduling comes with it. Its 3.2 overall comes from our ATS ranking, where cost and data handling weigh heavily.
- Self-scheduling on every plan
- Google Calendar or Microsoft 365 connected
- Public pricing by company size
- ✓One tool from job post to interview
- ✓Easy without an HR team (3.8)
- ✓Listed price, no sales call needed
- ✗$299 per month minimum
- ✗Premier and Enterprise billed yearly
- ✗Video and texting cost extra
Pick Workable when you are buying an ATS and scheduling is part of the package. If you only need a booking link, Calendly or Zeeg cost a fraction of that.
Other tools worth knowing
These names come up in every search, but we do not rank them: either the price is not public and the scheduling features are hard to compare, or they are generic calendars with nothing specific to hiring. Here is what to know before you book a demo.
Tools not ranked
GoodTime: the dedicated scheduler for high volume
Quote onlyGoodTime Hire does one job: scheduling hiring interviews at scale, panels included. Pricing depends on candidates per year, with unlimited users, and every integration is included, two-way ATS sync too. Reviewers praise how it gathers availability across several interviewers; others report bugs that slow team-wide adoption.
Our tip: ask for a demo on a real four-person panel and let two hiring managers try it before you sign.

Zoho Recruit: scheduling from the free plan
Price not listed onlineZoho Recruit includes interview scheduling from its free plan and adds Google Meet and Microsoft Teams on Enterprise. Its pricing page runs through a calculator and we could not read a reliable figure, so no score here.
Our tip: if you already run Zoho for sales, start with the Recruit free plan before buying a separate tool.

Teamtailor: check scheduling in the demo
Check firstTeamtailor scores 3.6 in our ATS ranking, but its official docs do not describe interview booking well enough for us to rank it here, and some users write that scheduling could be better.
Our tip: in the demo, ask to see a candidate book a slot with two interviewers. If it cannot, keep a booking tool alongside.

Google Calendar, Microsoft Bookings, Zoho Bookings, YouCanBookMe: the free options
FreeFor a handful of interviews a month you may not need to buy anything. Google Calendar gives one free booking page with a personal account; unlimited pages and email reminders need Workspace Business Standard or higher. Microsoft Bookings comes with some Microsoft 365 plans and syncs with Outlook. Zoho Bookings has a forever-free plan for one user. YouCanBookMe's free plan covers one calendar, one page and 30 bookings a month, with its branding visible to candidates.
Our tip: look at what the candidate sees. Free-tool branding on a booking page looks less polished than a link under your company name.
- Price
- Free, limits vary
- Best for
- Under 10 interviews a month
What privacy rules change in your scheduling
An interview slot looks harmless, but it holds the candidate's name, email, sometimes a phone number and the role. If you hire in the EU or the UK, GDPR applies; elsewhere, your own privacy rules and your candidates' expectations still do. Few roundups mention it. Here is the short version.
Only ask for what the interview needs
Your booking form does not need a date of birth or a home address. Name, email and, if needed, a phone number are enough. Remove the default fields the tool adds.
Get the processing agreement
The scheduler handles data on your behalf. Zeeg includes its Article 28 agreement by default and hosts in Europe. For other vendors, ask for the document and the list of subprocessors before you connect calendars.
No recording without notice
If your video tool records or transcribes the interview, tell the candidate beforehand. AI analysis of interviews may also call for an impact assessment in the EU.
Clean up past bookings
Bookings with rejected candidates stay in recruiters' calendars. Decide who clears them and when, as you do for resumes.
- Booking form limited to name, email and phone
- Processing agreement signed with the vendor
- Data hosting location known
- Candidate told before any recording
- Deletion rule for past bookings
Six pitfalls that break interview scheduling
A scheduler rarely fails at setup. It fails on a badly handled panel, a forgotten time zone or a duplicate subscription. Here are the cases recruiters report most, with the fix.
Pitfalls
Paying for a booking tool when your ATS already schedules
Most commonWorkable and Greenhouse include self-scheduling on every plan, Zoho Recruit from its free plan. Many teams still pay for Calendly seats out of habit.
The fix: search your ATS settings for "scheduling" before buying anything.
- Example
- Workable: self-scheduling on every plan
Assuming a booking link handles a panel
A plain link shows one person's slots. For a manager, a recruiter and a future peer, you need a collective event (Cal.com Teams) or ATS scheduling. The Calendly-Greenhouse integration stays one-on-one.
The fix: list your interview stages and interviewer counts before picking a plan.
- Check
- Collective events on your plan
Forgetting the candidate's time zone
For a remote role, a candidate in London and a manager in Chicago do not see the same hour. Good tools show slots in the candidate's zone; your manual reminders do not.
The fix: let the tool send confirmations and reminders instead of rewriting them.
- Setting
- Time zone auto-detected
Leaving the booking window too wide
Greenhouse self-scheduling opens a 30-day window. A candidate who books three weeks out has time to accept another offer.
The fix: cap first rounds at 7 to 10 days and hold short-notice slots for priority candidates.
- Tip
- 7 to 10 days for first rounds
Underestimating last-minute rescheduling
Recruiters report rescheduling that is less flexible than in Outlook and invite links that sometimes fail. One dead link can cost you a candidate.
The fix: set a minimum reschedule notice (24 hours, as in Greenhouse) and check your published links every month.
- Suggested notice
- 24 hours
Showing free-tool branding to candidates
Some free plans show the vendor's branding on the booking page, YouCanBookMe for one. A candidate comparing two employers notices.
The fix: move to the first paid plan once you hire for in-demand roles.
- Example
- YouCanBookMe free: 30 bookings a month

Interview scheduling FAQ
What is the best free interview scheduling software?
Calendly, Cal.com and Zeeg all have free plans, Zoho Bookings is free forever for one user and Google Calendar gives one free booking page. The catch in hiring: Calendly's free plan has a single event type, so one interview format only.
Do I need an interview scheduler if I already have an ATS?
Often not. Workable and Greenhouse include candidate self-scheduling on every plan, and Zoho Recruit from its free plan. Add a separate tool only for what your ATS cannot do, such as round robin across recruiters.
How do I schedule a panel interview?
Use a collective event that only offers slots when everyone is free: Cal.com does it on Teams. For four- or five-person panels at volume, a dedicated scheduler such as GoodTime is built for it, on a quote.
Can AI schedule interviews for me?
Mostly yes, through automation rather than magic: the invite can go out when a candidate moves to the interview stage, with rules like those in Greenhouse. Keep a human check on final rounds, where a missing interviewer is easier to spot by eye.
Does Calendly integrate with an ATS?
Yes, with Greenhouse on every Calendly plan. But Greenhouse builds the integration and it only handles one-on-one interviews, with no round robin and no multi-stage interviews. Other ATS usually need an automation.
How much does interview scheduling software cost?
From $0 to about $16 per recruiter per month for a booking tool: Calendly Standard $10, Cal.com Teams $12, Zeeg Professional €10, billed yearly. An ATS with scheduling starts at $299 a month with Workable. Dedicated schedulers and Greenhouse are quote only.
How long should candidates have to book?
About a week to ten days for a first round. Longer, and strong candidates sign elsewhere. Greenhouse opens 30 days by default, so shorten it to match your pace.
