Housecall Pro alternatives: where to go, and how to leave without losing anything

Six tools, the real cost at 1, 5 and 10 techs, and an eight-step exit plan.

The short answer: Jobber if you want the same kind of tool for less as a solo operator; ServiceM8 if your crew grows faster than your job count; Service Fusion if you run eight or more techs and want unlimited users at a flat price; Tradify for a small trade crew that wants to pay seat by seat; Synchroteam if your business runs on maintenance agreements and routes. Organilog is the pick if you operate in France or elsewhere in Europe. One thing to know before you choose: in Housecall Pro, an invoice and a job are the same record. Export your jobs and you've saved your invoice history. We compared these six tools and their official pricing pages in 2026.

The real reasons

Why crews leave Housecall Pro

Housecall Pro gets plenty right: an easy mobile app, built-in card payments, phone and chat support on every plan, customer financing, and high scores on the big software review sites. People leave for other reasons. The bill grows in steps, the add-ons are priced in a sales call, and the features an HVAC shop lives on sit on the top plan. Six reasons, all checked in 2026.

Your second tech costs $90 a month

Basic is $59 a month billed yearly ($79 month to month) and covers one user. On the public pricing page, the next plan up is Essentials: $149 a month billed yearly ($189 monthly) for 5 users. So the day you hire, your subscription goes from $59 to $149, about 2.5 times more. Past 5 users you're on Max, $299 a month billed yearly for 8 users, then $35 per extra user. The jump at user two is the cost complaint reviewers raise most.

Add-ons with no price on the page

The pricing page lists a string of paid extras without a number next to them: the AI call-answering assistant, Pipeline, Payroll, Accounting, Voice, Campaigns, vehicle GPS and dashcams, Websites. You find out what they cost on a sales call. In reviews posted in 2026, several owners say they didn't understand what they were paying for until they tried to cancel.

Maintenance agreements live on Max

Essentials already covers a lot: route planning, flat-rate pricing, automated checklists, photo reports, employee GPS, commissions and QuickBooks Online sync. But recurring service plans, route optimization, the open API and the proposal tool only come with Max. For an HVAC company that runs on maintenance agreements, the real plan is $299 a month billed yearly.

Support that pushes you to AI first

Overall scores stay high, but recent reviews tell a consistent story: support that routes you to an AI assistant first, updates that make the interface harder to use, and one business phone number stuck for two months during a port-out. On the software directories, invoicing is called rigid, estimates hard to customize, and the app weaker in areas with poor signal.

Card fees and payment settings to watch

Payments run through Stripe. Card fees start at 2.59%, bank transfers cost 1%, and mobile check deposits are free. Instapay, the 30-minute payout, adds another 1%. And since 2026, Klarna buy-now-pay-later is switched on by default for new Payments accounts, so check your settings if you'd rather not offer it. You don't have to use the built-in processor, but most of the tool's convenience depends on it.

Promotions that hide the real price

The pricing page often leads with an introductory offer on the first month or the first few months. That's fine for a trial, but your budget should be built on the regular price: $59, $149 or $299 a month billed yearly, plus the add-ons you'll actually switch on. The 14-day trial gives you full access to Max, so check that every feature you rely on also exists on the plan you'll pay for.

The 6 alternatives

Housecall Pro alternatives, tool by tool

For each tool: why switch to it, who it's for, its catch, how to bring over what you export from Housecall Pro, and what it costs. Prices come from each vendor's official page in 2026, in US dollars unless the vendor only shows euros.

01

Jobber: the closest match, cheaper for a one-person shop

Closest match

Why switch to Jobber. It's the tool Housecall Pro users recommend to each other when one of them wants out. Same logic, same customers: requests, quotes, scheduling, invoices and payments from a mobile app, aimed at plumbers, electricians, HVAC techs and cleaners. The difference shows at the start. Core costs $29 a month billed yearly ($49 month to month) for one user, half of Basic.

Who it's for. Solo operators and small US or Canadian crews who like how Housecall Pro works but not what it costs to start.

Who it's not for. A crew that wants to escape per-seat pricing: Jobber charges for the team just like Housecall Pro does.

The catch. At 5 techs, Connect runs $149 a month billed yearly, the same as Essentials. At 10, the Connect 10-user tier is $229, still well under the $369 Max would cost. Past those tiers, each extra user is $29 a month, and Jobber has its own history of price increases. Our guide to switching from Jobber covers the downsides.

How to migrate. Import the customer file you exported from Housecall Pro into Jobber, then rebuild your services and prices. Recreate recurring visits last, once the client list is clean. Keep Housecall Pro open until every outstanding payment has landed.

02

ServiceM8: when the crew grows faster than the job count

Priced by jobs

Why switch to ServiceM8. ServiceM8 comes from Australia and turns Housecall Pro's pricing upside down. Paid plans are counted in jobs per month, with unlimited users. Hire an apprentice or add a second van and the bill doesn't move. There's even a free plan for one user and 30 jobs a month.

Who it's for. Small crews that run fewer, longer jobs, and owners who want to add staff without paying another seat.

Who it's not for. A shop that runs dozens of short service calls a day: the job cap fills up fast.

The catch. Every plan has a ceiling: 50 jobs a month on Starter ($29), 150 on Growing ($79), 500 on Premium ($149), and Premium Plus at $349 above that. Go over and you move up a plan. There's no seat limit to hide behind, so count your jobs honestly.

How to migrate. Import your customers from the Housecall Pro export. Before you pick a plan, count your jobs over the last three months in the Housecall Pro job export: that number sets your price, not your headcount. The 14-day trial is enough to run a real week.

Service Fusion: unlimited users for a bigger crew

Unlimited users

Why switch to Service Fusion. Service Fusion is a US field service platform that charges a flat monthly price with unlimited users on every plan. Where Housecall Pro adds $35 for each user past 8 on Max, Service Fusion's bill stays the same whether you run 8 techs or 20. There's no long-term contract either.

Who it's for. HVAC, plumbing and electrical companies with roughly 8 techs or more, plus office staff who all need a login.

Who it's not for. A solo operator or a crew of two or three: the entry price is far above Basic or Jobber Core.

The catch. Starter costs $208 a month billed yearly ($245 month to month), Plus $325 ($382) and Pro $533 ($627). There's no free trial, only a demo, so you can't import your data and kick the tires before you sign.

How to migrate. Ask during the demo how they handle a Housecall Pro import, and bring three files: customers, jobs and estimates. Plan the switch for your slow season: a bigger crew means more people to retrain on a new app.

04

Tradify: pay for the seats you actually have

Per user

Why switch to Tradify. Tradify is built for trade businesses and priced per user, with a 14-day trial that includes every feature. Instead of tiers that bundle 1, 5 or 8 seats, you pay for the people on your team. For a crew of two or three, that's easier to read than Housecall Pro's jump from Basic to Essentials.

Who it's for. Small trade businesses of 2 to 5 people who want a bill that grows one seat at a time.

Who it's not for. A crew of ten or more, which would pay less on a bundled tier or with unlimited users.

The catch. Per-user pricing cuts both ways. Lite is $47, Pro $51 and Plus $61 per user a month, so a crew of 10 on Lite pays $470, more than Max at $369.

How to migrate. Import your customers from the Housecall Pro export, then rebuild your price list from your flat-rate items. Use the trial to run real jobs from quote to invoice before you cancel.

Synchroteam: maintenance agreements without paying for Max

Routes and agreements

Why switch to Synchroteam. In Housecall Pro, recurring service plans and route optimization need Max at $299 a month billed yearly. Synchroteam is built around exactly that work: routes, client sites, visits that come back every season. Standard includes everything except route optimization, which comes with Premium. The first admin is free, so you only pay for the techs on mobile.

Who it's for. HVAC, elevator, fire and security companies with several techs and planned visits every day.

Who it's not for. A solo operator, or a shop that mostly needs polished quotes.

The catch. Standard is $39 per user a month billed yearly ($49 monthly), Premium $64 ($79 monthly), and you need at least one paid mobile license. With 5 techs on Standard, that's about $195 a month.

How to migrate. Import customers and their service addresses from the Housecall Pro export, then recreate each maintenance agreement with its next visit date. Use the 14-day trial (no card) to run one real week of routes before you cancel.

Organilog: if your business is in France or Europe

Europe

Why switch to Organilog. Housecall Pro is built for North America: dollars, English, no European VAT or e-invoicing. Organilog is a French field service tool with the same building blocks (scheduling, work orders, an offline-ready tech app, a client portal, inventory) and, on its Business plan, invoicing in euros, online quote signing, online payment and French e-invoicing.

Who it's for. Service companies of 2 to 30 techs operating in France, including English-speaking owners who set up there.

Who it's not for. A US or Canadian business: there's no reason to bill in euros.

The catch. It's priced per user: Pro €19, Business €35, Premium €59 per user a month. Invoicing only arrives on Business, which puts a crew of 5 at €175 a month.

How to migrate. Import the customer spreadsheet you exported from Housecall Pro, mapping name, service address, phone and email. Start with clients on maintenance agreements.

Plan prices hide the real bill. Here is the monthly cost for a crew of 1, 5 and 10, worked out from each official pricing page, on yearly billing when the vendor offers it. Our default pick: Jobber if you're solo, ServiceM8 if headcount grows faster than jobs, Service Fusion from about eight techs. Note Housecall Pro's step: $59 alone, $149 from your second tech.

Exit plan

Leave Housecall Pro in eight steps

Order matters: save the data first, settle the money, then switch the crew. Only an account admin can export, so check your role before you start.

01

Write down your plan and renewal date

Day 1

Housecall Pro doesn't require a long-term contract, but a downgrade only takes effect at the end of the period you've paid for, while an upgrade is immediate. If you pay yearly, put the renewal date in your calendar: it sets your exit timeline.

Don't downgrade before you've exported everything. Some records only show on the plan that handles them, like service plans on Max.

Risk if rushed

02

Take stock of what's running

List your active customers, service plans and their next visit dates, your flat-rate price book, checklists, the paid add-ons you've switched on (Voice, Campaigns, vehicle GPS) and integrations such as QuickBooks Online.

Each add-on has its own trap. Voice is the big one: if your business number lives in Housecall Pro, start the port-out to your new carrier before you cancel anything.

Time
one to two hours
Risk if rushed

03

Export your customers

Day 1

In Housecall Pro, open Customers, then Actions and Export. The file arrives by email as a spreadsheet. Open it right away and check that service addresses, phone numbers and emails are all there.

Save it outside Housecall Pro, in a dated folder. It's the base of your import into the new tool.

Format
spreadsheet by email
Access
admin only
04

Export your jobs, which means your invoices

Critical

In Housecall Pro, an invoice isn't a separate record: it's the job itself. To keep your billing history, export your jobs. Open the See all jobs table, set the date range back to the start of the account, show every column, then click the Excel icon.

If the export errors out on a large account, split it into one-year chunks. You'll end up with several files, but complete ones.

Tip
one-year chunks if it fails
Risk if rushed
invoice history lost
05

Export your estimates

Same method for estimates: See all estimates, same date range, every column, Excel icon. Open estimates matter most, because they're work you haven't booked yet.

On Max, Housecall Pro's import team helps with transfers, and extra fees may apply for exports that involve multiple files. Ask for the price first.

06

Settle the money in flight

Before you close anything, collect pending deposits, chase unpaid invoices and wait for the last payouts. If you used Instapay, switch it off so you don't pay the extra 1% during the move.

If customers are paying over time through Klarna or customer financing, make sure those payments are settled or tracked before the account goes.

Card fees

07

Import a sample during the trial

Use the new tool's trial to import about twenty customers first, create two or three jobs, get a work order signed on mobile and send one invoice. Then import the rest and rebuild your service plans with their visit dates.

Connect the payment processor and QuickBooks Online before the first real invoice, not after.

08

Move the crew, then cancel

Done

Pick a quiet week, train the crew on the new app and run both tools side by side for one week at most. Any longer and people start entering jobs in the wrong place.

Then cancel Housecall Pro on your renewal date, and keep your exports, filed by year, for as long as you keep your tax records.

Exit pitfalls

What makes leaving Housecall Pro go wrong

The same mistakes show up in reviews from owners who left and in the vendors' own import guides. None of them is technical: they're oversights, and each one costs more than the time it would have taken to avoid it.

Exporting customers and forgetting jobs

The customer export is the obvious one, but it holds no invoices. Since an invoice is a job in Housecall Pro, the job export is what keeps your billing history. Skip it and you lose track of what you billed each customer.

Canceling before the number is ported

If your business line runs on the Voice add-on, canceling can strand it. One owner describes a port-out stuck for two months in a 2026 review. Start the port first, cancel after.

Downgrading too early

Dropping from Max to Essentials to save a month before you leave can cut your access to service plans before you've written them down. Export everything on your current plan, then downgrade or cancel.

Budgeting on the promo price

Introductory offers on the first months make any tool look cheap. Compare regular prices, on yearly or monthly billing to match how you'll actually pay, plus the add-ons you'll switch on.

Comparing plans instead of your crew

Housecall Pro sells seat bundles, Tradify and Synchroteam charge per user, ServiceM8 charges per job and Service Fusion has unlimited users. Compare on your real crew today and a year from now. The cost table above does it for 1, 5 and 10 techs.

Skipping the trade-specific rankings

FAQ · 8 questions

Housecall Pro alternatives: frequently asked questions

  • What is the best Housecall Pro alternative?

For most small US crews, Jobber: same workflow, and Core starts at $29 a month billed yearly against $59 for Basic. If your team grows faster than your job count, ServiceM8 prices by jobs with unlimited users. From about eight techs, Service Fusion's unlimited users at $208 a month billed yearly beat Max plus extra seats.

  • How much does Housecall Pro cost for 2, 5 or 10 techs?

On the public pricing page in 2026, billed yearly: $59 a month for one user (Basic), $149 for 2 to 5 users (Essentials), $299 for up to 8 (Max), then $35 per extra user, so $369 for 10. Month to month, it's $79, $189 and $329. Add-ons like Voice or the AI call assistant come on top, with no price shown.

  • Housecall Pro vs Jobber: which is cheaper?

Jobber is cheaper solo ($29 against $59 a month billed yearly) and at 10 users ($229 on Connect against $369 on Max). At 5 users they're level at $149. Housecall Pro wins on card fees shown upfront and built-in customer financing; Jobber wins on entry price. Our guide to switching from Jobber covers the other direction.

  • What's the best HVAC software if I leave Housecall Pro?

If maintenance agreements are your bread and butter, Synchroteam includes recurring jobs on Standard at $39 per user a month billed yearly, where Housecall Pro keeps service plans on Max. For a bigger HVAC shop, Service Fusion's unlimited users make sense. Our best HVAC software ranking compares the field in more depth.

  • How do I export my data from Housecall Pro?

From an admin account, run three exports: customers (Customers, Actions, Export, spreadsheet sent by email), then jobs and estimates (See all jobs and See all estimates tables, date range from the start, every column, Excel icon). Invoices are inside the job export. If an export fails, split it into one-year chunks.

  • Can I cancel Housecall Pro in the middle of a yearly plan?

Housecall Pro doesn't lock you into a long-term contract, but a downgrade only takes effect at the end of the paid period. On a yearly plan, check your renewal date before you plan your exit, and run every export before you touch your plan.

  • Is there a free alternative to Housecall Pro?

Yes, with limits. ServiceM8 has a free plan for one user and 30 jobs a month. Organilog has a free Basique plan without support, but it's built for businesses in France. For a working crew, plan on a paid tier.

  • Does Housecall Pro work in Spanish for my crew?

Yes. The mobile app follows the phone's language, so techs with a phone set to Spanish (Android 13 or later) see it in Spanish, and Spanish-speaking support is available. Check that the tool you move to offers the same before you switch a bilingual crew.
