Switch from Zoho CRM: what to replace it with, and how to migrate without losing data

Six destinations, each with its own way to pull in Zoho data, plus an eight-step migration plan.

The short answer: HubSpot if you want sales and marketing on one contact database, Pipedrive if your reps find Zoho heavy and just want to work their deals, Attio if you built custom modules in Zoho and want that flexibility without scripting, Freshsales if you want the most direct import (it takes Zoho's export file as is), Salesforce if you've outgrown Zoho, folk if your CRM is really a relationship list. One thing before you pick: Zoho exports your records module by module, but your Deluge functions, workflow rules and Blueprints stay behind. You rebuild those by hand. We compared all six destinations and their Zoho import paths in 2026.

The real reasons

Why teams leave Zoho CRM, and what holds them back

Zoho CRM gets a lot right. It's free forever for 3 users, Standard runs $14 per user a month billed yearly (annual plans save up to 34%), and few CRMs give you that much configuration at that price. People rarely leave over price. They leave over the time it takes to get good at it, and over what they discover on the way out. Here are six reasons, drawn from user reviews and Zoho's own help docs.

A steep learning curve

It's the top complaint in user reviews by a wide margin. Reviewers describe a screen full of buttons, menus and options, and one says it took about three months to feel at home. For a five-rep team that only wants to track deals, that ramp-up costs more than the license.

Slowness and intermittent bugs

Speed is the second most common gripe. On Zoho's own community forum, a customer looking back on a year of use lists workflow rules and alerts that didn't work as advertised for eight months, bugs that came and went, and little communication about fixes.

Support you have to chase

Across the whole Zoho brand, 12% of public reviews are one star, and the same complaint keeps coming up: you open a ticket, then have to get it escalated before anyone actually fixes the problem.

Weak email sequences

For outbound prospecting with multi-step email follow-ups, Zoho doesn't convince everyone. One founder who compared options passed on both Zoho and Pipedrive for that reason and went with HubSpot plus a separate outreach tool.

Harder to wire into everything else

One reviewer comparing Zoho and Pipedrive put it this way: Zoho was a tad more complicated to work with and to connect. If your team lives in tools outside the Zoho suite, every connection takes more setup.

What stays locked in when you leave

Zoho exports your data, not your logic. There's no bulk export for Deluge functions (Zoho's scripting language) or Blueprints (its guided, stage-by-stage processes). Users have asked for one on Zoho's community without an official answer. The more you customized Zoho, the more manual work the exit takes.

01

HubSpot: when marketing and sales need one database

Sales and marketing together

Why move to HubSpot. If you're leaving because Zoho's sequences feel thin, or because marketing runs in a separate tool, HubSpot puts both on the same contact record. One team that moved from Zoho said it plainly: Zoho was too hard for their people to learn. Our HubSpot review scores it 4.2 out of 5.

Who it's for. Small and midsize companies that run content, forms and campaigns, and want reps to see a contact's full history.

Who it's not for. Budget-tight teams that will need advanced automation soon. That's where the bill jumps.

The catch. Free covers 2 users and 1,000 contacts, no credit card. Starter seats list at $20 a month and are often discounted to $7. The real wall is Professional: around $90 to $100 per seat for sales, and Marketing Hub Professional at $800 a month billed yearly for 3 seats, with a mandatory onboarding fee on top.

How to migrate from Zoho. HubSpot's Smart Transfer assistant supports Zoho. It combines an ongoing data sync with a one-time transfer (attachments, segments), and anything moved in the one-time transfer won't stay up to date afterwards. You need Super Admin rights, and custom field mappings require a Data Hub subscription. Zoho Accounts become Companies; Zoho Contacts and Leads both become Contacts. Zoho Purchase Orders and Sales Orders have no direct equivalent.

02

Pipedrive: when your team just wants to sell

Easiest day to day

Why move to Pipedrive. Zoho hands you a hundred settings; Pipedrive hands you a deal board, one column per stage, and one question every morning: what's the next action on this deal? One reviewer who used both said it simply: Zoho was more complicated to work with. Our Pipedrive review scores it 4.2 out of 5.

Who it's for. Sales teams of 2 to 30 people closing over several meetings, who need a tool everyone opens without training.

Who it's not for. Companies that built guided processes, custom modules and scripts in Zoho. Pipedrive does less, on purpose.

The catch. No free plan, only a 14-day trial. Per seat per month: Lite $14 billed yearly ($24 monthly), Growth $39 ($49), Premium $59 ($79), Ultimate $79 ($99). Email sequences are lighter than in a dedicated outreach tool.

How to migrate from Zoho. Pipedrive uses Import2, a built-in import service open only to global admins. It creates pipelines, stages and custom fields for you, and lets you adjust each mapping before it runs. Allow 24 hours. A failed run can be undone and redone at no extra cost. The English help page puts the free limit at one million records, the German page at 100,000, so check first if your database is large. Add your users before importing, or every record lands on whoever ran the import.

Attio: Zoho-level flexibility without the scripting

Most flexible

Why move to Attio. If you pushed Zoho hard with custom modules and Deluge functions, Attio lets you build your own objects and views without writing code. It's the pick for teams that want to shape the CRM themselves. Our Attio review scores it 4.2 out of 5, and our Zoho vs Attio comparison goes deeper on the two.

Who it's for. Startups and technical teams that want a CRM modeled on how they actually work.

Who it's not for. Teams that want something ready to go on day one without designing anything.

The catch. Free at $0 (up to 3 seats), Plus at $35 per seat a month billed yearly ($44 monthly), Pro at $79 ($99), Enterprise on quote. Everyone in a workspace sits on the same plan, and seats, objects, records and credits are what push you up a tier.

How to migrate from Zoho. Export each Zoho module to CSV and keep the Zoho record ID column. Build your data model in Attio first (objects, attributes), then import. Decide beforehand what Zoho Leads become: full contacts, or a separate list to qualify.

Freshsales: the most direct import path

Simplest Zoho import

Why move to Freshsales. Freshsales is the only tool here that takes Zoho's full export ZIP as is. No splitting, no renaming: accounts, contacts, potentials, leads, notes, tasks, events and calls come across in one go. The interface is lighter than Zoho's, but the logic (leads, accounts, deals) will feel familiar.

Who it's for. Teams that want to switch fast, without hiring a consultant, and keep a structure they recognize.

Who it's not for. Teams after HubSpot-grade marketing or the Salesforce ecosystem.

The catch. The importer is strict. Accounts have to come before deals, amounts can't contain commas or currency symbols, and every custom field must already exist in Freshsales under the exact same name. Pricing: a 21-day full trial, then Growth at $9, Pro at $39 and Enterprise at $59 per user a month billed yearly. Monthly prices aren't listed.

How to migrate from Zoho. Export everything from Zoho, then upload the full ZIP to Freshsales without touching headers or file names. Include the users CSV; it's required. Up to 25,000 records import live in 5 minutes to an hour. Beyond that, it goes through a support ticket and takes 1 to 2 business days.

Salesforce: when you've outgrown Zoho

Built to scale

Why move to Salesforce. Some companies leave Zoho from the top: more teams, more countries, reporting needs Zoho no longer covers. Salesforce is where they land, with a large ecosystem of partners and apps behind it.

Who it's for. Fast-growing sales orgs, and companies that already have a Salesforce partner or an in-house admin.

Who it's not for. A small team leaving Zoho because it's complicated. Salesforce won't be simpler.

The catch. Starter Suite is $25 per user a month, billed monthly or yearly. Pro Suite is $100, billed annually only, with a contract. Those are starting prices, and transaction fees can apply. The real spend is setup and ongoing admin.

How to migrate from Zoho. Work from Zoho's per-module CSV exports. Create your custom fields and users first, keep the Zoho ID in a dedicated field, and import accounts, then contacts, then opportunities. On a large database, a partner often saves weeks.

folk: when your CRM is really a relationship list

Lightest

Why move to folk. Plenty of Zoho accounts exist to do one thing: keep track of people and remember to follow up. Zoho is a lot of machine for that. folk keeps the contacts, reminders and enrichment and drops the menus. Our folk review scores it 4.2 out of 5.

Who it's for. Agencies, consultants, founders and small teams that live on their network.

Who it's not for. Sales teams that need quotes, orders or multi-stage approval processes.

The catch. Standard is $24, Premium $48 and Custom $80 per user a month.

How to migrate from Zoho. Start from your Zoho CSV exports, module by module, accounts first and then contacts. Only bring the fields you actually use; it's a good moment to drop the forty fields nobody fills in.

The comparison

All 6 destinations side by side

Our default picks: HubSpot if marketing matters as much as sales, Pipedrive if your reps just want a simpler tool. For a sense of scale, take a five-rep team paying yearly: Zoho CRM Standard runs $70 a month, Pipedrive Lite $70, Attio Plus $175, Salesforce Starter $125. The table gives one row per tool: entry price on the left, how your Zoho data gets in on the right.

Migration plan

Migrating off Zoho CRM in eight steps

Order matters. Each step protects something: your data, your customer history, or the automations your team runs on.

01

Check your permissions on both sides

Day 1

Before you click anything, check who can do what. In Zoho, exporting a module needs that module's Export permission, and only a user with an administrator profile can request a full data backup. On the other side, Smart Transfer needs a HubSpot Super Admin, and Import2 needs a Pipedrive global admin.

If your Zoho admin has left the company, sort that out first. It's the dumbest blocker and the most common one.

Also note your account's data region: zoho.eu or zoho.com. It's set at signup, and changing it means asking Zoho for a migration. Make sure your new CRM hosts data where you need it.

Time
an hour
Blocker
Zoho admin profile
02

List everything that won't export

Day 1

Write down what runs in Zoho: modules and custom fields, workflow rules, Deluge functions, Blueprints, email templates, reports, integrations. There's no bulk export for Deluge functions or Blueprints, so paste each function's code into a doc and screenshot each Blueprint.

A simple sheet with one row per item and its equivalent in the new tool becomes your checklist for cutover day.

Time
half a day to two days
Risk if rushed

03

Request a full backup before you cancel

First

A full backup gives you every record as CSV inside a ZIP, with attachments in separate ZIPs. Paid editions get two free backups, Ultimate gets four; on the free edition you pay for it or upgrade temporarily. You can run it right away or schedule it weekly, every two weeks or monthly.

The download link only stays live for 7 days. Grab everything the same day and store it outside Zoho.

Free
2 backups, 4 on Ultimate
Link
live 7 days
04

Grab what the backup leaves out

The backup excludes email content and email attachments, Documents, and data coming from integrations. If your team archived customer conversations in Zoho, this is where you're most likely to lose something.

Check where those emails really live. Often they're also in your mailbox, and the new CRM will pick them up once you connect it. Anything else, export or download by hand before you cancel.

Excluded
emails, Documents, integration data
05

Export module by module, within your edition's limits

Day 2

Module exports come out as CSV or XLSX inside a ZIP. XLSX caps at 50,000 records, CSV at 200,000 per module per export; past that, split by Created Time. One export holds up to 200 fields.

Watch the daily cap too: 10 exports a day on Free, 100 on Standard, 250 on Professional, 500 on Enterprise, 1,000 on Ultimate. Download links last 7 days. Pick CSV, since every destination accepts it. For a very large database, Zoho's Bulk Read API exports up to 200,000 records per job as a zipped CSV, available for one day.

CSV
200,000 records per export
Daily cap
10 exports on Free
06

Recreate users and fields in the new CRM

Day 2

Create your users first, then your custom fields, named exactly as they are in the export. Freshsales insists on exact names, and in Pipedrive and elsewhere a missing user means their deals land on whoever runs the import.

Add a "Zoho ID" field on every object. You'll use it to catch duplicates and to tie notes and deals to the right record, during the import and months later.

Create
users, fields, a Zoho ID field
07

Import in the right order

Day 3

Accounts first, then contacts, then deals, then notes, tasks and activities. Each object needs the one before it to attach to. Strip commas and currency symbols from amounts.

Decide what Zoho Leads become before you start: HubSpot turns them into Contacts; elsewhere you can keep them separate. Run a test import of about 100 rows, check it record by record, then send the rest.

Order
accounts, contacts, deals, activities

08

Rebuild automations, then cut over

Weeks 1 to 3

Go back to your step 2 list and rebuild each rule, follow-up and process in the new tool. Don't rebuild everything: a migration is the right time to drop what nobody uses.

On cutover day, reconnect forms, email and integrations, then keep Zoho open read-only for a few weeks. Cancel only once your checks are done.

Migration pitfalls

What makes a Zoho CRM migration go wrong

The same mistakes show up in vendor import guides and on forums. None of them is really technical. They're oversights, and each one costs more than the time it would have taken to avoid it.

Canceling before you have the backup

Download links expire after 7 days, and the free edition gives you no backup without paying. Request it, download it, open the files to check they're complete, and only then cancel.

Assuming the logic comes with the data

Deluge functions, workflow rules and Blueprints don't come out. If nobody listed them, your team finds out the day a follow-up quietly doesn't go out.

Exporting a big module as XLSX

XLSX stops at 50,000 rows. On a larger contacts module, you lose the tail without an obvious error. Export as CSV and split by creation date past 200,000 rows.

Importing deals before accounts

A deal with no account to attach to arrives orphaned, or not at all. Accounts, contacts, deals, activities: that order saves hours of manual relinking.

Dropping the Zoho ID

Without the Zoho record ID, you can't dedupe cleanly or rerun a partial import. Keep it in a dedicated field in the new CRM, even if nobody looks at it again.

Comparing prices without the add-ons

At HubSpot, custom field mappings during migration need a Data Hub subscription. At Salesforce, setup often costs more than the licenses. Price it on your real team, and reread our Zoho CRM review: a better-fitting Zoho edition is sometimes cheaper than leaving.

FAQ · 8 questions

Questions about leaving Zoho CRM

  • How do I export all my data from Zoho CRM?

Two routes. Module export, under data administration, pulls each module as CSV or XLSX. A full data backup, requested by an admin, pulls every record as CSV in a ZIP, with attachments in separate ZIPs. For a migration, do both: the backup as a safety net, the module exports for the import itself.

  • Can I export my Deluge functions and Blueprints?

Not in bulk. There's no group export for custom functions or Blueprints, and the request keeps coming up on Zoho's community without an official fix. Copy each function's code into a doc and screenshot each Blueprint before you go.

  • Is the Zoho CRM data backup free?

On paid editions, up to a point: two free backups, four on Ultimate. On the free edition, the backup is paid. Worth knowing for exports: Free caps you at 10 exports a day, Standard lifts that to 100.

  • What's the best Zoho CRM alternative for a small business?

Pipedrive if your team is sales first, HubSpot if marketing matters as much as sales. Both score 4.2 out of 5 in our reviews. For more options by company size, see our best CRM for small business ranking.

  • HubSpot or Zoho CRM: which should I pick?

HubSpot if you want a tool your team adopts fast with marketing built in; Zoho if you want lots of features for little money and don't mind configuring it. Zoho's free plan takes 3 users, HubSpot's takes 2. The thing to watch at HubSpot is the Professional tier price.

  • How long does a Zoho CRM migration take?

Export and import fit in two or three days for a small database. Import2 at Pipedrive takes about 24 hours; Freshsales imports 25,000 records in under an hour and takes 1 to 2 business days beyond that. Rebuilding automations is the slow part: plan on one to three weeks.

  • Can I stay with Zoho but use a simpler CRM?

Yes. Zoho makes Bigin, a lighter CRM aimed at small teams on the same platform. It's worth a look if complexity is your only complaint and you use other Zoho apps. If you also want different support or a different ecosystem, go with one of the six destinations above.

  • Will my Zoho Leads and orders map cleanly?

Not always. HubSpot merges Zoho Leads and Contacts into Contacts, and has no direct home for Zoho Purchase Orders or Sales Orders. Decide before the import whether leads stay separate, and where order data should live, maybe in your invoicing or ERP tool instead of the CRM.
