Overview

What the ActiveCampaign Zapier integration actually does for you

It links your ActiveCampaign account to the other tools you use, without code. Something happens in ActiveCampaign (a new contact, a click, an updated deal), and Zapier passes it to another app. Or the reverse: a form, a payment or a spreadsheet row creates or updates a contact, a deal or a task inside ActiveCampaign.

Three results people usually build first. A sales pipeline that fills itself: Contact Added to List starts the Zap and Create Deal opens the opportunity, already in the right stage. A CRM that hears about your email results: New Campaign Link Click or New Campaign Bounce feeds another tool, so sales sees who engaged and support sees who never got the mail. Contacts that arrive tagged: Create or Update Contact followed by Add/Remove Tag From Contact drops each new lead into the automation that suits it.

Now the part the app page skips. Zapier does not write your email content: Create Campaign only sends a message you already designed inside ActiveCampaign. It does not replay the past either: a Zap reacts to what happens after you switch it on, so last month's contacts stay where they are.

Comparing tools? The same breakdown exists for the ActiveCampaign n8n integration and for the ActiveCampaign Make integration, written with the same rules, so you can put them side by side.

Vocabulary

Zapier vocabulary in one minute

Seven words come back on every line of this page. Here they are, in plain English, once.

Zap
The automation you build: one starting event, then one or more steps that run every time that event happens again.
Trigger
The event that starts the Zap, like a new contact in ActiveCampaign. Once the Zap is on, Zapier simply waits for it.
Action
What the Zap does after it starts: the step that writes, sends or updates something in an app on your behalf.
Task
The unit Zapier bills. One task is one action that finished successfully. Your plan's allowance counts nothing else.
Polling vs instant
A polling trigger is checked on a timer. An instant trigger is pushed by the app the moment the event happens. ActiveCampaign is all instant.
Filter
A step that lets the Zap continue only when the incoming data matches your condition, and quietly stops it otherwise.
Search step
A step that looks up something already stored in an app, a deal or a user, so the next steps can reuse what it found.
Cost

What it really costs in tasks

ActiveCampaign is not a premium app on Zapier: it works on the free plan. The bill depends on actions, not on how busy your account is.

  • Free plan100 tasks per month
  • Steps on the free plan2 (one trigger, one action)
  • Trigger cost0 tasks
  • Instant triggers22 of 22

The trigger never costs anything, and neither does Zapier listening for new events. Each action that goes through counts as one task; an action that fails is not counted. A Zap with three actions uses three times what a one-action Zap uses. The free plan gives you 100 tasks a month and unlimited Zaps, but only two steps per Zap: one trigger, one action. Add a second action, a filter or a search and you have a multi-step Zap, which needs a paid plan. The polling grid below is the one Zapier publishes. Since all 22 ActiveCampaign triggers are instant, it never delays any of them.

Connect

Connect ActiveCampaign to Zapier in three steps

  1. 01

    Open your connections

In your Zapier account, go to the Apps page and click + Add connection. A connection is your ActiveCampaign account linked once, then reused by every Zap that touches it.

  2. 02

    Pick ActiveCampaign

Type ActiveCampaign in the search box of the dialog, select it in the list, then click Add connection. A new browser tab opens on the ActiveCampaign side.

  3. 03

    Sign in and grant access

Log in to ActiveCampaign in that tab and allow Zapier to reach the account. You need an account on the app, plus read or write rights on any list, deal or pipeline you do not own yourself.

First Zap

Your first Zap: a deal for every new list contact

GoalEvery contact added to a chosen list gets a deal in your pipeline, then a tag that marks them as handled.

  1. 01

    Build the Zap

Start a new Zap, pick ActiveCampaign as the app and Contact Added to List as the event that starts everything, then click to continue.

  2. 02

    Choose the list

Select your connection, then the list to watch. The list field is mandatory: without it the trigger has nothing to listen to.

  3. 03

    Test the trigger

Run the test. Zapier brings back the three most recent contacts of that list, so you map fields on a real record, not on a blank one.

  4. 04

    Add Create Deal

Pick Create Deal, then fill title, value, currency, pipeline and stage. The value goes in cents: 35000 stands for $350.00.

  5. 05

    Add the tag

Click the plus icon and pick Add/Remove Tag From Contact. Set the required Action field to add, then the tag. A second action makes the Zap multi-step, so it needs a paid plan.

  6. 06

    Test and publish

Test the action, open the new deal in ActiveCampaign to check it, then click Publish to switch the Zap on for good, live from now on.

Triggers

The 22 ActiveCampaign triggers

22 events start a Zap when something happens in ActiveCampaign, and 22 of them are instant: the app calls Zapier straight away, whatever your plan.

1

New or Updated Custom Object Record

Instant trigger

In Zapier“Triggers when a Custom Object record is created or updated.”

Starts the Zap whenever a record in one of your custom objects appears or changes, so data you modeled yourself (subscriptions, orders, bookings) can travel to other tools.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan.
When to use it
you keep renewal records in a custom object and the finance sheet must reflect each change.
Watch out
you must pick both the object and which events count (creation, update or both), otherwise nothing will ever arrive.
2

Custom Object Record Deleted

Instant trigger

In Zapier“Triggers when a custom object record is deleted in ActiveCampaign”

Reacts when someone removes a record from a custom object. The Zap learns which record left, so another system can clean up its own copy.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan.
When to use it
a cancelled booking deleted in ActiveCampaign should also vanish from your scheduling spreadsheet.
Watch out
the object has to be chosen during setup; one Zap watches one custom object, so several objects mean several Zaps.
3

Deal Task Completed

Instant trigger

In Zapier“Triggers when a deal task has been completed.”

Kicks in when a salesperson ticks off a task attached to a deal: the call is done, the quote is out, the demo happened.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan.
When to use it
once the "send proposal" task is marked done, post a note in the team chat so the manager can follow up the same day.
Watch out
only completion counts; a task that is merely edited or rescheduled does not start this Zap.
4

Contact Completed WhatsApp Messaging Flow

Instant trigger

In Zapier“Triggers when a contact completes a WhatsApp messaging flow.”

Picks up the end of a WhatsApp conversation flow: a contact went through every step you designed, and ActiveCampaign signals it.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan.
When to use it
a lead finishes the qualification flow on WhatsApp, and the answers should land in your sales tool for a human to call back.
Watch out
contacts who drop out halfway never reach this point, so they need another path if you care about them.
5

Contact Joined Inbound WhatsApp Messaging Flow

Instant trigger

In Zapier“Triggers when a contact sends a message that starts an inbound WhatsApp messaging flow.”

Catches the opposite moment: a person writes to you on WhatsApp, and that first message opens one of your inbound flows.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan.
When to use it
log every inbound WhatsApp conversation as a ticket in your help desk the second it begins.
Watch out
it covers inbound flows only; flows you start yourself toward a phone number go through a separate action, not this trigger.
6

New or Updated Account

Instant trigger

In Zapier“Triggers when a new account is added or an existing account's details are updated.”

Follows the company records of ActiveCampaign (accounts, in its words): a new organization appears, or one of its details gets edited.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan.
When to use it
your billing tool keeps a list of client companies and must stay in line with the CRM without anyone retyping.
Watch out
creations and edits arrive through the same door; if only new companies matter, add a filter, which makes the Zap multi-step.
7

New Automation Webhook

Instant trigger

In Zapier“Triggers when an automation sends out webhook data. To add a webhook in ActiveCampaign, navigate to your Automations section, add or edit an automation, and create a new "Webhook" action.”

Lets one of your ActiveCampaign automations call Zapier at the exact point you choose. Whatever the automation knows about the contact at that moment travels into the Zap.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan.
When to use it
your nurture automation reaches the "hot lead" branch and should create a card on the sales team's board.
Watch out
nothing arrives until you add a Webhook step inside the automation itself, from the Automations section of ActiveCampaign.
8

New Campaign Bounce

Instant trigger

In Zapier“Triggers when a contact email address bounces from a sent campaign.”

Spots addresses that bounced when a campaign went out, which tells you whose email is wrong or full before your sender reputation suffers.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan.
When to use it
flag the contact in your CRM so a salesperson picks up the phone instead of emailing again.
Watch out
the list is mandatory, and the Zap only hears about bounces on campaigns sent to that list.
9

New Campaign Link Click

Instant trigger

In Zapier“Triggers when a contact clicks a link in a campaign message (will only run once for each unique link).”

Reports which contact clicked which link in one of your campaigns. It is the clearest buying signal your newsletter produces.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan.
When to use it
someone clicks the pricing link of your launch email, and a salesperson gets a direct message with their name.
Watch out
it runs once per unique link, so a contact clicking the same link five times only counts once, and the list field is required.
10

New Campaign Open

Instant trigger

In Zapier“Triggers when a contact opens a campaign (will trigger once per contact per campaign).”

Tells the Zap that a contact opened a campaign. Softer than a click, but enough to spot who still reads you.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan.
When to use it
append openers of your monthly digest to a sheet that marketing reviews before the next send.
Watch out
one contact triggers it once per campaign, however many times they reopen; and like every campaign trigger here, it wants a list.
11

New Campaign Starts Sending

Instant trigger

In Zapier“Triggers when a new campaign starts sending.”

Signals the moment a campaign starts sending, which is the cue for the rest of the team.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan.
When to use it
warn the support team in their channel that a promotion just went out, so they expect questions.
Watch out
it watches one list, chosen in setup; a campaign sent to another list stays invisible to this Zap.
12

New Campaign Unsubscribe

Instant trigger

In Zapier“Triggers when a contact unsubscribes as a result of a campaign email sent to them.”

Fires when a reader unsubscribes through a campaign email. Useful to keep every other tool respectful of that choice.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan.
When to use it
mark the person as "do not contact" in the CRM your sales team uses, so nobody cold-calls a lost reader.
Watch out
only unsubscribes coming from a campaign of the selected list are covered; other ways of leaving a list do not count here.
13

New Contact Note

Instant trigger

In Zapier“Triggers when a new contact note is added.”

Grabs every note a teammate writes on a contact record. Those notes often hold the real context of a relationship.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan.
When to use it
copy call notes into a shared document the account manager reads before each renewal meeting.
Watch out
it reacts to new notes only, so correcting an existing note sends nothing.
14

New Contact Task

Instant trigger

In Zapier“Triggers when a new contact task is created.”

Notices each task created on a contact: a callback, a follow-up email, a reminder someone set for themselves.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan.
When to use it
push contact tasks into the to-do app your team actually opens every morning.
Watch out
this one hears about creation, not about completion; for deals there is a dedicated completed trigger, for contacts there is none.
15

New Deal Note

Instant trigger

In Zapier“Triggers when a new deal note is created.”

Sends the Zap any note added on a deal, where reps tend to write objections, budgets and next steps.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan.
When to use it
relay deal notes to a channel the sales manager follows, so nobody has to dig through records.
Watch out
a busy pipeline produces many notes, and each one that reaches an action costs a task.
16

New Deal Task

Instant trigger

In Zapier“Triggers when a new deal task is created.”

Starts when a task is added to a deal. It mirrors New Contact Task, but on the opportunity side.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan.
When to use it
add a calendar slot for every demo task a rep creates on a deal, so prep time is blocked.
Watch out
pair it with Deal Task Completed if you want both ends of the task, because this trigger stops at its creation.
17

New Deal Added or Updated

Instant trigger

In Zapier“Triggers when a new deal is created or existing deal is updated.”

Follows your whole pipeline: a deal is born, or any of its details move (stage, value, owner).

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan.
When to use it
keep a revenue forecast sheet up to date as reps move deals from stage to stage.
Watch out
a Zap that updates the same deal through Update Deal will set this trigger off again, which loops and eats tasks.
18

New Contact

Instant trigger

In Zapier“Triggers when a new contact is created.”

The simplest door in: a contact is created in ActiveCampaign, wherever they came from.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan.
When to use it
welcome every new contact in a second channel, or copy them into your support tool before they ever write in.
Watch out
a bulk import can send a sudden batch that Zapier's flood protection may hold back.
19

Contact Added to List

Instant trigger

In Zapier“Triggers whenever a contact is added to a list.”

More targeted than New Contact: it only speaks up when someone joins the list you picked, new or already known.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan.
When to use it
a webinar list should feed the event tool, while the newsletter list stays out of it.
Watch out
the list is required; to watch two lists, build two Zaps or use New Contact with a filter.
20

Updated Contact

Instant trigger

In Zapier“Triggers when an existing contact details are updated.”

Wakes up when details of an existing contact change inside the list you choose: a new phone, a corrected company, a custom field.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan.
When to use it
your invoicing tool must carry the latest address whenever a client fixes it in their preferences.
Watch out
the list field is mandatory here, unlike New or Updated Contact, which covers the whole account.
21

New or Updated Contact

Instant trigger

In Zapier“Triggers when a new contact is created or an existing contact's details are updated.”

Combines creation and edits in one trigger, across the account, which makes it the widest net for contact data.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan.
When to use it
mirror every contact change into a data warehouse sheet without building two Zaps.
Watch out
unsubscribes also count as updates; set the Skip Unsubscribe Events option to Yes if you do not want them.
22

Tag Added or Removed From Contact

Instant trigger

In Zapier“Triggers when a a Tag is added or removed from a Contact”

Listens to tags, the labels most ActiveCampaign setups run on. A tag lands on a contact or comes off, and the Zap knows.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan.
When to use it
the "customer" tag appears, and the person gets access to your client portal in another tool.
Watch out
the Event field is required: decide whether you listen to additions or removals before testing.
Actions

The 23 ActiveCampaign actions

ActiveCampaign gives you 23 actions. For each one: what it does for you, when to reach for it, and what to watch out for.

1

Create Account

Action

In Zapier“Creates a new account.”

Opens a new company record in ActiveCampaign. Only its name is required to get started.

When to use it
a client signs a contract in your e-signature tool and their company should appear in the CRM.
Watch out
it only creates; when the same company keeps coming back, Create or Update Account is the one to use.
2

Update Account

Action

In Zapier“Updates an account.”

Changes an existing company record, identified by its account ID.

When to use it
a company's size or industry changes in your enrichment tool.
Watch out
you need the ID, so place Find Account before it when the earlier steps only carry a name.
3

Create or Update Account

Action

In Zapier“Creates a new account or updates an existing account.”

The safer twin of Create Account: it creates the company or updates the one already there.

When to use it
company data flows in repeatedly from a billing tool.
Watch out
both Name and Update Only are required, so set Update Only on purpose before the first test.
4

Create or Update Contact

Action

In Zapier“Creates a new contact, or updates an existing contact.”

The workhorse: it adds a contact that is not there yet, or updates the one that already exists.

When to use it
every form, checkout or booking tool should end up here, since the same step serves new contacts and the ones you already have.
5

Create Deal (Deprecated)

Action

In Zapier“Creates a new deal.”

The older version of deal creation, still listed in the editor and marked deprecated.

When to use it
only to keep an existing Zap running while you move it to the new Create Deal.
Watch out
this one reads the value in dollars (350.00), so switching versions without changing the mapping multiplies or divides amounts.
6

Add Existing Contact to Automation

Action

In Zapier“Adds an existing contact into any automation.”

Drops a known contact into one of your automations, using their email address.

When to use it
a lead books a call elsewhere and should start the pre-call reminder sequence.
Watch out
the contact must already exist; create or update them in an earlier step if you are not sure.
7

Remove Contact From Automation

Action

In Zapier“The contact will be removed from this active automation”

Pulls a contact out of an automation still running for them.

When to use it
someone buys, and the sales nurture should stop before the next reminder goes out.
Watch out
it asks for the automation, the specific run and the contact ID, three values to wire up.
8

Create Campaign

Action

In Zapier“Creates and sends a new campaign.”

Creates a campaign and sends it to a list, using a message already prepared in ActiveCampaign.

When to use it
a new blog post published elsewhere fires off the announcement email you templated.
Watch out
Zapier will not accept raw text or HTML; design and save the message in ActiveCampaign, then select it from the dropdown.
9

Add Contact to Account

Action

In Zapier“Adds a contact to an ActiveCampaign account”

Attaches a person to a company, so the account page shows who works there.

When to use it
a new user joins a client's workspace in your product and should appear under that client.
Watch out
it wants two IDs, contact and account, which usually means a search step or two before it.
10

Add Contact Note

Action

In Zapier“Adds new contact note.”

Pins a written note on a contact record, for whoever opens it next.

When to use it
a support ticket closes and its summary should sit on the customer's profile.
Watch out
the List ID field is required; enter zero to attach the note across all lists.
11

Add/Remove Tag From Contact

Action

In Zapier“Add or remove a tag from a Contact”

Puts a tag on a contact or takes it off. Tags are often what starts your ActiveCampaign automations.

When to use it
a purchase in your shop adds the "buyer" tag, which moves the person out of the prospect sequence.
Watch out
the Action field decides add or remove; leave it on the wrong value and the Zap quietly undoes your work.
12

Create or Update Contact Task

Action

In Zapier“Creates or updates a contact task”

Gives a contact a to-do with a due date and a type, or adjusts one already planned.

When to use it
a high-value trial signup should trigger a callback task for the next morning.
Watch out
the task type must already exist in your account, and the due date expects a full date and time.
13

Create or Update a Custom Object Record

Action

In Zapier“Creates a new custom object record or update an existing record”

Writes into one of your custom objects, adding a record or editing one that exists.

When to use it
orders from your shop belong in an Orders object attached to each contact.
Watch out
you pick an object that already exists in ActiveCampaign, from a list.
14

Add Secondary Contact to Deal

Action

In Zapier“With a deal ID and a contact ID set the corresponding contact as a secondary on the deal. Optionally set the role. If the Deal has no Primary contact set, this contact will be set as Primary if you DO NOT select a role.”

Links an extra person to a deal, optionally with a role, so the opportunity lists every stakeholder.

When to use it
a buyer's finance contact joins the conversation and should show on the deal.
Watch out
on a deal without a primary contact, leaving the role empty makes this person the primary one.
15

Create Deal

Action

In Zapier“Creates a new deal.”

Puts a new opportunity in a pipeline, at the stage you pick, with title, value and currency.

When to use it
a demo request or a quote request should become a deal without a rep copying it.
Watch out
the value is expected in cents: 35000 means $350.00, and 350 would give you three dollars fifty.
16

Add Note to Deal

Action

In Zapier“Adds a note to a deal.”

Drops a note onto a deal, where reps already look before each call.

When to use it
answers from a qualification form should appear on the deal they relate to.
Watch out
pick the deal itself; Find Deal is usually the step that hands it over.
17

Create or Update Deal Task

Action

In Zapier“Creates or updates a deal task”

Same idea, attached to a deal rather than to a person, so the task follows the opportunity.

When to use it
when a deal enters negotiation, schedule a review task for the sales lead.
Watch out
it needs the deal ID, a due date and a task type that your account already defines.
18

Update Deal

Action

In Zapier“Updates an existing deal.”

Edits an existing deal: stage, value, owner, status.

When to use it
a paid invoice in your accounting tool should move the deal to won.
Watch out
combined with New Deal Added or Updated as the trigger, it can set its own Zap off again and loop.
19

Start a WhatsApp Messaging Flow for a Phone Number

Action

In Zapier“Start an outbound WhatsApp messaging flow for a phone number.”

Launches an outbound WhatsApp flow toward a number, rather than a single message.

When to use it
a new lead from an ad should receive the full qualification conversation you designed.
Watch out
same number format rule as the template action, plus a flow already built to pick.
20

Subscribe or Unsubscribe Contact From List

Action

In Zapier“Subscribes a Contact to a List it is not currently associated with, or Unsubscribes a Contact from a list is currently associated with.”

Signs a contact up to a list they are not on yet, or takes them off a list they belong to.

When to use it
an event registration should put the person on the event list automatically.
Watch out
subscribing never changes a list the contact is already on, whatever their status there.
21

Create Tracked Event

Action

In Zapier“Creates a custom website or application event.”

Records a custom website or application event in ActiveCampaign, like a step reached in your product.

When to use it
a user finishes onboarding in your app and should enter a different email sequence.
Watch out
Event Key and Event Account ID come from Settings > Tracking in ActiveCampaign, not from Zapier.
22

Send a WhatsApp Template

Action

In Zapier“Send a Whatsapp approved template to any number”

Sends one of your approved WhatsApp templates to a phone number.

When to use it
confirm an appointment on WhatsApp the moment it is booked in your scheduling tool.
Watch out
the number must use the full international format, starting with + and the country code.
23

API Request (Beta)

Action

In Zapier“This is an advanced action which makes a raw HTTP request that includes this integration's authentication.”

The advanced exit: a raw call to ActiveCampaign that reuses your connection, for anything no other action covers.

When to use it
a developer on the team needs an endpoint Zapier does not offer as a ready-made step.
Watch out
only ActiveCampaign's own addresses are accepted, and Stop on error decides whether a failure halts the Zap.
Searches

The 10 ActiveCampaign searches

10 search steps look for data that already exists in ActiveCampaign, so a later step can use it.

A search step finds a record that already exists so a later step can use its ID. In the editor, searches sit at the bottom of the Action event list, under SEARCH. ActiveCampaign offers no find-or-create variant, so creating a missing item always takes a separate action.

1

Find Account

Search

In Zapier“Finds account by name.”

Looks up a company by its name and returns the account, ID included.

When to use it
right before Update Account or Add Contact to Account, which both need that ID.
Watch out
whether the name must match exactly is decided by ActiveCampaign, not Zapier, so test it with a real company first.
2

Find Contact

Search

In Zapier“Finds a contact by email address, ID, or phone.”

Retrieves a person from their email, their phone or their contact ID.

When to use it
any action asking for a contact ID, such as Add Contact Note or Remove Contact From Automation, starts with this search.
Watch out
nothing found stops the Zap unless you switch on the no-results setting.
3

Find Contact Task

Search

In Zapier“Finds a contact task.”

Spots an existing task on a contact from its title.

When to use it
update a planned callback instead of stacking a second one with Create or Update Contact Task.
Watch out
how close the title must be is ActiveCampaign's call, not Zapier's; test with a real task title.
4

Find Deal

Search

In Zapier“Finds an existing deal by title or email.”

Brings back a deal from its title or from the email of its contact.

When to use it
before Update Deal or Add Note to Deal, when the trigger comes from another tool that only knows the email.
Watch out
a contact with several deals gives several matches, so check the multiple-results setting.
5

Find Deals by Filter

Search

In Zapier“Finds deals matching any combination of pipeline, stage, owner, status, and title. At least one filter is required, and all provided filters must match.”

Pulls deals by any mix of pipeline, stage, owner, status and title, every condition you set having to match.

When to use it
fetch all open deals of one owner in a given stage before a weekly report step.
Watch out
at least one filter is required, otherwise the step will not run.
6

Find Deals by Secondary Contact

Search

In Zapier“Finds deals associated with a given secondary contact.”

Lists the deals a person is attached to as a secondary contact, not as primary.

When to use it
a finance contact changes jobs, and every deal they were part of needs a note.
Watch out
primary contacts are not covered; use Find Deal for those.
7

Find Deal Owner

Search

In Zapier“Looks for a Deal and if found, returns the User that owns the Deal”

Finds a deal, then hands you the user who owns it rather than the deal itself.

When to use it
route a customer's reply to the right rep's inbox or chat without hard-coding names.
Watch out
when no deal is found, the Zap stops there unless you switch on the no-results setting.
8

Find Deal Task

Search

In Zapier“Finds a deal task.”

Tracks down a task already sitting on a deal, by its title.

When to use it
push back the due date of a planned demo when the client reschedules in your booking tool.
Watch out
two deal tasks with the same title make the multiple-results setting matter.
9

Find User

Search

In Zapier“Finds a user by email address.”

Returns an ActiveCampaign user (a teammate, not a contact) from their email address.

When to use it
assign a new deal or task to the rep whose email arrives from your routing sheet.
Watch out
contacts are not users; searching a client's email here finds nothing.
10

WhatsApp Template

Search

In Zapier“Search for a WhatsApp Template to use.”

Picks one of your approved WhatsApp templates so the next step can send it.

When to use it
the template to send depends on the language or the product in the trigger data.
Watch out
the action that follows sends approved templates only, so a draft is no use here.

The three settings every search exposes

  1. Successful if no search results are found?
Left off, a search that finds nothing stops the Zap and skips the steps that relied on it. Switched on, the Zap continues with empty values.
  2. Create X if it doesn't exist yet?
This box turns a search into find-or-create on apps that support it. ActiveCampaign does not, so you will not see it here.
  3. If multiple search results are found?
Three choices when several records match: keep the first one (the default), stop the Zap, or pass all of them on together.
When it breaks

When the ActiveCampaign Zap breaks

Zapier's help center keeps two articles on this app, "Common Problems with ActiveCampaign" and "How to get started with ActiveCampaign on Zapier". The traps below are the ones the operations themselves reveal.

Most failures come from a missing prerequisite on the ActiveCampaign side or from a Zap that feeds itself. For a method to track them down, see our Zapier troubleshooting guide.

  • The past is never picked up

A Zap only reacts to events after you publish it. Contacts, deals or clicks that existed before stay untouched; moving that backlog is a separate job.
  • A Zap that triggers itself

New Deal Added or Updated plus Update Deal on the same deal, or Updated Contact plus Create or Update Contact: each write restarts the Zap and burns tasks.
  • A bulk import floods the Zap

Import a large file of contacts and New Contact fires for each of them at once. Zapier's flood protection can hold such a sudden batch back.
  • Deal amounts off by a factor of 100

Create Deal reads cents (35000 for $350.00), the deprecated version reads dollars. Mixing them up multiplies or divides every amount.
  • Create Campaign refuses your text

No raw HTML or text: the email message must be designed and saved in ActiveCampaign, then picked in the dropdown.
  • List subscription that changes nothing

Subscribing a contact who is already on the list, in any status, leaves them as they are. Unsubscribing only works on someone already on it.

FAQ

ActiveCampaign Zapier integration: frequently asked questions

01Is the ActiveCampaign Zapier integration free?
Yes, as long as your Zaps stay simple. ActiveCampaign is not a premium app, so it works on the free Zapier plan. That plan gives you 100 tasks a month and unlimited Zaps, but each Zap is limited to two steps: one trigger and one action. As soon as you add a second action, a filter or a search step, the Zap becomes multi-step and needs a paid plan. Your ActiveCampaign subscription is separate and is not covered here.
02How many Zapier tasks does an ActiveCampaign Zap use?
One task per action that succeeds, and nothing else. The trigger itself is free, and Zapier listening for new ActiveCampaign events costs nothing either. A Zap with one action costs one task each time it runs; a Zap with three actions costs three. An action that fails is not counted. The real danger is a loop: a Zap that updates the record its own trigger watches can restart itself and drain the monthly allowance quickly.
03Is ActiveCampaign on Zapier real time?
Yes. All 22 ActiveCampaign triggers are instant: ActiveCampaign tells Zapier the moment the event happens, so the Zap starts straight away, on every plan, including the free one. The interval grid you may have seen (15 minutes on Free, 2 on Professional, 1 on Team and Enterprise) only applies to polling triggers, and this app has none. In the editor, a Zap built on an instant trigger shows a lightning bolt, so you can check it at a glance.
04What does it take to connect ActiveCampaign to Zapier?
An ActiveCampaign account, and the rights on whatever the Zap will touch. You open the Apps page in Zapier, click + Add connection, pick ActiveCampaign, then sign in and grant access in the tab that opens. If the Zap works on lists, pipelines or deals you do not own, your user needs read or write access on them. Some actions also need setup inside ActiveCampaign first, such as a saved email message or event tracking.
05Why are deal amounts wrong when created from Zapier?
Because the two deal actions do not read amounts the same way. The current Create Deal expects the value in cents: 35000 stands for $350.00. The older Create Deal (Deprecated) expects dollars, so 350.00 for the same amount. A Zap moved from one to the other without changing the mapping ends up with amounts one hundred times too big or too small. Check one test deal in ActiveCampaign before publishing.
06What if the ActiveCampaign action you need is not on Zapier?
Start with API Request (Beta). This advanced action lets you call ActiveCampaign directly while reusing the connection you already set up, as long as the address belongs to ActiveCampaign. Another route is the New Automation Webhook trigger, which lets an ActiveCampaign automation hand data to Zapier at the exact step you choose. Either way, check first that none of the 23 ready-made actions or 10 searches already does the job.
07Zapier, Make or n8n for ActiveCampaign?
It depends on your criteria, not on a single winner. On Zapier, ActiveCampaign brings 22 triggers, all instant, 23 actions and 10 searches, and it works on the free plan as long as a Zap stays at one trigger and one action. We publish the same breakdown for n8n and Make: compare the operation lists of each platform against the exact steps your process needs, then estimate the volume each would bill over a typical month.
