It links your ActiveTrail account to Zapier in both directions. Contact events in ActiveTrail (a signup, a group change, an unsubscribe) start an automation, and Zapier can create, update, group and text your contacts in ActiveTrail for you. ActiveTrail is an email and marketing automation platform, and this is how its contact list talks to everything else.

Three outcomes are worth building first. A clean list: Contact Unsubscribed fires the instant someone opts out, and Remove Contact From Group takes them out of the groups you still mail. A fast welcome: Contact Added via Signup Form or Contact Added via Landing Page starts a Zap that files the contact with Add Contact to Group and sends a text with Send SMS Message. Now what it does not do. Zapier cannot send or schedule an email campaign in ActiveTrail, and no action deletes a contact. The three settings every search exposes

  1. Successful if no search results are found?
    Left on its default, a search that finds nothing stops the Zap there and the steps that depend on it are skipped. Switch it on and the Zap carries on empty-handed.
  2. Create X if it doesn't exist yet?
    This box turns a search into a find-or-create. ActiveTrail lists no find-or-create variant on Zapier, so its two searches only find; Add Contact to Group is the action that creates on the fly.
  3. If multiple search results are found?
    Three ways out when several items match: keep the first one, which is the default, stop the Zap, or pass all of them on at once.
When it breaks

When an ActiveTrail Zap breaks

No help article is attached to this app on Zapier, so the failures below are the general ones, applied to ActiveTrail, plus the one limit its own SMS action states.

With ActiveTrail, loops between group triggers and group actions are the first thing to check. If a Zap still misbehaves, the Zapier troubleshooting page walks through the checks in order.

  • Nothing from before the Zap was on

    A Zap reacts only to what happens after you publish it. Contacts, signups and unsubscribes that already existed are never picked up; moving that backlog is a separate job.
  • A group Zap that feeds itself

    Contact Added to Group followed by Add Contact to Group, or Contact Updated followed by Create/Update Contact, fires the trigger again with each write and drains the task count.
  • A bulk import gets held back

    Importing a large contact list at once can produce a sudden burst of events, and Zapier's flood protection can hold that batch back instead of running it.
  • SMS that never leaves

    Send SMS Message states that not all countries are supported. A text to an unsupported number fails, and since it did not go through it is not counted as a task.

Yes, it works on the free Zapier plan because ActiveTrail is not a premium app. The free plan gives you 100 tasks a month and unlimited Zaps, with one limit people rarely mention: each Zap is two steps only, one trigger and one action. As soon as you add a filter, a search like Find Contact, or a second action such as the welcome SMS in the Zap above, it becomes multi-step and needs a paid plan.
02How many Zapier tasks does an ActiveTrail Zap use?
One task per action that completes successfully, and nothing for the trigger. A Zap on Contact Unsubscribed with one Remove Contact From Group action uses one task per opt-out. The signup Zap above, with a group action and an SMS action, uses two per new contact. A failed action, such as an SMS to an unsupported country, is not counted. Watch volume on Contact Added to Group, which fires for every group of the account.
03Are ActiveTrail triggers real time in Zapier?

04What does it take to connect ActiveTrail to Zapier?
An ActiveTrail account, and rights on the contacts and groups you want to automate. You add the connection from the Apps page of Zapier, sign in to ActiveTrail in the tab that opens and grant access. If you plan to use the actions with External ID in their name, your ActiveTrail account must use that identifier, because those actions require an External ID and an External Name on every run.
05Why does an ActiveTrail SMS action fail?
The most likely reason is the destination. Send SMS Message states that not all countries are supported, so a mobile number in an unsupported country will not go through. Also check the four required fields: Message Name, From Name, Message and Mobile Number. If Send Now? is set to false, the message is scheduled rather than sent straight away, which can look like a failure when it is not. A failed send costs no task.
06What if the ActiveTrail operation you need is not in Zapier?
Then the 11 actions and 2 searches will not cover it. On Zapier, ActiveTrail handles contacts, groups, External ID records and SMS: there is no action to send an email campaign or to delete a contact. ActiveTrail does not list a raw API request action here either. Check whether the same app on another automation platform exposes the operation, or whether a change of group membership can stand in for it in your process.
