Overview

What the AI Chatbot Hub Zapier integration actually does

AI Chatbot Hub is a no-code platform for building AI agents. Linked to Zapier, it does two things: it tells Zapier the moment someone submits a form inside one of your chats, and it lets another app send a question to a chatbot and collect the answer. That's the whole surface.

Three results people usually build with it. A lead that leaves the chat. Form Submission fires as soon as a visitor fills the form in your chat, and the next step drops those answers into your CRM or a spreadsheet, so nobody copies them by hand. An answer produced somewhere else. Send Message takes a question coming from another tool (a support ticket, a row, an email) and hands it to the chatbot you built, then passes the reply along to the following step. A conversation that keeps its thread. Because Send Message works inside a session, several questions sent over time can land in the same conversation and the bot keeps the context.

What Zapier does not do here: it can't create or edit a chatbot, it can't pull past conversations, and it has no step to look something up in the app. There is no search at all. If you need the old form answers, they stay in AI Chatbot Hub; the Zap only sees what happens after you switch it on.

Comparing tools? The AI Chatbot Hub Make integration covers the same app on Make, and the Make vs Zapier comparison is the place to weigh the two platforms.

Vocabulary

Zapier vocabulary in one minute

Seven Zapier words, each pinned to what it means with AI Chatbot Hub. The rest of the page uses them as is.

Zap
What you build on Zapier: one trigger, then one or more actions replayed each time. Here, every form sent in a chat can run the chain again.
Trigger
The event that starts the Zap. Here, a form submitted in one of your chats. Once the Zap is on, Zapier waits for it.
Action
What the Zap does once started: the step that writes, sends or moves something for you, like asking your chatbot a question.
Task
Zapier's billing unit: one action that completes. Form Submission is never billed; each Send Message that returns an answer is.
Polling vs instant
A polling trigger is checked on a timer. An instant trigger is pushed by the app the moment it happens. Form Submission is instant.
Filter
A step that holds the Zap back unless what arrived meets your condition, for instance only forms where a given answer was filled in.
Connection
Your AI Chatbot Hub account linked to Zapier once. Both the trigger and Send Message reuse it, whichever chatbot UUID they target.
Cost

What it really costs to run

AI Chatbot Hub is not a premium app, so it runs on the free plan. The bill is counted in tasks, and only actions count.

  • Premium appNo, works on the free plan
  • Free plan100 tasks a month, two-step Zaps
  • Trigger costZero tasks
  • Send MessageOne task per successful run

The form trigger costs nothing, however many forms come in. Each Send Message that goes through is one task; one that fails is not billed. The free plan gives you 100 tasks a month and Zaps of two steps only: one trigger, one action. Add a filter or a second action and the Zap becomes multi-step, which means a paid plan instead. The polling grid below doesn't touch this app, since its trigger is instant.

Connect

Connect AI Chatbot Hub to Zapier in three steps

  1. 01

    Open your connections

In your Zapier account, go to the Apps page and click + Add connection. You need an existing AI Chatbot Hub account before you start; Zapier will not create one for you.

  2. 02

    Pick the app

Type AI Chatbot Hub in the search box of the dialog, select it, then confirm with Add connection. A new browser tab then opens on the AI Chatbot Hub side.

  3. 03

    Sign in and grant access

Log into AI Chatbot Hub in that tab and allow Zapier to reach the account. If the chatbots belong to a teammate, make sure your login can actually read and write them, or the steps will fail later.

First Zap

Your first Zap: route chat forms to a chatbot

GoalWhen a visitor fills the form in your chat, check one answer, then send it to a second chatbot that drafts a reply.

  1. 01

    Build the trigger

Create a Zap, choose AI Chatbot Hub as the app and Form Submission as the event. Paste the Chatbot UUID of the bot whose form you want to watch.

  2. 02

Test it on a real form

Run the test. Zapier brings back the three most recent submissions from your account, so you pick a real one and map fields from actual data.

  3. 03

    Add the filter

Click the plus icon, choose Filter, then set the field, the rule and the value. Use a text rule on a text answer, or the filter never lets anything through.

  4. 04

    Ask the chatbot

Add Send Message. Fill in the Chatbot UUID, map the form answer into Query, and give a Session UUID so the exchange is stored in one conversation.

  5. 05

    Test, then publish

Test the action once and read the reply that came back. When it looks right, click Publish to switch the Zap on. Remember: the filter makes this a paid-plan Zap.

Triggers

AI Chatbot Hub triggers on Zapier

1 event starts a Zap when something happens in AI Chatbot Hub, and one of them is instant: the app calls Zapier straight away, whatever your plan.

1

Form Submission

Instant trigger

In Zapier“Triggers when a new user submits a form within their chat.”

Fires each time a visitor fills and sends a form inside one of your chatbots, and passes the answers to the next step. It is the only way for a Zap to know that something happened in a chat.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan
When to use it
a chat collects contact details or a booking request and you want them in your CRM, your inbox or a sheet without opening the app.
Watch out
it watches one chatbot at a time, picked by its Chatbot UUID, so three bots with forms mean three Zaps, each one counting its own actions.
Actions

AI Chatbot Hub actions on Zapier

AI Chatbot Hub gives you 1 action. For each one: what it does for you, when to reach for it, and what to watch out for.

1

Send Message

Action

In Zapier“Send a message to a chatbot and receive an answer.”

Puts a question to a chatbot you built and returns its answer, which any later step can reuse in an email, a ticket or a row.

When to use it
a support ticket lands elsewhere and you want your own bot to draft the first reply.
Watch out
the Session UUID is required, and reusing the same one keeps every message in a single conversation, with its context.
When it breaks

When the Zap breaks

Zapier links no help article to AI Chatbot Hub, so the failures below are the general ones. They still catch most people.

None of these shows up as an error message at setup. They appear later, in your task history or as missing data.

  • Old forms never arrive

Publishing the Zap does not reach back: forms visitors sent in your chats before that moment stay in AI Chatbot Hub, and moving them is a separate job.
  • One session mixes unrelated chats

Send Message stores every message sharing a Session UUID in one conversation. Map the same fixed session for every visitor and the bot carries one person's context into another's answer.
  • A sudden flood is held back

After a bulk import or a migration, a huge batch hitting the trigger at once can be paused by Zapier's flood protection until you review it.
  • Missing IDs stop the action

Send Message refuses to run without a Chatbot UUID, a Query and a Session UUID. A field mapped from the trigger that arrives empty stops it just the same.

FAQ

AI Chatbot Hub Zapier integration: FAQ

01Is the AI Chatbot Hub Zapier integration free?
Yes, it runs on the free plan because AI Chatbot Hub is not a premium app. The free plan gives you 100 tasks a month and Zaps of exactly two steps, one trigger and one action. That fits the simplest case, a form that sends its answers straight to another app, or a question from another app sent to your chatbot. As soon as you add a filter, a second action or a search, the Zap turns multi-step and needs a paid plan.
02How many tasks does this integration use?
Only completed actions count, so the Form Submission trigger costs zero tasks however many forms come in. Each Send Message that goes through costs one task, and a failed one is not billed. In a Zap with several actions, each successful action counts on its own: a Zap that sends a message and then writes a row uses two tasks per run. Checking for new data is never billed either. To estimate your month, multiply the number of forms you expect by the number of actions that follow the trigger.
03Is AI Chatbot Hub on Zapier real time?
Yes for the trigger. Form Submission is an instant trigger, which means AI Chatbot Hub calls Zapier itself as soon as a form is sent, and the Zap starts right away whatever your plan. The 15 minute interval of the free plan applies to polling triggers only, and this app has none. In the editor, an instant trigger shows a lightning bolt. Send Message, on the other side, runs at the moment its step is reached in the Zap, after any filter that stands before it.
04What do you need to connect an AI Chatbot Hub account?
An existing AI Chatbot Hub account, plus read or write access to any chatbot you don't own but want the Zap to touch. The connection itself is quick: Apps page, then + Add connection, pick the app, sign in in the new tab and grant access. After that, keep two identifiers ready. Every step asks for the Chatbot UUID of the bot concerned, and Send Message also asks for a Session UUID, which you find in the Inbox tab of the app or create through its API.
05What is the Session UUID in Send Message for?
It groups messages into one conversation. When several Send Message runs share the same Session UUID, the chatbot stores them in a single session and keeps the context, so a second question can refer to the first. A different Session UUID starts a fresh thread with no memory. The field is required, so the action does not run without it. Pick existing sessions from the Inbox tab of AI Chatbot Hub, or create new ones through the app's API, and map the one that matches your scenario.
06What if the operation you need does not exist?
Then it is not in the Zapier catalogue for this app, which offers only Form Submission and Send Message. There is no step to create or edit a chatbot, list conversations or search inside the app, and a Zap cannot work around that gap on its own. The practical route is to keep AI Chatbot Hub at the edges of the Zap: a form that starts it, or a question sent to a bot, with the other apps doing the rest. Checking the same app on Make or n8n is also worth it, since their catalogue may not match.
07Zapier, Make or n8n for AI Chatbot Hub?
It depends on criteria rather than on a ranking. Budget first: on Zapier, a two-step Zap stays on the free plan, while any filter pushes it to a paid one. Speed next: Form Submission is instant on Zapier, so even the free plan reacts at once. Catalogue last: compare the operations each platform exposes for AI Chatbot Hub, starting with whether a step can create or search for something. Weigh those three points against the volume of forms expected each month before choosing.
