Overview

What the ChargeKeep Zapier integration actually does

It connects your ChargeKeep account, the payment and subscription system with its own CRM, to Zapier. A new lead, payment or subscription can start an automation straight away, and Zapier can add or update contacts, products, subscriptions and invoices for you.

Three outcomes cover what people usually want. Every payment announced to the team: New Payment starts the Zap, Get Contact Details pulls the payer's record, and a message tells sales who just paid. An invoice that follows each payment: New Payment fires and Create Invoice writes the invoice in the CRM, with Historical Data left on false because it is a real transaction. A subscription set up from outside: Add or Update Subscription attaches a plan to an existing contact using their external ID and the product code.

The good news is speed. All three ChargeKeep triggers are instant: ChargeKeep tells Zapier the moment the event happens, so the free plan's waiting time never applies. What Zapier does not offer: no search step for this app, no trigger when a payment fails or a subscription ends, and no action that refunds or cancels.

Vocabulary

Zapier vocabulary in one minute

Eight words come back throughout this page. Here they are in plain terms.

Zap
The automation you build: one trigger, then one or more actions that run each time that trigger event happens.
Trigger
The event in an app that starts the Zap. Once the Zap is on, Zapier sits and waits for that event.
Action
What the Zap does after it starts: the step that writes, sends or moves something on your behalf.
Task
The unit Zapier bills. One task is one action your Zap completes successfully, and your plan counts those.
Polling trigger
A trigger Zapier checks on a timer. It asks the app for new items at a set interval and keeps only what it has not seen.
Instant trigger
A trigger the app reports by itself: it calls Zapier the moment the event happens. Every ChargeKeep trigger works this way.
Filter
A step that lets the Zap continue only when what arrived meets your condition, and stops it otherwise.
Search step
A step that looks up something already in an app so later steps can use it. ChargeKeep has none in Zapier.
Cost

What a ChargeKeep Zap really costs

Zapier bills tasks, and only an action that succeeds is a task. The trigger itself costs nothing, whether it is a lead, a payment or a subscription.

  • Free plan100 tasks a month, unlimited Zaps
  • Zap size on freeTwo steps: one trigger, one action
  • ChargeKeep triggersInstant, never billed
  • Failed actionNot counted
  • ChargeKeep on ZapierNot a premium app

A Zap that turns each new lead into a contact costs one task per lead. The payment Zap below runs Get Contact Details then sends a Slack message: two actions, each one counted when it succeeds, and a multi-step Zap that needs a paid plan, since the free plan stops at one trigger and one action. A failed action is not counted. ChargeKeep is not a premium app, and because its triggers are instant, the interval grid below does not slow it down.

Connect

Connect ChargeKeep to Zapier in three steps

  1. 01

    Open the Apps page

In your Zapier account, go to Apps and click + Add connection. A connection is your ChargeKeep account linked to Zapier once, then reused by every ChargeKeep step in every Zap.

  2. 02

Pick ChargeKeep and start the link

Type ChargeKeep in the dialog, select it, then click Add connection. You need a ChargeKeep account of your own, plus access to any records you do not own but want the Zap to read or change.

  3. 03

    Sign in and grant access

Sign in to ChargeKeep in the tab that opens and allow Zapier to use the account. Every ChargeKeep trigger and action you add afterwards reuses this one connection.

First Zap

Your first ChargeKeep Zap: tell the team about every payment

GoalEach payment ChargeKeep records reaches your sales channel with the payer's details, so nobody has to watch the dashboard to know who just paid.

  1. 01

    Build: choose the trigger

Start a new Zap, pick ChargeKeep and the New Payment event, then select your ChargeKeep connection. You will see the lightning bolt of an instant trigger.

  2. 02

    Test the trigger

Run the test. Zapier brings back the three most recent payments of the account, so you map fields from a real payment rather than a blank template.

  3. 03

    Add Get Contact Details

Add ChargeKeep with Get Contact Details and map the payer from the trigger. A second step makes the Zap multi-step: paid plan required.

  4. 04

    Add the message

Add Slack with Send Channel Message, pick the sales channel and put the payer's name and the payment in the text. Nothing is written back to ChargeKeep, so the Zap cannot set itself off.

  5. 05

    Test, then Publish

Test each step and check the message in the channel. Then click Publish to switch the Zap on. Payments made before that moment are not processed.

Triggers

ChargeKeep triggers in Zapier

3 events start a Zap when something happens in ChargeKeep, and 3 of them are instant: the app calls Zapier straight away, whatever your plan.

1

New Lead

Instant trigger

In Zapier“Triggers when a new lead is created.”

Starts the Zap whenever ChargeKeep records a new lead, so the person who just showed interest can be routed somewhere useful while they still remember you. It is the natural entry point for sales follow-up and onboarding flows.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan.
When to use it
a coaching business wants every new lead passed to whoever handles the first call.
Watch out
leads created before you publish the Zap are never picked up.
2

New Payment

Instant trigger

In Zapier“Triggers when a new payment is created.”

Fires as soon as a payment is created in ChargeKeep. That makes it the trigger for anything that should follow money coming in: an invoice in the CRM, a thank-you, an update to the client's record or a line in your accounting tool.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan.
When to use it
an online course seller wants the team told, and the invoice written, as soon as someone pays.
Watch out
Create Invoice right after it asks for many required fields, so check the test payment carries what you need to map.
3

New Subscription

Instant trigger

In Zapier“Triggers when a new subscription is created.”

Reacts each time a subscription is created in ChargeKeep. Use it to start whatever a new subscriber should get: access to a member area, a place in a welcome sequence, a heads-up to the account manager.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan.
When to use it
a software reseller wants each new subscription to update the client's contact record with their plan.
Watch out
pairing it with Add or Update Subscription in the same Zap would create the loop described further down.
Actions

ChargeKeep actions in Zapier

ChargeKeep gives you 6 actions. For each one: what it does for you, when to reach for it, and what to watch out for.

1

Add or Update Contact

Action

In Zapier“Creates a new contact.”

Creates a contact in ChargeKeep, or updates the existing one when you set Match Existing Contact to Yes, in which case it looks for a match on email and full name.

When to use it
a form on your site should feed the CRM without duplicates.
Watch out
Contact Type is required.
2

Add or Update Contact (Extended)

Action

In Zapier“Adds or updates a contact (extended version).”

The fuller version of the contact action. It can also create a user account with the personal email as login, send the welcome email, replace lists instead of merging them, and save a record despite invalid values.

When to use it
onboarding a new client in one step.
Watch out
Override Lists replaces tags, emails, phones and addresses in update mode.
3

Create Invoice

Action

In Zapier“Creates a new invoice in the CRM”

Writes an invoice into the CRM, with its date, currency, totals, line quantity, rate, number, discount, shipping, tax and status. It is the heaviest action of the app to map.

When to use it
after a payment, to keep a clean invoice record.
Watch out
set Historical Data to false for real transactions; true is meant for past records.
4

Create Product

Action

In Zapier“Creates a new product in the CRM”

Adds a product to the ChargeKeep CRM with its type, name and SKU, the product code that identifies it.

When to use it
a new offer goes live in your catalog and should be sellable in ChargeKeep.
Watch out
all three fields are required, and the SKU is what other steps will look it up by.
5

Get Contact Details

Action

In Zapier“Get Contact Details”

Fetches the details of a ChargeKeep contact so the next steps can use them. It sits among the actions, so in Zapier's eyes it is a step that runs and counts, not a search.

When to use it
a payment arrives and the invoice needs the payer's full record.
6

Add or Update Subscription

Action

In Zapier“Creates a new subscription.”

Creates a subscription for an existing contact and product, with its payment period and whether billing is recurring.

When to use it
a deal closed elsewhere should start the matching plan in ChargeKeep.
Watch out
External Contact ID and Product Code are required and must be exact, or the lookup fails.
When it breaks

When a ChargeKeep Zap breaks

Zapier attaches no ChargeKeep-specific help article and no documented rate limit to this app. What goes wrong comes from how Zaps work in general.

Four situations explain most surprises. Each has a simple fix once you know about it; for anything else, see Zapier troubleshooting.

  • Past payments are not processed

A Zap only reacts to what happens after you publish it. Leads, payments and subscriptions that already exist stay as they are; handling them is a separate job.
  • The Zap sets itself off

A Zap that writes into the very place its own trigger watches starts again and again, and burns through tasks fast. Never pair New Subscription with Add or Update Subscription.
  • A bulk import gets held back

After a migration into ChargeKeep, the trigger can return a huge batch at once. Zapier's flood protection may hold it back rather than run every item.
  • Required fields arrive empty

Create Invoice and Add or Update Subscription require many fields. If the trigger does not carry one of them, the step stops; the failed action is not billed.

FAQ

ChargeKeep Zapier integration: common questions

01Is the ChargeKeep Zapier integration free?
Yes, as long as your Zap stays at two steps. ChargeKeep is not a premium app, so the free plan accepts it, with 100 tasks a month and unlimited Zaps. The limit is the shape: one trigger and one action. Add a filter, Get Contact Details before another action, or any second action, and the Zap becomes multi-step, which needs a paid plan. The instant triggers work the same on every plan, free included.
02How many tasks does a ChargeKeep Zap use?
One task per action that succeeds, and nothing for the trigger. A Zap that turns each new lead into a contact costs one task per lead. A Zap that runs Get Contact Details and then Create Invoice after each payment costs two tasks per payment when both succeed, because Get Contact Details is an action, not a search. An action that fails, for example on a missing required field, is not counted.
03Does ChargeKeep trigger Zapier in real time?
Yes. New Lead, New Payment and New Subscription are all instant triggers: ChargeKeep tells Zapier the moment the event happens, and the Zap starts right away whatever your plan. The polling interval grid, 15 minutes on Free down to 1 minute on Team and Enterprise, does not apply to them. In the editor, a Zap built on one of these triggers shows a lightning bolt. For a payment flow, that means the next step runs right after the money comes in.
04What does it take to connect ChargeKeep to Zapier?
A ChargeKeep account you can sign in to, plus access to any records you do not own but want the Zap to read or change. The link goes through the Apps page of Zapier: click + Add connection, pick ChargeKeep, sign in in the tab that opens and grant access. Every ChargeKeep step then reuses that connection. Before testing subscriptions, make sure the contact and product already exist in ChargeKeep. That saves you a failed first test.
05Why does Add or Update Subscription not find the contact?
Because it looks the contact up by External Contact ID and the product by Product Code, and both have to be specified and correct. If the ID sent by the trigger is not the one stored in ChargeKeep, or the product code has a typo, the lookup fails and the step stops. Create the product with Create Product first, keep its SKU as the code, and map the contact ID from a step that already carries it.
06What if the ChargeKeep operation needed is not in Zapier?
Then the Zap cannot do it directly. Zapier lists 3 triggers and 6 actions for ChargeKeep, with no search step, no trigger on a failed payment or an ended subscription, and no action to refund or cancel. Chaining what exists sometimes covers it, such as Get Contact Details then Add or Update Contact. When the gap is central, another automation tool or a direct API approach may fit better, depending on who maintains it.
07Zapier, Make or n8n for ChargeKeep?
It depends on your criteria, not on a winner. On Zapier, ChargeKeep is not a premium app and runs on the free plan, and its three triggers are instant, so no plan changes how fast they fire; anything beyond one action needs a paid plan. The catalogue is 3 triggers and 6 actions with no search step, so check first that what you need is there. Then weigh how many steps your flow has, how many required fields you must map, and which tool your team already runs.
