Cloze Zapier integrationAutomate Cloze with Zapier.
The Cloze Zapier integration gives you 3 triggers and 8 actions to react when a person, company or project changes in your CRM, and to write contacts, notes, to-dos and timeline events into Cloze. Here is what each does and where it breaks.

What the Cloze Zapier integration actually does
Cloze is a relationship manager: it keeps your contacts, companies and deals in one place, with every email, call, meeting and note on their timeline. Linked to Zapier, it reacts when one of those records changes and lets other tools write into it, so the timeline stays complete without anyone retyping.
Three results come up first. A follow-up that never slips: Person Change fires when a contact changes stage or owner, and Create ToDo puts the next step on someone's list. A timeline that tells the whole story: Create Timeline Event records things that happen elsewhere, a ticket closed, an invoice sent, right on the contact. Contacts that arrive on their own: Create/Update a Person adds or refreshes someone coming from a form or another tool.
What Zapier does not do for Cloze is worth knowing too. There is no search step, so a Zap cannot look up an existing contact before writing; the create/update actions are the closest you get. The three triggers react to changes on existing records: the major changes Cloze audits on its timeline, such as segment, stage, step, assignee or custom fields. And the raw API action is a beta for people comfortable with requests.

Zapier vocabulary in one minute
Six words carry this page. Here they are, in plain English.
- Zap
- The automation you build on Zapier: one trigger, then one or more actions that run every time the trigger event happens.
- Trigger
- The event that starts the Zap. With Cloze, it is a change on a person, a company or a project.
- Action
- What the Zap does once started: the step that writes, sends or moves something, like a to-do or a note in Cloze.
- Task
- The unit Zapier bills: one action your Zap completes successfully. Your plan's allowance is counted in those.
- Polling vs instant
- A polling trigger is checked by Zapier on a timer; an instant one is pushed by the app. All three Cloze triggers are instant.
- Filter
- A step that lets the Zap continue only when the incoming data meets your condition, and quietly stops it otherwise.
What a Cloze Zap really costs
Cloze is not a premium app, so it works from the free Zapier plan.
- Free plan100 tasks a month
- Zaps on freeTwo steps only
- Premium appNo
- Trigger speedInstant on every plan
The trigger never costs a task. Each action that succeeds costs one: a Zap that creates a to-do and a timeline event spends two per run. A failed action is not counted. The free plan gives 100 tasks a month, in two-step Zaps only: one trigger, one action. A second action or a filter turns it into a multi-step Zap, which needs a paid plan. The polling grid below does not slow Cloze down: its three triggers are instant on every plan.
Connect Cloze to Zapier in 3 steps
- 01
Open your connections
In Zapier, open the Apps page of your account and click + Add connection. A connection is your Cloze account linked to Zapier once, then reused by every step that reads or writes Cloze.
- 02
Pick Cloze
Search Cloze in the dialog, select it and click Add connection. Cloze then opens in a new tab, where you finish the connection; keep the Zapier window open behind it until the connection is saved.
- 03
Sign in and grant access
Log in to Cloze in that tab and allow Zapier to reach the account. For records owned by teammates, the account needs read or write access to them, or the Zap will not see them.
Your first Zap: a to-do when a contact moves
GoalWhen a contact changes stage in Cloze, keep only the stage that matters and create a follow-up to-do for the team.
- 01
Create the Zap and pick the trigger
Start a new Zap, choose Cloze and Person Change as the event, then your connection. Cloze reports each change itself, so there is no interval to wait for.
- 02
Test on a real contact
Run the test. Zapier brings back the three most recent changes of the account. If nothing comes back, move a contact to another stage in Cloze first.
- 03
Add a filter on the stage
Add a Filter step, pick the stage field, a text rule and the stage name. A number rule on a text field never passes, so match the rule to the field.
- 04
Add Create ToDo
Add the Cloze action Create ToDo and write the Topic, the only required field, using the contact's name from the trigger.
- 05
Test, then publish
Test each step and read what came back. With a filter, this Zap is multi-step and needs a paid plan. When it looks right, click Publish.
Cloze triggers on Zapier
3 events start a Zap when something happens in Cloze, and 3 of them are instant: the app calls Zapier straight away, whatever your plan.
Company Change
Instant triggerIn Zapier“Triggers when a company is changed. Triggers on the major timeline audited changes like Segment, Stage, Step, Step Assignee or Custom Field changes.”
Watches the companies in your Cloze account and starts the Zap when one of them changes in a way Cloze records on its timeline: segment, stage, step, step assignee or a custom field.
Person Change
Instant triggerIn Zapier“Triggers when a person is changed. Triggers on the major timeline audited changes like Segment, Stage, Step, Assignee or Custom Field changes.”
The people version: it fires when a contact's segment, stage, step, assignee or custom field changes. A stage move is often the moment something should happen next, which makes it a natural starting point.
Project Change
Instant triggerIn Zapier“Triggers when a project is changed. Triggers on the major timeline audited changes like Segment, Stage, Step, Assignee or Custom Field changes.”
The project version: this trigger reacts when a project changes segment, stage, step, assignee or a custom field, so your other tools can follow the pipeline without someone copying updates.
Cloze actions on Zapier
Cloze gives you 8 actions. For each one: what it does for you, when to reach for it, and what to watch out for.
Operations index
Create Communication
ActionIn Zapier“Create a new communication record (email or call).”
Logs an email, a call or a direct message on a contact's record, as if Cloze had captured it itself.
Create/Update a Company
ActionIn Zapier“Creates a company.”
Adds a company to Cloze, or refreshes it when it is already there, from data passed by an earlier step.
Create Timeline Event
ActionIn Zapier“Creates a new timeline event e.g. "Ticket Closed" or "Invoice Sent".”
Puts a custom event on the timeline, the kind of milestone Cloze cannot see on its own, such as a closed ticket or a sent invoice.
Create a Note
ActionIn Zapier“Create or update a note.”
Writes a note on a record, or updates it if the same note was sent before, so the Zap can keep one note current over time.
Create/Update a Person
ActionIn Zapier“Creates or updates a person.”
Creates a contact in Cloze, or updates the existing one, so the same person does not end up twice in your address book.
Create/Update a Project
ActionIn Zapier“Creates or updates a project.”
Opens a project in Cloze, or updates it when it already exists, with the name and the ID it carries in the tool it comes from.
Create ToDo
ActionIn Zapier“Creates a new ToDo.”
Adds a to-do, with what needs doing written in the Topic, the single required field.
API Request (Beta)
ActionIn Zapier“This is an advanced action which makes a raw HTTP request that includes this integration's authentication.”
The advanced option: it sends a raw request to Cloze using the connection you already set up, for anything the other actions do not cover.
When a Cloze Zap breaks
Zapier attaches no help article to Cloze and no Cloze-specific limit is documented here. What breaks is the mechanics of Zapier itself, and four cases are worth checking first.
Open the Zap history first and look for a step that never ran or ran far too often. If none of the cases below matches, the Zapier troubleshooting guide goes further.
The Zap keeps restarting itself
A Zap on Person Change that writes back to the same contact with Create/Update a Person writes where its trigger watches, can fire again and drains tasks.Past changes are never picked up
A Zap only reacts to what happens after you publish it. Stage moves made earlier stay out; replaying them is a separate job.A bulk import gets held back
When a trigger suddenly sends a huge batch, after a mass update of segments for instance, Zapier's flood protection can hold it back.Notes and projects that duplicate
Create a Note and Create/Update a Project both require a source ID from the original tool. Map one that stays the same for the same item, never a date or a random value.
