What the eWay-CRM Zapier integration actually does

It links your eWay-CRM account to Zapier so that a change in the CRM starts an automation, or so that another tool can write records into eWay-CRM for you. Every one of the 19 operations is built around the same six record types: companies, contacts, deals, projects, tasks and journals.

Three results people build first. A follow-up that writes itself: when a deal moves, Save a Task hands the next step to a named person. A clean activity log: Save a Journal records an activity, such as a GDPR request, against the right contact. A project that opens on its own: once a deal is won elsewhere, Save a Project creates the delivery file and Find a Company attaches it to the right account.

Now the part the app page skips. Every trigger here works by polling, so nothing reacts the second a record changes: on the free plan you wait up to 15 minutes.     Open the Apps page

    In your Zapier account, go to Apps and click + Add connection. You need an eWay-CRM account, plus read or write rights on any record you do not own and want the Zap to touch.

First Zap

Your first Zap: a review task each time a project changes

The three settings every search exposes

  1. Successful if no search results are found?
    Left on its default, a search that finds nothing stops the Zap there and skips the steps that needed it. Switch it on and the Zap carries on empty-handed.
  2. Create X if it doesn't exist yet?
    This box turns a search into a find-or-create. None of the eWay-CRM searches offers it, so a missing record has to be handled by a separate save action.
  3. If multiple search results are found?
    Three ways out when several records match: keep the first, which is the default, stop the Zap, or pass all of them on at once.
When it breaks

  • The Zap triggers itself in a loop

    A Zap that saves into the same record type its trigger watches, say New or Updated Deal followed by Save a Deal, fires again on its own edit and eats tasks fast.
  • Old records are never picked up

    A Zap only reacts to what happens after you publish it. Companies or deals that already existed stay where they are, and moving them over is a separate job.
  • A bulk import gets held back

    Import hundreds of contacts at once and the trigger suddenly returns a huge batch. Zapier's flood protection can hold that batch back instead of running it.
  • Closing a task takes four fields

    Setting Completed on Save a Task comes with three conditions: Completed (%) at 1.0, a Completed Date filled in and Reminder Set on False. Map all four together in the same step.

01Is the eWay-CRM Zapier integration free?
Yes, as long as your Zap stays at two steps. eWay-CRM is not a premium app, so it runs on the free Zapier plan, which gives you 100 tasks a month and unlimited Zaps. The catch is the step limit: one trigger and one action. The moment you add a search such as Find a Company, a filter or a second action, the Zap becomes multi-step and needs a paid plan. You also need your own eWay-CRM account, which Zapier does not provide.
02How many tasks does an eWay-CRM Zap use?
One task per action that succeeds, and nothing for the trigger. Zapier can check eWay-CRM for new deals all day without billing anything; only a completed save counts. A Zap that saves a contact and then a journal uses two tasks per run. A failed action is not counted. Keep in mind that every trigger also fires on updates, so an edit can run your Zap again and spend another task.
03Does eWay-CRM send changes to Zapier in real time?
No. All six eWay-CRM triggers are polling triggers: Zapier goes to check for new or updated records on a timer. On the free plan that check runs every 15 minutes, every 2 minutes on Professional and every minute on Team and Enterprise. On a paid plan you can also run a check by hand from the editor. None of the eWay-CRM triggers is instant, so there is no way to get an immediate reaction from this app.
04What does it take to connect eWay-CRM to Zapier?
An eWay-CRM account and the right to see what the Zap will touch. You open Apps in Zapier, click + Add connection, choose eWay-CRM, sign in in the tab that opens and grant access. If a Zap has to edit companies, deals or tasks owned by colleagues, the connected account needs read or write access to those records. For tasks, the people you set as Delegator and Solver must exist in the CRM.
05How do you mark a task completed with Save a Task?
Fill Completed together with three other values. eWay-CRM asks that Completed (%) be set to 1.0, which means 100%, that the Completed Date contain a value, and that Reminder Set be switched to False. The simplest approach is to map the date from an earlier step and type the two fixed values directly in the action. Pair it with Find a Task, so the Zap edits the task that already exists instead of opening a new one. Test the step once and open the task in Outlook to confirm it closed.
06What if the eWay-CRM operation you need does not exist?
Then the integration cannot do it directly, and it is better to know before building. The visible list covers saving and finding companies, contacts, deals, projects, tasks and journals, plus drop-down values. Nothing deletes a record. The usual workaround is to combine a search with a save action, for example finding a task and then editing it. When that is not enough, a team that builds on Zapier daily can check whether another route exists.
