Hireflix runs one-way video interviews: you record the questions once, and candidates answer on camera when it suits them. Connecting it to Zapier means the rest of your hiring tools hear about it on their own, the moment an interview ends or a new applicant needs to be invited.

Three outcomes come up again and again. First, an inbox that fills itself: applicants who fill in a form on your careers page land in the right job through Add Candidate, so they get their interview invite without a recruiter retyping their name and email. Second, a ready-to-forward review: as soon as Interview Finished fires, Create Shareable Interview Link produces a link a hiring manager can open. Third, a team that knows what is waiting: the same finished interview can post a message in your team chat, so nobody refreshes the dashboard to see who answered.

Now the honest part. Zapier offers no search step for Hireflix, so a Zap cannot look up an existing candidate or interview before acting. There is only one trigger, so events such as a candidate being added do not start anything. And a Zap only sees interviews that finish after it is switched on (old recordings stay where they are).

    Open your connections

    Go to Apps. On that page of your Zapier account, click + Add connection, with one prerequisite in mind: a Hireflix account that can reach every job your Zap will touch.

    Pick Hireflix

    Type Hireflix in the search box of the dialog, select it, then click Add connection. A new tab opens on the Hireflix side, where the rest of the connection happens.

  • Old interviews are ignored

    A Zap reacts only to interviews that finish after you switch it on. Recordings already done stay out, and moving that backlog is a separate job.
  • A big batch gets held back

    After a bulk import or a migration, a sudden wave of events can be held back by Zapier's flood protection instead of running all at once.
  • Your third step will not run on Free

    The free plan stops at one trigger and one action. A Gmail email after the review link, or a filter, needs a paid plan.
  • The wrong job is watched

    Job is required on the trigger. The Zap therefore follows only the opening you chose, and interviews recorded for any other job never start it.

01Is the Hireflix Zapier integration free?
Yes, it runs on the free plan. Hireflix is not a premium app, so no paid tier is needed just to connect it. The free plan gives 100 tasks a month and lets you build Zaps of two steps: one trigger and one action. That covers a Zap like Interview Finished followed by Create Shareable Interview Link. The limit shows up the moment you want a third step, such as a chat message after the link, or a filter. Those make it a multi-step Zap, and multi-step Zaps need a paid plan.
02How many tasks does a Hireflix Zap use?
One task per action that succeeds, nothing for the trigger. A finished interview starting your Zap costs zero. If the Zap then creates a review link, that is one task. Add a Gmail email and each run costs two. An action that fails is not counted, so an Add Candidate step rejected for a missing email does not eat into your 100 monthly tasks on the free plan. Keep in mind that every candidate who finishes an interview runs the Zap again, so busy openings add up.
03Does Hireflix trigger Zaps in real time?
Yes. Interview Finished is an instant trigger: Hireflix tells Zapier the moment a candidate completes the interview, so the Zap starts right away whatever your plan. The 15-minute check of the free plan applies only to polling triggers, which Zapier checks on a timer, and Hireflix has none. In the editor, a Zap built on an instant trigger shows a lightning bolt. The type comes from the app itself and cannot be switched from Zapier.
04What do you need to connect Hireflix to Zapier?
A Hireflix account and access to the jobs the Zap will use. From the Apps page of your Zapier account you click + Add connection, search Hireflix, confirm with Add connection, then sign in to Hireflix and grant Zapier access. The connection is stored once and reused by every Hireflix step. Before you start, make sure at least one job exists in Hireflix, since both the trigger and Add Candidate require a Job to be selected.
05Why does an Add Candidate step fail?
Usually because one of its three required fields arrives empty. Add Candidate needs a First name, an Email and a Job, and a run where any of them is blank does not go through. That often happens when a form lets people skip the email question. The fix sits upstream: make those answers mandatory in the form, then re-test the trigger so the mapping uses a complete entry. A failed run costs no task, but that candidate never gets invited.
06What if the Hireflix operation you want is not on Zapier?
Then Zapier cannot do it directly, and it is worth knowing what is missing. The app offers one trigger, Interview Finished, and two actions, Add Candidate and Create Shareable Interview Link. There is no search step, so a Zap cannot look up an existing candidate, and no other event starts a Zap. If your process depends on one of those, plan it outside Zapier or rethink the order of steps so the data you need comes from the other app.
07Zapier, Make or n8n for Hireflix?
