Overview

What the JustCall Zapier integration actually does for a phone team

The JustCall Zapier integration links your JustCall phone and SMS account to the other apps your team runs on. A call, a text or a voicemail in JustCall can start an automation, and that automation can send texts, manage contacts or feed a Sales Dialer campaign without anyone copying a number by hand.

Three results come up again and again. First, the missed call that never goes cold: Missed Call starts the Zap and Send a Text Message writes back to the caller from one of your JustCall numbers. Second, the call summary that lands where managers read: Call AI Report Generated hands the AI insights of a finished call to your CRM, your notes app or a team channel. Third, the lead that joins the dialer on its own: a form or a CRM fires first, and Add Contact to Sales Dialer Campaign drops the phone number into a campaign your reps already work.

Now the limits, because the list of operations tells you as much by what is missing. There is no action that places an ordinary call from a rep's line: the only outbound call Zapier can start is an AI Voice Agent call. Campaigns cannot be created from Zapier either, they have to exist in JustCall first. And nothing that happened before you publish the Zap is picked up.

Each action that succeeds counts as one task, so a Zap with three actions uses three times what a one-action Zap uses. A failed action is not counted, and Zapier checking for new calls costs nothing however often it looks. JustCall is not a premium app, so it works on the free plan: 100 tasks a month, as many Zaps as you like, but two steps only. Add a filter, a search or a second action and the Zap becomes multi-step, which needs a paid plan. Most JustCall triggers are instant, so the grid below only matters for the four polling ones.

Connect

Connect JustCall to Zapier in three steps

    Open your connections

    In Zapier, go to the Apps page of your account and click + Add connection. Type JustCall in the search box of the dialog and pick it from the results.

    Sign in to JustCall

    Click Add connection. A new tab opens on JustCall: sign in with the account whose numbers, contacts and campaigns the Zap should use. You need a JustCall account, plus access to anything you do not own yourself.

    Grant access and reuse it

    Allow Zapier to reach the account. The connection now shows in your list, and every JustCall step in every Zap can pick it, so you never sign in twice for the same account.

First Zap

Your first Zap: text back every missed call

GoalWhen a call to your main number is missed, send the caller a text from that JustCall number.

  1. 01

    Create the Zap

    Start a new Zap. In the first step, pick JustCall as the app and Missed Call as the event, then choose your JustCall connection.

  2. 02

    Test the trigger

    Run the test. Zapier brings back the three most recent missed calls of your account, so you can pick a real one and see which fields it actually carries before mapping anything.

  3. 03

    Add the filter

    Click the plus icon, choose Filter, then set the field to look at, the rule and the value. Rules are typed: a text rule only works on text, a number rule only on numbers, and the wrong one never passes. This step makes the Zap multi-step.

  4. 04

    Add the text message

    Add JustCall again, event Send a Text Message. Map the caller's number into To Number, choose the From number, and write a short Body that says when you will call back.

  5. 05

    Test, then publish

    Test the action and check the text on a phone you own. When it reads right, click Publish. From then on, every missed call fires the Zap straight away, because this trigger is instant.

The 2 JustCall searches

2 search steps look for data that already exists in JustCall, so a later step can use it.

A search step finds something that already exists in JustCall and hands it to the next steps. In the action list of the editor, JustCall's searches sit at the bottom, under the SEARCH heading. JustCall offers no find-or-create variant: if the contact is missing, a separate Create Contact step has to handle it.

When to use it
just before Update Contact, to get the id that action requires.
Watch out
whether the match must be exact is decided by JustCall, so test with a number written the way your data writes it.

Search

Searches the Sales Dialer side for a contact by phone number, the one field it requires.

When to use it
check whether a prospect is already in a campaign before adding them, so nobody is dialled twice.
Watch out
leave the no-result setting off if a missing contact should halt the Zap, on if it should carry on.

The three settings every search exposes

  1. Successful if no search results are found?
    Left as it is, a search that finds nothing stops the Zap there. Switch it on and the Zap goes on, just without the contact.
  2. Create X if it doesn't exist yet?
    Ticking it turns a search into find-or-create. JustCall does not offer that variant on its searches, so you will not see this box here.
  3. If multiple search results are found?
    Three choices when several contacts match: keep the first one (the default), stop the Zap, or pass all of them on.
When it breaks

When a JustCall Zap breaks

Zapier lists no help article specific to JustCall, so the traps below are the general ones, seen through a phone system.

Most broken JustCall Zaps fail for one of four reasons, and none of them shows up as an error in JustCall itself. If a Zap stops for a reason you cannot pin down, start with the Zapier troubleshooting page.

  • Old calls are never picked up

    A Zap only reacts to what happens after you publish it. Last month's calls and texts stay where they are; moving that history is a separate job.
  • The Zap that texts itself

    SMS Sent or SMS Sent or Received plus a Send a Text Message action: each text starts the Zap again, and the task count drains fast.
  • A bulk import gets held back

    Importing hundreds of contacts at once can make a trigger return a huge batch, and Zapier's flood protection may hold it back.
  • The same item never fires twice

    On the four polling triggers, Zapier remembers what it has already seen. Editing an old contact will not make New Contact fire again.

Yes, as long as your Zaps stay simple. JustCall is not a premium app on Zapier, so it is available on the free plan, which gives you 100 tasks a month and as many Zaps as you want. The catch is the size of each Zap: on the free plan a Zap is one trigger and one action, nothing more. As soon as you add a filter, a search or a second action, the Zap becomes multi-step and needs a paid plan. The trigger never costs a task, so a quiet line costs nothing at all.
02How many tasks does a JustCall Zap use?
One per successful action, every time the Zap runs. The trigger itself costs nothing, and neither does Zapier checking for new calls or texts. A Zap that texts back each missed call uses one task per missed call. A Zap that creates a contact and then sends a text uses two. Actions that fail are not counted. The thing to watch is volume: a trigger like SMS Sent or Received fires on every message, so on a busy line the tasks pile up quickly.
03Is JustCall on Zapier real time?
For 20 of the 24 triggers, yes. They are instant: JustCall tells Zapier the moment the call, text or voicemail happens, and the Zap starts right away whatever your plan. The four exceptions poll, meaning Zapier checks on a timer: New Appointment, New Contact and the legacy Call Ended and New Text. On the free plan that check happens every 15 minutes, on Professional every 2, and on Team or Enterprise every minute.
04What does it take to connect JustCall to Zapier?
A JustCall account, and access to whatever the Zap should touch that you do not own yourself. You add the connection from the Apps page of Zapier, sign in to JustCall in the tab that opens, and allow access. Before building, check two things on the JustCall side: the numbers you want to text from must already be on your account, and any Sales Dialer campaign you want to feed must already exist. Zapier can pick them, but it cannot create them.
05Why are some JustCall triggers and actions marked Legacy?
Because JustCall kept older versions running for Zaps built before the new ones arrived. Eight of the operations carry a Legacy tag, including Incoming Call, Call Ended, New Text and Send a Text Message. They still work, but each has a current replacement, and two of the legacy triggers poll where their replacements are instant. For a new Zap, always pick the version without the tag. For an old one, plan the switch when you next rebuild it.
06What if the JustCall action you need does not exist?
Then the Zap cannot do it directly, and the honest answer is to work around it or use another tool. There is no action for placing an ordinary rep call, for creating a Sales Dialer campaign, or for reading a full call log on demand. Sometimes a trigger covers the need from the other side, for example Call Completed instead of fetching a call. Otherwise, check whether another automation platform covers that part of JustCall, or ask a specialist before building a workaround.
07Zapier, Make or n8n for JustCall?
It depends on what matters to you rather than on a winner. Zapier is the quickest to start with and its JustCall app covers 40 visible operations, mostly instant triggers. Make tends to suit Zaps with many branches, where you want to see the whole flow on one canvas. n8n fits teams that want to host the tool themselves and are comfortable with a more technical setup. Compare on three criteria: how many steps your scenarios need, how much volume you expect, and who on the team will maintain them.
