What the KrispCall Zapier integration actually does for a phone team

The KrispCall Zapier integration links your KrispCall workspace to the other tools you use, without code. A trigger (the event that starts the Zap) fires on a call, a text, a voicemail or a new contact, and an action (the step that writes or sends something for you) can text a number or manage your contact list.

Three results people usually want, and the operations behind them.

No missed caller left hanging. New Voicemail starts the Zap, Send SMS answers the caller from your business line. A small clinic or a plumber who is on a job all day gets the reply out while still busy.

A contact list that follows your CRM. A lead lands in your form tool or your CRM, and Add Contact creates it in KrispCall, so the next inbound call shows a name instead of a bare number. When a deal is lost or someone asks to be forgotten, Delete Contacts cleans up.

A log of every conversation, outside the phone app. Call Event, New SMS_MMS and New SMS/MMS Sent push each call and each text into a spreadsheet, a help desk or a team chat, so sales managers read the activity where they already work.

What Zapier does not do here: there is no search step, so a Zap cannot look up an existing KrispCall contact before acting. There is no action to place a call or to edit a contact either: you add, you delete, you text. Anything beyond that means another tool, or a different route. The free plan gives you 100 tasks a month and unlimited Zaps, but each Zap stops at two steps: one trigger, one action. Add a filter or a second action and it becomes a multi-step Zap, which needs a paid plan. KrispCall is not a premium app, so it works from the free plan. The polling grid below never applies here, because all five triggers are instant. A Zap that texts the caller and also adds a contact bills two tasks per run.

    Open your connections

    In your Zapier account, go to the Apps page and click + Add connection. A connection is your KrispCall account linked once, then reused by every step that uses KrispCall.

    Pick KrispCall

    Type KrispCall in the dialog, select it, then click Add connection. A new tab opens on the KrispCall sign-in page. You need an existing KrispCall account at this point.

    Sign in and grant access

    Log in to KrispCall in that tab and allow Zapier to reach your workspace. If the Zap must touch numbers or contacts you do not own yourself, make sure your account has read or write access to them.

    Create the Zap and set the trigger

    Start a new Zap, pick KrispCall as the app and New SMS_MMS as the event. Then choose the KrispCall connection you just added.

    Test the trigger on a real text

    Click test. Zapier brings back the three most recent items from your account, so send yourself a text first and pick it to map real data.

    Add the filter

    Click the plus icon, choose Filter, then set the field holding the message, a text rule such as contains, and the word hours. This step makes the Zap multi-step, so a paid plan.

    Add Send SMS

    Pick KrispCall again with Send SMS. Put your business line as the From Number, map the sender as the To Number, and write your opening hours in the Body.

When it breaks

When a KrispCall Zap breaks

Zapier attaches no help article to KrispCall, so the failures below come from Zapier's general limits and from the fields the actions require.

Most broken KrispCall Zaps fail on a number format or on a loop, rarely on the connection itself. If you are stuck after these four cases, the Zapier troubleshooting page walks through the diagnosis.

  • Old calls and texts never arrive

    A Zap only reacts to what happens after you publish it. Calls, voicemails and contacts that already existed are not picked up, and moving that history is a separate job.
  • The Zap texts itself in a loop

    Starting on New SMS/MMS Sent and ending on Send SMS creates a fresh outgoing text each run, which starts the Zap again and burns through your task count.
  • A number without its country code

    From Number, To Number, Contact Number: every KrispCall action asks for the country code. A local format coming from a form is the usual reason an action fails.
  • A bulk import held back

    Importing a large contact list fires New Contact for every line at once. Zapier's flood protection can hold such a sudden batch, so expect a pause, not a bug.

KrispCall Zapier integration: frequent questions

01Is the KrispCall Zapier integration free?
Yes, as long as you stay within the free plan. KrispCall is not a premium app, so it can be connected from a free Zapier account. That plan gives you 100 tasks a month and as many Zaps as you like, but each Zap is limited to two steps: one trigger and one action. A voicemail followed by an SMS fits. A voicemail followed by a filter and an SMS does not, because the filter turns it into a multi-step Zap, and multi-step Zaps need a paid plan. You still need your own KrispCall account on top of this.
02How many tasks does a KrispCall Zap use?
One task per action that completes successfully, and nothing for the trigger. A Zap that sends a text after each voicemail costs one task per voicemail. Add a second action, such as adding the caller as a contact, and the same voicemail costs two. Waiting for events never costs anything, and an action that fails is not counted. Watch the volume on texting triggers: a customer who sends several short messages in a row starts the Zap once per message, and every run bills its actions again.
03Does KrispCall work in real time with Zapier?
Yes. All five KrispCall triggers are instant: KrispCall tells Zapier the moment a call is logged, a text arrives or leaves, a voicemail is recorded or a contact is created. The Zap starts right away whatever your plan, so the polling intervals of the plan grid, 15 minutes on the free plan, do not apply to any of them. In the Zap editor, a Zap built on an instant trigger is marked with a lightning bolt, which is a quick way to check.
04What does it take to connect KrispCall to Zapier?
A KrispCall account and a Zapier account. In Zapier, open the Apps page, click + Add connection, search for KrispCall, then sign in to KrispCall in the tab that opens and grant access. If the Zap must touch numbers or contacts that belong to someone else in the workspace, your KrispCall user needs read or write access to them. Before building the SMS actions, have your sending line written in international format, because both numbers require the country code.
05Why does a KrispCall Send MMS action fail?
Most of the time it is the media field. The Medias Link field accepts up to five links, separated by commas, and the files they point to must stay under 5 mb in total. The files are attached through links, so they need to be reachable online rather than sitting on your computer. Both the From Number and the To Number also need their country code. Check those three points before suspecting the connection itself, and run the test on your own phone first.
06What if the KrispCall operation you need does not exist on Zapier?
Then the Zap cannot do it directly. On Zapier, KrispCall offers five triggers and four actions: add a contact, delete contacts, send an SMS and send an MMS. There is no search step, no action to update a contact and none to place a call. The usual way around is to let another tool do the missing part, for example keep the contact record up to date in your CRM and only sync additions and deletions toward KrispCall. When the gap is central to the workflow, comparing what other automation platforms expose for KrispCall is worth the time.
