What the LearnWorlds Zapier integration does for a course business

LearnWorlds is a platform for selling online courses on your own website. Through Zapier, its events (sales, enrollments, completions, sign-ups) can start automations in your other tools, and eight LearnWorlds actions can enroll, tag or create users from events that happen elsewhere.

Take a school that sells courses. Three results come out of it with nobody copying data by hand. First, buyers sorted on arrival: Order Paid fires and Add Tags to User labels the student by what they bought. Second, access handed out from outside: a sale recorded in another tool runs Enroll User in Product, which creates the user if needed and opens the course. Third, churn spotted early: Payment Failed and Subscription or Payment Plan Canceled warn whoever follows up on payments.

Now what Zapier does not do here. There is no action to delete a user, change an order or issue a refund. The only search finds a user, so courses, bundles and orders cannot be looked up from a Zap. Seven entries carry a Legacy label; five of them sit next to an entry of the same name without it, and Zapier does not say what separates them. And nothing that happened before your Zap was published is picked up.

The LearnWorlds search

1 search step looks for data that already exists in LearnWorlds, so a later step can use it.

Searches sit at the bottom of the action list in the editor, under the SEARCH heading. LearnWorlds has one, and no find-or-create variant: it never creates the user it misses. Three settings decide what happens when the result is not what you expected.

Search

Looks up a student by email or by user ID and hands their details to the next steps. It is the safe check before any action that needs an existing user.

When to use it
before Add Tags to User or Unenroll User From Product, so an unknown email stops cleanly.
Watch out
there is no create option, so a missing user means a stop unless you change the setting.

The three settings every search exposes

  1. Successful if no search results are found?
    Left as is, a search that finds nothing stops the Zap and skips the steps that needed it. Switched on, the Zap goes on empty-handed.
  2. Create X if it doesn't exist yet?
    This box turns a search into a find-or-create. Find a User does not offer that variant, so creating a user takes Create User.
  3. If multiple search results are found?
    Several matches: keep the first one (the default), stop the Zap, or pass all of them on at once.
When it breaks

When a LearnWorlds Zap breaks

Zapier lists no help article for LearnWorlds, so the traps below are the ones every Zap shares, applied to a course school.

None of them raises an alarm on its own: the Zap simply does less, or more, than you planned. When a run goes wrong, start with the Zapier troubleshooting page.

  • Past sales are ignored

    A Zap only reacts to what happens after it is switched on. Orders, sign-ups and certificates from before stay out, and moving that history is a separate job.
  • The Zap that feeds itself

    Tag Added plus Add Tags to User on the same tag, or New User plus Create User, can set the Zap off again and again and burn tasks fast.
  • A bulk import floods the triggers

    After a migration or a mass enrollment, a sudden wave of events can be held back by Zapier's flood protection instead of running one by one.
  • An email with no LearnWorlds user

    Add Tags to User, Remove Tags From User and Unenroll User From Product need a user who already has that email. An unknown address makes the step fail.

01Is the LearnWorlds Zapier integration free?
Yes, on the Zapier side: LearnWorlds is not a premium app, so the free plan can use it. That plan includes 100 tasks a month and unlimited Zaps, but each Zap is capped at two steps, one trigger and one action. Add a filter, a search or a second action and the Zap becomes multi-step, which needs a paid plan. Your LearnWorlds subscription is a separate matter that this page does not cover.
02How many tasks does a LearnWorlds Zap use?
One per successful action, nothing more. The trigger is free, however many orders or completions come in. A Zap that tags a buyer and then logs the sale uses two tasks per order, because each action that works is counted on its own. A failed action is not billed. Watch Payment Created in particular: on subscriptions it fires for every single payment, so a monthly subscriber costs tasks every month.
03Do LearnWorlds triggers work in real time?
Yes, all 23 of them. Every LearnWorlds trigger is instant: the app tells Zapier as soon as the event happens, and the Zap starts right away. That holds on every plan, the free one included, because the polling interval only applies to triggers Zapier has to check on a timer. In the editor these Zaps carry a lightning bolt. The type is set by LearnWorlds and cannot be changed from Zapier.

05Why does Payment Created fire several times for one subscription?
Because each charge is its own transaction. For a subscription or a payment plan, LearnWorlds creates a new transaction for every single payment, and each one starts the Zap. That is the right trigger for finance records with one line per charge. If you only want one run per purchase, use Order Paid instead. And for subscriptions that stop paying, Payment Failed covers Stripe instalments and subscriptions only. Pick the one that matches how your records are kept.
06What if the LearnWorlds operation you need is not available?
Then Zapier cannot do it directly with this app. The actions cover users, tags and enrollments; there is nothing to delete a user, edit an order or issue a refund, and the only search finds users. Read the Legacy entries too: two of them, Create and Enroll User (Legacy) and New Enrollment Purchase (Legacy), have no unlabelled twin. If the operation is really absent, the job needs another route outside this integration.
07Zapier, Make or n8n for LearnWorlds?
It depends on your criteria, not on a single winner. If your team already works in Zapier, the 23 instant triggers and the enroll and tag actions cover the common course-business flows. If you need operations the integration does not expose, or many steps per run at a lower cost, compare what each platform offers for LearnWorlds and how it counts executions.
